6 Abut DcAve Cnnectr Use DcAve Cnnectr t cllabrate upn netwrk file shares and clud strage resurces directly thrugh SharePint 2010 and SharePint 2013 n-premises withut migratin. Cnnected cntent appears as nrmal SharePint cntent, and can be leveraged exactly as if it were residing within a SharePint dcument library. All f SharePint s pwerful dcument management functinality including permissins management, wrkflws, alerts, and versining can be applied t cnnected cntent. In additin, Cnnectr enables rganizatins t manage and present their audi and vide files thrugh a dedicated SharePint Media Library. All wmv, wma, mp3, aac, vp6, mp4, mpeg, mpg, avi, and wav files stred in netwrk file shares and clud strage resurces are streamed and presented via SharePint fr fast delivery and reduced burden f strage. "Cnnected" media cntent is managed with all f SharePint's pwerful dcument management functinality, including permissins management, wrkflws, alerts, and versining. 7 Befre Yu Begin Refer t the sectins fr system and farm requirements that must be in place prir t installing and using DcAve Cnnectr. Cnfiguratin In rder t use DcAve Cnnectr, the DcAve 6 platfrm must be installed and cnfigured prperly n yur farm. Cnnectr will nt functin withut DcAve 6 present n the farm. Fr installatin instructins, see the DcAve 6 Installatin Guide. Agents DcAve Agents are respnsible fr running DcAve jbs and interacting with the SharePint bject mdel. DcAve Agents enable DcAve Manager t cmmunicate with the respective servers, allwing fr Cnnectr cmmands t functin prperly. *Nte: The use f system resurces n a server increases when the installed Agent is perfrming actins. This may affect server perfrmance. Hwever, if the Agent installed n a server is nt being used, the use f system resurces is very lw and, therefre, the effect n server perfrmance is negligible. Required Permissins Agent Accunt Permissins T install and use Cnnectr prperly, ensure that the Agent accunt has the fllwing permissins: 1. Lcal System Permissins: These permissins are autmatically cnfigured by DcAve during installatin. Refer t Lcal System Permissins fr a list f the permissins autmatically cnfigured upn installatin. 2. SharePint Permissins: These permissins must be manually cnfigured prir t using DcAve 6 Cnnectr; they are nt autmatically cnfigured. User is a member f the Farm Administratrs grup. Since Administratr wrks acrss farms and n all SharePint settings and cnfiguratins, this accunt is needed in rder t prvide the best and mst cmplete quality f service. Full Cntrl t all znes f all Web applicatins via User Plicy fr Web Applicatins. 7

8 3. SQL Permissins: These permissins must be manually cnfigured prir t using DcAve 6 Cnnectr; they are nt autmatically cnfigured. Member has the database rle f db_wner fr all the databases related t SharePint, including Cntent Databases, Cnfig Database, and Central Admin Database. Member has the database rle f db_wner fr all the DcAve stub databases. Member has the server rle f dbcreatr t SQL Server since it must create a stub database befre perfrming any Cnnectr jb. File Share Permissins Ensure that the user accunt used by the Cnnectr library t access the file share has the fllwing minimum required permissins: NTFS Permissin Needed? Create Files/Write Data Yes This permissin is needed t create files within the file share when they are created within SharePint. Create Directries/Append Data Yes This permissin is required t create flders within the file share when they are created in SharePint. Cnnectr creates hidden flders within the file share in rder t stre versin histry and prevent ther libraries frm cnnecting t the same file share. Write Attributes Yes When SharePint demtes clumn infrmatin int Office files, the file attributes need t be written t. Write Extended Attributes Yes Office files have extended attributes, as well as custm attributes, that are used in SharePint prmtin and demtin prcesses. Delete Subdirectries and Files Yes In rder t synchrnize deletin within SharePint int the file share, this permissin is needed. Delete N Since Cnnectr des nt delete the rt flder that is cnnected t, this permissin is nt needed. 8

10 Getting Started Refer t the sectins belw fr imprtant infrmatin n getting started with Cnnectr. Launching Cnnectr T launch Cnnectr and access its functinality, fllw the instructins belw: 1. Lg in t DcAve. If yu are already in the sftware, click the DcAve tab. The DcAve tab displays all mdules n the left side f the windw. 2. Click Strage Optimizatin t view the Strage Optimizatin mdules. 3. Click Cnnectr t launch this mdule. Figure 1: DcAve mdule launch windw. 10

11 User Interface Overview After clicking Cnnectr, the Strage Optimizatin suite user interface launches with the Cnnectr tab active. This tab displays yur farm envirnment and allws fr quick access t a list f Cnnectr features. On the dashbard, the strage path cnfiguratin and the synchrnizatin schedule cnfiguratins fr the specified farm will be displayed. Click View Details, and the detailed infrmatin abut the cnfigured path/synchrnizatin schedule fr the Web applicatins/site cllectins/sites can be viewed n the pp-up windw. 12 Figure 3: Cnnectr user interface. 1. The SharePint tree (Scpe panel) displays all cntent within yur farm(s). Use this panel t select the cntent that yu wish t perfrm actins n. Selecting cntent ften reveals new tabs and functinality n the ribbn. 2. The ribbn shws the available actins and wizards fr the selected ndes. This cntent is dynamic; it will ften change depending n what is selected in the SharePint tree. 3. The wrkspace shws all frm-based cntent that is used during the cnfiguratin f actins perfrmed in DcAve prducts. Selecting Farms and Ndes T select farms and ndes: 1. Frm the Scpe panel n the left, click the farm that cntains the relevant SharePint cntent. 2. Select the relevant cntent frm which yu want t perfrm further peratins by selecting the radi buttn t the left f the cntent. 3. After selecting cntent, yu will be able t perfrm the prcedures described thrughut this guide. 12

