6 PROFILE - REGISTRATOR The following table describes the general elements presented in every function of the Experts Database. Elemento Descripción Searches information according to the filters selected. Saves the information added. Closes o cancels an action. Opens a popup window to create new registers. Opens the popup window to edit the information of the item selected. Deletes the items selected upon confirmation. Goes to the first page of results found. Goes to the previous page of results found Goes to the next page of results found Goes to the last page of results found. Enables you to choose a specific page of results found. 7 REGISTRATOR S MANUAL 1. Objetives This document aims to help users on the utilization of the experts database. We recommend reading thoroughly the manual in order to obtain better results. 2. Access to the system To access the Experts Database is very easy. Go to your website and type in the URL: Then, enter your username, password and security code; and click enter, as shown in the image. Image 1: Main page of the Experts Database. Page 7

8 2.1. Change password At the main page, there is an option to change your password. Click on change password (see image 1), and you will have the following popup window. Image 2: change password form. To change your password, enter the information required in image 2 and then click on Save. You will receive an confirming the change of password Forgot password In case you ve forgotten your password, the system has a recover passwoword option. Click on Forgot Password (see image 3) and the following window will popup. Image 3: Forgot password. Type in the you logged in and the security code shown; then, click on Send . You will receive a new password. Page 8

9 3. General This profile enables you to add new Registrator for your SAI, manage information from experts, as well as to respond surveys conducted by the administrator of the system. Finally the Registrator gives access to statistical reports on the experts database. The system shows the options the user can access. This document describes such options in detail for a better and quick understanding. The options for the Registrator profile are: Menu Management -> Registrator Description Enables to keep Registrators information from your SAI updated. Management -> Expert List Search Answer Survey Reports -> Advanced Search Reports -> Distributions of Experts Reports -> Experts List GeoMaps Permite administrar la información de expertos de su EFS. To carry out an advanced search of experts and preview detailed information of the resume. Allows responding to surveys. Graphical reports of the selected information on experts. Graphical reporto n SAIs and experts according to their regional groups. Graphical report on the distribution of experts in the world. Administrating Registrators At the Main menú, click on MANAGEMENT and then choose Registrator, as show non the following image: Page 9

11 4.1 New Registrator To add a new Registrator, select New (see image 7) and the system will show a new popup window for Registrator Details. 12 After updating the information of the Registrator, select sabe (Image 7). The system will verify the information and make sure the mandatory information is complete, such as: Name, Last Name and . If you do not wish to save the information, click on Cancel. When adding a new Registrtor, you may also add a picture; click on Change Picture (see image 7) and the system will display this form. Then, click on Select file, browse your picture in your computer and immediately click on Import, as shown in the image below. Imagen 8: Attach photo 4.2 Search Registrators By default, you will see the name of your SAI. In addition, there are search filters, as shown in the next image. Yo can search Registrators by using the following filters: Image 9: Search filters Elemento Name of Registrator Regional Group Country Descripción Textbox to add the registrators s name. You may enter a name, last name or both. Dropdown list of regional groups Dropdown list of countries for the nationality of Registrators. Table 4: Description of search filtrs Page 12

13 After entering some of the search filters, click on Search. In case of not entering any information, the system will show all Registrators. The results are displayed as follows (see image 10) Image 10: Search results of Registrators The following table describes the options presented above: Element Edit Delete Description This allows you to modify the information selected. Deletes the information of the registry selected. SAI Name of Registrator Country Phone Number Status Credential Last ed Indicates the Registrator s SAI. Indicates name of Registrator. Nationality of Registrator. Registrator s reference address to contact him/her. Registrator s reference pone number. Indicates the registry status. This can be either Active or Inactive. This options enables to send the user his/her username and password to the given address. Indicates date and time of last sent to the Registrator, with the username and password.. 14 4.3 Editar Registrador To edit Registrator information, select an item from the list, (see image 6), select option and you will see the Registrator Details form, where you may add information to be uptdated. 15 To update the modified information, click on Save. The system will verify the information added and check the following data is complete: Name, last name and , as those are mandatory information. If not, the system will display a validation message. In case you do not wish to save the changes, click on Cancel. When editing the Registrator s information, you may also update the photo. Click on Change Picture (see image 11) and you will see a popup window to attach the file. Click on Select file and then import, as shown below. Image 12: attach photo 4.4 Delete Registrator To delete a Registrator select an item (see image 6) and select message will display:. Then, the following Image 13: Confirm deletion. To confirm, click on Yes and the system will delete the information of the item selected. 4.5 Send credentials To send credentials to one of the Registrators, select one from the list (see image 6) and click on. This enables to automatically send his/her username and password to the Registrator. Such information will be delivered to the address given by the Registrator. To confirm this, the system shows the following message. Page 15

