2 MOBILE PHONE POLICY Purpose The purpose of this policy is to provide employees of Ind-Aussie Solar (P) Ltd ( I-AS) with guidelines regarding the appropriate use of the provided I-AS supplied mobile phone and or private mobile phones used during the course of performing duties in Ind-Aussie Solar (P) Ltd business. Commencement of Policy This Policy will commence with an immediate effect. It will replace all other policies or arrangements governing the usage of mobile phones (whether written or not). Application of this Policy This Policy applies to all permanent, contract employees and trainees of Ind-Aussie Solar (P) Ltd. Eligibility An employee may be eligible to have a mobile phone if, in the view of Ind-Aussie Solar (P) Ltd, it is deemed necessary for the appropriate performance of their position. For example, if the employee's duties require them to spend time out of the office and/or to be contactable outside the normal hours of work. An employee allocated a mobile phone is to ensure that the phone is always switched on during working and non-working hours, (inclusive of public holidays, weekends) and while on call out (24/7). In certain cases, the management has the right to approve employee s personal mobile phone to be used for work related uses and a reasonable amount will be negotiated for reimbursement from Ind-Aussie Solar (P) Ltd. In such cases, uses of those phones are as per Ind-Aussie Solar (P) Ltd. s Mobile policy. General Use The mobile phone is provided primarily to allow contact with the employee by other employees or customers or to enable the employee to contact Ind-Aussie Solar (P) Ltd and its customers. Employees must not use the mobile phone while driving or riding a motor vehicle. Employees who have been provided with a mobile phone with and internet access must comply with Ind-Aussie Solar policies dealing with and internet access where relevant. The Employee is entitled to use the mobile phone for reasonable limited personal use. Although there is no requirement for the Employee to record or specify all personal calls on the monthly account, the Employee must provide such details upon specific request from the management.
3 An employee can use short messaging service (SMS) for work purposes and very minimum for personal uses. However, SMS messages must comply with the Ind-Aussie Solar (P) Ltd. s Code of Conduct. Managers will (are required to) review the mobile phone costs for their area on a monthly basis. A Manager has the right to insist that an employee reimburse Ind-Aussie Solar (P) Ltd for costs associated with any personal use, customisation of ring tones, displays or programs which are not a standard option of an allocated phone. Use of personal mobile phones Where practicable: I. Personal mobile phones are to be set to silent mode or turned off during work hours and usage should be kept to a minimum. Personal mobile phones should not normally be used to make business calls. The City does not undertake to refund any business calls made in this way. II. Private use Ind-Aussie Solar mobile phone is provided predominantly for work purposes. Therefore, private usage of the mobile phone should be kept to a minimum. If Ind-Aussie Solar believes an employee is using a Ind-Aussie Solar s mobile phone irresponsibly or unreasonably, then the employee may have the phone removed or be requested to reimburse Ind-Aussie Solar (P) Ltd for excessive personal calls & SMS. In those circumstances, the employee s phone use will continue to be closely monitored until a more reasonable proportion of business versus private use is achieved. Use of mobile phones in the office If customers expect to find an specific employee on their Ind-Aussie Solar s mobile phone rather than on a regular fitted telephone in the office (if available), then Ind-Aussie Solar s mobile should be kept on, even when at office. In circumstances where a fixed telephone is available to make outgoing calls then use of the mobile phone for that purpose is discouraged. Private mobile phones must be on silent at all times and may only be answered in cases of emergency or during designated work breaks. Mobile phones issued by Ind-Aussie Solar, remain the property of Ind-Aussie Solar (P) Ltd. The management may, at any time, withdraw an employee's access to a mobile phone without giving any valid reason. Voic (If available) An Employee must activate the voic set up on their Ind-Aussie Solar s phone so that calls divert to voic when unanswered or busy. Missed calls should be returned in a timely manner (ie. within 1 hour) and employees should ensure they clear their voic regularly.
4 Voic set up on Ind-Aussie Solar s mobile phone should say Hello, this is (name), (title) of Ind-Aussie Solar. I am unable to take your call right now so please leave your name, number and a short message and I will return your call shortly. This message should be modified if an employee is on leave. Mobile phones in meetings It is common courtesy to switch mobile phones off before entering a meeting. Ind-Aussie Solar understands that extenuating circumstances may exist that requires employees to leave the mobile phone switched on during meetings. If this is the case then employees should politely inform the other attendees prior to the commencement of the meeting that they may be expecting a call and so mobile phone will be left on during the meeting and should be on silent mode. Diverting mobile calls In exceptional cases, if an employee is out of the office on training, whole day meeting, sick and hospitalised, long annual leave or travelling overseas, the employee should divert calls coming in via their mobile phone to their manager s or manager authorised staff s Ind-Aussie Solar mobile phone. Employee s to ensure while answering such diverted calls informs the caller the reason of the call s diversion and provide the same or better service to them. All received calls to be noted and to notified to the staff by an with full details of the calling person, reason for call, action taken and follow up action if required at the end of each day. Lost, stolen or damaged Ind-Aussie Solar s phones Ind-Aussie Solar expects all employees who have been allocated mobile phones to take the utmost care and responsibility for them. If a phone is lost, stolen or damaged, it should be reported to their Manager as soon as that event occurs. Depending on the circumstances in which the phone was lost, stolen or damaged, the employee may be held responsible for replacing the phone if the loss, damage or theft was caused or contributed to by the employee s lack of care within 5 days. An employee may be held responsible for any costs incurred if he or she has not taken due care of the allocated mobile phone. If the employee is unable to replace the phone the management supplies a similar phone and deducts the cost price of the phone from the employee s immediate month s salary. If an employee negligently or repeatedly damages or loses a phone, a second- hand phone will be issued or alternatively, the privilege will be withdrawn. An employee may be held responsible for any costs in repairing or replacing a damaged mobile phone as a result of the employee s reckless or negligent action. Return of the Mobile Phone On resignation, or termination of employment or otherwise at the request of Ind-Aussie Solar (P) Ltd, an employee who has been issued with a Ind-Aussie Solar mobile phone
5 must return the phone to their Manager. Any battery chargers, batteries or other accessories, such as SIM card, Data card supplied by Ind-Aussie Solar (P) Ltd for use with the mobile phone must also be returned. A mobile phone cannot be allocated to another employee without the prior approval of the Manager. Occupational health and safety The use of mobile phones in certain parts of the workplace and in vehicles can create unsafe situations or potentially unsafe situations. Supervisors and managers may issue general notices or particular notices to staff regarding the use of mobile phones if they perceive a real or potential occupational health and safety risk. Safe Use of Mobile Phones Mobile phones are to be used in a safe manner. The following guidelines are to be observed at all times. A mobile phone (including SMS text messaging) is not to be used in the following situations: Whilst driving, unless using a hands free system (SMS text messaging not permitted while driving); Whilst refuelling a vehicle, plant or equipment; Whilst dealing with chemicals; While climbing in high stairs; Whilst using any equipment or machinery. Staffs are required to comply with such orders, directions and notices issued by managers or the management of Ind-Aussie Solar (P) Ltd. Variations Ind-Aussie Solar reserves the right to vary, replace or terminate this policy from time to time.
B. Employees are expected to make personal calls on non-work time and to ensure that friends and family members are aware of the City s policy.