13 Basic Steps fr Cnfiguring and Deplying Cnnectr The fllwing are the basic steps required in rder t prperly run Cnnectr. Click the link t jump t the crrespnding sectin. 1. Cnfiguring the BLOB Prvider. 2. Enabling the BLOB Prvider. 3. Cnfiguring Mapping Settings. Cnfiguring these settings is ptinal, as Cnnectr cmes with default mapping settings. 4. Deplying the Cnnectr Slutin. 5. Activating the Cnnectr Features. 6. Using Cnnectr functinality: Creating a Cnnectr Library in SharePint (ptinal step; existing SharePint dcument libraries can be cnnected as well). 14 Cnfiguring the BLOB Prvider A binary large bject (BLOB) is unstructured data (files, attachments, etc.) stred in SQL cntent databases. By default, any file r attachment that is upladed int SharePint is stred as a BLOB in the cntent database. By cnfiguring the BLOB Prvider, yu are able t externalize BLOBs frm a cntent database t a user-specified external strage. The BLOB Prvider feature intercepts SharePint database traffic and redirects all f the BLOB traffic t the external BLOB strage; what remains in SharePint is a stub f the data. In rder t prvide transparency t SharePint users and applicatins, Remte BLOB Strage (RBS) r External BLOB Strage (EBS) is used t expse the file share cntents thrugh the SharePint interface. EBS is an interface prvided by Micrsft SharePint Server 2007 and 2010, while RBS is a set f standardized Advanced Prgramming Interfaces (APIs) that are incrprated as an add-n feature pack fr Micrsft SQL Server. In rder t use DcAve Cnnectr, ne f these tw BLOB Prviders must be enabled. As RBS binaries are installed during Agent installatin, it is recmmended yu use RBS as yur BLOB Prvider. Fr the purpse f Cnnectr, the BLOB Prvider is used t cnfigure the strage f a SharePint library s files with a given file share. The BLOB Prvider als creates a stub database and enables the prvider n the specified farm r nde. *Nte: Since the DcAve RBS Prvider is a third-party prvider, SQL Server 2012 Enterprise Editin r SQL Server 2008 R2 Enterprise Editin is required. *Nte: RBS can be enabled at the cntent database level in a SharePint 2013 farm. EBS is nt supprted in a SharePint 2013 envirnment. Feature BLOB stre scpe Number f prviders Interface Migrating BLOBs frm SQL Server stres t BLOB stres and vice versa RBS (fr SharePint 2010 and SharePint 2013) RBS can be enabled at cntent database level and Web applicatin level. Each cntent database can have its wn BLOB stre. RBS is mre flexible. Multiple RBS prviders can be in the same SharePint farm. Managed. RBS is a purely.net-based slutin. Frm a technlgy perspective, RBS fits in t.net quite nicely. Windws PwerShell EBS (nt supprted in SharePint 2013) EBS can be enabled nly at the farm level. Only ne EBS prvider per SharePint farm. Unmanaged. EBS relies n a legacy COM interface. Custm 14

15 Feature SharePint interface RBS (fr SharePint 2010 and SharePint 2013) SharePint 2010 and SharePint 2013 ship with many Windws PwerShell cmmand lets that can be used t manage RBS installatin and cnfiguratin. Nne EBS (nt supprted in SharePint 2013) BLOB Prvider Recmmendatins Befre enabling yur BLOB Prvider, be sure t reference the fllwing ds and dn ts t BLOB Prvider cnfiguratins. Yu shuld: Yu shuld avid: Start the wizard and verify RBS binaries (DcAve Agents) have been installed and enabled n all Web frnt-ends in yur farm(s), whether these Web frnt-ends are userfacing r nt. Fr best perfrmance, chse a database server within the farm fr yur stub database. Chse t manage all stubs (pinters) fr EBS r RBS at the farm level ne stub database per farm. Only when item cunts f ne millin bjects r greater are expected per cntainer shuld yu apply lwer-level settings. Cnsider inheritance if cnfiguring stub databases at a lwer level. See Stub Database Inheritance fr additinal infrmatin n stub database inheritance. Cnfigure a schedule fr enabling RBS t ensure that yu have planned fr a grwing farm! Missing servers when installing the Agents. Failing t install RBS/EBS n a Web frnt-end (either user-facing r applicatin-facing). Getting bgged dwn by yur chice f EBS ver RBS: pick what s right fr yur SQL Server versin. We prvide yu the ability t upgrade frm EBS t RBS at a later time as necessary. Refer t the DcAve 6 Cntrl Panel Reference Guide fr infrmatin n upgrading frm EBS t RBS. Making these cnfiguratins mre granular than necessary. The gal is simplicity in management: since this database will be included in yur disaster recvery plans fr yur farm, t many databases can make yur failver mre cmplicated than it needs t be. Skipping the schedule cnfiguratin. Even as yu grw yur farm, new cntent databases will be added and need t be enabled fr use with the rest f the strage ptimizatin prducts. 15

Enabling the BLOB Prvider T enable the BLOB Prvider n yur server(s), fllw the instructins belw. *Nte: In the event that yu want t enable the RBS/EBS prvider n Web frnt-ends that have imprperly-installed Agents, yu must use the standalne Agent tls. Refer t Appendix E Enabling the BLOB Prvider Using the Agent Tls fr infrmatin n enabling the BLOB Prvider using these tls. 1. T access the BLOB Prvider, click the Cnnectr tab > BLOB Prvider in the General Settings grup. The BLOB Prvider page appears in the wrkspace. 2. Verify RBS binaries (DcAve Agents) have been installed and enabled n all SharePint servers that are running Web services in yur farms. This als includes all applicatin and index servers. *IMPORTANT: All these servers must have RBS binaries installed r else access t external cntent (utside the database) will fail. The Install the BLOB Prvider Binaries page displays infrmatin abut all Web frntend servers that have a DcAve Agent installed. By default, the BLOB Prvider is installed during the Agent installatin. If the BLOB Prvider is nt installed n a particular server, Nt Installed displays in the server s BLOB Prvider Binaries clumn. If necessary, click Install t install the crrespnding BLOB Prvider. 3. Click Next when finished. The Cnfigure Stub Database page appears. 4. Chse the ndes yu want t link t a stub database by selecting the checkbx t the left f the nde. Fr ease f use, it is recmmended t cnfigure ne stub database fr the entire farm. 5. After selecting which ndes yu want t link t a stub database, click Cnfigure in the Manage grup n the ribbn. 6. Chse a database server within the farm fr yur stub database. Fr ease f stub database management and maintenance, it is recmmended yu chse the default database server used by SharePint Central Admin. a. Cnfigure Stub Database Specify the Database Server (where the stub database will reside) and Database Name fr the stub database. *Nte: Once a stub database is cnfigured and saved n a cntent database, the cnfiguratin cannt be changed. 16 b. Authenticatin Select the authenticatin methd used t access the database.

17 Windws authenticatin (recmmended; the default ptin) Use this methd when yu want the user identity t be cnfirmed by Windws. SQL authenticatin SQL server cnfirms the user identity accrding t the specified accunt and passwrd. c. Cnnectin String Use this feature t create and cnfigure stub databases using cmmand lines. Click Advanced t expand the advanced cnfiguratin. Select Edit Cnnectin String Directly t use Cnnectin String methd t create and cnnect the Stub Database using Windws authenticatin r SQL authenticatin. *Nte: If yu select Edit Cnnectin String Directly, cnfiguratin a and b abve will be unavailable. T create a stub database using Windws authenticatin, input the fllwing infrmatin: Server Enter the name f a SQL Server instance. The value must be either the server s name n the netwrk, an IP address, r the name f a Cnfiguratin Manager alias. T cnnect t the default instance n the lcal server, refer t the fllwing examples: Server=.; Server= IP Address; Server=lcalhst; Server=lcalDatabase\instancename; Database Enter the database name. If a database is nt specified, the default database defined fr the lgin is used. T cnnect t the database, refer t the fllwing example: Database=Database s name. Trusted_Cnnectin Select the true value t use Windws Authenticatin Mde fr lgin validatin. DataSurce Enter the instance s name, the Hstname, r the IP address f a SQL Server. If this field is nt specified, a cnnectin is made t the default instance n the lcal cmputer. Failver Partner Enter the name f the failver server used fr database mirrring. Initial Catalg Enter the stub database s name. Integrated Security Select the true value t accept the value SSPI fr Windws Authenticatin. T create a stub database using SQL authenticatin, input the fllwing infrmatin: *Nte: Each instructin s key and value must be cnnected with =. The instructins are separated using ;. 17

