1 Beginning a presentation PowerPoint Unit 1 Getting Started PowerPoint is commonly used by presenters as a digital aid when presenting their topic to an audience. Many presenters often forget that they are the presentation that the audience came to see, not their PowerPoint presentation. PowerPoint is probably the most used (and misused) presentation software program. Microsoft estimates that over 30 million PowerPoint presentations are given daily around the globe. Start PowerPoint Double click PowerPoint icon on desktop Or Use Start menu Start Programs Microsoft Office Microsoft Office PowerPoint Slide an individual screen in a slide show Presentation File file saved to disk that contains all slides, speaker s notes, handouts, etc. that make up presentation Slide Show series of slides displayed in sequence; controlled manually or automatically
2 The ribbon in PowerPoint looks very similar to the ribbon in Word. Many of the tabs are the same. Views You can work in PowerPoint using one of three different views- Normal View-Normal View in Microsoft PowerPoint is the main working window in the presentation. The slide is shown full size on the screen. Slide Sorter View-A window in Microsoft PowerPoint that displays thumbnail versions of all your slides, arranged in horizontal rows. Slide Show - A slide show is the presentation of all the digital slides shown one after the other, just as on a slide projector. Choose a theme Click on the Design tab Open the palette of themes Choose one to begin with KEEP IN MIND-You are able to change colors and fonts on the design you chose
3 Change color scheme Click on the Colors button next to the display of themes Each time you hover your pointer over a color scheme, the example of the slide in your work window will change. Add a New Slide Ribbon Home tab, Slides group, New Slide button. The arrow on the bottom of the button gives you a drop down menu of slide layouts. Select the slide layout that you need from a variety of choices. Depends on type of information you will be putting on your slide Title Slide Opening slide of presentation. Contains title of presentation and presenter(s) information Slide viewer lets you see the order of your slides and lets you move from one slide to another. Title and Content Slides containing graphics and/or body text. Title box on top for slide title. Content box allows you to insert bulleted text, Table, Chart, SmartArt graphic, Picture, Clip Art, or a Media clip Two Content Slides with text (compare/contrast, before/after, etc.) Title Only Blank slide with one title box Blank No text or title boxes
4 Bullets Text boxes are already set up with bullets Nest bullets to show interdependence of text Decrease List Level Decrease indent level-moves move the bullet to the left (main point) (or Shift + Tab) Increase List Level Increase the indent level move the bullet to the right (sub point) (or Tab) It s a good idea to use default sizes, fonts, and colors. Each Enter will give you a new bullet point. Remember, no more than 6 words per bullet. To nest bullets, use Increase and Decrease List Level buttons. Have at least two sub points; never just one..outline a text box Click on the text box to make it active. Drawing Tools Format tab, Shape Styles group, Shape Outline button Choose a line color from the Shape Outline button. Can also choose an outline thickness or line pattern from the same button.
5 Shade a text box Click on the text box to make it active. Drawing Tools Format tab, Shape Styles group, Shape Fill button. Choose a fill color from this button. Keep your color scheme simple try to use colors in the same column of choices. Remember the readability guidelines. If you fill the text box with a darker color, change your text to a light color for good contrast. Working with fonts Always use a Sans Serif font (no feet ) Don t use fonts with feet on the bottom of the letters These letters are much more readable in PowerPoint no feet Good Sans Serif fonts to use in PowerPoint- Any Arial font Calibri Futura Tahoma Verdana
6 Change fonts for an entire presentation Design tab-fonts button Shows combinations of fonts Lets you change the font on ALL slides in the presentation Top font used in title boxes Bottom font used in text boxes (with bullets) Look for combination where neither font has feet Good combination-no feet on either font Bad choice one of the fonts has feet
7 Some designs will give text boxes (or title boxes) will all capitals To change this- Home tab, Font dialog box Take the check mark out of the All Caps or Small Caps selection boxes Keep these final PowerPoint guidelines in mind Use 6 by 6 (no more than six words per bullet point and no more than six bullets per slide Use a Sans Serif font Capitalize only the first word of each title and the first word of each bullet point No punctuation (periods) at the end of titles or bullet points
