5 How to use this guide Note This guide is limited to installing and/or updating the LexisNexis PCLaw application. For an overview and/or information used for PCLaw administration, please refer to PCLaw Administration Guide and/or the associated Help files. This guide provides PCLaw administrative personnel with a set of procedures used to install and/or update the LexisNexis PCLaw application. It also provide PCLaw administrative personnel with procedures and other information used to install and enable the PCLaw Mobility application. Where to start If this is the first time you have installed LexisNexis PCLaw, please read this guide carefully before proceeding. Please refer to PCLaw Pre-Installation Checklist for a complete set of instructions and the requirements needed to install the PCLaw application. If you are updating from a previous version of LexisNexis PCLaw, please refer to the Update LexisNexis PCLaw procedure for a detailed set of instructions LexisNexis. All rights reserved. 5 of 70

6 Before installing the software Before installing any PCLaw software: Read the installation guide thoroughly. Review and/or print the checklist provided to assist you in successfully completing the installation. Check each item off the checklist as it is completed through completion of the installation procedure. Define the Host Environment Before installing the software, it is necessary to create a healthy environment to host the LexisNexis PCLaw software. At this stage, decisions include determining the server, the operating system and database software to use, how powerful the server must be, the appropriate amount of disk space, and whether the network is capable of handling the anticipated traffic. Operating System PCLaw supports the Microsoft operating system. For supported versions, see PCLaw Operating System Requirements. It is critical that the operating system used to host LexisNexis PCLaw is a supported or compatible operating system. Choose a Database LexisNexis supports two database models, SQL and CTree. If SQL is selected, PCLaw supports several different versions, and each one should be useable on any of the supported operating systems. See PCLaw Database Requirements for additional information. Checklist Compliance and Assistance It is pertinent that each item in the checklist be reviewed and completed prior to attempting to install any PCLaw software. If further assistance is needed to ensure that items on the checklist are completed prior to installing the PCLaw software, please follow the links and/or instructions provided. Annual Maintenance Plan: For assistance on obtaining an Annual Maintenance Plan (AMP), please contact the LexisNexis Practice Management Sales department at Requirements: To ensure your firm's system meets and/or exceeds the minimum set of requirements, see PCLaw setup file: To download and run the PCLaw setup file, refer to the Download and Run the Installer topic for assistance. Subsequent PCs: After the PCLaw installation is complete, you will be asked if installation for additional workstations/pcs is required. If so, follow the steps provided in the procedure for adding subsequent PCs. PCLaw initial setup: To complete the initial PCLaw setup, complete the steps provided in the Initializing PCLaw Data topic for instructions. PCLaw Mobility: If PCLaw Mobility will be used by your firm, follow the steps provided in the Installing and Enabling PCLaw Mobility section of this manual. 7 PCLaw Pre-Installation Checklist This checklist is intended for use by PCLaw administrators who have reviewed the PCLaw installation documentation and is preparing to install the software on one or more systems in their firm. PCLaw Pre-Installation Checklist Your firm has an active Annual Maintenance Plan (AMP) with a Product Key. The firm's PCLaw Host environment has been determined for the: 1. Operating System? 2. Database? 3. Mobile Devices? 4. Data storage location? The system meets the minimum/recommended set of requirements? The computer has a network drive mapped to the PCLaw Shared Components folder. The PCLaw setup file has been downloaded? PCLaw installation complete -- Yes. 1. Additional workstations installed with Data/Network access? 2. PCLaw initial setup complete? Will PCLaw Mobility be installed for the firm? 1. If Yes, complete the Install PCLaw Link as a Service procedure. 2. Enable PCLaw Mobility feature for the entire firm. 3. 8 Download and run the installer Installation and update tasks are accomplished using the LexisNexis PCLaw Installer and Updater. It scans the workstation and is used to either install a new installation of LexisNexis PCLaw or update an existing installation. Access to the Installer is via your firm's Product Keys/Entitlement and is used to download the latest version of the PCLaw application software for new releases, service packs, and/or hot fixes. Warning Although the Installer can be run more than once, if it is stopped before completion, it must be restarted from the beginning. Before you begin: Ensure you have the firm's Product Keys/Entitlement . Download the installer 1. Click the 'download your software' link in your Product Key/entitlement . The Download your software link displays. 2. Click the link associated with the Download your software from the link below topic. The LexisNexis Delivery window opens. 3. Click the Download button. The Download PCLaw window opens. 4. Complete the pre-installation prescribed reading LexisNexis. All rights reserved. 8 of 70