18 Server Enter the name f a SQL Server instance. The value must be either the server s name n the netwrk, an IP address, r the name f a Cnfiguratin Manager alias. T cnnect t the default instance n the lcal server, refer t the fllwing examples: Server=.; Server=IP Address; Server=lcalhst; Server= lcaldatabase\instancename; Database Enter the database name. If a database is nt specified, the default database defined fr the lgin is used. T cnnect t the database, refer t the fllwing example: Database=Database s name. Trusted_Cnnectin Select the False value t nt use Windws Authenticatin Mde fr lgin validatin. Yu can specify the credentials that will be used t cnnect t the database. User ID Enter the lgin name. Passwrd Enter the passwrd. DataSurce Enter the instance s name, the Hstname, r the IP address f a SQL server. If nt specified, a cnnectin is made t the default instance n the lcal cmputer. Failver Partner Enter the name f the failver server used fr database mirrring. Initial Catalg Enter the stub database s name. 7. When finished, click OK t prceed t the Enable BLOB Prvider page. The Enable BLOB Prvider page shws the BLOB Prvider Status f the farms that have DcAve Agents installed. 8. T enable the BLOB Prvider, click Cnfigure in the Actin clumn and prceed with the instructins belw that are pertinent t the BLOB Prvider yu wish t enable. Nte that if yu are using a SharePint 2010 envirnment, it is recmmended that yu enable RBS fr the farm; if yu are using a SharePint 2013 envirnment, yu can nly enable RBS fr the farm. T enable RBS: Under Enable RBS fr Farm, click the farm name t expand the tree. View the RBS status and enable RBS n the selected cntent database(s) by selecting the checkbx in the Enable clumn, if necessary. Select Enable in the Include New Cntent Databases rw t enable RBS fr all newlyadded cntent databases (that is, cntent databases added after cnfiguratin f the BLOB Prvider). In rder t use this functin, a schedule must be cnfigured in the Schedule field. 18

19 Cnfigure a Schedule (available when Enable RBS fr Farm is selected) t check fr newly-added cntent databases. Accrding t yur cnfigured schedule, Cnnectr runs a search n yur farm fr new cntent databases. If any new cntent databases are fund, Cnnectr enables RBS n them. *Nte: The stub database rule is applied t a newly-added cntent database immediately after the cntent database is added t the crrespnding Web applicatin. *Nte: If bth EBS and RBS are enabled, RBS is used. 9. After cnfiguring the BLOB Prvider, click OK t save the cnfiguratin. Then click Next t prceed t the Overview page. 10. The Overview page shws all stub database infrmatin fr all farms. If desired, click Edit in the table heading rw t edit the cnfiguratin. When satisfied with the cnfiguratins, click Finish and Run Nw t save the cnfiguratin and then enable/disable the crrespnding BLOB Prvider immediately. *Nte: T enable the RBS Prvider withut using a schedule, yu must click Finish and Run Nw t enable it immediately. Clicking Finish immediately enables EBS, but nly saves the RBS Prvider cnfiguratin withut enabling the RBS BLOB Prvider. 19

20 Cnfiguring Mapping Settings As described earlier, Cnnectr requires several steps t cnfigure file shares fr use in SharePint. Once RBS, the vehicle f delivery f cntent, is cnfigured, yu nw need t reslve the discrepancies that exist between SharePint and file shares. Fundamentally, these are tw different systems, with different default metadata styles, security levels, and naming / path cnventins. Cnfigured mapping settings determine hw the synchrnized files and flders (as well as their metadata and security prperties) are managed in SharePint. Cnfiguring these settings is ptinal, as the Cnnectr mdule cntains default mapping settings. In general, the mst lgical mappings pssible have already been made. This sectin is intended fr yu t review the default settings cnfigured t reslve cmmn differences between SharePint and file shares. Cmmn Mapping SharePint des nt supprt file r flder names that are lnger than 127 characters, r filenames that cntain invalid characters (such as " # % & * : < >? \ / { } ~). By default, files r flders with names lnger than 127 characters are pruned t 127 characters after being synchrnized t SharePint. Fr filenames that cntain invalid characters, the invalid characters are replaced with an underscre (_) after being synchrnized t SharePint. By default, DcAve applies a default cmmn mapping named DefaultCnnectrCmmnSetting, which cannt be edited r deleted. T set up new Cmmn Mapping: 1. Frm the Cnnectr tab, select Cmmn Mapping in the Cnnectr Settings grup. The Cmmn Mapping pp-up page appears. Here, yu can view all f the existing Cmmn Mapping prfiles. 2. T create a new mapping rule, click Create in the Manage grup. The Create Cmmn Mapping page appears in the wrkspace. 3. Cnfigure the fllwing settings fr Cmmn Mapping: a. Cmmn Mapping Name Enter a name and an ptinal descriptin fr the cmmn mapping prfile. b. Character Length Settings Specify the maximum length f the flder/filename displayed in the Cnnectr Library. Yu can define the length f the flder/filename in the range f 1 t 127 characters. If the flder/filename exceeds the length that is defined, the system autmatically prunes the extra characters and saves the name accrding t the length defined. The flder/filename is pruned accrding t the fllwing rules. 20

