1 ClipArt and Image Files Chapter 4 Adding pictures and graphics to our document not only breaks the monotony of text it can help convey the message quickly. Objectives In this section you will learn how to: Insert clipart into a publication Replace and delete clipart Crop a picture Wrap text to a box or picture Rotate an object Scale a picture Recolour a picture Adjust image contrast and brightness Insert a picture from file Open the file Images from your student files Microstar Publishing Pty Ltd

2 BSBITU309A Microsoft Publisher 2007 Create a ClipArt Box 1. Click on Page 1 of the Images file if it is not displayed 2. Click on the Clip Organizer Frame button on the Object toolbar The Task Pane may look different to this The screen will appear as above with the Task Pane activated and ready to assist you to locate ClipArt. The Task Pane records recent actions, as a result, you may get a different set of instructions on it, depending on what was done last. 3. Leave the Search Text box empty and click on Go to see all the ClipArt available You can search for a piece of clipart based on a specific topic. 4. Click into the Search for: box and type pumpkin 5. 3 ClipArt and Picture Files 4 6. Move the mouse over the pictures available simply click on the one you want to insert it The ClipArt will now appear on the screen as shown below. You may have chosen something different. The ClipArt will appear on the screen selected with the resize handles available. You can now resize, move or rotate the ClipArt into any position that you want. If you leave the ClipArt selected and click onto another picture, it will replace the original choice. 7. Select the ClipArt if necessary, and select another picture. The original choice has been removed. 8. Click off the ClipArt picture anywhere in the design area. 9. Select and insert another piece of ClipArt. The new piece of ClipArt will appear on top of the previously inserted piece. 10. Drag the new ClipArt to another part of the screen. Publisher 2007 inserts ClipArt into the middle of the design area, so you will usually need to reposition it to your requirements. Microstar Publishing Pty Ltd

4 BSBITU309A Microsoft Publisher 2007 Formatting ClipArt The Picture toolbar provide some shortcuts to formatting the picture. 1. Click on View Toolbars Picture to view the Picture toolbar The Picture toolbar will appear floating on the screen. Cropping Pictures The Crop tool enables you to slice pieces off the selected picture. Vertical or horizontal strips can be sliced off from the edges of the picture. 1. Click on the Page 2 button and display the ClipArt pieces displayed above 2. Click on the first picture 3. Click on the Crop tool - the pointer changes to the Crop symbol as on the toolbar button Crop 4. Move the mouse over the left border of the picture until it changes to 5. Click, hold and drag the mouse in until the outline is within two of the pencils 6. Repeat to trim the borders from the building ClipArt as shown above 64 Microstar Publishing Pty Ltd 2008

5 ClipArt and Picture Files 4 The cropping can also be applied both vertically and horizontally in the same movement. 7. Click on the Apple ClipArt 8. Move the mouse to the top right corner fill handle then click hold and drag to move the handle to the centre of the picture until only the apple slice is outlined release the mouse You can restore the picture by dragging the Crop symbol outwards Wrap Text to Box or Picture Text will wrap around a picture in two ways. The first is to follow the box so the text is kept very square. The second is to allow the text to follow the outline of the picture. Wrap Text to Image 1. Click on the Page 3 button 2. Click on the ClipArt and click on the Text Wrapping button on the Picture toolbar 3. Click on Tight Click Yes to the prompt to alter boundaries The text will continue up to the outline of the picture as shown to the right. Text Wrapping Microstar Publishing Pty Ltd

6 BSBITU309A Microsoft Publisher 2007 Wrap Text to Box 1. Click on the ClipArt and click on the Text Wrapping button Text Wrapping 2. Click on Square The text will continue up to the picture box only. The distance between the box and the text can also be set. 3. Click once on the piece of ClipArt 4. Click on the Format Picture in the Menu bar 5. Click on the Layout tab Layout 6. Click the Automatic box so it is clear 7. Change the Distance from text boxes to be 1 cm each 8. Click on OK Check that the Automatic feature is clear Distance from text The area between the ClipArt and the text will be larger to push the text away from the ClipArt. 66 Microstar Publishing Pty Ltd 2008

