Granular Backup and Restre ffers full, incremental, and differential backup capabilities fr SharePint cntent, enabling the user t build backup plans and schedules that fcus n frequent backup f high pririty data, thereby imprving backup peratins and strage efficiency. 6 Befre Yu Begin Refer t the sectins fr system and farm requirements that must be in place prir t installing and using Granular Backup and Restre. Cnfiguratin In rder t use Granular Backup and Restre, the DcAve 6 platfrm must be installed and cnfigured prperly n yur farm. Granular Backup and Restre will nt functin withut DcAve 6 present n the farm. Agents DcAve Agents are respnsible fr running DcAve jbs and interacting with the SharePint bject mdel. DcAve Agents enable DcAve Manager t cmmunicate with the respective servers, allwing fr Granular Backup and Restre cmmands t functin prperly. *Nte: The use f system resurces n a server increases when the installed agent is perfrming actins. This may affect server perfrmance. Hwever, if the agent installed n a server is nt being used, the use f system resurces is very lw; therefre, the effect n server perfrmance is negligible. Fr instructins n installing the DcAve Platfrm, DcAve Manager, and DcAve Agents, see the DcAve 6 Installatin Guide. Required Permissins T install and use Granular Backup and Restre prperly, ensure that the agent accunt has the required permissins. The permissin requirements are the same when using SharePint 2010 and SharePint Lcal System Permissins: These permissins are autmatically cnfigured by DcAve during installatin. Refer t Lcal System Permissins fr a list f the permissins autmatically cnfigured upn installatin. If there are n strict limitatins within yur rganizatin n the permissins that can be applied, yu can simply add the DcAve Agent Accunt t the lcal Administratrs grup t apply all f the required permissins. SharePint Permissins: These permissins must be manually cnfigured prir t using DcAve 6 Granular Backup and Restre; they are nt autmatically cnfigured. User is a member f the Farm Administratrs grup. Since Administratr wrks acrss farms and n all SharePint settings and cnfiguratins, this accunt is needed in rder t prvide the best and mst cmplete quality f service. 8 Getting Started SharePint and the DcAve platfrm mdules have cmmn functinality. While sme f this shared functinality is cvered in this guide, the primary fcus f this dcument is the functinality that is specific t the DcAve mdule. Fr infrmatin n the shared functinality nt cvered in this dcument, refer t SharePint Help. Refer t the sectins belw fr imprtant infrmatin n getting started with Granular Backup and Restre. Launching Granular Backup and Restre T launch Granular Backup and Restre and access its functinality, cmplete the fllwing steps: Lg in t DcAve. If yu are already in the sftware, click the DcAve tab. The DcAve tab displays all mdules n the left side f the windw. Frm the DcAve tab, click Data Prtectin t view the backup mdules. Click Granular Backup & Restre t launch this mdule. 9 User Interface Overview The Granular Backup and Restre user interface launches with the Backup tab active. This tab displays yur farm envirnment and allws fr quick access t a list f Granular Backup and Restre features. Figure 2: Granular Backup and Restre user interface The SharePint tree (in the Surce panel) displays all cntent within yur farms. Use this panel t select the cntent that yu want t perfrm actins n. Selecting cntent ften reveals new tabs and functinality n the ribbn. The ribbn shws the available actins and wizards fr the selected ndes. This cntent is dynamic; it will ften change depending n what is selected in the SharePint tree. The wrkspace shws all frm-based cntent that is used during the cnfiguratin f actins perfrmed in DcAve prducts. 9