21 Regarding filename pruning, the file extensin characters are cunted twards the ttal number f characters. Only the filename itself is pruned. Fr example, if the maximum length specified is 7, a file named abcde.exe is pruned t abe.exe. DcAve starts pruning frm the middle f the filename. In file systems, versins f dcuments are cmmnly identified with characters at the beginning ( Cpy f ) and characters at the end ( versin1 r _1 ). By pruning characters frm the middle f the filename, DcAve ensures that these identifying characters remain intact. If there is already a file with the same name in SharePint after DcAve prunes the filename, a numerical suffix is added t the riginal name f the file/flder after pruning. c. Illegal Character Replacement Settings Replace illegal characters in flder/filenames with legal characters when synchrnizing cntent t SharePint. By default, all f the illegal characters are replaced with an underscre (_). Prperty Mapping While files that are upladed t SharePint natively frm a file system lse their metadata, Cnnectr is intended t read all file system metadata and present them t SharePint in full-fidelity (all metadata preserved). Prperty Mapping allws yu t cnfigure rules that map the file system prperties t SharePint metadata, thereby preserving the metadata. 22 Security Mapping While files that are upladed natively t SharePint frm a file system lse their permissin settings, Cnnectr is intended t read dcument and file-share level permissins and lad them int SharePint. Security Mapping allws yu t cnfigure rules that map the file system permissins t SharePint permissins. While mapping fr permissins can be cnfigured, it s imprtant t remember that applying unique bject-level permissins is nt a recmmended best practice in SharePint. Yu can make the determinatin at the time f creatin whether a library will reuse file system security r simply inherit frm its SharePint site, but we strngly recmmend the latter. In the pp-up windw, yu can view the default SharePint permissin levels: Cntribute, Design, Full Cntrl, Nne, Read, and View Only. These default SharePint permissin levels cannt be edited r deleted. 5. Click Create in the Manage grup. The Create SharePint Permissin Level page appears. Cnfigure the fllwing settings t create a new permissin level. Name and Descriptin Enter a name and ptinal descriptin fr the SharePint permissin level. Permissins Select the detailed permissins fr the new SharePint permissin level by clicking the crrespnding checkbxes. Select Select All t include all permissins. 6. Click OK when finished. The newly-created SharePint permissin level is listed n the Manage SharePint Permissin Level page and the SharePint Permissin drp-dwn lists n the Create Security Mapping page. 22

23 Deplying the Cnnectr Slutin T use the Cnnectr feature in DcAve, yu must first deply the DcAve Cnnectr slutin t yur SharePint farm. There are fur Cnnectr slutins can be deplyed: SP2010CnnectrCntentLibrary.wsp and SP2010CnnectrMediaLibrary.wsp are fr SharePint 2010; SP2013CnnectrCntentLibrary.wsp and SP2013CnnectrMediaLibrary.wsp are fr SharePint Once yu install and deply the DcAve Cnnectr slutin, the Cnnectr feature will be listed in the Site Cllectin Feature List. Chse the slutin t deply accrding t the Cnnectr features yu want t use. The SP2010CnnectrCntentLibrary and SP2013CnnectrCntentLibrary slutins include the DcAve Cntent Library feature, DcAve Cnnectr Library Cnverting feature, and MySite Libraries feature. The SP2010CnnectrMediaLibrary and SP2013CnnectrMediaLibrary slutins include the DcAve Media Library feature. Fllw the steps belw t deply DcAve Cnnectr slutins. 1. Navigate t the DcAve tab > Cntrl Panel > Slutin Manager. 2. Select the target farm frm the Farm drp-dwn list. 3. Check the fllwing checkbxes: SP2010CnnectrCntentLibrary.wsp and SP2010CnnectrMediaLibrary.wsp fr SharePint 2010; SP2013CnnectrCntentLibrary.wsp and SP2013CnnectrMediaLibrary.wsp fr SharePint Click Install in the Actins grup. 4. Once the slutins are installed n the SharePint farm, select the checkbxes belw: SP2010CnnectrCntentLibrary.wsp and SP2010CnnectrMediaLibrary.wsp fr SharePint 2010, r SP2013CnnectrCntentLibrary.wsp and SP2013CnnectrMediaLibrary.wsp fr SharePint Click Deply in the Actins grup. 5. After the slutins are deplyed successfully, the status f the slutins is shwn as Deplyed in the Status clumn. Refer t the Slutin Manager sectin f the DcAve 6 Cntrl Panel Reference Guide fr infrmatin n perfrming mre peratins n the slutins. *Nte: Fr the SharePint 2013 Site Cllectins which are created using the SharePint 2010 template, yu must install and deply the Cnnectr slutins designed fr SharePint Prceed t the next sectin fr infrmatin n activating the Cnnectr features. 23

24 Activating the Cnnectr Features Once the Cnnectr slutin is deplyed, yu can cnfigure Cnnectr settings fr SharePint bjects (including Web applicatins, site cllectins, sites, and Cnnectr libraries) thrugh the DcAve user interface. If yu want t cnfigure Cnnectr settings fr Cnnectr libraries thrugh the SharePint user interface, the Cnnectr features must be activated thrugh DcAve r SharePint after the Cnnectr slutin is deplyed. Activating Cnnectr in DcAve allws a user t activate/deactivate features fr multiple site cllectins at nce, while in SharePint, a user must activate/deactivate site cllectins ne by ne. Refer t the applicable sectin belw t enable the Cnnectr features. Activating Cnnectr thrugh SharePint T activate the Cnnectr features thrugh SharePint: 1. In SharePint, access the site cllectin fr which yu want t activate Cnnectr. Navigate t Site Actins > Site Settings > Site cllectin features. The Site Cllectin Features page appears. 2. Click Activate next t the DcAve Cnnectr Library Cnverting, DcAve Cntent Library, and DcAve Media Library Cnnectr features. This enables the features fr the selected site cllectin. *Nte: The DcAve Cnnectr Library Cnverting feature is used t cnvert the SharePint Dcument library, Frm library, Picture library, and Asset library t a DcAve Cnnectr library. These fur types f SharePint libraries can have Cnnectr settings applied t them after being cnverted t a Cnnectr library. 3. After activating the Cnnectr feature, the status f the feature reads Active in the Status clumn. As fr the MySite Libraries feature, it is activated at the Web applicatin level. After yu navigate t SharePint Central Administratin > Applicatin Management > Manage Web applicatins, select the desired Web applicatin and click Manage Features n the ribbn. Yu can activate the MySite Libraries feature fr the specified Web applicatin. Activating Cnnectr thrugh DcAve T activate the Cnnectr features thrugh DcAve: 1. Frm the Cnnectr tab, click Manage Feature in the Manage grup. The Manage Feature page appears. 24

