1 INTRODUCTION Excel Functions Excel provides a large number of built-in functions that can be used to perform specific calculations or to return information about your spreadsheet data. These functions are organized into categories (text, logical, math, etc.) to help you to locate the function you need from the Excel menu. COUNT AND COUNTIF FUNCTIONS The most used functions in Excel are the functions that count and sum. You can count and sum based on one criteria or multiple criteria. Count To count the number of cells that contain numbers, use the COUNT function. Countif To count cells based on one criteria (for example, greater than 9), use the following COUNTIF function.

2 Note: visit our page about the COUNTIF function for many more examples. SUM AND SUMIF FUNCTIONS Sum To sum a range of cells, use the SUM function. You can also use the Sigma (AutoSum) icon under the home menu. The icon looks like the following. Sumif To sum cells based on one criteria (for example, greater than 9), use the following SUMIF function (two arguments).

3 To sum cells based on one criteria (for example, green), use the following SUMIF function (three arguments, last argument is the range to sum). COUNT BLANK/NONBLANK CELLS COUNTBLANK function counts the number of blank cells. 2. The COUNTA function counts the number of nonblank cells. COUNTA stands for count all.

4 ROUND Before working on round function, you have to know that if you round a number, you will lose precision. If you don't want this, show fewer decimal places without changing the number itself. Round 1. Round a number to two decimal places. Note: 1, 2, 3, and 4 get rounded down. 5, 6, 7, 8, and 9 get rounded up. In this example, , , and get rounded down to and , , , and get rounded up to Round a number to one decimal place. 3. Round a number to the nearest integer. 4. Round a number to the nearest 10.

5 5. Round a number to the nearest 100. STATISTICAL FUNCTIONS The following section gives you an overview of some very useful statistical functions in Excel. Average To calculate the average of a range of cells, use the AVERAGE function. Averageif To average cells based on one criteria, use the AVERAGEIF function. For example, to calculate the average excluding zeros. Note: <> means not equal to. The AVERAGEIF function is similar to the SUMIF function. Min To find the minimum value, use the MIN function.

6 Small To find the second smallest number, use the following SMALL function. Check: Max To find the maximum value, use the MAX function. Large To find the third largest number, use the following LARGE function.

7 Check: OTHER FUNCTIONS Absolute Value (ABS) The ABS function in Excel returns the absolute value of a number. In other words: the ABS function removes the minus sign (-) from a negative number, making it positive. 1. For example, the ABS function in cell B1 below returns the absolute value of a negative number. The ABS function has no effect on 0 (zero) or positive numbers. 2. The absolute value of 0 is The absolute value of a positive number is the same positive number.

8 When do we need the ABS function in Excel? 4. For example, calculate the forecast error (difference between the actual and the forecast value) for each month. Note: if we look at the sum of these errors (zero), this forecast model seems perfect, but it's not! 5. Simply use the ABS function to calculate the absolute error for each month.

9 Square Root The square root of a number is a value that, when multiplied by itself, gives the number. The SQRT function in Excel returns the square root of a number. 1. First, to square a number, multiply the number by itself. For example, 4 * 4 = 16 or 4^2 = 16. Note: to insert a caret ^ symbol, press SHIFT The square root of 16 is Instead of using the SQRT function, you could also use an exponent of 1/2. Don't forget the parentheses. 4. If a number is negative, the SQRT function returns the #NUM! error. 5. You can use the ABS function to remove the minus sign (-) from a negative number.

10 Excel has no built-in function to calculate the nth root of a number. To calculate the nth root of a number, simply raise that number to the power of 1/n. 6. For example, 5 * 5 * 5 or 5^3 is 5 raised to the third power. 7. The cube root of 125 is For example, 2 * 2 * 2 * 2 * 2 * 2 or 2^6 is 2 raised to the sixth power. 9. The sixth root of 64 is 2. Percent Change The percent change formula is used very often in Excel. For example, to calculate the Monthly Change and Total Change. 1a. Select cell C3 and enter the formula shown below.

11 1b. Select cell C3. On the Home tab, in the Number group, apply a Percentage format. 1c. Select cell C3, click on the lower right corner of cell C3 and drag it down to cell C13.

12 1d. Check if everything went alright. 2a. In a similar way, we can calculate the Total Change. This time we fix the reference to cell B2. Select cell D3 and enter the formula shown below. 2b. Select cell D3. On the Home tab, in the Number group, apply a Percentage format. 2c. Select cell D3, click on the lower right corner of cell D3 and drag it down to cell D13.

13 2d. Check if everything went alright. Explanation: when we drag the formula down, the absolute reference ($B$2) stays the same, while the relative reference (B3) changes to B4, B5, B6, etc. Maybe this is one step too far for you at this stage, but it shows you one of the many other powerful features Excel has to offer.
