4 1 1.1 What Is Remote Desktop? Overview Remote Desktop is a way of connecting to a remote computer across the internet or a network in order to use it as if it was your own desktop. You interact with this remote desktop exactly the same as with your own local computer. 1.2 Supported Operating Systems The VETtrak hosting service supports connections from the Remote Desktop Connection client on Windows XP, Vista, 7, 8 and 10 via the VETtrak Launcher, as well as the Microsoft Remote Desktop app on Mac OS X. It is possible to connect to the hosting service from other platforms (such as Linux and ios), but we are not able to provide support for setting up access on these platforms. If you wish to set up access on an unsupported platform, use the details shown in the Apple Mac Setup 8 section to connect Connecting Windows Setup The recommended way of connecting to our hosting service is via our VETtrak Launcher. Note that this is for Windows users only. Other operating systems should skip to the relevant section of this guide. To get this software, log into our support centre ( or go to the following direct link: Download the installer and run it. You will then have a new icon on your desktop, and in your Start menu under VETtrak. The new icon looks like this: From now on, whenever you want to access VETtrak, double-click (left) on this icon. 5 2.1.1 Checking Your Remote Desktop Version The VETtrak Hosting Service utilises SSL Certificates to verify the computer that you re connecting to. This requires support for Remote Desktop Protocol 7.0 or higher. To check the version of the Remote Desktop Client installed on your machine, start by opening your Start menu and select the Run option. If you don t have this option, simply press the Windows key and R on your keyboard simultaneously. In the box that comes up, enter "mstsc" and press Enter. Right click the icon in the top left of the screen that comes up and choose About to get a screen like the second one below. You will need support for at least Remote Desktop Protocol 7.0. By default, Windows 7 and above support the required Remote Desktop Protocol version. If your computer has a lower number than 7.0, you will need to download and install an update from the Download information section at the following link: (Scroll down to find it under the More Information section.) 7 2.1.2 Run the VETtrak Launcher Double-click on the VETtrak Launcher icon, and you will be presented with the following login screen: To connect, enter your hosting username and password (found in your welcome ). Once you enter them the first time, the Launcher will remember them. If the launcher does not remember your details, make sure you have permission to write to the installation folder. Press the Connect button to start the service. The first time you connect, you will see the message below. Tick the Don t ask me again for connections to this computer box and click Yes. Page 7

8 2.2 Apple Macintosh Setup Microsoft have released an app in the Apple App Store that will allow you connect to our servers. NOTE: you will need OS X 10.7 Lion or higher to run this app. There is a different application available from Microsoft if you have an older Operating System version but it is not compatible with our newer servers. Please upgrade to the latest Mac version (it s free) or contact support@vettrak.com.au if this is not possible Download Microsoft Remote Desktop To download it, search the App Store for "remote desktop". The first result you get should be this: Configure VETtrak Desktop Session This app allows you to save multiple connections and access them from the one list. To set up a connection, press the New button at the top of the screen: With the box that comes up, you will need to enter the following information: Connection name: Enter anything you want to make it easily identifiab le for you. PC name: anne.ozsoft.com.au OR horton.ozsoft.com.au OR henty.ozsoft.com.au User name: ozsoft\<your user name> Password: <your password> Page 8

9 If you have purchased more than one VETtrak hosting user license, please make sure you allocate separate user names so everyone logs in with a different user if possible. We have a number of alternatives for the PC Name you can connect to for your Remote Desktop Connection. It would be a good idea to set up 2-3 connections so that if one doesn t work for some reason in the future, you have some alternatives to try. PC Name Windows Server Version anne.ozsoft.com.au Windows Server 2012 R2 horton.ozsoft.com.au Windows Server 2012 R2 henty.ozsoft.com.au Windows Server 2012 R2 The latest version of the Microsoft Remote Desktop for Mac has been verified to work with all the servers listed above. If you are using a different application (e.g. older version or different operating system) you may find it is incompatible with Windows Server 2012 R2. Page 9

10 2.2.3 Enable Printing On the Session tab, please tick the option to Forward printing devices. This will allow you to print from your VETtrak remote session. It is disabled by default Local Folder Redirection On the Redirection tab, you can set up which Local Folders on your Mac will appear in your remote VETtrak session. This will allow you to transfer documents easily between your local Mac and the remote VETtrak session. You can also export reports directly to a location on your Mac from VETtrak using this feature. Make sure the Enable folder redirection option is ticked, and then use the + (Plus) button at the bottom left to add the folders on your Mac which you would like to be redirected. Page 10

12 2.2.5 Run the VETtrak Desktop Session Highlight your VETtrak connection and press Start on the original screen to launch your Remote Desktop Connection. Alternatively, you can double-click the connection to launch it. 2.3 Setup for other Operating Systems We know of some customers who connect to their VETtrak Remote Desktop using ipads and Chromebooks. It is also possible to connect using Linux and Android variants. If you would like to try a non-windows or non-mac operating system to connect to VETtrak, find an RDP client to install and configure it using similar settings found in the Apple Macintosh setup instructions. We have limited experience supporting non-windows and non-mac setups so if you need to contact us for support make sure we are aware that you have a non-standard connection to VETtrak. Page 12