25 2. Select the Cnnectr feature(s) (Cntent Library, Media Library, Library Cnverting, r MySite Libraries) that yu wish t activate in the View grup. Cnfigure the fllwing settings fr the selected feature(s): a. Tree selectin Select the target destinatin n which yu wish t activate the Cnnectr feature(s). b. Expand the SharePint farm tree t the desired nde and click Activate in the Actin clumn t activate the Cnnectr feature(s) n the specified nde. Alternatively, click Activate All fllwing ne nde t activate the Cnnectr features n all f the ndes under the specified nde. *Nte: If the MySite Libraries feature is activated n the specified Web applicatin, a Cntent library will be autmatically created in the My Site when this My Site is created in the specified Web applicatin. 26 Hw Cnnectr Wrks with SharePint In Cnnectr, there are tw ways yu can link with a file server. One methd is t create a library in SharePint based n a Cnnectr library template, which DcAve installs ut-f-the-bx. Yu can custmize this library, save the library as a template, and reuse it wherever yu wuld like. In this case, the template ID fr the library remains the same, and is a knwn and apprved template fr integratin with Cnnectr s server API. Fr mre infrmatin n this methd, refer t Creating a Cnnectr Library in SharePint. With the secnd methd, yu can cnvert existing SharePint libraries t Cnnectr libraries and mve the cntent frm SharePint t file servers yu cnfigure thrugh DcAve. In this case, Cnnectr references a knwn and tested list f templates. These are mstly ut-f-the-bx SharePint template IDs. Fr mre infrmatin n this methd, refer t Creating a Cnnectin between SharePint and a Strage Path. The cmmn theme fr bth methds is the template ID fr the library. This template ID is imprtant fr tw reasns: When Cnnectr cnverts a library, a Cnnectr Settings link is added t the SharePint library s Settings page. Cnnectr checks the library s template ID against a knwn and tested list f templates at the time f release. Each library can be custmized with different features that require Cnnectr t adapt the way it synchrnizes cntent. Fr instance, a picture library requires that Cnnectr uplad the cntent first t SharePint in rder t generate a thumbnail, while slide libraries require Cnnectr t split strage f each.ppt int individual slides. Fr this reasn, we have pted fr a restricted mdel f deplyment, nly allwing templates that we have verified can be cnverted successfully with all features enabled. *Nte: Fr a table f the SharePint libraries Cnnectr supprts fr cnversin, see Appendix D Custmizatin Supprt Table. In sme cases, yu may have a highly custmized library that Cnnectr fails t cnvert. The reasn fr this is that the custmized SharePint library s template ID is nt in the apprved cnversin list. 27 Creating a Cnnectin between SharePint and a Strage Path With DcAve Cnnectr, yu can create a cnnectin between ne r mre SharePint libraries and ne r mre file share r clud strage paths. In effect, yu are cnverting an existing SharePint Dcument library/frm library/picture library/asset library t a Cnnectr library with a cnfigured strage path. The cnnectin can be made at the Web applicatin, site cllectin, site, r library level; hwever, it is mst cmmn fr end-users t make this cnnectin at the library level. *Nte: T directly cnnect strage path cntent t a SharePint library, cnfigure a cnnectr path n the Library Level. This is especially cmmn when yu re lking t enable team-sites fr users wh already have an existing file share. *Nte: When cnnecting Web Applicatin, Site Cllectin, r Site Level r multiple libraries t a file share, DcAve Cnnectr creates subflders in the file share that reflect the hierarchy f the farm ndes selected. This is especially cmmn when yu re lking t enable My Sites fr an enterprise Web applicatin, but maintain hme drives r file shares underneath. Regardless f the level that the cnnectin is cnfigured n, nly DcAve Cnnectr libraries (Cntent Library/Media Library) and the fur types f SharePint libraries (Dcument library/frm library/picture library/asset library) are actually cnnected t the strage path. In sme cases, yu may want t cnvert an existing custm SharePint library. Fr mre infrmatin, refer t Adding Custmized SharePint Libraries t the Cnnectr-Apprved List f Templates. Once the cnnectin is made and a synchrnizatin jb is run, any cntent that is upladed t the SharePint library is stred in the cnnected strage path (instead f in the SharePint SQL database). What exists in the SQL database is a stub, nt the actual data. Hwever, cntent in the SharePint library appears and functins nrmally, as thugh the actual data was still stred in SQL. DcAve references a knwn and tested list f SharePint templates available at the time f a release. These are mstly ut-f-the-bx SharePint template IDs, s if yu are attempting t cnvert a highlycustmized SharePint library, yu will need t manually add the template ID t the apprved list. Fr mre infrmatin, refer t Adding Custmized SharePint Libraries t the Cnnectr-Apprved List f Templates. Overview The Cnnectr settings fr the Web applicatin, site cllectin, and site levels are divided int tw parts: Cnfigure Path and Cnfigure Sync Settings. In the Cnfigure Path wizard, yu can cnfigure the strage path and enable the libraries that yu want t inherit the strage path. 27

28 In the Cnfigure Sync Settings wizard, yu can cnfigure Sync settings such as mapping settings and schedule settings. *Nte: Only Cnfigure Path is supprted at the library level. Sync settings are nt cnfigurable at the library level, s the Cnfigure Sync Settings ptin is nt available fr libraries. Cnfiguring the Cnnectr Path T cnnect a SharePint library t a strage path, cmplete the fllwing steps: 1. Frm the Scpe panel, select the bject that yu wish t cnnect t a strage path. 2. Click the Cnfigure Path drp-dwn in the Settings grup and select Cnfigure Path. 3. Refer t the apprpriate sectin belw depending upn the level yu selected. Web Applicatin, Site Cllectin, r Site Level *Nte: By default, the Web applicatin, site cllectin, and site levels supprt nly Net Share strage. DcAve Cnnectr als supprts clud strage and HDS Hitachi Cntent Platfrm strage n the Library Level, in additin t NetShare. T cnfigure the Cnnectr settings n the Web applicatin, site cllectin, r site level: 1. Fllw the instructins in Cnfiguring the Cnnectr Path t select a nde. 2. Cnfigure Strage Path appears. Cnfigure a physical strage path t cnnect t the desired ndes in yur SharePint envirnment. Fr infrmatin regarding inheritance, refer t Managing Inherited Cnnectr Settings. a. Managed Path (Web applicatin level nly) Specify the managed path where yu want t cnfigure the Cnnectr settings. The site cllectins and sites under the selected managed path inherit the Cnnectr settings frm the Web applicatin autmatically; the libraries under the selected managed path inherit the Cnnectr settings frm the Web applicatin autmatically nly when they are enabled in the Enable Library step. Other bjects that d nt belng t the selected managed path d nt inherit the Cnnectr settings frm the Web applicatin. After specifying a managed path, click the Add Selected Managed Path t add it. Yu can add several managed paths. b. Strage Type Select the strage device type. Only the Net Share strage is supprted fr the Web applicatin, site cllectin, and site levels. 28 Net Share Specify the Net Share path whse cntent will be synchrnized t the Cnnectr library created in the specified nde. Then, enter the Username and Passwrd t set up access t this existing Net Share path, where data upladed in SharePint will als be written and stred. This will be the default rt strage path fr all the Cnnectr Libraries created under the selected

