1 Hw t Guide DcAve Extender fr MOSS 2007 and SPS 2010 Installing DcAve Extender and Cnfiguring a Basic SharePint t Clud Extensin This dcument is intended fr anyne wishing t familiarize themselves with the initial setup and basic functinality f AvePint s DcAve Extender fr Micrsft Office SharePint Server 2007 and SharePint Server It is geared tward users wh are nt familiar with the DcAve prduct line and are installing and using DcAve fr the first time. 2 Befre Yu Begin Abut This Guide This guide will walk yu thrugh a basic installatin and cnfiguratin f the DcAve Platfrm and the DcAve Extender mdule fr yur SharePint envirnment. This guide is meant nly fr SharePint Farm Administratrs wh have advanced knwledge f SharePint and wish t ptimize their strage envirnment. DcAve Extender Overview DcAve Extender is a unique tl that can extend yur SharePint strage beynd SQL t imprve perfrmance and Scalability. Binary Large Objects (BLOBs) can cnsume up t 80% f SQL Server strage and nt nly cntribute t pr database perfrmance, but als significantly impact user experience. Rather than place this cntent within SQL, DcAve Extender instantly fflads it t file-based strage, ptimizing SQL database. Leveraging Micrsft s BLOB strage APIs, DcAve Extender analyzes the file size f all cntent being upladed t SharePint and instantly rutes thse files that exceed custmizable file size triggers t the apprpriate strage. Thugh it never resides within SQL, this cntent is fully accessible and manageable via SharePint, where end-users can search fr, access, and cllabrate upn it just as if it was residing in SharePint s SQL cntent database. Fully custmizable triggers allw administratrs t dictate exactly what files are transitined t file-based strage, delivering effective and nimble BLOB (Binary Large Object) management. All cntent transitined t file-based strage via DcAve Extender remains fully supprted by native SharePint indexing, search, and ther management tls, including wrkflws, versining, and alerts. With DcAve Extender deplyed, rganizatins can ensure that their SQL strage resurces are efficiently managed, and can therefre scale their SharePint infrastructure Page 2

3 Installatin Requirements The system requirements and supprted platfrms fr DcAve: DcAve System Requirements DcAve Manager and Agent (fr all services running n a single server): Cmputer and Prcessr: PC with an Intel Pentium III-cmpatible 1000-MHz prcessr minimum, Intel Pentium 4-cmpatible prcessr recmmended. Memry: 2GB f RAM minimum, 4GB recmmended. Hard Disk: 1GB f available space minimum, 3GB recmmended. OS: Requires ne f the fllwing: Micrsft Windws XP, Micrsft Windws Server 2008, Micrsft Windws Server 2003 Standard Editin, Windws Server 2003 Enterprise Editin, Windws Server 2003 Datacenter Editin, r Windws Server 2003 Web Editin (includes x64 editins). Framewrk:.NET Framewrk v2.0 and higher. Supprted Platfrms: DcAve Supprts the fllwing Platfrms: Micrsft Office SharePint Micrsft Office SharePint Server (MOSS) 2007 (x86 and x64) with Service Pack 1 (r higher) Windws SharePint Services (WSS) v3 (x86 and x64) with Service Pack 1 (r higher) SharePint Server 2010 Release Candidate Build (ther versins have nt undergne full QA testing) Micrsft Windws Server Windws Server 2003 (x86 and x64) Windws Server 2008 (x86 and x64) Windws Server 2008 R2 (x86 and x64) SQL Server Security Permissins SQL Server 2000 (x86 and x64) SQL Server 2005 (x86 and x64) SQL Server 2008 (x86 and x64) The accunt perfrming the installatin must be the farm administratr accunt The accunt running the Extender Jbs must have: Read/Write Access t the SharePint Database. 4 Installatin DcAve Extender, like all DcAve prducts, is installed in tw parts: the DcAve Manager which cntrls all f the back-end DcAve Services, and the DcAve Extender Agent which executes the DcAve Jbs. The fllwing steps will walk yu thrugh installing each f these parts: Installatin Steps First, install the DcAve Manager: 1. Dwnlad the DcAve Manager Installer n t the machine yu plan t use as the DcAve Manager. 2. Unzip the package t the lcatin where yu wish t install the DcAve Manager. 3. Run the Setup.exe file fund in the unzipped directry. 4. This will run the DcAve Manager Installatin wizard. Enter in yur name, rganizatin, and gegraphic lcatin. 5. Review the Sftware License Agreement and select I accept the terms in the license agreement. Click Next. 6. Click Brwse t specify the installatin flder, r click Next t install DcAve t the default lcatin. 7. Select the Services yu wish t install as a part f the Manager. Yu must install the Cntrl Service, the Media Service, and the Web Service fr DcAve Extender t functin prperly. We recmmend leaving all services selected t fully leverage yur cmplete DcAve dem. Nte; If yu wish t install the Reprting Service yu must specify the SQL server where the reprt data will be hused. 8. If yu wish t cnfigure an MS SQL Database, click the Advanced Cnfiguratin buttn and select MS SQL. Wait fr the installer t gather infrmatin abut yur envirnment and then fill in the fields t cnnect t yur SQL databases. 9. Once yu have cnfigured any necessary Service ptins, click Next. 10. Review the Installatin Setup and click Install. 11. Once the installatin has cmpleted the Manager Cnfiguratin windw will be displayed. Yu must adjust these ptins if any knwn prt cnflicts ccur in yur envirnment, therwise leave these settings as the default prts and click Cnfirm. Mre infrmatin regarding these ptins can be fund in the DcAve User Guide. 12. The DcAve Manager is nw installed in yur SharePint envirnment. Next, install the DcAve Agent: 1. Dwnlad the DcAve Agent Installer n t the machine yu plan t use as the DcAve Agent server. Page 4

