1 Edited: July Guide to rolling out Windows 10 WIC Computers This guide outlines the steps necessary for rolling out Windows 10 computers. It also offers some guidance in setting up a user-friendly Windows 10 environment. Apply these steps to one computer replacement at first. This will reveal any extra steps that need to be taken for the rest of the computers. As always, if you have local IT available, enlist their guidance and/or assistance in swapping the computers. Please call the WIC Help Desk for further assistance ( , option 2, and either option 1 (urgent) or option 2 (non-urgent)). 2 Page 2 Time Estimate for Installing Computers: If no applications need to be installed, expected setup time per computer can be estimated at 10 minutes for physical setup, and 5-10 minutes for initial boot up and local user account creation. A safe estimate is minutes total per computer. The old computer can be packed up in the new computer s box at the time of setup to save time. Do not return any equipment until users have successfully logged into HuBERT on the new computers. This rollout involves swapping out all WIC computers. Please keep that in mind when planning the specifics at your agency. If there are applications to be installed on the computer, this will take time as well. Local IT will have a better idea of how long this will take. If you are using local Windows accounts for each user on the computer, then the addition of those will add to the downtime. Though the addition of one user is a negligible amount of time per computer, the addition of 20 users to each computer would take about 5-10 minutes. WIC computers will use the Windows native encryption application, BitLocker, to encrypt the hard drive. It may take several hours after the computer is set up to fully encrypt the hard drive. Note: If the local agency requires that the hard drive ship without being encrypted, either due to local computer imaging requirements, or because a different encryption program will be used, please call the WIC Help Desk ASAP ( , option 2, and option 2 again.). Shipping computers without encryption will require extra follow up to confirm that the encryption occurred successfully. We expect a two- to three-week turnaround of computers. Your Windows 7 computers are to be sent back to CSC/DXC, so their staff can reimage the computers with Windows 10 and ship those computers to another local agency. Saving and Restoring Data: The following tasks involve backing up data that may be useful to have on the new Windows 10 computer. If no changes have been made to the old (Windows 7) computer, then nothing will need to be backed up. What follows are areas in which changes may have occurred and, likely, you ll want the same changes in the Windows 10 computer. Two Areas of Concern Each area may or may not apply to your computer. Document Data (Microsoft documents, pictures, other files) Any Favorite sites stored in Internet Explorer (internet bookmarks) Begin by turning on the old Windows 7 computer. Document Data Do not forget any Word or Excel files you have created or worked on. If they have been saved on a USB drive or on a network drive somewhere, the files are backed up. If you haven t saved these files elsewhere, you ll want to make sure you get all of them copied from the Windows 7 computer before swapping the new one in place. Microsoft Office s default save location for a user s documents is C:\Users\[user name]\documents\. Also consider any pictures, downloaded documents, etc., that may be stored in various places on the computer.
3 Page 3 Favorites/Bookmarked Sites You can use the Internet Explorer favorite export utility to back up favorites to one file. The file can then be copied to a USB drive and imported to the new computer with the same method. There is no need to back up the common WIC favorites because these will already be bookmarked in Windows 10. Swapping Out the Computers: The next step is to move the new computers into place. Windows 7 (old) computers can be packed up in the new computers boxes. You will receive return labels with the new computers that can be used to return the Windows 7 computers to CSC/DXC. Return any unneeded mice and keyboards with the Windows 7 computers. What to replace All computers will be swapped out. Some desktop computers are shipped with new mice and keyboards; it is up to the Local Agency s discretion whether to keep the current mouse and keyboard or use the new pair. Return any unneeded mice and keyboards with the Windows 7 computers. The State will send a list of Local Agency computers. Please ensure the list is accurate, and if any perceived errors are noticed, report them to Deb Grundmanis at the State office. This counts the number of computers to be replaced, unless you tell us differently. deb.grundmanis@state.mn.us What not to replace Printers, monitors, scanners, and signature pads will stay. Computers come with printers already installed. It is recommended that these preinstalled Windows printers be modified as necessary to communicate with the printers at the Local Agency. Ensure that you can print actual or test benefits prior to sending back any of the Windows 7 computers. FYI We have secured licenses for WIC staff to upgrade to Windows 10 and Microsoft Office 2016 Pro.
4 Page 4 Printer Configuration: Printer configuration can vary greatly. Only network attached printers are covered in the below guidance. Getting the information from the printer Begin by getting the network information from the printer. You do not need a computer for this step. Determine the model of printer by using the below table: Model (Sourcetech) Image of the front display ST9712 ST9715 To get the information from an ST9712 printer, put 6 pieces of regular paper in the top tray, press the continue button for 5 seconds, and release. It will print out the configuration sheets. To get the information from an ST9715 printer, put 1 piece of regular paper in the top tray, press the wrench button, press the right arrow button one time to get to Reports and press the OK button, press the right arrow button two times to get to Network and press the OK button. It will print out the network configuration sheet. Note the IP Address indicated on the Ethernet configuration page. Copy it down; this will be needed for the new computer. In the example below the IP Address is Applying the printer settings to the new computer If your printer s IP address is the same as above then you are in luck. Your computers shipped with three printers already configured installed. This IP address correlates to the preinstalled printer, Printer Below is a list of default IP addresses that, should you see them on the TCP/IP sheet above, mean you do not need to configure the new computers to print.