9 5. Download and read the PCLaw End-User License Agreement. 6. Click the I have read and agree with the End-User License Agreement button to acknowledge agreement with the Terms and Conditions. The PCLaw application window opens. 7. Select the Install PCLaw option. The PCLaw Install Options window opens LexisNexis. All rights reserved. 9 of 70

10 8. Select the Install or Update PCLaw option. The PCLaw Setup Wizard Welcome window opens. Proceed to the New PCLaw Installation procedure for new installs, or see Update LexisNexis PCLaw for PCLaw application updates to continue LexisNexis. All rights reserved. 10 of 70

11 New PCLaw installation After you have completed the PCLaw Pre-Installation Checklist and obtained the PCLaw setup file, perform the following steps to complete the PCLaw installation: Before you begin: Ensure that you have reviewed and/or completed the PCLaw Pre-Installation Checklist Obtained the PCLaw setup file Close all programs Install the PCLaw application 1. In the Welcome window, review the License Agreement information. Note You must read to the bottom of the End User License Agreement, and ensure that the scroll bar is at the bottom as well, in order for the 'Next' button to become available. 2. Click Next. Clicking the 'Next' button implies that you have read and agree with the End User License Agreement. The Installation Agreement window opens LexisNexis. All rights reserved. 11 of 70

12 3. Check the check box to agree to the Installation Agreement. The 'Next' button becomes available. 4. Click Next. The Data Set Create/Attach window opens. 5. Select the Create a new data set option. 6. Click Next. The Enter Product Key window opens LexisNexis. All rights reserved. 12 of 70

13 7. Enter the Product Key obtained from the firm's entitlement . Note The Next button becomes available only after the Product Key is correctly entered. 8. Click Next. 14 10. Click Next. Note Install your PCLaw books to a shared network location where all PCLaw users will have both Read and Write permissions. The Ready to Install window opens. 11. Click the Start button to begin the installation process. The Setup Wizard progress window displays. Please wait. When it finishes, the Additional Stations window opens. 12. Click Next LexisNexis. 15 The Initialize Data window opens. 13. Click Continue to start PCLaw and to initialize the data now. (Optional:) Click Later to initialize the data at a later time. 16 Install the PCLaw software on additional workstations Before you begin: Ensure that you have installed the application on a network server that can be accessed by others Ensure that each workstation has access to the shared folder/network server Close all programs 1. Browse to the PCLaw initial installation PC location. The default is: C:\PCLaw Data\COMMON\INSTALL. 2. Select the Netsetup.bat file. The Welcome window opens. 3. Review the License Agreement. Click Next to continue. Note You must read to the bottom of the End User License Agreement, and ensure that the scroll bar is at the bottom as well, in order for the 'Next' button to become available. 17 4. Check the check box if you agree. 5. Click Next to continue. The Select Destination window opens. 6. Leave the default locations, or use the Browse button to select the directories for this set of books. 7. Click Next to continue. The Ready to Install window opens LexisNexis. 20 Initialize PCLaw data Note If you did not initialize the data after completing the PCLaw installation, when you open the PCLaw application, you will see an 'uninitialized set of books' in the login window. 1. Select uninitialized set of books from the login window and click OK. The Welcome to PCLaw window opens LexisNexis. All rights reserved. 20 of 70

21 2. Click Close to continue. The Data Initialization window opens. 3. Select Prepare a new set of books on the Data Initialization screen and click OK to start the data initialization process. The PCLaw Preparation Wizard Welcome window opens LexisNexis. All rights reserved. 21 of 70

22 4. Click Next. The Firm Name window opens. 5. Enter the name of your firm in the Firm Name field. Click Next to continue. The Firm Address and Phone Numbers window opens LexisNexis. All rights reserved. 22 of 70

