Some of the major benefits with this menu upgrade are the following: Module options are visible and easier to navigate to the correct area Same toolbar icons between Finance and Human Resources for common understanding of their function Reports are grouped with the associated windows for ease of selection My Favorites is your personally selected list of windows or reports. This allows you to decide what appears and allows you to group them how you desire. Top 10 visited windows and reports allows easier access to those items most used. Please read over the changes to assist with navigating the new menu structure. The ability to access some of the areas may be different depending on your specific user security access. Opening SMART The login for SMART is unchanged. On opening SMART, the user is presented with the SMART desktop. The window title, outlined in magenta, will continue to display your district name similar to the previous menu structure. The module items outlined in red will be able to be accessed based on your specific user security. The module of Finance or Payroll will be auto selected based on your user specific startup. The Session Defaults, outlined in blue, is presented for ease of changing the defaults for your working session in SMART. SMART v16.3 Navigating SMART 10/25/ of 21

2 Modules The modules will be accessible based on your specific user security. Click on the text in order to select a new module item. Based on your selection, the items associated with the selected module will appear. SMART v16.3 Navigating SMART 10/25/ of 21

3 Groups The groups are within a module. They are a grouping of possible functions within the module item. To select a group, click on the item that you want to select. In this case, under the Finance menu, the user is making a selection to open the Accounts Payable group. Side Menu - Windows Once a selection of the group has been made, a side menu will appear. The top portion of the side menu holds windows of the module selected. These are usually in the order of processing for the group selected. Based on what is active on the side menu, the associated module and group will highlight in gold. By default this side menu is pinned, meaning the side menu will appear when a group is selected. If you desire to have the side menu collapse to the side or unpinned, click on the push pin in the upper right to make the side menu unpinned. The screen prints below show the side menu unpinned on the left and pinned on the right. SMART v16.3 Navigating SMART 10/25/ of 21

4 When the side menu is unpinned, you can hover over the side menu text in order to view and select the windows and reports. To make a selection of a window, move your cursor over the text until it is highlighted in blue and underlined; then click your mouse to make the selection. When a user exits the program, the system will retain the last setup of this side menu. If the side menu is pinned on exit, the side menu will default to pinned when entering the next session. If the side menu is unpinned on exit, the side menu will default to unpinned when entering the next session. SMART v16.3 Navigating SMART 10/25/ of 21

5 Once the window is opened, the menu will auto switch to the Actions toolbar. This holds the functions needed to operate within the window. They are grouped by their overall function: Create, Edit, Select, Messages and Output. For the most part these are in a similar location to the previous menu but with an updated look. The functions will highlight to denote they are active for use [such as New] and be grayed out if they are not active [such as Refresh]. Click on the icon to make a selection for the window function. The side menu for windows has the ability to be collapse in order to see more of the report area. In order to collapse the window section, click on the triangle icon to the left of the Windows text. Click this triangle again to open the list of windows. SMART v16.3 Navigating SMART 10/25/ of 21

6 Side Menu - Reports Within the bottom half of the selected group is the reports that are related to the group. The reports are in alpha order for ease of finding the appropriate report. To select a report, move your cursor over the text until it is highlighted in blue and underlined; then click your mouse to make the selection. Such in this case, the graphic below is showing the selection of GL Net Pay by Fund. Once the report is opened, the group will auto switch to the Report Actions toolbar. This holds the functions needed to operate within the report window. They are grouped by their overall function: Zoom, Report, Navigation, and Data. For the most part these are in a similar location to the previous menu structure but with an updated look. The functions will highlight to denote when they are active for use. After running the report, click on the icon to make a selection for the report function. SMART v16.3 Navigating SMART 10/25/ of 21

7 The side menu for reports has the ability to be collapse in order to see more of the window area. In order to collapse the reports section, click on the triangle icon to the left of the Reports text. Click this triangle again to open the list of reports. SMART v16.3 Navigating SMART 10/25/ of 21

8 Quick Access Toolbar At the top left of the SMART desktop is the Quick Access Toolbar. This area will provide access to a number of functions for speedy access. This section of the Quick Access toolbar gives access to the following: Session Defaults: This window allows the user to change a number of defaults to assist with entry or selection of data. In Tray: This window is for the Approval process on Finance. Calculator: This will bring up the calculator function. Batch: This window is for selecting and entering batches for use on Finance. The In Tray and Batch items will only appear on the Quick Access toolbar, if the user has access to the Finance module. My Favorites This item under the Quick Access toolbar will keep track of a users personally selected windows or reports. In previous versions of SMART, it is similar to the User Menu in SMART HR. If you had data within this SMART HR User menu and are an active status employee, this will automatically copy over to the My Favorites section. From the Quick Access toolbar, select the My Favorites. This will bring up the pinned side menu of My Favorites. By default these will be displayed based on what order they were added. The button denoted in magenta allows the user to reorder them in alpha order and then to toggle back to the auto order of when they were added. SMART v16.3 Navigating SMART 10/25/ of 21

