6 Introduction Welcome Welcome to the Prophet 21 Array Help Manual System. We have created these manuals with you the user in mind. We hope that they are useful easy to understand and efficient. We also have the entire Help Manual System on CD- ROM. In a format much like the Help Systems used throughout the software world. Our Help system for Windows and our On-line Help system are both designed to be user friendly and efficient. We encourage its use as your first resource should you find yourself in a situation that warrants an answer to a question. All of us at Prophet 21 Array would like to thank you for purchasing the Prophet 21 Array System. We hope that these manuals help you understand, utilize, and problem solve your system for years to come. Prophet 21 Array User's Guide Introduction 1-1

7 The Prophet 21 Array Help Manual System General Information We at Prophet 21 Array hope that you use these manuals and they meet all your expectations and all your needs. Each manual was created in a standard format and organized so that once you use one manual you will be able to easily utilize every other manual in our system. Common Terms The following is a brief description of common terms and function keys that are used throughout the Help Manual System; Menus A menu is simply a list of options you can choose from. Rather than entering a long command, you need only to enter the corresponding number that lies to the left of your choice. After choosing a selection from the MASTER MENU you are presented with yet another menu, a sub-menu. Common Function Keys FK2 - Exit / Backup / Cancel / Quit / End-of-Job FK2 or F2 will back-up a step in most cases. In some cases, it is used to cancel a process, such as in Sales Order Entry. FK3 - Mode switch key. FK3 or F3 will usually allow you to switch between different modes in the system. In Sales Order Entry, the F3 key is used to switch from NEW ORDER mode to MAINTENANCE mode. FK5 - Search key. Anytime the system allows a user to search for items, vendors, customers, etc.; the F5 key will initiate that search. 8 How to Use The Array Manuals: 1. Once you have read the Introduction and the How to use The Array Help System sections in your first manual it may not be necessary to read these two sections again. They are the same throughout the entire Array Help System. 2. Review the Content page. This will give you a general idea of what is included in the manual you are reading. 3. Thoroughly review the manual Objectives. The Objectives give you a basic understanding of what major topics you will need to understand after reading and using each manual. 4. At the beginning of each chapter there is a Prerequisites heading. This lists any courses, information and/or procedures that need to be accomplished before the information contained within the chapter can be best utilized by you the user. 5. Once you have reviewed the general manual objectives, begin each chapter by reviewing its specific objectives. (See Chapter Layout for more information) During your initial introduction to each manual review the manual, sequentially chapter by chapter. 6. After your initial review of any manual you can find out information and find solutions to questions in the manual through any of the following avenues; Content page Glossary Appendix Index Browsing 7. Once you have reviewed the Chapter Objectives, Go over the field descriptions and function keys of any program screens that are being discussed. 8. In each chapter subsection, read any descriptions thoroughly and familiarize yourself with the Program screens that are being discussed. 9. In chapters that have procedures, read any procedure first before attempting them. After reading the procedures carefully, implement each step until its conclusion. NOTE: In the Installation phase, it is imperative that the chapters are followed sequentially. 10. During the course of using the Array Help System Manuals if there is any term, field code and/or function key that you don't understand please refer to the Appendix, Glossary and/or Index. 9 Manual Format Each manual contains a Contents page, an Introduction, an Overview, specific Manual Objectives, Content Chapters, an Appendix, a Glossary, and an Index. Each area is described below in more detail. Contents is a chapter by chapter and heading by heading outline of each manual. Introduction is general information about the entire manual system and describes how the manuals are organized and formatted Overview gives you, the user information about the Array Help Manual System and some general information on the best way to utilize the information contained in our system. Objectives are manual specific and will give you, the user the general knowledge base that you will obtain by reading and following all the procedures that are contained in each manual. Content Chapters contain the information, descriptions, procedures etc. that you will need to implement, operate and problem solve your Array Software System. (See Chapter Layout for more information) Appendix contains any tables and/or lists that are common throughout any particular manual. Glossary contains words, technical terminology, symbols, and field abbreviations that may need to be defined so that you can get the most accurate information from specific areas throughout a specific manual. Index contains many of the terms that are in the glossary but instead of those terms being defined, there are referenced page numbers, in order for you to quickly access topics, procedures and/or information about a topic during and after your first use of a particular manual. 