Some limited accommodations may be made for students who cannot write their Exam on the scheduled dates due to illness, business travel, etc. Failure to write one of the Exams may result in the student s failure of the program. 9.2 Advising the Instructor It is the sole responsibility of the student to advise the Teaching Assistant, and/or Instructor, and/or CIFFA (as applicable), if they are unable to write an Exam on the scheduled date. If a student is unable to write an Exam on the scheduled date, the student must advise the Teaching Assistant/Instructor/CIFFA, by , prior to the scheduled Exam date and time. As soon as they are aware of a conflict, it is recommended to give notice early to ensure that the alternate date can be arranged. Failure to advise the Teaching Assistant/Instructor/CIFFA prior to the scheduled Exam date, will result in a zero mark for that Exam. In this instance, the writing of an Exam on an Alternate Date (9.3) will not be permitted. 9.3 Alternate Exam Date If a student advises the Teaching Assistant/Instructor/CIFFA prior to the scheduled Exam date, they may be allowed to write the applicable Exam within five (5) business days of the originally scheduled Exam date. This Exam may be written prior (before) or post (after) the originally scheduled Exam date. Should the student not be able to write the Exam within five (5) business days the originally schedule Exam date (prior or post), they will receive a zero mark for that Exam. A zero mark for that Exam may result in the student s failure of the program. Updated: June 27, 2011 Page: 4 of 9
5 9.4 Alternate Exam Fee A CAD $75.00, plus applicable tax(es) fee will be charged to the student, for each Exam written PRIOR to the originally scheduled Exam date. A CAD $125.00, plus applicable tax(es) fee will be charged to the student, for each Exam written POST the originally scheduled Exam date, or for a Make-Up Exam. These fees are payable to CIFFA BEFORE the student can write the Exam. Alternate Exam Fees may be paid by credit card (Visa or MasterCard) or by cheque. 9.5 Exceptional Circumstances Exceptional Circumstances In Exceptional Circumstances (serious illness or hospitalization, childbirth, death in the immediate family, personal or family difficulties, etc.), certain accommodations may be made. Adequate proof must be provided to CIFFA, to substantiate the Exceptional Circumstance. The time frames indicated in 9.2, and the Alternate Exam Dates time frames of 9.3 must be adhered to. In extreme cases, additional time may be granted to write an Exam, at the sole discretion of CIFFA. The Alternate Exam Fees (9.4) will be waived for this Exceptional Circumstances provision. CIFFA has the sole right to decide whether the student s situation falls under the Exceptional Circumstance provision Business Travel In the event that a student must miss an Exam due to Business Travel, the time frames indicated in 9.2 must be adhered to, and adequate written proof from the student s employer must be provided to CIFFA, to substantiate the Business Travel requirement. In this situation, the student has two (2) options: i) Write the Exam on the originally scheduled date, at a business location the student has travelled to. The student s writing of the Exam must be monitored and supervised by a responsible management person in the student s company (supervisor, manager, etc.). A Senior management person from the student s employer must provide CIFFA a written statement indicating that the student must be absent from the Exam for business travel purposes, what arrangements the company has made for the student to write the Exam, and the name, title, and contact information of the responsible management person assigned to monitor and supervise the student s writing of the Exam. The student s company must make all necessary arrangements for the writing, and monitoring and supervising of the Exam at another location, and must pay for any and all additional costs (i.e. courier). The Alternate Exam Fees (9.4) will be waived for this specific option of the Business Travel provision. ii) Write the Exam within the specified time frames of 9.3. The student must pay the applicable Alternate Exam Fee (9.4). Updated: June 27, 2011 Page: 5 of 9
6 CIFFA has the sole right to decide whether the student s situation falls under the Business Travel provision, whether the arrangements for writing an Exam at another location are acceptable, and whether the responsible management person assigned to monitor and supervise the writing of the Exam are suitable Zero Mark for Exceptional Circumstances Should a student receive a zero mark according to 9.5.1, the zero mark may be replaced with an Estimated Exam mark. This Estimated Exam mark will be based on the average mark for the other Exams that have been written by the student. This Estimated Exam mark will be calculated into the student s Final Grade, which may result in the student s failure of the program. CIFFA has the sole right to decide whether an Estimated Exam mark will be assigned. 10 STUDENT GRADES 10.1 Passing Grade The required Final Grade for successful completion of this program is 60%. The student s Final Grade is based on two (2) written Exams (each worth 45% of the Final Grade); and the total of all e-learning Quizzes (worth 10% of the Final Grade). Upon successful completion, a Mark Transcript will be issued Exam Grading Discrepancies Exams Classroom Students: Any discrepancies regarding the grading of Exams must first be discussed with the Teaching Assistant, and/or Instructor (as applicable), and if not resolved, then with the Regional Education Coordinator. e-learning Students: Go directly to Exam Mark Appeal If after following , and if a student is still not satisfied with the marking process of their Exam, the student may then appeal their Exam mark to the Program Manager. In all cases, the student s ORIGINAL Exam paper must be forwarded (at the student s expense) to the Program Manager, along with a statement of what their appeal is based on. It is strongly recommended that the student keeps a photocopy of their Exam on file, in the event that the ORIGINAL is lost Make-Up Exam A student with a Final Grade of 50% to 59% in a program will have an opportunity to write a Make-Up Exam at the end of the program, for the Alternate Exam Fee amount (see Make-Up Exam Fee 9.4). This fee is payable to CIFFA PRIOR to the student writing the Make-Up Exam. Alternate Exam Fees may be paid by credit card (Visa or MasterCard) or by cheque. Updated: June 27, 2011 Page: 6 of 9
7 This Make-Up Exam will be scheduled after the program has finished, and will test the student s knowledge of the whole program, and will be similar in composition to the previous Exams in that program. In the case where a student PASSES the Make-Up Exam (achieves a mark of 60% or more), the student s Final Grade will be recorded as 60%. In the case where a student FAILS the Make-Up Exam (achieves a mark of less than 60%), the student s Final Grade will be recorded as the actual mark from the Make-Up Exam Final Grade Appeal A student may contact the Program Manager for an appeal of their failing Final Grade. A statement of what the appeal is based on must be included in the appeal Appeal Timelines All appeals regarding Exams, marks, or Final Grades must be officially queried to the appropriate individual (see , , 10.4) within fifteen (15) calendar days of the student s receipt of marked Exam, mark, or Final Grade.