29 nde. The Extended parameters ptin is shwn if the Advanced ptin is enabled. The Extended parameters ptin allws yu t add custmized prperties t cnfigure the advanced settings fr the strage path. 3. Click Next when finished. The Enable Library page appears. 4. Enable Library Using the tree t the right, navigate dwn t the library level. Select the libraries where yu want t enable the Cnnectr settings. The checkbxes fr the libraries that already have Cnnectr settings cnfigured are nt available in the tree. 5. When finished, click Next. The Overview page appears. 6. Review and edit the Cnnectr settings in the Overview page. Click Back t mdify yur cnfiguratin, click Finish t cmplete the cnfiguratin, r click Cancel t quit. After clicking Finish, flders are generated in the strage path yu specified in the UNC Path field in the frmat UNC Path\Site Cllectin Name\Site Name\Library Name. The cntent in each library is stred in the crrespnding path/flder in the strage lcatin. Library Level Mst end-users will cnfigure a Cnnectr strage path n the library level t directly cnnect existing file share cntent t a SharePint library. DcAve Cnnectr supprts clud strage and HDS Hitachi Cntent Platfrm strage n the library level, in additin t Net Share. The Cnnectr settings at the library level can als be cnfigured frm SharePint. Refer t Cnfiguring Cnnectr Library Settings using the SharePint Interface fr details. T cnfigure a Cnnectr path n the library level in DcAve: 1. Fllw the instructins in Cnfiguring the Cnnectr Path t select a nde. 2. The Settings and Path page appears. 3. Use path frm parent is selected by default if the strage path is already cnfigured at the site level; if it is checked, the library inherits the strage path frm its parent site. The UNC Path and Username fields cannt be mdified, but the Passwrd is required. If unchecking this ptin, 29

30 yu can specify a unique strage path fr the library. If the parent site is nt cnfigured t any strage path, this ptin is nt available in the library cnfiguratin page. Fr infrmatin regarding inheritance, refer t Managing Inherited Cnnectr Settings. 4. Select a Strage Type frm the drp-dwn list: a. Net Share Specify the path yu want t synchrnize with this library, and then enter the Username and Passwrd t set up access t the path t which data will be written. Clicking Advanced displays the Extended Parameters ptin, and it allws yu t manage the advanced settings fr the strage path, fr example, the authenticatin methd used t access the strage path. Refer t the Net Share sectin in DcAve 6 Cntrl Panel Reference Guide fr infrmatin n the available prperties in the Extended Parameters ptin. b. HDS Hitachi Cntent Platfrm Specify the primary Namespace Address and an ptinal secndary Namespace Address where data will be stred. Enter a Rt Flder t be the exact strage lcatin. Then, enter the Username and Passwrd t set up access t the specified namespace. Clicking Advanced displays the Extended Parameters ptin, which allws yu t manage additinal settings. Refer t the HDS Hitachi Cntent Platfrm sectin in DcAve 6 Cntrl Panel Reference Guide fr infrmatin n the available prperties in the Extended Parameters ptin. c. Clud Strage Select a Clud Type frm the drp-dwn list. There are several ptins: RackSpace Clud Files, Windws Azure Strage, Amazn S3, EMC Atms, AT&T Synaptic, and Drpbx. If yu are cnfiguring a Media Library, there is ne mre ptin available fr strage type: d. Net Share with WMS If yu are cnfiguring a Media Library, this ptin is available t cnnect the vides stred in this path t the Windws Media Service. Thrugh the use f Net Share with WMS strage, vides can be played using Windws Media Service. *Nte: The Windws Media Service must already be assciated with the Net Share path. 5. Synchrnizatin Mde Select the synchrnizatin mde that will be used: *Nte: T review synchrnizatin mde behavirs fr certain actins in SharePint r a strage system, refer t the table in Appendix F Synchrnizatin Mde Behavirs in SharePint. *Nte: This field is added since DcAve 6 SP2 CU1. When upgrading DcAve frm ne versin lder than DcAve 6 SP2 CU1, meaning n synchrnizatin mde has been cnfigured befre the DcAve upgrade, Sync changes made in SharePint t the strage path and lad new files frm the strage path will be used after the DcAve upgrade. Sync changes made in SharePint t the strage path Select this ptin if files are nly being added, mdified, r deleted thrugh the SharePint interface. Files added n 30

31 the file server will nt be synchrnized t SharePint. Deletins and mdificatins n the file server are nt supprted and culd cause lss f data in SharePint. Refer t AvePint s Supplementary Tls User Guide fr instructins n cleaning up rphan stubs. *Nte: We strngly recmmend that yu chse Sync changes made in SharePint t the strage path as the synchrnizatin mde. Micrsft insists that RBS strage lcatins are nt mdified r accessed withut risking pssible incnsistencies between SharePint and the actual files. Sync changes made in SharePint t the strage path and lad new files frm the strage path Select this ptin if files are being added, mdified, r deleted thrugh the SharePint interface, and new files are regularly being added t the strage lcatin. If selecting this ptin, the changes made in SharePint will be synchrnized t the strage path, and the newly added files in the strage path will be synchrnized t SharePint. 6. Permissins fr End User Select the permissin levels in rder t specify which end-users can perfrm synchrnizatin. All the permissin levels that are equal t r bigger than the unin f the fllwing three permissins will be listed here: Add Items, Edit Items, Delete Items. The end-users with any ne f the listed permissins can perfrm a synchrnizatin peratin. Nte that Full Cntrl and Site Cllectin Administratr are selected by default. 7. Lad Permissins frm File System By default, the library inherits permissins frm its parent site. If yu select this ptin, the library permissins inherited frm the parent site are brken. Instead, the strage path permissins are synchrnized t the library after running the synchrnizatin jb. This ptin is nly fr the Net Share and Net Share with WMS strage types. Lad the rt flder s permissins nly If yu select this ptin, the library permissins inherited frm the parent site are brken after the synchrnizatin. The library permissins are replaced with the rt flder f the strage path s permissins (that is, the permissins f the strage path). The files and flders under the library inherit the permissins frm the library. The permissins can nly be applied during the first synchrnizatin. Lad and preserve all the items permissins frm file system If yu select this ptin, the library permissins inherited frm the parent site are brken, and the item (flder/file) permissins will be the same as the permissins in the file system after the synchrnizatin. The rt flder and sub-flder permissins in the strage path are synchrnized t the library. The permissins can nly be applied during the first time that the item is synchrnized t SharePint. 8. Lad Metadata frm File System Specify whether t lad metadata frm file system while lading files and flders frm it. Nte that the metadata can nly be laded during the first synchrnizatin with SharePint. This ptin is nly fr the Net Share and Net Share with WMS strage types. 31