17 5.1 New Expert To add a new expert, click on New (see image 16) and the Expert Details form will display (Image 17). Image 17: New expert form. If you do not wish to save the information, click on Cancel. 5.2 Experts search The system shows by default the SAI of the Registrator. 20 Experts search may be done using the following filters: Element Name Publication Description Textbox to add the expert s name. You may enter a name, last name or both. Textbox to enter the expert s . Dropdown listing of publication status on experts resume there are three options: EXPERTS,PENDING,PUBLISHED Table 8: List of search filters After entering any of the search filters mentioned, click on Search. If not information is entered, by default, the system displays all the experts registered into the database. The list is displayed as follows. Enables to modify information of the registry selected. This option deletes the information from the ítem selected. Expert s name. Expert s reference . Page 20

21 Credential Insert Date Edit Profile PDF Publication This option notifies the expert, by , the access information necessary for the system. Indicates date of entry of the registry. This option enables to modify information from the expert. Enable to preview the experts resume in a PDF file. Status of the experts registry. They can be: EXPERTS PENDING PUBLISHED Table 9: List of experts search 5.3 Edit Expert To edit an expert s information, selecta n ítem (see image 19) and click on, which shows the Expert Details, form to include the new information. 22 Expert Details (Image 20), describes the following inforamtion: Element Description Information SAI The expert s SAI is shown by default Default Nationality Expert s nationality. Optional Name Name of the expert. Mandatory Last Name Expert s last name. Mandatory Date of Birth Expert s date of birth. Optional Phone Number Expert s reference phone number. Optional Mobile Expert s cell phone number. Mandatory Expert s address. Mandatory Alternative Expert s alternative . Optional Country of Residence Expert s resident country. Optional Address Expert s address. Optional Personal Site Expert s website Optional Brief Resume Short biography of the experts. Optional Change Picture Expert s photo (file). Optional Gender Gender of expert. Optional Working Situation Current working situation. Optional Status Shows the status of the experts. The system will verify the information and make sure the mandatory information is complete, such as: Name, Last Name, Mobile and . If you do not wish to save the information, click on Cancel. When the expert s information is updated, you may also update the picture. In this case, click on Change Picture (See image 20) and the system will show this form. Page 22

23 Then, click on Select file, browse your picture in your computer and immediately click on Import, as shown in the picture below. Image 21: Attach photo 5.4 Delete Expert To delete an expert, select an ítem from the list (See image 19) and click on. The system will display a confirmation message. Click on Yes to remove the selected expert. Imagen 22: Confirmar Eliminación 5.5 Send Credentials To send credentials, select an item from the list, (see image 16) and click on. This will allow sending the expert his/her username and password to access the database. Afterwards, you will see this message: Image 23: Message of credential sent. Page 23

24 5.6 Preview ExperVisualizar Hoja de Vida This option enables you to visualize the expert s CV in a PDF file. Select an item from your search (image 19) and click on expert CV.. Then, the system will display a popup window with the Image 24: Expert s resume/cv 5.7 Publishing experts profiles This option updates the publishing status of the expert profile. If under the Publication column (image 16) there are registrys with a pending status, a checkbox will be shown for each registry. To update the status, click on process (Image 16) and the system will update all the selected registries, by changing the status Pending for published Page 24

25 5.8 Edit Expert Profile To edit an expert s information, select the one you need to modify (Image 16) and click on, to see My profile form, where you can add the new information. Image 25: Edit expert profile Page 25

26 The following table describes the options shown at My Profile form (Image 25). Elemento Imagen Preview Brief Resume Edit Send Pestañas Descripción Displays the expert s photograph. This option allows you to see the expert s resume in a pdf file. Displays a brief description of the expert s personal and professional information. This option enables you to modify the expert s personal and professional information. This option sends the updated information of the profile for publishing. Displays your professional and working information. These tabs are grouped by: Pestaña Education Languages Professional Career Publication / Researches Recognition - Professorships Exchange Activities Expertise Table 11: Description of My Profile Preview of CV To visualize the CV, click on preview (Image 25) and the system will display another window containing the expert s CV in a PDF file (Image 24) Edit Personal Information To edit expert s infromation, click on Edit (Image 25) and the system displays a window with the expert s information where you may modify the data you may consider covenient, as shown on 5.3 Expert Filters. 27 5.8.3 Edit additional Information This section also presents additional information of the expert profile. The information refers to professional development, working experience and achievement of the experts. Information is displayed in tabs as follows: "Education Languages", "Professional Career", " Publication / Researches", "Recognition - Professorships", "Exchange Activities" y "Expertise". 28 Education section The system shows in detail the expert s profesional education. Indicates expert s profession. Indicates the expert s level of education. Expert s academic institution name. Grade obtained by the expert. 29 New Education For a new record, click on New (image 28) and the system displays the Education form. Optional Profession/Description Indica la profesión del experto. Mandatory Institution Expert s academic institution name. Mandatory Degree Obtained Grade obtained by the expert. Optional Country Indicates the country where the expert developed his or her studies. Optional From Date the expert begins studies Optional To Date the expert ends studies Optional Currently working Indicates working situation of the expert at the SAI. Optional Page 29

30 Table 13: Details for education After completing the information of new registry, select Save (Image 29). The system will verify the information and make sure mandatory information is complete, such as: Profession/Description and Institution. If you do not wish to save the information click on Cancel. Edit Education To edit section Education, select an item from the list (Image 28), click on display the Education form, where you can update the information., the system will Image 30: Edt Education form The information on this form is specified in Table 13. To update the modified information, click on Save. The system will verify the information added and check the following data is complete: Profession/Description and Institution. If not, the system will display a validation message. In case you do not wish to save the changes, click on Cancel. The window will automatically close. Page 30