5 2. Unzip the package t the lcatin where yu wish t install the DcAve Agent. 3. Run the Setup.exe file fund in the unzipped directry. 4. This will run the DcAve Agent Installatin wizard. Click Next. 5. Enter in yur name, rganizatin, and gegraphic lcatin. 6. Review the Sftware License Agreement and select I accept the terms in the license agreement. Click Next. 7. Click Brwse t specify the installatin flder, r click Next t install the DcAve Agent t the default lcatin. 8. Review the Installatin Setup and click Install. 9. Once the installatin has cmpleted the Agent Cnfiguratin windw will be displayed. Yu must enter in an accunt with administrative privileges in the User accunt field, and adjust the remaining ptins t match the Manager Cnfiguratin (typically nly if yu altered any during the manager cnfiguratin.) Mre infrmatin regarding these ptins can be fund in the DcAve User Guide. 10. Under the Agent Type, click the Strage Optimizatin tab. Select the Extender checkbx and click Next. Yu can enable additinal agents here t perfrm a full install f yur DcAve dem. Mre details n these prducts can be fund n ur website. 11. The DcAve Extender Agent is nw installed in yur SharePint envirnment Cngratulatins! Yu have cmpleted the installatin wizards fr DcAve Extender. Page 5

6 Accessing DcAve Once yu have successfully installed bth the DcAve Manager and Agent, yu can nw access the DcAve interface thrugh an Internet Explrer. Accessing DcAve: 1. Open up an Internet Explrer brwser frm a cmputer within yur DcAve netwrk. 2. In the Address Bar, Enter the DcAve address. a. Fr HTTPS envirnments: b. Fr secure envirnments: Where <servername> is the hst machine where the DcAve Manager was installed. Nte: if DcAve des nt pen, ensure that pp-ups are enabled fr this sessin. 3. Lg in using the default administrative credentials: a. Username: admin b. Passwrd: admin Yu may change the lg in credentials by fllwing the steps in the Change Lgin Credentials sectin at the end f this dcument. As a best practice, yu shuld change the administratr passwrd after the first lgin. 4. Yu are nw at the DcAve Welcme Screen. Page 6

