2 How to Populate the Customer File Uploading Customer ADHOC Schedule Eazy Customer Manager can import customers in a bulk format directly from a spread sheet saved in the CSV format. A template can be downloaded from your Contracts screen here: You will then be faced with an EXCEL spreadsheet with Headers from Column A through to AJ
3 An ADHOC Schedule is defined as being an account which relies on payments being added to the account to collect. For ADHOC schedules, the spreadsheet will need to be populated using the table below. Each field needs to have specific data entered in order for the system to successfully accept and upload the data accordingly. An ADHOC schedule is designed to set up a Direct Debit only and will not require any payment schedules to be added. It will rely heavily on you requesting payments once it has been set up successfully. The system will notify you should an error be present in the spreadsheet and will request you rectify this prior to uploading the remaining data. The system will upload all rows one by one and if an error occurs, any lines above the error will have been imported into the system successfully and will therefore need to be removed from the spreadsheet prior to re uploading. Field Name Description Compulsory Customer.Title Mr/Mrs/Miss/Ms/Dr etc YES Customer.FirstName The customer s first name YES Customer.Surname The customer s last name YES Customer.CompanyName Customer.Initials Customer.DateOfBirth The customer s date of birth Customer.PostCode The customer s postcode YES Customer.Line1 The customer s address YES Customer.Line2 The customer s address YES Customer.Line3 Customer.Line4 Customer.HomePhoneNumber Customer.MobilePhoneNumber Customer. Mandatory if Advance Notice has been agreed to send via Customer.CustomerRef Internal Reference can be placed here. The Contract can be searched by the Customer Reference Customer.AccountHolderName The name of the account that the Direct Debit is to be taken from YES Customer.AccountNumber The bank account number that the Direct Debit will be taken from. Must be formatted to 8 digits YES Customer.BankSortCode The sort code of the account that the Direct Debit will be collected from. Must be formatted to 6 digits YES The name of the schedule that will be used to create the Direct Schedule.Name Debit. This can be found in the SCHEDULES tab of your account. E.g. YES DD Dates 1/15 ADHOC Contract.PaymentMonthInYear Contract.PaymentDayInMonth Contract.PaymentDayInWeek Contract.Start Enter the start date of the direct debit in the format DD/MM/YYYY. This must be a minimum of 10 working days in advance YES Contract.TerminationDate
4 Contract.TerminationType Contract.AtTheEnd Contract.NumberOfDebits Contract.InitialAmount Contract.ExtraInitialAmounts Contract.Amount Contract.FinalAmount Contract.Every Contract.DirectDebitRefSuffix If you have DD OVERRIDE activated, you must enter the DD Contract.CustomDirectDebitRef reference you require here. Please contact Client Services if you are unsure if you have this facility Contract.AdditionalReference If the amount is a charitable donation, and the payer has agreed Contract.IsGiftAid that tax can be reclaimed through the gift aid scheme, then insert YES TRUE in this field, if not, enter FALSE NB: No fields should contain punctuation Files can contain a maximum of 5,000 records Once your spreadsheet has been fully populated and you are ready to upload, you will need to save the file in CSV format in order to successfully upload into our system. Once saved, you are now ready to import into your ECM3 customer database.
5 Uploading the File into Eazy Customer Manager To Upload the completed excel spreadsheet, do the following: 1) Select UPLOAD CUSTOMER CSV 2) Select BROWSE / CHOOSE FILE and Locate your File 3) Select OPEN
6 4) Select SAVE Your file will then proceed to upload into the ECM3 system. If you encounter any errors, the file will stop and inform you of such. You will then need to rectify the issue and re upload using the instructions above. As the system reads each row individually, you will need to remove any rows ABOVE the errored line. NB: Please refer to ERRORS YOU MAY ENCOUNTER help sheet for further information To check all information has been successfully uploaded for you, please run a Customer List Report with parameters set for Contract Creation Date as today s date.