10 Selecting Farms and Ndes T select farms and ndes, cmplete the fllwing steps: Frm the Surce panel n the left, select the farm that cntains the relevant SharePint cntent. Click the checkbxes t the left f the ndes t select the relevant cntent yu want t wrk with. After selecting cntent, yu will be able t perfrm the prcedures described thrughut this guide. Cnfiguring Devices and Setting Up Strage Plicies In rder t perfrm a backup jb using Granular Backup and Restre, it is necessary t first cnfigure ne r mre physical devices and then set up a strage plicy. When perfrming a backup jb, Granular Backup and Restre can write t Net Share, FTP, TSM, EMC Centera, Dell DX Strage, Caring Strage, HDS Hitachi Cntent Platfrm, r Clud Strage devices. In additin, DcAve has the ability t treat multiple strage devices as a single lgical unit when saving backup data. This feature is especially useful fr very large backup plans, as many small drives can be cmbined. A lgical drive must be defined befre creating a backup plan. 11 Perfrming a Backup There are several ways t cnfigure and perfrm a granular backup. Once yu select the cntent yu want, yu can run backups using the fllwing methds: Using Ad Hc Backup Using the Plan Builder (Using Wizard Mde r Using Frm Mde ) Fr mre infrmatin regarding backup and recvery, refer t the Micrsft TechNet article Backup and recvery best practices (SharePint Server 2010) and Backup and Restre (SharePint 2013). Fr the elements in SharePint 2013 that are supprted t be backed up, refer t Elements Unsupprted t Be Backed Up in SharePint Overview f Backup Types When cnfiguring a backup plan using the Using the Plan Builder r Predefined Schemes, there are three backup types yu can specify t perfrm a backup jb: Full, Incremental, r Differential. The Full ptin backs up all f the selected data each time a backup is perfrmed. This ptin requires the mst strage space because, depending upn the size f yur SharePint envirnment, each backup file can be substantial in size. Unlike incremental and differential backups, all full backup files are independent f ne anther and d nt have any dependencies n ther back up data files. Hwever, because each f the backups is cmprehensive, full backup jbs take the lngest t cmplete f the three available ptins. The Incremental ptin backs up nly the cntent that has been updated since the last backup, drastically reducing the size f the backup file created. The mst cmmn ptin, this backup requires less strage than a full r differential backup. Incremental backups reduce executin time, thereby allwing fr shrter backup windws. It is imprtant t nte, hwever, that in rder t recver all f the mst recent SharePint data frm an incremental backup, all f the backup files must be available. Cnsider each incremental backup file as a piece f the whle SharePint envirnment. If ne f these files is nt available, the full SharePint envirnment cannt be restred. Fr example, the fllwing fur cylinders represent fur backups and they are perfrmed in this rder Full Backup, Incremental Backup, Incremental Backup, Incremental Backup: Figure 3: One Full backup fllwed by three Incremental backups. 1. The first Incremental Backup backs up the newly-added data in the blue perid. 2. The secnd Incremental Backup backs up the newly-added data in the green perid. 11

12 3. The third Incremental Backup backs up the newly-added data in the range perid. Each time it runs, the Differential ptin backs up all cntent that has been updated since the last full backup. These backup files are larger in size than incremental files, but smaller than full backup files. In rder t recver all f the mst recent SharePint cntent, the first full backup file and latest differential backup file are required. Selecting Cntent t Back Up There are tw ptins t select the cntent t back up: Brwse and Search. T select the cntent, refer t the sectins belw. Selecting Cntent by Search Fr a large envirnment, use the search functin t quickly lcate the target cntent. T use the search functin, cmplete the fllwing steps: Lcate the Surce panel n the left-hand side f the screen. In the search field at the tp f the Surce tab, enter the characters frm the SharePint bject URL r name yu want t search fr. Click the icn t start the search r wait a mment fr it t start autmatically. When the search is running, yu can click the icn t stp the search, if needed. Select the relevant bjects that yu want t back up by clicking the checkbxes t the left f the bjects. Yu can select bjects in ne farm. After selecting cntent, chse t perfrm either a backup using the Using Ad Hc Backup r a backup using the Using the Plan Builder. 12

