1 EUROPEAN COMMISSION CONSUMERS, HEALTH, AGRICULTURE AND FOOD EXECUTIVE AGENCY Specific Privacy Statement EU Funding for promotion of agricultural products at SIAL Paris Introduction 23 October 2018 This privacy statement explains why we process, how we collect, handle and ensure protection of personal data collected in the context of the event "EU Funding for promotion of agricultural products" at SIAL Paris 2018 (Salon International de l'agroalimentaire), dedicated to the EU funding opportunities and organised by the Promotion of Agricultural Products Unit of the Consumers, Health, Agriculture and Food Executive Agency (Chafea). Personal data related to this operation will be processed in accordance with Regulation (EC) 45/2001 of the European Parliament and of the Council of 18 December 2000 on the protection of individuals with regard to the processing of personal data by the Community institutions and bodies and on the free movement of such data. 2. Purpose of the processing operation The purpose of the processing is the organisation of the event: EU Funding for promotion of agricultural products event at SIAL Paris 2018 for potential grant applicants. The organisation of this event includes collection and processing of the following data: - lists for contacts, invitations, participants, reports, distribution of reports, feedback on reports, meeting follow-up, follow-up meetings, follow-up actions, news, publications - photographs/pictures, presentations, live online streaming and/or audio and video recording of speakers and participants, - publication on the internet/intranet pages of Chafea. Upon specific consent of the participants by ticking the opt-in box on the registration form, data will be also used to provide them with relevant information concerning the promotion of agricultural products, for example in the form of the newsletters. 1

2 Further use of mailing lists produced on the basis of the information provided by applicants with their registration may occur in order to enable the data controller to: dispatch of anonymous questionnaire for the evaluation of the event by participants, event follow-up, information sharing among individuals that expressed the will to participate to the event. 3.Who is the data controller? The processing of personal data by Chafea, for the purposes mentioned in point 2 above, is under the responsibility of the Head of Unit of Promotion of Agricultural Products, acting as data controller for the purposes of this processing operation. 4.What personal information do we collect, for what purpose and through which technical means? The personal data collected and further processed are: First name, surname, salutation, professional address, function (non-mandatory) mobile phone number solely for participants that agreed to participate to the match-making event. The data are collected via the on-line application or at a later stage via exchange or during the event. 5. Who has access to your information and to whom is it disclosed? 5.1 For speakers only, name, function and presentation(s), if provided voluntarily by the speaker, will be indicated on the Chafea website. No personal data is added for interventions not in agenda (e.g. questions from the public). 5.2 For the purpose of contacting the participants in the future in the context of the activities of the Commission or Chafea, upon specific consent-by ticking the opt-in box in the registration form, data will be also used to provide participants with relevant information concerning the promotion of agricultural products in the form of the newsletters and direct mailing. 2

3 When the controller sends information/newsletter to persons included in the checklist, the following message will appear: "You have received this information as you requested to be included in the distribution list. If you do not wish to receive further information, the system will give you the possibility to unsubscribe from the mailing list by clicking on the "unsubscribe" link." 5.3 To keep the network of the participants operational, a list of participants will be shared between attendees. The presence list will only be shared between participants and distributed to participating organisations upon explicit consent. An opt-out option is offered to participants who do not wish to share their personal information (Please see consent form). In these cases the organiser will clearly identify the participants who do not wish to be photographed/filmed by means of the colour-coded lanyards or badges. 5.4 Participants of the match-making event shall be asked to state that they agree to disclose their data to other participants of the match-making event, which is the requirement for participation. (Please see consent form). As such lists are Commission documents, they fall under the scope of Regulation (EC) 1049/2001 (see above, point 1). No personal data will be transmitted to parties which fall outside the recipients and the legal framework mentioned. The data are solely collected and further processed for the specific purposes mentioned in this privacy statement and shall not be used for any other purpose. Some photographs will be published on the Chafea website. If you do not agree with this publication of those personal data, please inform the data controller by submitting a request to the functional mailbox (chafea-agriportal@ec.europa.eu). 6. How do we protect and safeguard your information? The collected personal data and all information related to the above mentioned meeting are stored on the servers of Chafea, the operations of which abide by the Commission's security decisions and provisions established by the Directorate of Security for this kind of servers and services. Data related to the presentation and match-making event will be stored on servers of external contractor and will abide by the necessary security provisions. 3

4 7. How can you verify, modify or delete your information? You have the right to access your personal data and the right to correct any inaccurate or incomplete personal data. Should you want to verify which personal data is being stored on your behalf by the responsible controller, and have it modified, corrected or deleted, please send an to the functional mailbox and by explicitly specifying your request. The controller shall follow up the request within 1 month and inform the data subject accordingly. Attention is drawn to the consequences of a delete request, which means that all your contact details will be lost. 8. How long do we keep your data Your personal data will be part of a list of contact details shared internally amongst the staff of the Commission services and Chafea for the purpose of contacting you in the future in the context of activities of the Commission or Chafea. The data will be kept for 5 years after the date of the event. After that date, data shall be anonymised. If you do not agree with Chafea keeping your data, please contact the Controller by using at chafea-agriportal@ec.europa.eu and by explicitly specifying your request. 9. Photos and video materials from the event Copyright notice The event will be photographed/filmed. Your participation in this meeting involves the acceptance of being photographed/filmed and no restriction fee can be requested for any use or reuse of the images. An opt-out is provided to participants who do not wish their images to be recorded nor published on any support. In these cases the organiser will clearly identify the participants who do not wish to be photographed/filmed by means of the colour-coded lanyards or badges. COPYRIGHT NOTICE A photographer and/or a film crew will be present in the conference room to photograph/film the event for illustration and information purposes related to the activities or projects of the European institutions and the European Union. Participants who do not agree to 4

5 photographing, filming and use of their image and voice have to inform the controller, before they complete their registration, at the following address: 10.
