2 Using Crashplan 1 About CrashPlan 1. CrashPlan is a local backup program and can be used on up to 4 devices per user. Devices include PCs, MACs, ipads, iphones, Android phones, and Linux workstations. Devices do not include servers if you need a server backed up, contact client services to discuss your options. 2. It is designed to work in the background while you are working or when your system is idling. As such, you should not notice that it is backing up. If you right-click on the icon in the bottom tray, you can see the status is (idling, backing up, when last backed up). Even if you don t see the icon, the program is still running; you can start the monitor program by clicking on CrashPlan Tray in your Programs. 3. CrashPlan can take several days to back up your system completely the first time, depending on the amount of data selected, so it is not to be used for an immediate backup before replacement of a system. 4. CrashPlan is not a full system backup. It will not, for example, back up your registry or your installed programs. It will, however, back up your entire User directory including your Outlook.pst file if you use a local mail client and anything you save in the Libraries. 5. CrashPlan can be used when you are replacing a workstation with a new model. Directions for this type of recovery are on Page CrashPlan can be used to view a file that has been backed up on another device, such as a tablet or phone. Directions for this are on Page 11. * Your internet connection must be functional to use CrashPlan. 3 Using Crashplan 2 Installing CrashPlan THE FOLLOWING INSTRUCTIONS ARE FOR WINDOWS BUT MAC SHOULD BE SIMILAR. 1. Open a web browser to on the device. 2. Log in using your CAESAD credentials without the caesad\, for example Diana on the first line and mypassword on the second line 3. If your ID has not been added to the Crashplan system, you will see the following screen. Please contact your local Help Desk for assistance with getting your ID set up. 4. After you have logged in, you will see the following screen. Choose Administration.

4 Using Crashplan 3 5. On the Left side, click on the App Downloads button. You will see the following screen, with the options for downloading the software for your operating system. For most people, this will be the Windows 64bit version, but if you have any questions, contact your Help Desk. 6. Click on the Dowload arrow next to your operating system. You will see the following pop-up choose Save File.

5 Using Crashplan 4 7. Once the download is finished, open the downloads tab on your browser. (For Firefox users, this is the down arrow in the top right.) Highlight the crashplan download and then click on it to Run it. 8. When the Setup Wizard starts, choose Next,. 9. Choose Install for Everybody unless you have multiple people who share a PC with different logins, in which case you will want to install just for yourself. The other people using the PC will need to repeat the process for themselves while logged into the PC. 10. Accept the license agreement and the default location for installation. Click on Install to begin the installation, and accept any security pop-ups that may appear Allow the Installer to complete the installation of CrashPlan. Click Finish. 12. Proceed to Initializing CrashPlan (next page)

6 Using Crashplan 5 Initializing CrashPlan THE FOLLOWING INSTRUCTIONS ARE FOR WINDOWS, BUT THE STEPS SHOULD BE SIMILAR FOR MACS 1. After Crashplan installs, a login screen will pop up. Put in your CAESAD user name and password. The server address is :4282 Click on Continue. 2. You will see a Home screen displaying all of the devices that you currently have Crashplan installed on. The device that you are on will be at the top and it will have the label (This Device) behind the name.

7 Using Crashplan 6 3. Click on Details in order to check the configuration of your backup. If is says No Destinations Selected, click on Add destinations to configure the backup. 4. Click the check box next to ProE Cloud1, the site of our offsite backup, then Save.

8 Using Crashplan 7 5. Now you will see the default backup settings for your computer. If your administrator allows you to make changes, you can alter when it runs, what is excluded, etc. but in general you should leave these as-is and click Done. 6. Close the local CrashPlan program note that it will continue running in the background and then close the web browser. Your system is now being backed up!

9 Using Crashplan 8 Restoring Your Entire System If you recently reformatted or replaced a computer or hard drive, this process can be used to restore your files from a previous workstation. 1. Download and install the latest version of CrashPlan 2. Sign in to your existing account on the local PC or Mac 3. Find the name of the old PC button (not the item that says This Device) and click on the Get Files button ( 4. Choose the folders you want restored. Generally, you will want to check all the folders.

10 Using Crashplan 9 5. Click Get Files. A Pop-up box will appear allowing you to choose where to save the files, what to do if the files exist, and what permissions to use. When restoring your system you will want to choose Original Location, Overwrite, then leave the Current permissions. Click Go when you are done. 6. A box will appear at the top of your Home screen telling you how much data is being restored and the approximate time this will take. This time estimate is for the longest estimate when you are not working on your PC, the restore will speed up significantly. If you can, leave your PC running till this is complete. 7. Once your files have been restored, proceed to Adopting a Computer.