23 6. Enter the firm's address and phone number. Click Next to continue. The Start-up Date window opens. 7. Enter the start-up date for the firm. Click Next to continue LexisNexis. All rights reserved. 23 of 70

24 Tip It is a requirement to start using PCLaw at the beginning of the month. Therefore, enter the month only in the Start-up Date box. The Business Type window opens. 8. Select the firm's business type and enter the business phone number as applicable. Click Next to continue. The Bank Accounts window opens LexisNexis. All rights reserved. 24 of 70

25 9. Accept the default number of bank accounts, or enter the number of accounts to be used by the firm. Click Next to continue. The Accounting Methods window opens. 10. 26 11. Select the tax category for the firm and complete all boxes as applicable. Click Next to continue. The Timekeeper Information window opens. 12. Enter the name, initials, and other information for each timekeeper associated with the firm. Click Next to continue. The Passwords window opens LexisNexis. All rights reserved. 26 of 70

27 13. Enter the password for each timekeeper identified in the previous step, and for the administrator. Click Next to continue. The Front Office Options window opens. 14. 28 15. Click Yes to change the Universal Naming Convention (UNC) path now. If you click No to change the path at a later time, the Ready to Prepare window opens. 16. Click Finish to complete the PCLaw initialization process. The Register Software window opens. 17. Perform one of the following: Enter the registration code, and click OK to continue. 30 Installing and Enabling PCLaw Mobility Setting up PCLaw Mobility requires you to do the following: 1. Ensure that your firm has an active Annual Maintenance Plan (AMP). 2. Install the PCLaw Link as a Windows service. 3. Enable the Mobility feature for your entire firm. 4. Enable the Mobility feature for each PCLaw user who will use Mobility. 5. Download and install the LexisNexis Mobility Access Manager. 6. Ensure that user passwords meet the strong password requirements described in the PCLaw Help file. Note Users without a strong password will be prompted to change their password the first time they attempt to log in to the Mobility web site. 7. Provide users with the Mobility URL: LexisNexis. 31 Install the PCLaw Link as a Windows Service To use PCLaw Mobility, you must run a utility provided with PCLaw that installs PCLaw link components as Windows Services. The utility is available on the Windows Start menu. Note If the PCLaw database is not on the same machine where the LexisNexis Mobility Access Manager is being installed, PCLaw must be configured to access its database using a Universal Naming Convention (UNC) path. 1. On the Windows Start menu, go to Start > All Programs > LexisNexis > PCLaw > Utilities > Configure Link to Run as Windows Services. The Install PCLaw Link as Windows Services screen opens. 2. Enter the user name and password of an administrative user and click Configure. The Install PCLaw Link as Windows Services Complete screen opens LexisNexis. All rights reserved. 31 of 70

33 Enable PCLaw Mobility for the firm The Mobility feature must be enabled for your entire firm and for each individual user. To enable Mobility for the firm: 1. Log in to PCLaw as a user with administrative rights. 2. Select Options > Administrator> Security Preferences from the main menu. The Security Preferences screen opens. 3. Select the Enable Advanced Securitycheckbox. Click OK. 4. Select Options > Connection Settingsfrom the main menu. The Connection Settings screen displays LexisNexis. All rights reserved. 33 of 70

36 Enable Mobility for an individual user 1. Log in to PCLaw as a user with administrative rights. 2. Select Options > Administrator> Security from the main menu. The Security Setup screen opens. 3. On the Users tab, select a user in the list box on the left LexisNexis. All rights reserved. 36 of 70

37 4. In the field, type an address for the user. The user will have to have an address when signing in to PCLaw Mobility. 5. Select the Enable access to mobility featurecheck box. 6. In the Default Lawyer field, use the drop-down arrow to select a lawyer to associate with the user. 7. Assign the user to an available group. 8. Repeat steps 3 through 7 for each user for whom you want to enable Mobility. 9. Click OK. 10. Provide each Mobility user added with the Mobility URL: LexisNexis. All rights reserved. 37 of 70