9 To make a selection of a favorite, move your cursor over the text until it is highlighted in blue and underlined; then click your mouse to make the selection. To Add to the My Favorites, go to a grouping with the list of windows and reports. Move the cursor over the text of a window or report so it is highlighted in blue. Right click on your mouse to bring up the Add to My Favorites selection [see graphic on the left]. Click this text to select it. Once it has been selected, a green check mark will denote this window (or report) is part of My Favorites [see graphic on the right]. To remove an item from the My Favorites list, go to the grouping with the list of windows and reports. Move the cursor over the text of a window or report that is checked Right click on your mouse to bring up the Remove from My Favorites selection [see graphic below]. Click this text to select it. Once it has been selected, a green check mark will be removed and the item will not be displayed in the My Favorites list. Adding Favorite Groups Once the favorite list is set, you may want to group the windows/reports in a certain manner for ease of access. SMART v16.3 Navigating SMART 10/25/ of 21

10 To add a group, right click on the My Favorites title bar and select the Add new group button. The Add new group window will appear. Type in a group label and click OK. To move windows/reports into this new group, move your cursor over the window/report til your cursor becomes a hand and the window/report is highlighted in blue. Then hold down the left click of your mouse to select this window/report and drag it til the group name is highlighted. Top 10 Selected This section of the Quick Access toolbar is an always changing list based on the most visited windows and reports by a user. To make a selection from the Quick Access toolbar, move your cursor over the window or report til it is highlighted and click your mouse. The window or report will appear on the SMART desktop. 11 Window Menu The window menu can be selected to change the window setup or to quickly access an open window or report. The first portion on the left, will control the window layout. By default Layer is selected. To modify it to another window layout, click on the icon to select. The open windows will auto change to the window layout. The other portion of the windows area is keeping track of the windows or reports opened. The one that is highlighted, will be the current window that is opened and active on the SMART desktop. 12 To switch to another window, move your cursor over the window or report til it is highlighted and click your mouse. To close a window or report from this area, move your cursor to select the item and then right click. This will bring up the close text. Select this text and click. This will auto close that window or report. Give Feedback We are always looking for input to our changes and suggestions for the future direction of our software products. Please provide feedback to your Regional Center or via the Comment Link within SMART er or via the new Feedback area under the Help menu of SMART. Click on the help menu, then click on the text, Give Feedback. Fill out the fields with your suggestion(s) and click save. SMART v16.3 Navigating SMART 10/25/ of 21

13 Highlights of Changes This section is to assist with main changes to the menu structure and items that may have changed location. If you have specific questions, please contact your Regional Support personnel. Toolbar Functions The look and feel of the toolbar has been updated to match the new menu design. The normal icons that were used for different functions have changed. This table is to assist with the knowledge of what the new icon image is, and the new name. SMART HR toolbar functions changes. An example for SMART HR is within the old menu structure, there was the Payroll module that had separate sections for the report areas. The module and associated reports are highlighted below. 15 Within the new menu structure, these reports will be located within the group area. So as an example, within the Payroll module under the Employee Information group [selected below] are the Employee Setup Reports. So on the old menu structure, under General>Report Selection was a listing of the reports by grouping. As an example, General Ledger listed the General Ledger reports. Under the new menu structure, the reports will be listed with the grouping. For example, the General Ledger reports are under the General Ledger group. SMART v16.3 Navigating SMART 10/25/ of 21

17 This also applies for the other report areas: General>Report Selection Accounts Receivable Reports Accounts Payable Reports Purchase Order Reports Fixed Asset Reports Administration Reports Cash Management Reports Transportation Reports Where to find the reports on the new menu Accounts Receivable Accounts Payable Purchase Order Fixed Asset Administration Accounts Payable General Ledger Under the AP menu, there has been a change for the Payment Printing process. Normally after Payment Generation is when the checks can be printing. On the old version, this was under the AP menu as Payment Printing. Or it could also be accessed via the Report Selection window under AP reports and then Check Form Printing. SMART v16.3 Navigating SMART 10/25/ of 21

18 With the new menu, this has been combined into one area. To print checks, go to Accounts Payable and then in the reports area, select Check Printing. This way to print checks is still the same; just the way to access the selection window has changed. SMART v16.3 Navigating SMART 10/25/ of 21

19 The Custom Ledger Reports and other custom access reports have been moved. On the new menu structure, these reports are under a new grouping called Custom Reports. On some databases, there was a folder called Custom Reports under the Custom Ledger Reports area. SMART v16.3 Navigating SMART 10/25/ of 21

20 To avoid confusion with the new grouping of Custom Reports, these are renamed as District Reports under the new menu structure. Other SMART Finance menu changes Under the old menu structure within the General grouping, there are other windows that have moved, as highlighted below. The Report Status and Report Viewer windows have been moved to the Administration grouping under System Setup. SMART v16.3 Navigating SMART 10/25/ of 21