13 3 3.1 Printing Microsoft Easy Print Easy Print is a Microsoft technology that enables you to print from your remote session directly to any locally connected printer. This is our preferred method of printing and works for the majority of our hosted users. For Windows PCs, you will need to make sure your printer driver is certified for Windows Server 2012 R2. You can check for printer hardware compatibility at Microsoft s Windows Server Catalog: If your printer driver is not compatible, you will simply not get an option to print to that printer in VETtrak. Try updating to the latest printer driver from the manufacturer s website. It is in the best interests of the printer manufacturer to make sure their drivers are certified for the latest version of Windows Server. Each of your printers that are Easy Print compatible will have (redirected xx) appended in the printing dialogue box (where xx is some number to uniquely identify your remote session). Select your Easy Print printer, review the printing settings and click Print: 3.2 Tricerat ScrewDrivers ScrewDrivers was the printing technology we used on our old servers and requires you to install the ScrewDriver client on your Windows PC. ScrewDrivers will prompt you with two printing dialogue boxes every time you print. Unless you have been directed to by our support staff, you should not install the ScrewDrivers software below. Windows EasyPrint does not require you to install ScrewDrivers to work correctly. If you have had trouble printing and have been directed to use the ScrewDrivers software, you can use the following direct links to download the appropriate version of ScrewDrivers for your platform: (32-bit) (64-bit) Download and install the software. When you print from VETtrak you will first be presented with the print dialogue box below: Page 13

14 This dialogue box lists all the printers connected to your local computer, but does NOT have access to any of the advanced properties of those printers. In this first dialogue box, select ONLY the printer you wish to use, then click OK. Do NOT select any other settings in this box. You will then see a second print dialogue box: This is the dialogue box for your local printer. If you wish to set any advanced properties, print multiple copies or selected pages, set this information in this second dialogue box. Then click Print to print as normal. Page 14

15 3.3 Google Cloud Printing You can now print from VETtrak to any printer in the world via the Google Cloud! This may be a useful option if you are on the road and would like to print using your office printer, or if Easy Print or ScrewDrivers do not meet your needs. Google Cloud printing will work on printers the are Cloud Ready and printers that are not Cloud Ready. All you will need is a free Google account (for non-cloud Ready printers you will also need to install the Google Chrome browser). If you would like to try Google Cloud printing, please let us know first because we need to enable access on your account. Once you have access to Google Cloud printing in VETtrak, go to and configure your Cloud Ready or Classic printer for the Google Cloud. In VETtrak, select the Google Cloud Printer option when printing: You will then be prompted for your Google Cloud printer or you could save the document directly to your Google Drive: Page 15

16 The third dialogue box will give you further printing settings for your Google Cloud printer. Review the settings and then click Print: Page 16

18 4 4.1 General Quick Tour Once you are logged in, you will see a fresh clean desktop as provided by us. You will have icons pre-configured to access VETtrak, and a reports folder. Double-click on the VETtrak icon and you will be prompted to log into VETtrak. For information on using VETtrak, please consult the VETtrak user manual. 4.2 Saving Files to Local Computer Once you have generated a report, follow the procedure below to export it to your local machine. In the Save As dialog, you will need to select your V drive (The example uses QQQ_VETtrak$; the first three letters of yours will be different depending on your account name.): Page 18

20 Then the Reports folder: and save the file in the Reports folder. Now that the file has been saved in your Reports folder, it s time to copy it across to your machine so you can open it. Page 20

21 First, minimise VETtrak so you can see the desktop of our server. There will be a Reports shortcut that you ll need to open: Page 21

22 With this open, select the file that you saved, then head to the Home tab and select Copy (or press Ctrl + C):: The next step will depend on whether you are connecting from a Windows based computer or Microsoft Remote Desktop on a Mac. Page 22

23 If you are running Windows, Minimise the hosting environment so you can see your own desktop. Locate the folder on your own computer that you wish to save the file(s) to using Windows Explorer. Right click and select Paste (or press Ctrl + V) to paste the files into this folder. Page 23

24 If you are running Microsoft Remote Desktop on a Mac, you will need to use an alternative approach. Under the This PC menu on the left, navigate to the place on your computer where you want to save your file. In this example, we ll be saving to the O:\ drive, but it can be anywhere. Once you re in the correct folder, head to the Home tab, then select Paste and your file will be available on your Mac. If you do not see any local drives to copy the file to, you may not have set up folder redirection to make a folder on your Mac accessible to your hosting session. See Local Folder Redirection 10 in the Apple Mac Setup section of this manual to set up a folder redirection to allow you to save files onto your Mac. NOTE: If you find that you're either transferring large files, or large numbers of files, please contact us about ways that we can make this transfer easier for you. Page 24

25 4.3 Log Out To log out of this server, click the start menu button which is located in the lower left corner. Then click on your account name on the top right, then choose Sign out and you will be disconnected from your session. Page 25

26 4.4 Firewalls and Port Restrictions If you are using firewall software, ensure TCP Port 3389 is open. This is the default port for Remote Desktop Connection. If you wish to restrict your outgoing connection to our servers only, then the following IPs will need to be allowed: /28 (this is a range of IP addresses ,98,99,100 -> 110) If it is not possible to open this port in your network environment, we do have an alternative option available using our Remote Desktop Gateway. If you are interested in using this, contact us to have this activated for your account. Page 26