10 Chapter Format We attempted to organize the chapters so that the content could be easily understood and the procedures could be simple to follow. The chapters are formatted as follows: Chapter Title the general name of the subject matter Chapter Overview a brief description of the content and procedures contained within the chapter. Prerequisites includes any readings, training and/or training classes, file set-ups, hardware installations, etc that you need to accomplish before the chapter should be started. The prerequisites are designed so that the content can be best understood and the procedures can be accomplished efficiently. Topics - are chapter specific and will give you, the user a list of the specific topics covered within the chapter. It will also give you an idea of what sequence the chapter is formatted. 11 Manual Overview About Task Management Task Management is an integrated electronic message system that captures critical system events from Array such as Credit Hold Orders, Non-Stock Item Creation, and several expediting functions. The system provides immediate message notification as events occur, and produces a Task List for reviewing and performing any corrective action that might be necessary. Reporting of critical events as soon as they happen allows you to react faster, and handle the situation before any major impact on your business occurs. Because there are so many events that could be classified as critical, Prophet 21 Array has chosen to deliver this subsystem in phases. Phase I captures two critical events: Orders on Credit Hold, and the Creation of Non-Stock Items during Sales Order Entry. Phase II features four expediting events: Notification when Pack & Hold Orders are Complete, and the need to Expedite Pack & Holds, Customer Backorders, and Vendor Purchase Orders. Phase I & II are available in release 4.0. Task Management is being offered as a value-added feature, and clients who wish to take advantage of this subsystem must be on our Extended Support Package. We trust this new enhancement will greatly benefit your organization. Task Management Objectives: After using this manual, you will be able to: React to critical situations faster. 12 Set-up Procedures Overview Before you can benefit from the Task Management system, you must set up options in the Array software to indicate you are taking advantage of this new feature. The System Administrator should set these options. Prerequisites The Array Gold Service support package must be purchased. 13 Setting Up System Processing Parameter Option (MBS432) To indicate to the system that Task Management events should be captured, you must set the Workflow Option in the System Processing Parameter II (MBS432). NOTE: Make sure you are using your System Administrator sign on to allow you access to MBS432. (See Figure 1) 1. From the Main Menu, at Enter Line Number for Selection, type 10 - Support Facility Systems Manager. 2. At Enter Line Number for Selection, type 02- System Parameter Maintenance. 3. At Enter Line Number for Selection type 07- System Processing Parameters II. This will bring you into the display screen for your system options. DO NOT Press a key to display your options 4. Press FK7 (Modify), then the return key. Now the full screen will be displayed to show all of your options. 5. Look at Line 02 for the field named WORKFLOW. 14 9. Enter Y for Yes in the field. Options are: Y = Capture & Store Task Mgmt data. N = Don t Capture or Store Task Mgmt data. 10. Press your FK3 (Modify) key to update the record. 11. To return to a menu, Press FK2 (Return). Adding Task Management Sub- System Code (MBS372) Task Management functions are part of the Quality System, therefore you will need to identify this new sub-system to the Quality applications. Add Event code for Credit Hold Notification Adding Event Codes to Quality System (MBS370) Since the Task Management System uses the Quality System to capture data, you must identify and label the quality event codes used by the Task Management System. Make sure you are using your System Administrator sign on to allow you access to MBS370. (See Figure 3) 1. From the Main Menu, at Enter Line Number for Selection, type 10 - Support Facility Systems Manager. 2. At Enter Line Number for Selection type 01- Name File Maintenance. 3. At Enter Line Number for Selection, type 26- Quality Event Code Maintenance. This will bring you into the display screen for adding your event codes. 4. Press FK6(Add) 5. Enter WF for Sub-System-No: 6. Enter 9500 for Event Code. NOTE: 9500 is the only number you can use for this event. 7. Return pass default field. Default field name is Sub-System 8. You should be on Line Enter ORDER ON CREDIT HOLD" in the Event-Description field. You may enter your own description if you like. This is a 30-character field. 10. You should now be on Line Enter the Task Priority. The system defaults to 99. You may want to change this to a higher priority. Modifying Buyer Name File (MBS209) The Task Management System captures the creation of a non-stock item ordered, as well as several expediting tasks. This information certainly should receive the immediate attention of the Buyer for that particular vendor line. When a non-stock item is ordered during Sales Order Entry, the system will take the line-buy number from the model used to create the item, and direct this critical event to the buyer for that line-buy. When expediting of Customer Backorders, Pack & Holds, or Vendor PO s are required; this information will be directed to the buyer as well. This information for the Buyer updates the Task Management Inquiry based on user sign-on. You must indicate to Array what sign-on the Buyer uses. Prophet 21 Array User's Guide Set-up Procedures 4-10