31 Delete Education To delete a registry, select an item from the list (See image 28) and click on. Then, the system will display this confirmation message: Image 31: Confirm deletion. To confirm, click on Yes and the system will delete the information of the item selected Language section The system describes in detail languages mastered by the expert. 32 Delete Esta opción elimina la información del registro que se seleccione de la lista de resultados. Language Indica el idioma. Understanding Indica el nivel de comprensión del idioma. Speaking Indica el nivel hablado del idioma. Writing Indica el nivel de escritura del idioma. Certification Indica la certificación del idioma. Other Language Indica otros idiomas. 34 Table 15 describes information included in this form. To update the information added, click on Save (Image 34). The system verifies at least mandatory information has been included. If not, the system will show a validation message to add mandatory information. In case you do not wish to save the changes, click on Cancel to close the window. Delete Language To delete a record, you must select an item from the list (See image 32) and click on. 35 General Working Experience section The system shows a list of the expert s working experience. Position of the expert. Name of the organization where the expert worked. Sector of the Company the expert worked. (Private or Public) Place when the organization is located. 36 New General Working Experience To add a new registry, choose option New (see image 37) and the system will display the form General Working Experience. Image 38:New registry form. Mandatory Organization Sector Location Description Indicates the name of the organization he/she worked. Indicates the sector the company belongs to (Private or Public) Indicates the geographical location of the organization. Indicates a brief description of the position performed in the organization. 37 From - To Currently working Indicate the dates the expert worked at the organization. Indicates whether the expert is currently working at the organization. The system verifies at least mandatory information has been included, such as Job title and organization. Click on cancel to exit the form. Edit General Working Experience To edit information under this section, select a registry from the list (image 37), click on, the system will display the General Working Experience form where you can add the information you wish to update. 38 To update modified information, select save. The system verifies at least mandatory information is included, such as Job title and organization. If not, the system displays a validation message of mandatory information. Click on cancel to exit and close the window. Delete General Working Experience To delete a registry, select an item from the list (see image 37) and click on. Then, the system will show the following confirmation message. The system will delete the selected registry Working Experience in SAI section The system displays a list of the expert s experience in the SAI. 39 The following table describes details of the list: Elemento Edit Delete Position Departamento From To Descripción This option allows you to modify information from the registry selected. This option deletes the information of the registry, selected from the list. Indicates position perform in the SAI. Indicates areas where he/she worked. Indicates dates of position preformed. Mandatory Departamento Indicates work area. Mandatory From Indicates begining date in position. Optional To Indicates ending date in position. Optional Optional After completing the new information, select save (Image 42). The system verifies at least mandatory information has been included, such as Position and Department. Click on cancel in case you dot want to save the information. Edit Working Experience in SAI To edit information under this section, select a registry from the list (image 41), click on, the system will display the Working Experience in SAI form, where you can add the information you wish to update. 41 Table 19 describes options on the image above. To update modified information, select Save. The system verifies at least mandatory information is included, such as Position and Department. If not, the system displays a validation message of mandatory information. Click on cancel to exit and close the window. Delete Working Experience in SAI To delete a registry, select an item from the list (see image 41) and click on. Then, the system will show the following confirmation message. The system will delete the selected registry Publication / Researches This information displays three sections: Publications, Researches and Projects. 42 Publications Section The system shows detailed publications of the expert. Image 45: List of section Publication The following table describes options in image above: Elemento Edit Delete Type Title Published in Country Descripción This allows you to modify the information selected. Deletes the information of the registry selected. Indicates the type of publication by the expert. Indicates publication s title by the expert. Indicates Publisher for the expert s publication. 43 Newregistry Publication To add a new registry, select New (see image 46) and the system displays the Publication form. Image 46: New registry form. Once at the Publication form (Image 47), the following data is displayed: Element Description Condition Title Expert s publication title. Mandatory Description Brief description of the expert s publication. Optional Country Country of publication. Optional Type Reference type. 44 After completing the new information, select Save (Image 47). The system verifies at least mandatory information has been included, as Title. Click on Cancel in case you dot want to save the information. Edit Publication To edit information under this section, select a registry from the list (image 46), click on, the system will display the Publication form, where you can add the information you wish to update. The system verifies at least mandatory information is included, in this case Title. If not, the system displays a validation message of mandatory information. Click on Cancel to exit and close the window. Page 44

45 Delete Publication To delete a registry, select an item from the list (see image 46) and click on. Then, the system will show the following confirmation message. Image 48: Delete confirmation. To confirm, click on Yes. The system will delete the selected registry Researches section The system displays information on expert s researches. Edit Researches To edit information under this section, select a registry from the list (image 50), click on, the system will display the Research form, where you can add the information you wish to update. 50 Editar Projects To edit information under this section, select a registry from the list (image 54), click on system will display Projects form, where you can add the information you wish to update., the Table 25 describes options in image 56.