13 Selecting Cntent by Brwse T brwse thrugh the SharePint farm bjects, cmplete the fllwing steps: Frm the Surce panel n the left, duble-click the farm that cntains the relevant SharePint cntent. A list f bjects appears beneath the farm entry. Select the relevant bjects that yu want t back up by clicking the checkbxes t the left f the bject. Yu can select bjects in ne farm. After selecting cntent, chse t perfrm either a backup using the Using Ad Hc Backup r a backup using the Using the Plan Builder. See the apprpriate sectin belw. Understanding Ad Hc Backup An Ad Hc Backup backs up the selected cntent immediately (withut setting up a schedule) using the default settings, which need t be cnfigured prir t running the backup. *Nte: An Ad Hc backup is a back-end prcess, meaning that the jb runs in the backgrund. The user can cntinue t navigate thrugh the user interface withut having t first terminate the running jb. T use Ad Hc Backup, yu must first define the default settings, as described belw. Cnfiguring Default Settings T use Ad Hc Backup, it is necessary t first cnfigure the default settings. T cnfigure default backup settings, cmplete the fllwing steps: After Selecting Cntent t Back Up, click Ad Hc Backup n the ribbn f the Backup tab. Select Default Settings frm the drp-dwn list. The Default Settings page appears. Strage Plicy Select the strage plicy fr the backup data, r create a new strage plicy in the Specify a strage plicy drp-dwn list. A strage plicy is used t cnfigure a set f rules fr string backed up data. It als supprts the fllwing functins: Pruning the data backed up by Granular Backup and Restre and delete r mve the pruned backup data. When yu add mre than ne Media services in a strage plicy, it supprts the autmatic failver that causes anther Media service in the strage plicy t take ver the rle f the Media service that is dwn during the backup jb. Fr mre infrmatin n wrking with strage plicies, refer t the DcAve 6 Cntrl Panel Reference Guide. Filter Plicy Select a filter plicy r create a new ne t limit the scpe f the backup jb by making a selectin frm the drp-dwn list in the Filter Plicy field. A filter plicy sets up filter rules t cntrl what bjects will be backed up. Fr mre infrmatin n wrking with filter plicies, refer t the DcAve 6 Cntrl Panel Reference Guide. 13

14 *Nte: When using the filter plicy fr backing up data stred in SharePint 2010 Online and SharePint 2013 Online, the Created By criterin n the Site level is nt supprted. The jb using the Created By criterin n the Site level will have a Failed status. The infrmatin will be recrded in the jb reprt User Prfile Select whether r nt t Include user prfile. This ptin decides if user prfiles are ging t be backed up with the security. Wrkflw Select hw yu want t manage the wrkflw in the surce. Include wrkflw definitin Backs up nly the definitin f existing surce wrkflws. Include wrkflw instance Backs up the state, histry, and tasks f each item. This ptin is available after selecting Include wrkflw definitin. Data Cmpressin Select an ptinal data cmpressin setting. Select the Cmpressin checkbx t enable data cmpressin, and then chse a cmpressin level using the slider. A lw cmpressin level results in a faster cmpressin rate but a larger data set, while a high cmpressin level results in a slwer cmpressin rate but a smaller, better quality data set. *Nte: Small data sets cause slwer backup and additinal recvery time. Select whether t leverage DcAve Media Server (Media Service) resurces r SharePint Server (SharePint Agent) resurces fr cmpressin. Data Encryptin Select the Encryptin checkbx (ptinal) t enable data encryptin. Select whether t leverage DcAve Media Server (Media Service) resurces r SharePint Server (SharePint Agent) resurces fr encryptin. Then, select a security prfile r create a new ne in the Security prfile drp-dwn list t specify the encryptin methd fr the encryptin. Ntificatin Select the ntificatin prfile fr sending the ntificatin reprt. Fr mre infrmatin n wrking with ntificatin plicies, refer t the DcAve 6 Cntrl Panel Reference Guide. Using Ad Hc Backup In rder t perfrm an Ad Hc Backup, yu must first cnfigure the Cnfiguring Default Settings. T initiate an ad hc backup, cmplete the fllwing steps: After Selecting Cntent t Back Up, click Ad Hc Backup n the ribbn f the Backup tab. Select Ad Hc Backup frm the drp-dwn list. The Ad Hc Backup page appears. DcAve autmatically lads yur Cnfiguring Default Settings int the Ad Hc Backup page. Edit these settings as needed. Click Run Nw at the bttm f the windw t start the backup jb. View the jb details in Jb Mnitr. 14