22 Designate Buyer Sign-On NOTE: Make sure you are using your System Administrator sign on to allow you access to MBS209. Prophet 21 Array also recommends that you know your Buyer(s)user sign on before you begin this exercise. 1. From the Main Menu, at Enter Line Number for Selection, type 10 - Support Facility Systems Manager. 2. At Enter Line Number for Selection, type 01 - Name File Maintenance. 3. At Enter Line Number for Selection, type 09 - Buyer Name. This will bring you into the entry screen to modify your Buyer record. 4. Press FK7 (Modify) 5. Enter the Buyer if you wish to modify. If you already know the Buyer(s) you need to modify, you can skip Steps 6 & 7. OR Press FK5 (Alpha) to search for the Buyer. You may obtain a list of your Buyers by requesting a Control File Listed (MBS120) for Buyer Names. 6. Enter the starting character(s) you wish to begin the search on, then Press the Return Key., A display of all the Buyers which fit the search criteria will be displayed 7. From the display, look for the Buyer you need to modify, then enter the line # of your choice., 8. Press the FK6 (Line) key. 9. At Enter Line Number 01-01, enter 01. You should be on Line Return through the WHS and NAME fields. 11. Enter the User Sign on this Buyer s Task Management events should be directed to. This must be a valid sign on setup in MBS Press your FK3 (Modify) key to update the record. 13. To return to a menu, Press FK2 (EOJ). Modifying Credit Manager Name File (MBS220) The Task Management System captures the creation of an order going on credit hold. This information certainly should receive the immediate attention of the Credit Manager assigned to the customer in question. When totaling an order in order entry, the system will take the customer number from the order and direct this critical event to the assigned Credit Manager. This information for the Credit Manager updates the Task Management Inquiry based on user sign-on. You must indicate to Array what sign-on the Credit Manager uses. Designate Credit Manager Make sure you are using your System Administrator sign on to allow you access to MBS220. 23 1. From the Main Menu, at Enter Line Number for Selection, type 10 - Support Facility Systems Manager. 2. At Enter Line Number for Selection, type 01 - Name File Maintenance 3. At Enter Line Number for Selection, type 29 - Credit Manager Maintenance. This will bring you into the entry screen to modify your Credit Mgr. Record 4. Press FK7 (Modify) 5. Enter the Credit Mgr. you wish to modify. OR Press FK5 (Alpha) to search for the Credit. Manager. If you already know the Credit Mgr. you need to modify, you can skip Steps 6 & You may obtain a list of your Credit Mgrs. by requesting a Control File Listed (MBS120) for Credit Manager Names. 7. Enter the starting character(s) you wish to begin the search on, then Press the Return Key. A display of all the Credit Managers, which fit the search criteria, will be displayed. 8. From the display, look for the Credit Mgr. you need to modify, then enter the line # of your choice. 9. Press the FK6 (Line) key. 10. At Enter Line Number 01-01, enter 01. You should be on Line Return through the NAME field. 12. Enter the User Sign on this Credit Manager s Task Management events should be directed to. This must be a valid sign on setup in MBS Press your FK3 (Modify) key to update the record. 14. To return to a menu, Press FK2 (EOJ). Modifying the Salesman Name File Modifying Salesman Name File (MBS105) The Task Management System will indicate when all the items on a Pack and Hold order have been received, and the order is complete. This information should be relayed to the Salesman for follow-up. The system will take the customer number from the order and direct this information to the assigned Salesman. This information for the Salesman updates the Task Management Inquiry based on user sign-on. You must indicate to Array what sign-on the Salesman uses. NOTE: Make sure you are using your System Administrator sign on to allow you access to MBS105. This will bring you into the entry screen to modify your Salesman record. 4. Press FK7 (Modify). 5. Enter the Salesman you wish to modify. If you already know the Salesman you need to modify, you can skip Steps 6 & 7. OR Press FK5(Alpha) to search for the Salesman You may obtain a list of your Salesman by requesting a Control File Listed (MBS120) for Salesman Names. 6. Enter the starting character(s) you wish to begin the search on, then press the Return Key. A display of all Salesman which fit the search criteria will be displayed. 