7 Section 1: Permissions Reports Section 1: Permissions A company administrator may or may not have the correct permissions to use this feature. The admin may have limited permissions, for example, they may have access to only certain features. If a company administrator needs to use this feature and does not have the proper permissions, they should contact the company's Concur administrator. Also, the administrator should be aware that some of the tasks described in this guide can be completed only by Concur. In this case, the client must initiate a service request with Concur Client Support. Section 2: Overview Use the Administration > Reports tab to: Schedule a report View a report Update a report Reports can be scheduled to run immediately or on a daily, weekly, or monthly basis. The date range can be selected from a pre-defined list or a custom date range can be created. All reports are delivered via when they have been produced, so they can be distributed internally as required. Role Required The Reports functionality is enabled for all customers. The Reports role has been given to all admins. Admins can enable/disable this role for other admins in the same level or below. Refer to the Administrator section of the Concur Messaging user Guide for more information on adding role types. Concur Messaging: Reports User Guide 1

8 Section 3: Schedule a Report Available Reports The current reports are shown in the table below. Refer to Report Examples in this guide for samples or each report. Report Country Travel High Risk Travel Message Log Passengers on the Same Flight Duplicate Profile Segment Travel Days in Country Travel Request to Booking Days Spent at Hotel Description This report shows who is or will be travelling in a specific country. The admin can include/exclude countries on the report and also designate who should receive them. This report shows individuals who have traveled or will be traveling to high-risk destinations with a 3 or higher risk rating. This report gives clients easy access to key information so they are aware of the potential risk exposure for employees in higherrisk locations. This report shows all SMS, app, or voice messages that have been sent to individuals along with the status of the message. This report shows all flights that exceed a designated threshold passengers of on the same plane during the date range specified. This report shows individuals who are missing important information, such as a mobile number or address, and includes the start date of their next trip. This report shows all individuals traveling during the specified date range and includes the itinerary, arrival/destination countries as well as the risk levels for each of those counties. This report highlights how many days an individual has been in or is planning to be in a specific country. This information is useful in determining the risk and potential financial exposure when individuals are in another country for extended periods. This report shows when approved trips are not resulting in actual bookings. This report shows the hotels travelers are staying in and for how long. Section 3: Schedule a Report To schedule a report: 1. Click Administration > Reports. 2. Click Add new. A popup appears. 2 Concur Messaging: Reports User Guide

9 Section 3: Schedule a Report 3. On the Add tab, complete the appropriate fields. Field Enabled Report Name Report Type Deliver Report Description Select (enable) this check box when you are ready to make the report active. Enter the report name. Select the desired report. Select when the report should be delivered: If you select Now, the report will be run immediately. If you select a specific time, you will see options to schedule the report. If you select Weekly, then select the day of the week. If you select Monthly, then select the day of the month. Concur Messaging: Reports User Guide 3

10 Section 4: View a Report Field Report Date Range Number of Passengers Country Add notification Description Select the date ranges the report should include: If you select Pre-defined Ranges, then select one of the following: Same day Next day Previous day Same week Next week Previous week Same month Previous month Next Month If you select Custom Date Range, then create the parameters for the date ranges the content of the report should include: From + or the number of days To + or the number of days This field appears only with the Passengers on the Same Flight report. It is used to indicate the threshold of passengers that should be exceeded, for the report. This field appears only with the Country Travel Report. It is used to select the countries that should be included in the report. Enter an address as appropriate. To add an address, click the button. NOTE: This is the address where the reports will be sent. It is highly recommended to use a company-defined alias (for example, reports@abccorp.com) instead of a personal address.