7 ClipArt and Picture Files 4 Free Rotate Right We can also rotate the ClipArt. The green handle at the top of the picture when clicked onto changes the mouse to a rotation symbol 1. Click Page 4 button to display the Cherries ClipArt 2. Click the ClipArt object to select it The green Rotate Handle appears at the top of the picture 3. Click and hold on the Rotate handle and rotate the picture to the right 4. Repeat dragging the Rotate handle until the Cherries are back to their original position Free Rotate Left 1. Click on the Cherries ClipArt 2. Click on the Rotate handle 3. Repeat dragging the Rotate handle to the left until the Cherries are back to their normal position Microstar Publishing Pty Ltd

8 BSBITU309A Microsoft Publisher 2007 Scaling an Object to Resize A picture can be scaled so the proportions are accurately maintained. 1. Click on the ClipArt of the Banana 2. Click on Format Picture then click on the Size tab Size Click into the Height & Width boxes The Scale Object settings are available. 3. Click on the Scale Height box and type Click on the Scale Width box and type Click on OK The ClipArt is changed to be only 50% of the original size. You can also maintain a constant aspect by holding down the [Shift] key while resizing using a corner handle. 68 Microstar Publishing Pty Ltd 2008

9 ClipArt and Picture Files 4 Recolour Object The colour of ClipArt can be adjusted to monochrome colours ie various shades of one colour. 1. Click on the Apple ClipArt on page 4 2. Click on Format Picture in the Menu bar then click on the Picture tab 3. Click on Recolor Picture Recolor The Recolor Object window appears as shown below. 4. Click on the Color droplist arrow and select More Colors More Colors Microstar Publishing Pty Ltd

10 BSBITU309A Microsoft Publisher Click on a colour then click on OK The ClipArt will be coloured in various shades of that one colour. 6. Click on the Restore Original Colours button then OK and OK again 7. Try recolouring each of the ClipArt pieces 70 Microstar Publishing Pty Ltd 2008

11 ClipArt and Picture Files 4 Adjusting the Image The Picture toolbar contains buttons you can use to slightly adjust the image. 1. Click on Page 6 2. Click on the top right image 3. Click on View Toolbars Picture to display that toolbar 4. Click on the Color button and click on Grayscale 5. Click on the Color button again and click on Black and White 6. Click on the Color button again and click on Washout the washout format is used when creating Watermark images 7. Click on the image in the middle left position and click on the More Contrast button on the Picture toolbar seven times 8. Click on the image in the middle right position and click on the Less Contrast button on the Picture toolbar seven times 9. Click on the image in the lower left position and click on the More Brightness button on the Picture toolbar seven times 10. Click on the image in the lower right position and click on the Less Brightness button on the Picture toolbar seven times Color Brightness Contrast The subtle differences you can make to an image using these buttons are displayed. 12 BSBITU309A Microsoft Publisher 2007 Inserting Picture Files Often when producing a publication you will be using actual pictures. These can be worked with in a similar way to ClipArt. 1. Click on the Page 5 button to display that page 2. Click Insert Picture From File in the menu bar The Insert Picture dialog box appears which is very similar to the Open File dialog box. 3. Click on the Look in box and display your student drive 4. Double click on the folder Publisher 2007 to open it the default setting is to display thumbnails of the pictures in the folder 5. 13 ClipArt and Picture Files 4 The picture will be inserted on the page. The picture object can be adjusted as with ClipArt. 7. Repeat to insert the other pictures from your student drive; Tropics, Britain, Egypt 8. Save the file and leave open for the next step Images are objects and so can be layered and rotated like other objects. 9. Rotate each of the objects to be similar as shown to the right 10. Move the objects to be placed as shown 11. Use the Order option on the Arrange menu to order the images as shown to the right 12. 14 BSBITU309A Microsoft Publisher 2007 Image Formats So far in this manual you have used images provided or inserted ClipArt. When creating your own publications you may still use ClipArt at times but you will also use images specific to you or your organisation. These images may be photos, logos, scanned images or diagrams. The quality of the image will affect the quality of the publication. There is a large range of graphic file types. Listed below are some of the more common types. JPEG GIF TIFF BMP PNG WMF Joint Photographic Experts Group This format is very common. It was developed to compress images into a smaller file for use on the Web. The compression reduces the quality of the image so while good for the web a printed document will be reduced in quality. Many digital cameras use this format when capturing photos. Graphics Interchange Format This format was designed for HTML pages used on the Web. Memory use is small which speeds up page download time. Tagged image file format This format is high resolution and commonly used for scanned photos. It was developed to enable easier transfer of files between applications. Bitmap This format is used in Paint type applications. Commonly used to develop logos and icons. Portable network graphics This file type is a compressed bitmap which makes it suitable for Web pages. Windows metafile Is a similar type graphic file format to a jpeg or gif which have superseded it. A wmf file uses more memory and is not as widely used now. 74 Microstar Publishing Pty Ltd 2008