38 Download and Install the LexisNexis Mobility Access Manager To obtain the latest version of PCLaw Mobility, you must successfully install the latest version of LexisNexis Mobility Access Manager using the following procedure. Note Install LexisNexis Mobility Access Manager on the same PC as the PCLaw Link Services. 1. Open a web browser and go to The PCLaw Downloads page opens. 2. Select PCLaw Version XX.X (where XX,X equals the version) from the drop-down list and click Go. The LexisNexis PCLaw Software License Agreement page. 3. Enter your firm's information in all required boxes marked with an asterisk. 4. Click I have read and agree with the End-User License Agreement. The LexisNexis Available Downloads page displays LexisNexis. All rights reserved. 38 of 70

39 5. Click download under the action column to download the latest version of the LexisNexis Mobility Access Manager. 6. Click Save to save the file to your desktop. 7. Double-click the setup.exe file on your desktop and click Run to run the installer. Note If Microsoft.NET 4.0 is not detected on your computer, the installer downloads and installs it. The LexisNexis Mobility Access Manager - InstallShield Wizard window displays. 8. Click Next on the Welcome screen to install the latest version of the LexisNexis Common API. 40 9. Select I accept the terms in the license agreement. 10. Click Install to continue. 11. Please wait while the program is installed. This may take several minutes. 12. Click Finish on the InstallShield Wizard completed screen. Please wait for the Welcome screen to display LexisNexis. All rights reserved. 40 of 70

41 13. (PCLaw Users Only:) Click PCLaw Configuration Instructions for items that must be completed prior to completing this installation. The PCLaw Mobility Setup Instructions are displayed. 14. Click Next on the Welcome screen after all prerequisite items are done. The License Agreement screen displays. 15. Select I accept the terms in the license agreement LexisNexis. 42 16. Click Next to continue. The Installation Settings screen displays. 17. Enter the address and confirmation that will be used to received update notifications and other messages. 18. Click Next. The SMTP Settings screen displays LexisNexis. All rights reserved. 42 of 70

Perform one of the following: Click Skip this Step if you will not be using the capabilities, or if you would like to enter this information at a later time. - or - In the SMTP Server and Send messages from boxes, enter the applicable data. Warning Do not use special characters in the name such as a hyphen, etc. (i.e., SMTP-Server.nc.rr.com), otherwise, the name will not be recognized as a valid server name. (Optional:) Enter the user name and password for the address entered in the previous step. (Optional:) Click Test Settings to confirm your entries. 20. Click Next on the SMTP Settings screen to continue. The Confirm Installation screen displays. 21. Click Install. The Installing LexisNexis Mobility Access Manager screen displays. 22. 45 Update and upgrade LexisNexis PCLaw This section provides you with information and procedures needed to update and/or upgrade your PCLaw software to the latest version. Please refer to the LexisNexis PCLaw automatic updates and/or LexisNexis PCLaw manual updates sections for detailed procedures. An update installs the new features and fixes associated with a new release. An error message will appear if it is not possible to update from the current version to the Updated version. To obtain the best performance from PCLaw, ensure it is updated to the latest version. You can have PCLaw do this automatically on a set schedule, or you can update manually. When updating your PCLaw application, be sure the following conditions are met: Ensure all users are logged out of PCLaw Close all other applications Make a complete backup of PCLaw and store it on another machine or separate media. 46 Configure update settings To update your PCLaw application, perform the following: 1. Select Options > Administrator > Update Settings from the main menu. The Update settings screen displays. 2. Select the appropriate method of updating from the selections described below. Check for updates weekly: The process will be observable if there are updates. This is the default setting. Check for updates weekly, but ask me first. : The process will be observable based on your prompt. Do not check for updates on this machine. : No updates will occur. Do not check for updates on any machine. : No updates on any machine running PCLaw with a shared database LexisNexis. All rights reserved. 46 of 70