15 Using the Plan Builder Cnfiguring Plan Builder is very similar t cnfiguring the default settings fr an Ad Hc Backup. Use the Plan Builder when yu want t schedule a backup and define the type f backup (Full, Incremental, r Differential) r when yu want t use the Predefined Schemes feature. *Nte: A backup run with Plan Builder is a back-end prcess, meaning that the jb runs in the backgrund. The user can cntinue t navigate thrugh the user interface withut having t first cancel the running jb. T use the Plan Builder, cmplete the fllwing steps: After Selecting Cntent t Back Up, click Plan Builder frm the Backup tab. Frm the drp-dwn menu, select Using Wizard Mde fr step-by-step guidance during cnfiguratin, r select Using Frm Mde (recmmended fr advanced users nly). See the sectin belw applicable t yur chice. Using Wizard Mde T cnfigure a plan using Wizard Mde, cmplete the fllwing steps: *Nte: A red asterisk (*) marked next t a field in the DcAve GUI indicates a mandatry field Plan Name Enter a Plan Name and an ptinal Descriptin, if desired. Click Next. The Strage Plicy page appears. Click Next when yu are finished cnfiguring the strage plicy. The Schedule page appears. 3. Schedule Select a scheduling ptin. Nte that this field determines the type f backup (Full, Incremental, r Differential) that will be run. N Schedule Select this ptin t cnfigure the jb t nt run n a schedule (the jb must be manually initiated). Select a Predefined Scheme Select this ptin t run the backup n a Predefined Schemes. Cnfigure the schedule myself Select this ptin t cnfigure a custmized schedule, and run the backup jb by schedule. Click Add Schedule t set up a schedule. The Add Schedule windw appears. In the Optins sectin, select a backup type frm the drpdwn list. Fr mre infrmatin, see Overview f Backup Types. Full Backup A full backup f the selected surce. Incremental Backup A partial backup; backs up nly the cntent that has been updated since the last backup, whether it s Full, Incremental, r Differential. Differential Backup A partial backup; backs up nly the data that has been updated since the last full backup. After cnfiguring the schedule, click Calendar View t view the scheduled plans by day, week, r mnth. *Nte: Frequent cnsecutive differential backups have a tendency t repeatedly back up the same data, which fills disk space quickly. Fr best results when cnducting high frequency backups, it is recmmended t use incremental backups. Incremental backups save time and strage space by backing up nly the differences between incremental backups r an incremental backup and a full backup, instead f backing up the entire surce lcatin. Click Next when yu are finished. The Restre Granularity Level appears. 16

17 4. 5. Restre Granularity Level Select a granularity level t restre: Item, Site, r Site Cllectin. Review the table t learn the prs, cns, and recmmendatins fr each selectin. Click Next when yu are finished. The Advanced page appears. Advanced Define the advanced settings: Agent Grup Select the agent grup fr the backup data r create a new agent grup frm the drp-dwn list. Filter Plicy Select a filter plicy frm the drp-dwn list r create a new plicy t limit the scpe f the backup jb. The detailed infrmatin will be recrded in the jb reprt. User Prfile Select the Include user prfile checkbx if yu want t back up the user prfile with the security. Wrkflw Select hw yu want t manage the wrkflw in the surce. Include wrkflw definitin Backs up nly the definitin f existing surce wrkflws. Include wrkflw instance Backs up the state, histry, and tasks f each item. This ptin is available after selecting Include wrkflw definitin. Ntificatin Select the ntificatin prfile fr sending s. Assciated Plan Grup Select an assciated plan grups r create a new plan grup in the Assciated plan grup(s) drp-dwn list in rder t make the plan run accrding t the selected plan grup settings. Fr mre infrmatin n plan grups, refer t the DcAve 6 Cntrl Panel Reference Guide. When yu are finished setting up ntificatins, click Next n the ribbn. The Overview screen appears Overview Review and edit the plan selectins. T make changes, click Edit t the right f the rw. This links t the crrespnding setting page, allwing yu t edit the cnfiguratin. Click Finish r Finish and Run Nw n the lwer-right sectin f the screen. The backup plan will nw appear in Plan Manager. 17