15 ClipArt and Picture Files 4 Compressing Images The size of image files can vary considerably. If you have a large number of images in a document the result can be a very large document memory requirement wise. The ability for your printer to cope with the document may be affected. Compressing image files can reduce the amount of memory required for them but it often reduces the resolution as well. You should be aware of this if you are going to compress an image. 1. Open the file Nature Calendar 2008 this file is currently about 4 Mb in size 2. Click on the image of the first page 3. Click on Compress Pictures button in the Picture toolbar Compress Pictures 4. Click on Web 5. Click on Apply to selected pictures only notice that there is not much change to the combined file size 6. Click on Compress 7. Click on Yes to the prompt Microstar Publishing Pty Ltd

16 BSBITU309A Microsoft Publisher Click on the Page 3 for March 9. Click on the Picture 10. Click on the Compress Pictures button 11. Click on Web This setting will compress all images in the publication. Notice that the combined size for the file now is much smaller, less 1 Mb. 12. 17 ClipArt and Picture Files 4 Practice Exercise 4.1: Insert and Resize Image Files 1. Open the file ABC Leaflet this file was created at the end of Chapter 3, page 58 if you have not yet completed this exercise you should do it now then continue with the steps below to enter images into the leaflet to complete it In this exercise there are three image files that are to be used in the publication; Cover Cars, Cover Computer, Cover House 2. Click Insert Picture From File in the menu bar 3. Locate the file Cover House and click on Insert 4. Resize the image and move it over the first placeholder as indicated below 5. Repeat to insert the file Cover Computer for the Contents Insurance placeholder 6. Repeat to insert the file Cover Cars for the Car Insurance placeholder 7. Copy and paste each image and place in the lower section of the leaflet as indicated below 8. Save and close the file Microstar Publishing Pty Ltd

18 BSBITU309A Microsoft Publisher 2007 Practice Exercise 4.2: Catalogue Covers In this exercise you are to create two files for two different catalogue covers. You have been supplied with the images, eight in all. The images are various sizes and will need to be cropped and size adjusted to fit into the allocated area. 1. The background is an Autoshape with the name Flowchart: Document. It is inserted twice, one coloured blue the other green and set slightly lower on the page. Both have a blue border. 2. The image, file Course Pallet, positioned over the text box on the left has had the Recolor feature applied where the same blue as the background is used. 3. There are two text boxes. One text box is rotated and has the text Creative Courses entered, Font is Arial Unicode, Font size 72, Font color is the same green as the background. The other text box contains a summary of course types; Computers, Languages, Visual art, Electronics, Hospitality, Health and wellbeing. This text is aligned to the right, Font size 26, Font Segeo Script, Font Color is White. 4. The other four image files for creative courses are; Course cake, Course computer, Course wellbeing, Course language. Insert these files and crop and resize to fit as shown below to the left. Align them and distribute vertically. 5. Save the file as Cover creative courses 6. Click on File Save As and enter the filename Cover certificate courses 7. Modify the text to read as shown above to the right, the courses are; Business, Building, Visual art, Electronics, Multimedia, Applied Sciences 8.