7 Extender Cnfiguratin Befre running any Extender peratins, yu must first enable EBS and add strage devices in DcAve: Enabling External Blb Strage (EBS/RBS fr SPS 2010) Extender utilizes EBS technlgy t remve the data frm SQL strage. Yu must enable EBS n yur SharePint farm befre utilizing extender r any f the strage ptimizatin tls 1. Frm the DcAve Welcme Screen, click the Strage Optimizatin Tab. Hver ver Settings and then click n EBS Prvider Settings. 2. Select yur farm n the left. Click the Enable Buttn. Adding Physical and Lgical Devices Befre yu can mve any files t external strage, yu must cnfigure hw DcAve will cnnect t the external strage lcatins. It is imprtant t nte that the device yu select t stre yur extended data shuld use Tier 1 strage, as Extender will be remving active SharePint data frm the SQL Server. Als, be sure t maintain the same high-quality netwrk cnnectin between yur strage device and yur SharePint WFEs as yur cnnectin between the SharePint WFEs and SQL Server. First, add in the physical strage devices present in yur envirnment that yu wish t use as Extender strage. 1. Click the Cntrl Panel buttn n the tp-right. 2. Hver ver Data Management, and then click n Device Manager. 3. Click the Strage Radi Buttn next t Device Type 4. Select the Data Type f the physical device yu wish t add frm the middle clumn Net Share Select this ptin if the drive yu wish t extend t is muntable using UNC FTP Select this ptin if the drive yu wish t extend t uses FTP prtcl. TSM Select this ptin if the drive is an IBM Tivli Strage Managed Device EMC Centera Select this ptin if the device yu wish t extend t is an EMC Centera Strage Device Clud Strage Select this ptin if the device yu wish t extend t is a Clud Strage Device. Currently DcAve supprts Amazn S3, Micrsft Azure, and RackSpace Clud Strage. 5. Click the Add buttn in the right hand physical device clumn. A pp-up will appear allwing yu t cnfigure additinal ptins fr this type f drive. Click Save when yu have entered in all f the required infrmatin. After yu have added all f the physical devices, yu will nw arrange them in t Lgical Devices (yu can cmbine multiple physical devices in t ne lgical device). Begin by cnfiguring the lgical device where yu will huse the SharePint index fr the extended files. This is where the index f the archived data will be stred and accessed by SharePint: Page 7

8 6. Cntinue frm the Device Manager screen after adding yur physical devices 7. Click the Strage Radi Buttn next t Device Type 8. Cnfigure the remaining Lgical Device Optins: Lgical Device Name: Input a name fr the device, this is hw it will be referenced thrughut DcAve. Lgical Device Type (Ignre this step if yu are cnfiguring any ther Data Type than Net Share) select ne f tw ptins: Lad Balanced: This device will be added t the DcAve lad balancing pl and will handle verflw frm ther drives as necessary. Dedicated: This device will nly be used fr jbs it is explicitly specified t handle. Data Type: select ne f five ptins based n yur current system set up. The physical devices present in yur envirnment that yu can add t this lgical drive will be displayed under the physical device clumn n the right. These types are listed in step fur. Tier: Leave this ptin at Tier 1. DcAve allws yu t cnfigure tiered strage and will mve data t each tier based n business rules yu specify. 9. Drag and drp the physical devices frm the right hand clumn in t the middle clumn underneath the Physical Device Clumn. 10. Click n the Media Service Tab. Drag and Drp the media service (created autmatically during the manager installatin) frm the right hand clumn in t the middle clumn underneath the Media Service Clumn 11. Click Save. Click OK t cnfirm that the device was created successfully. Next, cnfigure the Cntent Strage lgical device (if yu plan t stre bth the index and the archived data n the same lgical device yu may skip this) by creating anther lgical device. 1. Cntinue frm the Device Manager screen after adding yur Index Lgical Device. 2. Click the New Buttn. 3. Repeat the creating a new lgical device prcess by fllwing steps seven thrugh eleven abve. Cnfiguring an Extender Plicy This sectin will walk yu thrugh cnfiguring an Extender plicy fr yur SharePint cntent: Specifying the Index Lcatin First, cnfigure where the SharePint index will be hused. 1. Click the Strage Optimizatin tab. Hver ver Extender and click n Extender settings. 2. Select yur SharePint farm frm the drp-dwn in the right hand clumn. Page 8