Replace deletes the destinatin cntainer and then restres the surce t the destinatin. If the selected cntainer is a tp-level site, DcAve empties the tp-level site instead f deleting it and restres the surce t the destinatin. *Nte: A discussin item in a discussin bard is cnsidered a flder, s it is restred as a cntainer. The replies in this discussin are cnsidered cntent. Cntent level cnflict reslutin Set the cnflict reslutin n the item/dcument level. Skip ignres the surce item/dcument that has the same item ID/dcument name as the destinatin item/dcument. Overwrite cpies the surce item/dcument t the destinatin by verwriting the destinatin item/dcument with same item ID/dcument name. Overwrite by Last Mdified Time keeps the cnflict item\dcument which has the latest mdified time and verwrites the lder ne. Append an Item/Dcument Named with a Suffix adds the cnflict surce item/dcument t the destinatin and adds _1 t the end f the filename. The cnflict destinatin item/dcument is nt deleted. Append a New Versin adds the cnflict surce item/dcument t the destinatin as a new versin f the cnflict destinatin item/dcument. *Nte: When the mdified time f the cnflict cntents is the same, yu can chse whether t skip cntent restratin. Refer t fr details. Include Recycle Bin Data Chse hw t deal with the cnflict reslutin when the data having the same name exists in the target Recycle Bin. Select Yes t deal with the cnflict reslutin as selected in the Cntainer level cnflict reslutin and Cntent level cnflict reslutin. D nt restre item-dependent clumns and cntent types The item dependent clumns and dependent cntent types will nt be restred. When selecting this ptin, make sure the dependent clumns and cntent types exist in the destinatin. Otherwise, the item cannt be restred. Launch End-User Granular Restre accrding t yur SharePint versin. When using SharePint 2010, navigate t Site Actins > Restre frm Backup. The Restre frm Backup page appears. When using SharePint 2013, click n the tp right crner and click Restre frm Backup. The Restre frm Backup page appears. On the page, the left pane is used t specify the search cnditins and perfrm the search. The right pane is used t select the desired cntents frm the search results and perfrm the restre. 3. Cnfigure the search cnditins: Restre bject level Specify the level f the bjects that yu want t restre. Keywrd Search the desired cntents by the keywrds. The bject name/title cntaining the keywrd will be searched ut. *Nte: The search functin is nt case sensitive. The wildcards? and * are supprted. View the table belw fr details f what t search when entering the keywrd. Hver ver the bject name and click the arrw that appears t view the backup histry. Backup Time The time when the bjects are backed up. Click the time t view the backup histry f this bject. Path The URL f the bjects in the surce. Select the desired bjects by selecting the checkbxes next t the bject names. Select the backed up cntents that yu want t restre frm the backup histry. If nt selected, the latest backed up cntents will be restred. Click Restre. A pp-up windw appears asking yu t specify the ntificatin settings. In the pp-up windw, specify the users t receive ntificatins abut the restre jb results. The send settings cnfigured in DcAve will be used as a first pririty. If the settings are nt cnfigured in DcAve, the utging settings cnfigured in SharePint will be used. Click OK when yu are finished. A pp-up windw appears indicating that the restre jb is running. The restre jb result is displayed in the pp-up windw after the jb is finished. Yu can als