1 Simplot Order Gateway (SOG) User Instructions April 6, 2011 The Simplot Order Gateway (SOG) can be found by clicking the following link or by typing it into your web browser address bar. 2 LOGGING IN Enter your Username and Password. Click Login. If you do not have a username or password, you may click CSR to request one. Page 2 of 11

3 ORDER LIST SCREEN Use this section to search for specific orders within the last 90 days. You may use any combination of the below filters to show only the orders you would like to see. Bill To/Ship To: Select a Bill To or Ship To (if multiple exists.) PO#: Type in all or part of a specific PO number. Order#: Type in all or part of a specific Simplot order number. Search Period: Select from different time periods (Show All Results, Today, Last 2 Days, Last 7 Days, Last 14 Days, Last 90 days.) Status: Choose to view only orders with a certain status. All shows all statuses Not Yet Submitted Created and saved but not yet submitted to Simplot Submitted Submitted to Simplot but not yet received in the JRS system New Order Submitted and received in the JRS system but not yet confirmed Confirmed Received and confirmed in the JRS system Shipped Shipped but not invoiced Invoiced Shipped and invoiced Canceled Canceled orders Simplot Product Code: Type in a Simplot 14 digit product code to find orders containing that item. Specific Date: Type in a specific date to view all orders submitted on that day. Reset: Click this button to clear all selected search criteria. Page 3 of 11

4 SEARCH RESULTS Once you have made your selections, only the orders that meet your selected criteria will be listed. You may sort your results by clicking on the column headings. The below example is being sorted by Order Date, as noted by the symbol. You may print your results by clicking on the icon, and can export your list to an Excel workbook by clicking the icon. ORDER ACTION BUTTONS From this screen you may edit, change, view, and copy orders depending on the status of the order. Edit Make changes to an order that has not yet been submitted Copy Create a copy of the order Delete Delete an order that has not yet been submitted Submit Submit an order that has been saved but not submitted Change Request changes to a submitted order (see page 10 for detailed instructions) View View an image of a submitted order as it appears in the JRS system Page 4 of 11

5 CREATE A NEW TEMPLATE Select Template List and then click the New Order button. Page 5 of 11

6 Complete the following fields with information that you would like to have included on your order template. Bill to Who will be paying for the order. Ship to Where the order will be shipping. PO - Type the name of your template. (Example: Fry Template) Comment Use this space to add comments to the order. (Example: Pallet Exchange) Page 6 of 11

7 Complete the following fields with product information that you would like to have included on your order template. Item Enter the 14 digit Simplot SKU number. Quantity Type the quantity of each item. Contract Code This is an optional field can be used to include the pricing program number. Expected Unit Price Enter your expected price. To add more than one item to your template, click Add Order Line. Once you have completed creating your template, click Save as Template. Page 7 of 11

8 Once the template is saved, you can click on Template List to see a list of all your templates. From your template list screen, you have the following options: Edit Make changes to the template. Copy Copy the template to create an order. Delete Delete the template. Page 8 of 11

9 COPY A TEMPLATE TO CREATE AN ORDER To copy a template to create an order, fill out the below information: PO Enter the PO number for this specific order. Requested Ship Date Enter the pickup date for a Customer Pickup or the requested delivery date for Truck (Simplot arranged delivery.) Quantity The number of cases you would like to order for this specific order. Once all of these are filled in, click Submit Order and your order will be sent to Simplot. Page 9 of 11

10 ORDER CHANGE An order change may be submitted by clicking Change from the Order List Screen next to the order you wish to change. The Order Change Screen will appear allowing you to make the desired changes. Date Change Select a new pick up or delivery date. Quantity Adjustment Increase or decrease the quantity of items on the order. Add A New Item Add new items by entering the full 14 digit Simplot SKU and the quantity. Page 10 of 11

11 You may include additional information in the Comments section. From the drop down list, select the name of the Simplot CSR you wish to have the change form sent to. Click Submit Change when you are ready to send the order change request. Once the change has been successfully submitted, an will be sent to both the Simplot CSR and the submitter. *Please Note* Submitting an order change request via the Simplot Order Gateway does not automatically change the order in our JRS system. It simply generates an to the CSR with the requested change. The Simplot CSR will receive and review the change and then manually make the change in our system once the request has been approved.