9 3. Click n the farm flder that appears belw the drp-dwn. 4. A pp-up will appear prmpting yu t set the lgical device fr this farm s index data. Click the G t Index Lcatin buttn. 5. In the Extender rw, select the lgical device yu created fr the index data in the previus steps in the Index Lgical Device drp-dwn. 6. Click the Apply buttn. Click OK in the pp-up that appears. Creating the Extender Plan After yu have specified the SharePint index lcatin, return t the Extender Settings and cnfigure the extender plan: 1. Click the Strage Optimizatin tab. Hver ver extender and click n extender settings. 2. Select yur SharePint farm frm the drp-dwn in the right hand clumn. 3. Click n the farm flder that appears belw the drp-dwn. 4. Wait fr yur farm t lad, yu can then begin selecting the cntent yu wish t Extend. Clicking nce n a checkbx selects that item and all f its sub-items. Yu can als click n the blue flders t expand t individual sub-items yu wish t include in the scpe. 5. After yu have selected the cntent yu wish t extend, cnfigure the remaining extender ptins: 1. Farm Prperty: Default Lgical Device: This field shuld be autmatically ppulated with the lgical device yu specified t huse yur index in the previus steps. 2. Web Applicatin Prperties: Extend Existing Cntent: If selected, Extender will extend the existing cntent frm the surce SharePint lcatin in t the lgical device specified. Set new maximum uplad size f the web applicatin t: Since the impact f intrducing large files t yur farm is nw lessened, yu shuld increase the maximum uplad size allwed by yur SharePint web applicatin. If yu wish t extend files larger than yur current SharePint uplading quta allws, yu can adjust that quta in this field. 3. Site Prperty: Criteria: Dcument size: if selected Extender will nt extend any files smaller than the data size specified All Dcuments: if selected, Extender will extend all items and dcuments in the surce SharePint lcatin regardless f size. 10 Lgical Device: Select the lgical device yu cnfigured as the strage device in the device manager. Data Cnfiguratin (recmmended nly fr advanced users): Cmpressin: if selected, Extender will cmpress the data nce it has been extended. If selected yu must specify if: SharePint Agent: the SharePint agent will handle the cmpressin prcess befre transmitting ver the netwrk t the Media Service Media Service: the DcAve media service will handle the cmpressin Encryptin: if selected, Extender will encrypt the data nce it has been selected. If selected yu must specify if: SharePint Agent: the SharePint agent will handle the encryptin prcess Media Service: the DcAve media service will handle the encryptin prcess. 6. If yu wish, yu can nw click the Test Run buttn t see a preview f the SQL Strage space saved by this Extender plicy. 7. Click Apply t create the Extender jb. 8. If a pp-up appears stating that this actin requires an IIS reset, either click Reset Nw r Reset later accrding t yur needs, Please nt that the extender will nt begin any real time archiving any data until the IIS reset takes place. Cngratulatins! DcAve Extender is nw archiving yur dcuments in real time n yur Windws SharePint envirnment. Page 10

11 Jb Mnitr After a file has been upladed which Extender will archive, yu can view the prgress frm the Jb Mnitr, as well as previusly cmpleted Extender Jbs. 1. Click the Jb Mnitr buttn n the tp right. Once at the Jb mnitr click the large blue banner n the tp left and scrll dwn t strage ptimizatin. Click n Extender Settings. 2. This will lad all f the extender jbs in t this screen 3. Yu can click Dwnlad Jb Reprt t dwnlad a detailed reprt f the jb. 4. Click Delete t delete the reprt. Changing Lgin Credentials It is highly recmmended t change the default lgin passwrd fr DcAve 1. Click Cntrl Panel and hver ver DcAve System. Click Accunt Manager 2. Click the Users tab. 3. Click the admin user. 4. Click the Change Passwrd Buttn. 5. Enter in the ld passwrd, new passwrd, and cnfirm the new passwrd and click Save. Cngratulatins!
