3 How to Make/Answer a Call To make a call you simply type the number on the key pad and click call, Or to dial extensions that has been set up as a Busy Lamp Field (BLF) button you can simply press the button and it will start ringing. When there is an incoming call, there is a few ways to answer it: 1) You can lift up the phone off the hook which will answer the call 2) You can press the speaker button which will answer the call on loud speaker. 3) If you have a hands fee headset you can either press the button on the headset or the headset button on the handset. How to Hold/Park Calls: There is 2 ways to hold a call. 1) You can place them on Park. If you place them on park, anyone that has the park keys on their phone can pick it up. 2) You can press the hold button on your phone. This will place the call on hold that only you can pick up, since your phone is holding the call instead of the phone system. 3) Another way of placing a call on Park, is to transfer the call to *01 to *09. To pick the call back up off of Park dial: *11 to *19. This is useful if you are using the Yealink W52P since they don t use BLF buttons. For Example: I place a call on park 1 by transferring the call to *01 and pick up the call by dialing *11. Please note that this Park feature doesn t work with shared Park BLS buttons. 3

4 How to Transfer Calls: There are 2 ways to do this, Unattended (rude) or Attended (polite) 1) Unattended During the call, a transfer button will appear on the screen. When you press this button it puts the active call on to hold, allowing you to type the extension number, external phone number or to push the extension button on your phone. Once you have typed the number push transfer again. (Using this method you can t let the person know that you are transferring a call to them) 2) Attended You can place the call on Park 1 or 2 by simply pressing park 1 or 2 during an active call, then call the extension that you wish to transfer the call to and let them know there is a call on park 1 or 2. They will then be able to pick up the call from their phone. If you are transferring from a cordless please follow these steps: During a call press extcall (down the bottom of the screen) Dial the number/extension who you want to transfer to (you will speak to them first before you transfer the call.) Press options on the extension you want to transfer to and select transfer. 4

5 How to Change the Phones Profile Status There are 3 default profiles to choose from, Available, Away and DND, as well as logging in and out of a queue. If you require any of these please let us know and we can program them to suit your needs. We can also program buttons on your phone to change between the different profiles. Available: By default, this profile is active. On the Handset: If you have a button programmed on your handset, simple press the button and it will automatically change the profile to Available. On the cordless handset: Type *30 on the key pad and press dial, this will change the profile status to Available Away: On the Handset: If you have a button programmed on your handset, simple press the button and it will automatically change the profile to Away. On the cordless handset: Type *31 on the key pad and press dial, this will change the profile status to Away 5

6 Do Not Disturb: How to use DND on the handset: To enable DND just press the DND button displayed on the phone screen. To disable press the same button. How to use DND on the cordless handset: To enable DND type *61 on the key pad and press dial To disable DND type *60 on the key pad and press dial How to Log In or Out of a Queue Not everyone needs a queue, but if you do please get in contact with us and we can program this function for you. How to log into the Queue on the handset: To enable DND just press the DND button displayed on the phone screen. To disable press the same button. How to log into the Queue on the cordless handset: To log into the Queue type *62 on the key pad and press dial To log out of the Queue type *63 on the key pad and press dial 6

7 How to Set Up Voice Mail: Voice mail can be set up on the server for each extension. Default PIN code: 0000 To configure voice mail for specific extensions please do the following: log into the server select the extension that you wish to put voice mail on click on the voice mail tab, check the box enable voice mail enter the pin number you wish to put on it. The next part is recording the voic greeting: In the same voic tab down the bottom you can see the recording section. You can upload a prerecorded wav file or you can record a new one directly from a registered phone. Once you have uploaded or recorded the message select the correct wav file from the drop down menu under the play button and also select play this greeting for all profiles, otherwise you can record messages for each different profile. Once that is all done click apply and then ok. Now you just have to re-provision the phone, to do this turn of the phone and turn it back on, this will start the provisioning process (this will make the phone restart 2 times) 7
