1 5320/5330/5340 IP Phone Quick Reference Guide This guide provides information for frequently used features. For more information about these and other features, refer to the user guide. For voice mail information, refer to the voice mail user guide for your system. Feature Buttons You need to press (Feature) to activate the feature before you enter the feature code. If you make a mistake when entering numbers or characters, you can press (Hold) to move the cursor to the left and delete the characters entered, or you can press * to cancel the feature. Commonly Used Feature Codes Contact your system administrator for more information about system features. Button (Up) (Down) (Speaker) (Mute) (Applications) (Feature) (Redial) (Hold) (Transfer) (Message) Action Provides volume control. Scrolls through feature options. Activates Handsfree Mode. Activates features. Mutes the microphone during a call. Activates the Applications menu to use the conference unit or cordless devices, program various phone settings, and enable Clean Mode. Activates features while on a call. The (Feature) button does not cancel features. To cancel features, press the Star button (*). Calls the last external number dialed. You cannot redial internal numbers. Places the current call on hold. Left/Backspace when entering dialpad characters. Transfers the current call. Right/Forward when entering dialpad characters. Allows you to view station messages. Toggles between Alpha Mode and Numeric Mode. Mitel 5320/5330/5340 IP Phone User Guide Issue 4, June 2010 Answering Calls Lift the handset, or press (Speaker) to answer a call while using a headset or to answer a call in Handsfree Mode. Placing Emergency Calls Dial the emergency number (911). The system immediately places the emergency call as soon as you dial the number, even if you do not select an outside line.

2 Placing Internal (Intercom) Calls With or without the handset lifted, dial the extension number. If you enter incorrect digits, you can press (Hold) to move the cursor backward, deleting the last digits entered. Placing External Calls Press an unlit Call button, or enter the Outgoing Call access code (8 is the default code), and then dial the number. Redialing External Numbers With or without the handset lifted, press the (Redial). The system automatically selects a line and dials the number. Transferring Calls to Other Extensions 1. While on the call, press (Transfer), and then enter the extension number or press the programmed DSS key. 2. Do one of the following: Wait for an answer, announce the call, and then hang up. If the extension is unavailable, press the flashing IC or Call button to return to the caller. Hang up to transfer the call and disconnect the call from your IP phone. Forwarding Calls 1. Press the Fwd button, ENTER FORWARD DEST appears. 2. Enter the extension number, or press the Outgoing Call access code (8 is the default code), and then dial the telephone number. 3. Press Handsfree Speakerphone key if outside destination. Placing Conference Calls 1. While on the first call, press the Conference button to place the call on hold. CALL NEXT PARTY TO CNF appears. 2. Place a call to the next conference party. For external calls, press the Outgoing Call access code (8 is the default code), and then dial the number. 3. After the party answers, announce the conference, and then press the Conference button to place the call on hold. If necessary, repeat this step to add the remaining conference party. 4. Press the Conference button again to start the conference. CNF IN PROGRESS appears. Using Do-Not-Disturb 1. Press the DND button, and then do one of the following. 2. Press (Speaker), or lift and replace the handset to activate. Placing a Page Announcement 1. Press Enter the page-zone number (0 to 9). Or if simply press the Page key. 3. After the tone, make your announcement, and then hang up. Programming Station Speed Dials: 1. With the handset in the cradle, press the (Feature) key and dial Dial the location code (0-9) to be programmed. 3. Enter the desired name: Press the keypad keys to enter the desired characters. When adding letters that are located on the same key, press the (Transfer), key to move to the next character. Press the (Transfer), key twice to leave a space. Press the hold key to backspace. Press the # key to save the name.

3 4. Enter the number: Enter the number to be dialed including the access code 8. Press the # key to save the number. Add a station speed dial to a key You must first enter desired entry into your personal speed dial list 0-9 following the above instructions. 1. For Station speed dial press (Feature) key than 397 to program key. 2. Press desired key to program. 3. Enter 382 plus access code (0-9). Add a DSS/BLF (direct station/busy lamp field) button to your phone. 1. Press (Feature) key than 397 to program key. 2. Press desired key to program. 3. Enter the extension number. Erase a programmable key 1. Press (Feature) key than 397 select key to erase and press the hold key to erase the entry than press the (Speaker) key to hang up. VOICE MAIL QUICK REFERENCE GUIDE INITIALIZE YOUR VOICE MAIL: Your voice mailbox must first be initialized before it can be used. Press the VM Access key. When the system answers, enter your password (same as your extension and mailbox number) followed by the #. You will then be prompted to enter

4 a new password followed by the # key. If you do not want a password, just press #. To accept press # again. Voice mail will then ask you to record your name for the company directory (first and last name only). The system then introduces the voice mail to you please listen until it says your mailbox is now set up and follow the options below: TO RECORD A PERSONAL GREETING: Press 4 for personal options. Press 1 to record greetings. Press 1 for primary greeting. EXAMPLE: Hello, you have reached the desk of (insert name). I am either away from my desk or on another call. Please leave your name, number, and a detailed message. I will return your call as soon as possible. TO RETRIEVE YOUR MESSAGES: When you have messages, your MSG key will light. Press the VM Access key. Voice mail will then ask you to enter your password #. Follow the prompts from there. If you are calling your voice mailbox from an outside telephone, dial the direct line to voice mail. When voice mail answers, press the * key and follow the prompts. TRANSFERRING A CALLER TO SOMEONE S VOICE MAIL: DO NOT PUT THE CALLER ON HOLD Press the VM Transfer button..enter the Extension number and hang up. Voic Shortcuts Log into your mailbox. Press 1 to listen to your new messages. While you are listening to a message, you can use the following options: Press # to skip to the end of the recording.

5 Press 1 to back up. Press 2 to pause. (Then press any key to continue). Press 3 to skip ahead. Press 4 to lower the volume. Press 5 to play the message envelope again. Press 6 to raise the volume. Press 9 to save the new message in your mailbox. Press 7 to delete the message from your mailbox. The system plays the message. When the message has finished playing, you have the following options: Press 1 to replay the message from the beginning. Press 2 to reply to the message (or make a return call, if enabled). Press 3 to forward a copy of the message to another subscriber. Press 4 to listen to the previous message. Press 5 to play the introductory message envelope again. Press 6 to listen to the next message. Press 9 to save the new message in your mailbox. Press 7 to delete the message from your mailbox. To send voice mail messages, log into your mailbox: Press 2. Dial the mailbox number where you want to leave a message. After hearing the subscriber s name, press # to accept it. When you hear the tone, record your message. When you have completed your message, hang up or press # and listen for more options.

6 Logging into the Mitel Web Portal 1. Open Internet Explorer or Google browser & type in the address bar & press enter. 2. Click on Continue to this website. 3. User name is your extension number. Password is , then click on Log in.

7 4. Once logged in, you can review your call History on the main page. 5. Click on the Programmable Keys tab to program phone buttons. If the phone button is highlighted with a dark blue line, you are able to program that button to fit your needs. If it is gray, the button can only be changed by the system programming administrator.