clse the pp-up windw, which des nt affect the restre jb. Additinal Optinal Cnfiguratins Refer t the sectins belw regarding additinal ptinal cnfiguratins in Granular Backup and Restre. Predefined Schemes In rder t run the backup jb n a schedule, yu must first cnfigure a predefined scheme. In the Predefined Scheme windw yu can view the default Weekly Scheme and the Mnthly Scheme. Use these tw default schemes r create a new scheme as required. T set up a new predefined scheme, cmplete the fllwing steps: Select the Backup tab in the Granular Backup and Restre user interface, then click Predefined Scheme n the ribbn. The Predefined Scheme windw appears. Click Create in the Manage grup n the ribbn. 42

43 Name Enter a name int the Predefined Scheme text bx, and add an ptinal Descriptin. Schedule Settings Click Add Schedule t set up a schedule. The Add Schedule tab appears. Optins Select a backup type frm the drp-dwn list. Fr mre infrmatin, refer t the Overview f Backup Types sectin. Full Backup A full backup f the selected surce. Incremental Backup A partial backup; backs up nly the data that has been added since the last backup (whether it s full, incremental, r differential). Differential Backup A partial backup; backs up nly the data that has been updated since the last full backup. *Nte: Frequent cnsecutive differential backups have a tendency t repeatedly back up the same data, which fills disk space quickly. Fr best results when cnducting high frequency backups, it is recmmended that yu use incremental backups. Incremental backups save time and strage space by backing up nly the differences between incremental backups r an incremental backup and a full backup, instead f backing up the entire surce lcatin. Type Select the interval at which the backup ccurs: By hur, By day, By week, r By mnth. Schedule Settings Set up the frequency fr the scheduled backup jb. If yu select the type as By hur, By week, r By mnth, yu will have the ptin t check the Advanced checkbx t cnfigure mre settings fr the frequency. Fr mre infrmatin, see the Advanced Predefined Schedule Settings sectin belw. Range f Recurrence Chse ne f the fllwing ptins t specify when t start and stp running the recurring schedule. 45 DcAve Granular Backup and Restre Use Case The fllwing use case applies the prcedures described in this guide t a real-wrld situatin. These use cases are intended t give the user an idea f when and why ne wuld use cmmn DcAve Granular Backup and Restre functinality. Nte that these situatins assume that the DcAve platfrm and applicable mdules have been installed successfully, and that the prerequisite cnditins are met (apprpriate permissins fr the Agent accunt, creatin f lgical devices, etc.). Cnfiguring a Successful Backup Plan As the head f IT, Je is respnsible fr backing up his cmpany s SharePint cntent. Traditinally, his cmpany wuld perfrm weekly backups f all SharePint cntent using SharePint s native backup functinality (thrugh SQL server). In additin t extremely lng backup windws, the backups led t enrmus strage requirements, as each full backup was almst a full terabyte f data. Further, the cmpany s RPO and RTO were unacceptably lng. This backup prcess sn became extremely expensive fr the cmpany and impractical fr Je t manage. Je s slutin is t implement the DcAve platfrm specifically, the Granular Backup and Restre mdule int the cmpany s backup prcess. Once the Granular Backup and Restre mdule is installed, Je gets t wrk n cnfiguring the backup plan. He first sets up strage plicies (see Cnfiguring Devices and Setting Up Strage Plicies). Then, frm within the Granular Backup and Restre user interface, Je selects the Farms and Ndes as the cntent he wants t back up (see Selecting Farms and Ndes). Being new t DcAve s prducts, he chses t develp a backup plan using Using Wizard Mde in Using the Plan Builder. Nw Je has t make a few imprtant decisins: What kind f backup shuld he schedule? What shuld the restre granularity level be? Hw ften shuld he schedule backups, and what time f day shuld they run? Shuld he cmpress the data? Like many DcAve users, Je chses t run Overview f Backup Types, backing up nly the data that changes between backup intervals.