Keep Name Cnsistent Specify whether t keep the filenames in the Cnnectr library and strage path cnsistent: Disabling this ptin results in the filenames being mdified in SharePint during synchrnizatin accrding t the mapping rules. The filenames in the strage path will nt change. Enabling this ptin results in the filenames in the strage path being cnsistent with the filenames in SharePint (after synchrnizatin). If file r flder names cntain special characters, enabling this ptin will result in the filenames in the strage path being cnsistent with the filenames in SharePint (after synchrnizatin). The flders names will nt be affected. 10. File Size Limitatin Select Allw linking large file (larger than 2GB) t allw data that is larger than 2GB t be linked frm the strage device and synchrnized between the strage device and SharePint. *Nte: Due t SharePint limitatins, nly a link will be upladed t SharePint fr an item ver 2 GB in size. Nte that files larger than 2 GB can cause sme issues in SharePint: The cntent type f a large file cannt be changed. Generating a versin f a large file results in nly a link in SharePint. If cnfiguring a Media Library, there are three mre Cnnectr settings t cnfigure: Player, Thumbnail Settings, and Rich Text Settings. 1. Player Cnfigure the settings fr the media player. Player size Custmize the size f the player screen. Enable aut play Enables the vides t play autmatically nce the vide icn is clicked. 2. Thumbnail Settings When the Custmize the size f thumbnail ptin is enabled, yu can specify a value fr the size f thumbnail. Specify a size between 50 and 250 pixels. 3. Rich Text Settings This feature allws yu t add a buttn in the clumn f Rich Text type t play vides. This prvides a methd t enable the vide fr each item n the current site. The fllwings are the detailed steps t use this feature. a. In the Media Library Settings page, select Enable vide player in Rich Text fr the entire site. Click Save t save the setting. b. Cnfiguring Cnnectr Library Settings using the SharePint Interface It is pssible t cnfigure initial Cnnectr settings fr the library level frm either the DcAve GUI r frm SharePint. Only the library level can be cnfigured frm bth the DcAve GUI and SharePint. Other levels (such as Web applicatin, site cllectin, and site) are cnfigurable nly frm the DcAve GUI. The Cnnectr setting ptins fr the library level are exactly the same n bth the DcAve GUI and SharePint. The Library Level sectin details hw t cnfigure Cnnectr settings fr the library level frm the DcAve GUI. Schedule Selectin Chse whether r nt t synchrnize the cntent between the strage path and SharePint peridically. N Schedule Des nt cnfigure any schedule t synchrnize data. If yu select this ptin, yu must run the synchrnizatin jb manually frm SharePint. Cnfigure the schedule myself When yu select this ptin, the Schedule Settings ptin and Prcessing Pl ptin becme available. Schedule Settings Specify the start time and interval fr the schedule. Click the calendar icn r Calendar View t the Interval field t view the interval in the calendar. Then, specify an end time fr the schedule and a date t end the schedule. Ntificatin Select a ntificatin prfile, and click View besides the drp-dwn list t cnfigure the ntificatin setting; r select New Ntificatin Prfile t create a new ntificatin prfile. Delay Deletin Set the duratin fr cmpletely deleting the deleted files in the _d flder under the.fsdl flder in the strage lcatin. Days/Weeks/Mnths can be selected frm the drp-dwn list. The delay duratin is 30 days by default. T prtect 34

35 the data, while deleting the files in the strage lcatin, the deleted files will be put int the _d flder under the.fsdl flder in the strage lcatin. 3. Click OK t save the sync settings; r click OK and Sync Nw t save the sync settings and run the synchrnizatin jb immediately. Cnfiguring the Prcessing Pl The Prcessing Pl feature allws yu t cntrl the maximum number f synchrnizatin jbs that can be run at the same time. Nrmally, a synchrnizatin jb is fairly resurce-intensive, s running multiple synchrnizatin jbs simultaneusly may affect the perfrmance f the server. T avid this cnditin, use the Prcessing Pl feature t limit the number f simultaneus synchrnizatin jbs. Synchrnizatin jbs that are added int the Prcessing Pl becme threads. The number f threads yu allw in the prcessing pl is the maximum number f synchrnizatin jbs that can be run simultaneusly. The remaining synchrnizatin jbs are placed in a queue. Each SharePint farm has a default prcessing pls: DcAve_Farm(FarmName). The number f threads set in the default prcessing pl is 5. T create a new Prcessing Pl, cmplete the fllwing steps: 1. Click Cnnectr tab > Prcessing Pl in the General Settings grup. 2. Click Create in Manage grup n the Prcessing Pl tab. The Prcessing Pl page appears. 3. Enter a Prcessing Pl Name and an ptinal Descriptin. 4. Select the Farm frm the drp-dwn list. 5. Select an Agent Grup frm the drp-dwn list. The Agents in the specified Agent grup are used by this Prcessing Pl t perfrm synchrnizatin jbs. Fr mre infrmatin abut creating Agent grups, refer t the DcAve 6 Cntrl Panel Reference Guide. 6. Specify the Maximum Number f Jbs that will be used fr the synchrnizatin jbs. Fr example, if yu enter 8 in this field, then 8 synchrnizatin jbs can be run at the same time. Managing Inherited Cnnectr Settings The site cllectin, site, and library levels autmatically inherit Cnnectr settings frm their parent ndes. With regards t inherited Cnnectr path settings, when setting up a cnnectin between SharePint and a strage device, inheritance is just a recmmendatin. The cnnectin between SharePint and the strage device is actually a cnnectin between a SharePint library and the strage device, as the library is inheriting the settings cnfigured n the parent nde. Only Cnnectr settings n the library level have an effect n the cnnectin relatinship between SharePint and strage. 35

36 If this default inheritance lgic is acceptable, then it is nt necessary t cnfigure Cnnectr settings (such as Strage Path and Mapping Settings) at each level manually. Inheritance saves time by nly requiring the afrementined settings t be cnfigured nce, as each library in a particular nde inherits the settings frm its parent nde. If desired, yu can break inheritance and cnfigure unique Cnnectr settings fr each level. As mentined previusly, nly the Cnnectr settings n the library level have an effect n the cnnectin relatinship between SharePint and the strage device. If yu want t break inheritance, select the child nde beneath the cnfigured parent nde and select Cnfigure Path and Cnfigure Sync Settings t cnfigure unique setting fr the selected nde. Refer t the descriptins belw fr the inheritance details f each level. Site Cllectin If the upper-level Web applicatin has Cnnectr settings cnfigured n it, by default, the site cllectins belw it inherit the Cnnectr settings. T break inheritance, access the Cnfigure Path and Cnfigure Sync Settings features t cnfigure unique settings fr the selected site cllectin. In this case, it is necessary t run the synchrnizatin jb frm SharePint manually. Adding Custmized SharePint Libraries t the Cnnectr- Apprved List f Templates The apprved list that Cnnectr ships with des nt cntain templates ther than ut-f-the bx apprved templates, since AvePint cannt guarantee supprt and cmpatibility fr changes made by custmers r ther vendrs. Als, these template IDs are nt universally unique fr the entire SharePint ecsystem, s we must avid unknwingly apprving a template that has nt been tested. Hwever, in anticipatin f the need fr cnverting custm libraries, Cnnectr des prvide a way t manually add t the apprved list. Befre perfrming the steps belw, it is recmmended that yu archive a cpy f the.cnfig file befre making changes t it. In additin, AvePint recmmends that yu test the library with all functins first (synchrnizatin, mdificatins, search, wrkflw, and ther nrmal user activity) t ensure cmpatibility befre mdifying this file in yur prductin envirnment. In terms f maintenance, be sure t back up the mdified.cnfig file s that yu can leverage it fr all future versins f DcAve, ensuring that yur list f knwn and tested templates is maintained. 1. Open the Manager server. 2. Lcate the CntrlCnnectrTemplates.cnfig file in the fllwing flder path: \AvePint\DcAve6\Manager\Cntrl\Cnfig\Cnnectr. 3. Open the CntrlCnnectrTemplates.cnfig file using Ntepad. 4. Fr this example, assume that yur template ID is Lcate the fllwing cde in the.cnfig file, and add yur library s template ID t the list: <CnnectrTemplates> <Template value="109" /> <Template value="851" /> <Template value="115" /> <Template value="31000" /> </CnnectrTemplates> 5. 38 Remving Cnnectr Settings The strage path cnfiguratin and sync setting cnfiguratin can be remved frm Web applicatins, site cllectins, sites, and libraries using the Remve Sync Settings feature. Applying this feature remves the cnnectin between SharePint and the strage path. T remve the strage path cnfiguratin: Frm the Cnnectr tab, select the target nde n the farm tree, click Cnfigure Path in the Manage grup, and select Remve Path. The cnnected strage path is remved frm the selected nde. T remve the sync setting cnfiguratin: Frm the Cnnectr tab, select the target nde n the farm tree, click Cnfigure Sync Settings in the Manage grup, and select Remve Sync Settings. The sync settings fr the selected nde are remved. *Nte: The Remve Sync Settings ptin is nt available fr the library level, as the library level des nt supprt cnfiguratin f sync settings. *Nte: T make sure the synchrnizatin jbs cnfigured at higher levels can run nrmally, AvePint recmmends remving the strage path settings frm the specified Cnnectr library befre deleting that library. T delete the strage path settings fr all f the Cnnectr libraries inside a specified site cllectin/site in bulk, AvePint recmmends using the Cnnectr API. Fr mre infrmatin, refer t AgentCmmnCnnectrAPI.chm lcated in the DcAve Agent installatin directry, which is \AvePint\DcAve6\Agent\Dcuments\SDK\Cnnectr by default. 38