48 LexisNexis PCLaw automatic updates Use the following procedures to setup PCLaw to perform automatic updates. 1. Select Options > Administrator > Update Settings from the main menu. The Update settings screen displays. 2. Select a preference from the list to identify the PCLaw frequency at which the application should check for updates. Check for updates weekly: The process will be observable if there are updates. This is the default setting. Check for updates weekly, but ask me first. : The process will be observable based on your prompt LexisNexis. All rights reserved. 48 of 70

50 LexisNexis PCLaw manual updates To manually update LexisNexis PCLaw, perform the following: 1. Open the PCLaw application. 2. Select Help > Live Update From Web from the main menu. The PCLaw Live Update screen opens. 3. Click the Start Check for Updates link. The web based update engine checks your currently installed version of PCLaw and displays available updates Note Your browser may need to install an Active X control to allow the update engine to search your version of PCLaw. At the top of the web page will be installation instructions LexisNexis. All rights reserved. 50 of 70

Perform one of the following: If there are updates available, follow the instructions provided on the PCLaw Live Update screen. - or - If there are no updates (No updates available at this time), the web page will state there are none to download. 52 Upgrade the server Take the following steps to upgrade to a newer version: Before you begin: Close the PCLaw application on all workstations. 1. On the keyboard, simultaneously depress the Ctrl + Alt + Delete keys. 2. Select the Start Task Manager option. The Windows Task Manager window opens. 3. Select the Processes tab to ensure the following processes are not running in the background: PCLAW32.EXE PLDOCLNK.EXE PLIDXR32.EXE PLOUTL32.EXE 2015 LexisNexis. All rights reserved. 52 of 70

53 PLREGOLE.EXE PLREMOTE.EXE PLSVCLNK.EXE PLSVCLOG.EXE PLSVCTM.EXE Note If any of the above processes are running, they must be stopped before continuing. To stop a process that is running: a. Left-click to highlight the process. b. Click End Process on the bottom right corner of the Windows Task Manager window. c. Close the Windows Task Manager. 4. Open the PCLaw application on one computer and sign in as the administrator. Note We recommend running the initial upgrade on the server first. 5. Select Tools > User Monitor. The User Monitor window opens. 6. Verify that only the administrative user appears in the User Monitor window LexisNexis. All rights reserved. 53 of 70

54 Note If the User Monitor displays more than the administrator being signed in, repeat steps 1-3 on the workstations until only 1 - ADMIN remains. Contact Customer Support at if the problem persists. 7. Click OK to close the User Monitor. 8. Select Options > Administrator > Lock System from the main menu. The Lock PCLaw System window opens. 9. Click the Lock button. 10. Create a Backup in the program and save it to a local destination. Back up your data inside the application 1. Select File > Backup/Restore > Backup Data from the main menu. A PCLaw advisory window opens LexisNexis. All rights reserved. 54 of 70

55 2. Click Yes to confirm that you are the only user currently logged in and to continue. A PCLaw Backup Advisory window opens. Note If you are not the only user in PCLaw, all other users must exit PCLaw before you can backup your data. 3. Click OK. The PCLaw Archive - Export File window opens. 4. Select a location to save your backup file and enter a file name LexisNexis. All rights reserved. 55 of 70

56 Note We recommend that you rename the file to include the date so that you can easily distinguish your backup files and to help prevent overriding older files. 5. Click Save to create the backup file. 11. Run Verify Data Integrity on the entire database. Note If you receive any error messages, please contact Customer Support at Verify Data Integrity (VDI) Tool The Verify Data Integrity (VDI) tool can help correct common inconsistencies between reports. VDI refreshes index files that fail to update on their own. 1. Ensure that all users exit the PCLaw program. 2. Sign in as an administrative user. 3. Make a backup of the program. 4. Select Tools > Verify Data Integrity... The Verify Data Integrity window opens LexisNexis. All rights reserved. 56 of 70

57 5. Select (place a check mark) beside the data area(s) that you want to re-index. Note You can typically select the first seven data areas when you run a VDI. The process can take longer to complete if you select more data areas to re-index. 6. Click OK to begin the VDI. 7. Click OK on the Data verification finished successfully; minor inconsistencies may have been fixed. prompt 12. Close the PCLaw application. Note The system should be locked at this point in time.