5 Page 5 IP Address Preinstalled Printer Name Printer Printer Printer If the IP Address is listed, you can skip this and proceed to the section Differences with Windows 10. If the IP address of your printer is not listed above it will need to be changed on one of the Windows printers on each computer. To do this, proceed on with this section. Step 1 Determine which printer you want to configure Turn on the new Windows 10 computer to be configured and log in with either the tempuser account or any other account you ve added. Begin by left clicking in the Type here to search bar next to the Start button (windows icon) and searching for Control Panel. Left click the Control Panel (Desktop app) result. In Control Panel under Hardware and Sound left click View devices and printers.
6 Page 6 Next decide to which of the three printers you want to print. Right click the printer to bring up the pop up menu and left click Printer properties from the pop up menu. Each of these three printers will work with either the ST9712 printer or ST9715 printer. Do not delete the off their names; it is required for HuBERT printing. In the below example, I ve chosen to configure Printer Step 2 Add the IP address to the printer as a Port Select the Ports tab of the printer properties window then, left click the Add Port button.
7 Page 7 This will open the Printer Ports window. Within this window, select Standard TCP/IP Port from the two options, then left click the New Port button. This opens another window, the Add Standard TCP/IP Printer Port Wizard window. Left click the Next > button on this window.
8 Page 8 Enter the IP address you found on the printer s TCP/IP settings page into the Printer Name or IP Address: field in this next window. In the below example, I ve entered This assumes that I saw on the TCP/IP configuration sheet for the IP address. Your IP address will be different. The Port Name will default to the same IP Address you are entering. Left click Next when the number is entered. You will be prompted to finish the configuration. Left click the Finish button to close the window. If after 10 seconds, you don t see this screen, move on to the next page in this guide.
9 Page 9 You may be prompted with the next screen after a minute. If so, left click Next > on this screen. Then left click the Finish button when prompted to finish the configuration. You will now be backing out of the printer configuration windows. Begin by left clicking Close on the Printer Ports window.
10 Page 10 Next left click the Apply button in the printer properties window. This will save your new printer port on this Windows printer. Step 3 Print a confirmation page You ll want to verify that you can print to this printer as a final step. To do so, select the General tab in the printer properties window. Then left click the Print Test Page button. This should send a test page to tray one on the printer. You ll also get this popup window. Left click the Close button. Then left click the OK button on the printer properties window to finish the printer configuration. Check the printer for the Windows test page. If the printer did not produce a test page, call the MN help desk, for troubleshooting.
11 Page 11 Differences with Windows 10: Tasks within the HuBERT application will not be different. Navigating within Windows will be slightly different. Below are some differences that you may run into. Logging in for the first time, adding users For State-owned computers, clinic coordinators have Windows local user accounts on the computers. These accounts are to be restricted, as best practice. There will be a common local administrator and a temp user account on each computer. When you first boot the computer you ll be prompted with the Windows 10 login screen. You can use the tempuser account login; the password should be obtained from the MN WIC Help Desk. The next step is adding users to the computer. Begin by left clicking in the Type here to search bar next to the Start button (windows icon) and searching for Computer Management. Left click the Computer Management (Desktop app) result.
12 Page 12 Left click on Local Users and Groups in the left pane of the window. Next, add the user accounts that will be needed, one account for each person that will use the computer. Right-click the Users folder icon, and click new user to open the new user creation window. Enter the User Name and Full name, click Create to make the user. They will need to change their password when they next log in (from nothing/blank, to a secure password). After all the necessary accounts are created, you can close the New User window. Click the X in the upper right corner of the Computer Management window to close that screen.
13 Page 13 Attaching to a new network You may see this screen when plugging into, or wirelessly connecting to, a new network. Regardless of the nature of your location, in most cases you will want to select Public Network which will give you the most security while maintaining HuBERT functionality. Click No, as users do not want HuBERT to be discoverable on other PCs and devices on this network. Double click network connection, left click on network connection, in Settings window double click network connection again. Verify network profile is set to Public.
14 Page 14 Task Bar Customization/Optimization Some commonly requested display changes are listed below and can be completed by: Right-clicking on the taskbar and selecting Taskbar settings from the menu. Use small taskbar buttons Changes size of icons on the taskbar (default is off larger icons) Taskbar location on screen Select where the taskbar displays on the screen: Left, Top, Right, Bottom (default)
15 Page 15 Combine taskbar buttons Select Never to have the icon for each individual participant folder to display on the taskbar (default is Always, hide labels) Options are also available if using multiple displays.
16 Page 16 Display the WIC Session Manager Icon on the taskbar The WIC Session Manager icon is automatically hidden in the hidden icons tray. Without this visual reminder, it may be more difficult to remember to log off or reset local reference data. To move the icon onto the taskbar: Click the up arrow on the taskbar Click-and-drag the WIC Session Manager icon to the taskbar
17 Page 17 FileZilla Search for FileZilla in the Search field on the taskbar. This will find it in the Windows menu; click to open. FileZilla will display the Unknown Certificate message the first time the user connects to the FileZilla/FTP site. When this message displays, simply click the Always trust certificate in future sessions checkbox to insert a checkmark, then click the OK button. This ensures the message will not display again.