39 Creating a Cnnectr Library in SharePint After activating the Cnnectr features, yu can specify a strage path in DcAve r SharePint, and create a Cnnectr library in SharePint. When a Cnnectr library is created in SharePint, all files upladed t the library are autmatically mved t the specified strage device path rather than remaining in SQL strage. While mapping fr permissins can be cnfigured, it s imprtant t remember that applying unique bject-level permissins is nt a recmmended best practice in SharePint. Yu can make the determinatin at the time f creatin whether a library will reuse file system security r simply inherit frm its SharePint site, but we strngly recmmend the latter. The tw types f Cnnectr libraries are Cntent Library and Media Library. Neither library has restrictins n the file types that can be upladed t them, but the Media Library cntains the fllwing special functinality: Media Libraries allw fr the viewing f certain file type thumbnails. Refer t Viewing Thumbnails in the Media Library fr mre details. The play times f vide files stred in Media Library can be recrded in SharePint s Audit Lg. The vide playing actin is included in the Opening r dwnlading dcuments, viewing items in lists, r viewing item prperties event. Ensure that this event ptin is selected n the Cnfigure Audit Settings page when yu are cnfiguring audit settings fr recrding play times f vides in SharePint. It is easy t lcate the URL f a vide file currently being played in Media Library. The file title n the tp f the player is a link; click it t jump t a webpage that will play the current vide file. The URL in the address bar f this webpage is the URL f the vide file being played. Cpy this URL and paste as needed. Yu are able t play media files that are larger than 2 GB in the Media Library. There is n size limitatin t the media files that are played in this library. *Nte: When cnfiguring Cnnectr settings fr the library, take nte f the File Size Limitatin setting. If this ptin is unchecked, the files upladed int the library must be n mre than 2 GB. If this ptin is checked, files that are larger than 2 GB can be upladed t the library. T create a Cnnectr library (Cntent Library/Media Library) in SharePint: 1. In SharePint, access the site where the Cnnectr feature is activated. 2. Click Site Actins n the upper-left crner f the page and select Mre Optins in the drpdwn list. Lcate Cntent Library/ Media Library under the Libraries clumn. Select the library yu want t create. Name and Descriptin Enter the name f the library and the ptinal descriptin. Navigatin Specify whether t display this library n the Quick Launch. 39

41 Using a Cnnectr Library After creating a Cnnectr library and synchrnizing the cntent, access the Library page and manage yur library. The AvePint Cnnectr tab is unique t DcAve Cnnectr libraries. Using the Dcument Tab New Dcument Creates a new dcument in this library. Uplad Dcument Uplads ne file r multiple files t this library. Nte that there is nly the file s stub in the SharePint library; the upladed file(s) are saved in the specified flder in the cnnected path. Yu can als click Uplad Large Dcuments t uplad t the library dcuments that are larger than 2 GB. New Flder Creates a new flder in this library. Edit Dcument Opens the selected dcument fr editing. Check Out The checked-ut dcument becmes read nly and cannt be edited. *Nte: When yu check ut ne file in the Cnnectr library (Cntent Library/Media Library) in SharePint, the attribute f the crrespnding file stred in the Net Share strage is changed t Read Only t make sure the crrespnding file in the Net Share strage is als lcked fr editing when it is checked ut in SharePint. After yu check in the file r discard the check-ut, the riginal attribute f the file is then recvered in the Net Share strage. Check In Checks in the dcument that yu checked ut and accepts the changes made during the check-ut. Discard Check Out Checks in the dcument that yu checked ut and discards the changes made during the check-ut. View Prperties Views the selected file s prperties. Edit Prperties Edits the selected file s prperties. Versin Histry Views and manages the versin histry f the selected file. Manually Synchrnizing the Library with the Cnnected Path If yu did nt set up a schedule when cnfiguring the sync settings fr yur cnnected library, the library and strage path need t be manually synced; this ensures that the library stubs are displaying the mst current cntent that exists in the strage path. Yu can manually synchrnize the library with the cnnected path in either DcAve r SharePint. Managing Stubs Refer t the sectins belw t manage the Cnnectr stubs. Cnverting Stubs t Cntent After running a synchrnizatin jb, Cnnectr mves the data t the strage path and creates stubs in SharePint in place f the riginal data. This functin is nly supprted fr Net Share and Net Share with WMS strage types. Fr mre details, refer t the infrmatin belw. The Excel Metadata feature is used t exprt metadata frm a file system t an Excel file that is stred in the cnnected path: \CnnectrMetadata\Cnnectr_MetadataFile.xlsx. After enabling the Lad Metadata frm File System feature, the metadata stred in the Excel file will be synchrnized t SharePint while running the synchrnizatin jb. Yu can mdify the Excel file t add new metadata, r mdify the existing metadata in the Excel file. *Nte: This feature nly take effect n the file which is t be synchrnized t SharePint fr the first time.
