1 BFPA CONFERENCE- POWERPOINT PRESENTATION FORMAT These guidelines are designed to help you prepare a successful conference presentation. PREPARING YOUR POWERPOINT PRESENTATION Please note the following: 1. The first PowerPoint slide should contain: - the title of the presentation at the top, in 32 point type - your name, with any titles, - your company s legal name, - the name and date of the conference. 2. Do not use all capital letters; everything should be in upper and lower case letters. (Exceptions are a company s legal name that is in all capital letters, acronyms, etc.) 3. If your company s logo is used on your slides, it must be placed in the lower left or lower right corner of the slide and should not be any larger than the title type size (32 point). A logo may NOT cover the entire slide and may NOT be screened (faded) behind the words or images on your slides. 4. Be sure to proofread your presentation carefully, noting spelling, punctuation, capitalization, and grammar. It is helpful to have another person proofread it for you. COMMERCIALISM Commercialism of any kind is not allowed and will not be accepted. Use of trade names, images of company-specific products, and comparisons to other companies products should be avoided. (However, we realize that, in the context of presenting information, it is sometimes necessary to mention a product or trade name. This should not be the focus of your presentation.) WHAT TO DO WITH YOUR POWERPOINT PRESENTATION 1. Send your completed PowerPoint presentation in pdf form to the Events manager, BFPA (karen@bfpa.co.uk ) or to W.D.Phillips (frfluids@onetel.com ). 2. At the discretion of the conference speaker committee, if BFPAI does not receive your presentation by the due date or if it is commercial in nature, your speech may be cancelled.. 3. PowerPoint presentations will be reviewed and loaded onto a UBS drive that will be used on the conference projection facilities. You may not use your own laptop computer unless you notify us in advance. Minor changes may be made to your PowerPoint presentation at the conference, or you may bring a copy of your updated PowerPoint presentation on a UBS drive to the conference and hand to the Session Chairman before the relevant session. 4. The final version of PowerPoint presentations will be published by the BFPA following the conference. HINTS FOR SUCCESSFUL POWERPOINT PRESENTATIONS 1. Limit the length of your title so that it fits on a maximum of two lines. If you must provide more information, use a subtitle to make your point. 2. Use medium to bold type fonts that are not too fancy or too compressed. Use a serif font for body copy if you have long sentences. (A serif font, like Times, is easier to read in body copy than a sans serif font, like Helvetica.) 3. Avoid using thin fonts or small font sizes, since they can appear rough on the screen. Typically, no fonts smaller than 16 points should be used for body copy. Do not use more than two or three fonts in your 1

2 presentation. 4. Be short and concise in your wording. Too much information on the screen is hard to read, and the audience may lose interest. 5. Be clean and consistent in your layout. Remember not to run type, graphics, or photos too close to the edges of the slide. 6. Use bullet points instead of paragraphs. Use no more than six bulleted items per slide. 7. Charts should be simple and precise. If you must provide a lot of detail, break it up into two or more slides. 8. When you send your presentation to BFPA, remember to include all the fonts that are used in your presentation. Other computers may not have the same fonts as yours. 2

3 BFPA CONFERENCE - PAPER FORMAT This file provides a format for writing papers for the conference. The conference proceedings will be available electronically to participants and will later be more widely available as a BFPA publication. The full paper file shall be written in compliance with the following instructions. The author is asked to submit the paper in MS-Word and PDF Portable Document Format (PDF). Both files shall be saved with the full first author name as name of the file. If a PowerPoint presentation is being made, please refer to the conference guidelines for this format. Commercialism of any kind is not allowed and will not be accepted. Use of trade names, images of company-specific products, and comparisons to other companies products should be avoided. Brown 3 1 Full address of first author, including affiliation and 2 Full address of second author, including affiliation and 3 Full address of third author, including affiliation and (use Arial 10 typeface for author s Affiliation) ABSTRACT An abstract not exceeding 200 words, in English, should appear on the top of the first page, after the title of the paper headed "Abstract", after the names of the authors and the contact information of the corresponding author. 1. INTRODUCTION It is expected that authors will submit carefully written and proofread material. Spelling and grammatical errors, as well as language usage problems, are not acceptable in the final submission. There 1

4 is no strict limitation to the number of pages, but it is suggested that the paper length should not exceed 6000 words. Papers should clearly describe the background of the subject, the authors work, including the methods used, a discussion on the importance of the work and a conclusion. Papers are to be prepared in English (British or American). Technical terms should be explained. Acronyms should be written out at their first appearance. 2. PAPER FORMAT A uniform presentation will help the reader to follow the proceedings. This can be obtained most easily if authors use this template to construct their papers. Please note the following details: this template is an A4 format. All text paragraphs should be single spaced, with first line indented by 10 mm (0.4 inch). Double spacing should only be used before and after headings and subheadings. Position and style of headings and subheadings should follow this example. No spaces should be placed between paragraphs. Please do not change any of the above mentioned page, paragraph and font settings Fonts Papers should use 11-point Arial font. The styles available are bold, italic and underlined. It is recommended that text in figures is not smaller than 10-point font size Tables and Figures Figure captions and table headings should be sufficient to explain the figure or table without needing to refer to the text. Figures and tables not cited in the text should not be presented. The following is an example. All figures and tables should be numbered with Arabic numerals. Table headings should be above the tables. Figure captions should be centred below the figures. 5 2.3 Equations You will need to determine whether or not your equation should be typed using either the Arial the Symbol font (please no other font). To create multileveled equations, it may be necessary to treat the equation as a graphic and insert it into the text after your paper is styled. Number equations consecutively. Equation numbers, within parentheses, are to position flush right, as in Eq. 1, using a right tab stop. To make your equations more compact, you may use the solidus ( / ), the exp function, or appropriate exponents. Italicize Roman symbols for quantities and variables, but not Greek symbols. Use a long dash rather than a hyphen for a minus sign. Note that the equation is centred using a centre tab stop. Be sure that the symbols in your equation have been defined before or immediately following the equation. Use Eq. 1 or Equation 1, not (1), especially at the beginning of a sentence: Equation 1 is REFERENCES List and number all bibliographical references in 9-point Arial, single-spaced, at the end of your paper. When referenced in the text, enclose the citation number in square brackets, for example: [1]. Where appropriate, include the name(s) of editors of referenced books. The template will number citations consecutively within brackets [1]. The sentence punctuation follows the bracket [2]. Refer simply to the reference number, as in [3] do not use Ref. [3] or reference [3]. Do not use reference citations as nouns of a sentence (e.g., not: as the writer explains in [1] ). Unless there are six authors or more give all authors names and do not use et al.. Papers that have not been published, even if they have been submitted for publication, should be cited as unpublished [4]. Papers that have been accepted for publication should be cited as in press [5]. Capitalize only the first word in a paper title, except for proper nouns and element symbols..