7. From the display, look for the Salesman you need to modify, then enter the line # of your choice. 8. Press the FK6 (Line) key. 9. At Enter Line Number 01-01, enter 01. You should be on Line Return past the NAME field. 11. Enter the User Sign on this Salesman s Task Management events should be directed to. Setting Up Report Parameters & Adding to Day End Jobstream The Task Management events for expediting Customer Backorders, Vendor PO s, and Customer Pack & Holds, as well as notification of Completed Pack & Holds are not reported on the fly, but rather processed based on information provided by the applicable reports. These events are more manageable if updated at the end of the day and put on the appropriate user s task list to be dealt with the next morning. However, if you chose, the reports may be run during the day, and the user(s) task list updated accordingly. There are three reports, which help identify these tasks. The Sales Order Status Report, (MBS044) identifies Customer Backorders, which have met your entered criteria for lead-time. This expediting information will be reported to the inside salesman assigned to the customer in question. The second report, PO Open Receiver Report, (MBS082) will determine if the buyer needs to expedite a Vendor s PO. Depending on the options selected, the system will compare either the due date, or expedite date against the system date to determine if a Prophet 21 Array User's Guide Set-up Procedures 4-16

28 Review and Store Permanent Parameters for Sales Order Status Report purchase order needs to be expedited. The last report, Pack and Hold Status Report, (MBS238) will determine two things. First, it will check the file for any Pack and Hold orders that have been completed. Lastly, it will interrogate the Pack and Hold order file to see which ones fit your entered criteria for expediting. Both Pack and Hold tasks will be reported to the inside salesman assigned to the customer. For consistency, and manageability, the above referenced reports should be placed in your End of Day jobstream. You must first review and store the permanent parameters for each of them, then add them to you jobstream. The information provided is not dependent on any file update such as MBS007 so they can be placed in any sequence in your jobstream. If for some reason you would like this updated information during the day, these reports may be run on an as needed basis. 32 How to Access Task Management Information Overview After you have set all of your options to begin using the Task Management System, the system will start to capture events. This information is added to your task list and accessible through the Task Management Inquiry (MBS405). To benefit the most from this system, you should review your task list frequently to stay abreast of any critical events. One of the features of the Task Management System is to immediately notify you via the PINE system when your task list has been updated. However, you will still need to request the inquiry to review your list. Prerequisites Complete all set-up procedures in the previous chapter. 33 Request Task Management Inquiry (MBS405) To view your captured events, you must request the Task Management Inquiry. This inquiry is by user and depending on the option set in your OE User Parameter (MBS161), you may or may not be able to view other users activity. Requesting Task Management Inquiry (MBS405) NOTE: Make sure the System Administrator has set up all the Task Management options, and has allowed you access to the inquiry (MBS405). 1. From the Main Menu, you may access this inquiry from several different menus; Inside Sales & Counter Menu (01) Purchasing Menu (02) Warehouse Shipping and Receiving Menu (03) At Enter Line Number for Selection, type either 01, 02, or 03, depending on which menu is applicable to you. 2. Look for the Task Management Inquiry. 3. At Enter Line Number for Selection, type the corresponding two-digit code, which identifies the inquiry. This will bring you into the display screen for your inquiry. 4. You should be at the USER prompt. The system will default to the current user signed on. 34 5. If you would like to view another user s information, or exit display, Press FK2 (Return). This should put you back at the User prompt. 6. Understanding the Task Management Inquiry (MBS405) To facilitate the use of this inquiry, you will need an understanding of the different parts, and how to maneuver around in the inquiry. This section will give you the basics to help you get started and refer you to the applicable section in this manual for more detailed use. The inquiry is designed to allow the use of Function Keys to perform your tasks. Below you will find the tasks available. When you request the inquiry, the first screen display you see is considered the Header Screen. 