11 Using Crashplan 10 Adopting or Replacing a Device Adopting a computer is the process of having one computer take over for another computer that has been lost, stolen, replaced, or reformatted. By reconnecting to the previous computer's backup archive, you avoid repeating the potentially lengthy initial backup, and you also gain the history of backups from that old computer. Also, if you are no longer using an old PC, you remove that item from your list of devices since you have a limit of 4 devices. NOTE: If your old device is a PC and the new one is a Mac, you can restore the files but you can t adopt the PC. You will need to Deactivate it instead (in the web interface) to remove it from your list of devices. 1. Download and install the latest version of CrashPlan 2. Sign in to your existing account on the local workstation 3. Restore files that you want on the computer before adopting. Any files you don t restore will be retained as Deleted Files, which are less visible and have a shorter lifespan. 4. On the new computer s Home page for Crashplan, click on the blue text that says Replace Device. If you don t see this message, skip to Optional Browser Adoption. 5.

12 Using Crashplan 11 A box will pop up to give you the option of which computer you want to adopt. Find the name of the old computer and click the radio button next to it. 6. A message box will flash up briefly to let you know that your settings from the old PC are being transferred to the new PC. 7.

13 Using Crashplan 12 You will be logged out when it has finished. Log back into Crashplan and you will see a message that the settings have been transferred. It also tells you to add any new folders that you want to back up, but don t delete the old ones yet as the engine will want to compare files on your current PC against the backups so files aren t duplicated. Remember that you should RESTORE THE OLD FILES FIRST!

14 Using Crashplan 13 Optional Browser Adoption If you don t see the option to Replace a Device in the Crashplan app, you can do it from the browser. 1. Log into the website where you downloaded the software from, then go to your new device. Click on the gear in the right corner and then adopt a computer. 2. You will see a list of the computers that you can adopt. Click the radio button next to the one you want and then choose Adopt 8. You will see a message when it is finished.

15 Using Crashplan 14 Restoring Files or Directories New with version 5 of Crashplan is the option to restore files from a computer other than your current device. This can be very useful if you have several devices, such as a mobile PC or device and an office PC. 1. Open the CrashPlan app on your PC in either the tray or from the Start menu. Click on Get Files next to the Computer where the files are located. 2. If you want to restore your files from a previous date, click on the As Of Today link and choose the date from the calendar.

16 Using Crashplan Navigate to the files that you want to restore. Check the box next to it, then click Get Files. 4. Change the restore options to specify restore location, whether to overwrite or rename duplicate files, and what rights to use (should almost always be Current). Then click Go. 5. You will see a box in the upper right that tells you the process of restoring the file.

17 Using Crashplan 16 Using the Mobile App 1. Anyone with an existing CrashPlan account can use the CrashPlan mobile app to access files backed up to a cloud destination (e.g., ProE Cloud1). The CrashPlan mobile app is available for Android, ios, and Windows Phone devices. You can download it for free from any of the app stores for that device. 2. Once you've downloaded the CrashPlan mobile app for your device, sign in with your existing CrashPlan account information. Enter the IP address as you did for the desktop client. 3. To access your backed up files: a. Select a computer to begin navigating to your backed up files. b. Tap a file to start downloading it to your device. A progress indicator next to the file name shows download progress. After the download is complete, tap on the file again to view it. c. Tap additional files to add them to your download queue. Files download in the order in which they are tapped. Downloaded Files FAQ What can I do with downloaded files? Open files within other apps on your device that support the file type Edit files within other apps on your device that support the file type Send files as attachments (you must have an app installed on your device) What happens if I change a file? The CrashPlan app is intended as a way to access your backup files across your devices. Any changes you make to files downloaded with the CrashPlan app will not sync to the original file or other devices. If a newer version of a file you have already downloaded becomes available from the original source (i.e., your PC), an Update option displays on the home screen.

18 Using Crashplan 17 Using the Web Dashboard 1. There are some useful features on the web Dashboard. To access the dashboard, go to and log in 2. Close the Welcome screen. You will see a dashboard that looks like this: 3. This gives you an overview of the devices you have backed up, how much data you have stored, what the current activity is, and the location of your device.

19 Using Crashplan Click on Devices, then any of the devices in your list, and a more detailed pop-up will appear on the right side of the screen. 5. This tile on the right allows you to look at detailed statistics and also to perform some additional functions. It also shows what the default settings are for the software. Some of these are set by the administrators but some are customizable. You can also perform restores by clicking on the wave button on the upper right above the graphs.