35 Using the Header Screen Overview When you first request the Task Management Inquiry, the display will bring you into the Header Screen. This screen will list your New, as well as your Open Messages. While in the header screen you have the option to perform many tasks. In this chapter you will learn how to view the detail screen for an event, move around in the inquiry, and modify or delete information from your task list. 36 View Detail Screen of Event Once your events are listed, more than likely you will want to review and handle the situation accordingly. Using the Task Management system makes this a very easy task. The information displayed in the header screen may need to be passed along to another user, or you may need to enter a message regarding this event. These functions must be performed in the detail screen of the event. Viewing Detail Screen of Event Make sure you have requested the Task Management Inquiry, and are at the display screen for New Messages. This is the first screen displayed after you enter the User when requesting the inquiry. Please refer to Request Task Management Inquiry if you need additional information on how to request inquiry. 1. From the Header Screen display (See Figure 14) Press the FK1 (Detail) key. If no line was highlighted, you will be asked to enter the line number that corresponds to the event you wish to view the detail screen for. If a line was highlighted by using FK5 (Down Ln), or FK6 (Up Line), you will receive the detail screen for the highlighted event. 2. At Enter Line No. To Select Detail, key in the corresponding number for the event. 3. This is the first screen displayed after you enter the User when requesting the inquiry. If an additional screen(s) of information is not available, this Function Key will not be illuminated. 2. The additional screen of information will be displayed. 3. To Get the Previous screen of information, Press the FK3 (Get Prev) key. If a previous screen of information is not available, this function key will not be illuminated. Move Up or Down a Line on Header Screen Exit Inquiry Make sure you have requested the Task Management Inquiry, and are at the display screen for New Messages. This is the first screen displayed after you enter the User when requesting the inquiry. Each time this key is depressed, you will move down one line and that particular line will be highlighted. 2. To move up one line, Press the FK6 (Up Line), Each time this key is depressed, you will move up one line and that particular line will be highlighted. Make sure you have requested the Task Management Inquiry, and are at the display screen for New Messages. This is the first screen displayed after you enter the User when requesting the inquiry. This should take you back to the User field to enter another request. Modify Priority of Event When your critical events were set up in Quality System: Event Codes (MBS370), a default priority number was entered. Priority numbers can be from 1-99, and determine the sequence events will display on the inquiry screen. You may change the priority on any one of your events as the situation dictates. Modify the Priority of an Event Make sure you have requested the Task Management Inquiry, and are at the display screen for New Messages. This is the first screen displayed after you enter the User when requesting the inquiry. Please refer to Request Task Management Inquiry if you need additional information on how to request inquiry. 1. From the Header Screen display, (See Figure 16) Press the FK7 (Mod Pr) key. 38 2. If no line was highlighted, you will be asked to enter the line number that corresponds to the event you wish to modify the priority number for. If a line was highlighted by using FK5 (Down Ln), or FK6 (Up Line), the prompt will go to the priority number field (PR) of the selected event. 3. Enter new Priority number in PR field. Delete an Event After you are finished viewing and/or handling an event, you may wish to delete one event or all of your read or open events. Make sure you have requested the Task Management Inquiry, and are at the display screen for New Messages. This is the first screen displayed after you enter the User when requesting the inquiry. Please refer to Request Task Management Inquiry if you need additional information on how to request inquiry. 1. From the Header Screen display, (See Figure 14) Press the FK8 (Delete) key. You will be prompted with three choices: FK3 Delete All FK6 Delete Line FK8 Cancel Request 2. To delete all your read events, Press the FK3 (Del All) key. 39 NOTE: You will not be allowed to delete all events for another user. 3. To delete one event, or line, press the FK6 (Del Ln) key. If no line was highlighted, you will be asked for the line number that corresponds to the event you wish to delete. If a line was highlighted by using FK5 (Down Ln), or FK6 (Up Line), it will be deleted. 4. To cancel your request to delete any lines, press the FK8 (Cancel) key. Switching Between New and Open Messages When you first request the Task Management inquiry, if you have received notification of any critical events since the last time you viewed the inquiry, they will appear on the first screen identified as NEW MESSAGES. Once displayed by the user the event was directed to, the message get removed from the new message screen and placed in your OPEN MESSAGES queue. You may switch from your NEW MESSAGES and OPEN MESSAGES. Switch from New to Open Messages and Vice Versa Make sure you have requested the Task Management Inquiry, and are at the display screen for New Messages. This is the first screen displayed after you enter the User when requesting the inquiry. Please refer to Request Task Management Inquiry if you need additional information on how to request inquiry. 1. From the Header Screen display, (See Figure 14) Press the FK9 (Open) or FK9 (New) key. If you were in the NEW MESSAGES screen the FK9 (Open) key will be displayed. If you were in the OPEN MESSAGES display screen, the FK9 (New) key will be displayed. Call up More Detail for Event While you are in the Detail screen, you may need to review additional information regarding this transaction. The Task Management system can access additional inquiries from the Array system to assist you. Which inquiry you go into depends on the event reported. For Credit Hold events, the Held Order Inquiry (MBS029) will be called in. If the event is a Non-Stock Item Creation, a Completed Pack & Hold, a Pack & Hold that needs to be expedited, or a Customer Backorder which needs expediting, the Order Inquiry (MBS013) will be brought in. If the event is a PO, which needs to be expedited, the Purchase Order Inquiry (MBS053) will be called in. Once in the other inquiry, all the usual functions can be performed. 42 Call Up More Detail for Event Make sure you have requested the Task Management Inquiry, and have selected the detail for one of your events. Modify Priority of Event When your critical events were setup in Quality System: Event Codes (MBS370), a default priority number was entered. Priority numbers can be from 1-99, and determine the sequence events will display on the inquiry screen. You may change the priority on any one of your events as the situation dictates. Modify the Priority of an Event Make sure you have requested the Task Management Inquiry, and have selected the detail for one of your events. Please refer to Request Task Management Inquiry if you need additional information on how to request inquiry and View Detail Screen of Event for using the header screen to select detail. 1. From the Detail Screen display, (See Figure 15) Press the FK7 (Mod Pr) key. The prompt will automatically move to the Priority field in the Header screen. 2. Enter new Priority number in PRIORITY field. The Priority Number is a 2-digit field, from is the highest priority number. Delete an Event After you are finished viewing and/or handling an event, you may wish to delete the event. Make sure you have requested the Task Management Inquiry, and have selected the detail for one of your events. 43 Forward an Event After you are finished viewing and/or handling an event, you may wish to forward this event to another user to address or review strictly for informational purposes. Forwarding Events Make sure you have requested the Task Management Inquiry, and have selected the detail for one of your events. Please refer to Request Task Management Inquiry if you need additional information on how to request inquiry and View Detail Screen of Event for using the header screen to select detail. 1. From the Detail Screen display, (See Figure 15) Press the FK9 (Forward) key. The inquiry will take you to the Forward To field. 2. Enter the 6-digit User-ID you wish to forward event to. OR You may press the FK5 (Alpha) key to perform a search for your user. This must be a valid user-id. Add a Message to Event You may wish to enter a message regarding this event prior to forwarding to another user, or simply record notes or comments concerning this issue. This may be accomplished by entering free-form text, which remains attached to the event record. Adding a Message to Event Make sure you have requested the Task Management Inquiry, and have selected the detail for one of your events. Please refer to Request Task Management Inquiry if you need additional information on how to request inquiry and View Detail Screen of Event for using the header screen to select detail. 1. From the Detail Screen display, (See Figure 15) Press the FK10 (Message) key. The inquiry will take you to the Message line(s). 2. Enter your message. You may enter up to two lines of free-form text. Each line consists of 50 characters. Viewing On-Line Help Text While using the inquiry, you may wish to view the on-line help text file provided for you by the Array system. You need to be in the detail screen to add a message, forward an event, or view an inquiry to gather more information about the event. Once in the Open Messages screen you may switch back to your New Messages by Pressing FK9 (New). FK12 (Help) This will take you to the on-line help text for this program. FK6 (CallDet) When viewing the detail information, you will be able to call up additional inquiries to gather more information about the event. For example, if viewing an order on credit hold event and you Press this key, the system will bring in the Held Order Inquiry (MBS029), or if viewing an non-stock item creation event, the system will display the Order Inquiry (MBS013). FK7 (Modify PR) Use this function key to change the priority of the event. FK8 (Delete) This function key will delete the event displayed. FK9 (Forward) After reviewing the detail for this event, you may choose to forward this event to another user. FK9 will allow you to forward this information; however, the event will remain on your list. FK10 (Message) This key gives you the option to enter a message or comment for your own use, or a message for the person you will be forwarding this event to.
