4 Welcome to ATB Online Business ATB Online Business provides secure, convenient access to your business accounts and services 24 hours a day, seven days a week. ATB Online Business allows you to check balances, transfer funds, pay bills, view transactions, order statements and more. The administrator designated by your company s signing authorities, is the only person that has control over user access to your company s business accounts and services through ATB Online Business until they create roles and add users. The administrator, creates roles for users and determines which accounts and services users will need access to so users can transfer funds, pay bills, collect or make payments, and access workflow and limits. These entitlements will carry over to ATB Business Mobile for each user. The administrator, also has access to all business accounts and services, the ability to reset passwords and security questions for other users and the ability to create alerts for other users to subscribe to. Thank you for choosing ATB Financial. Let s get started! Note: ATB sets up the administrator for your business through our internal system according to the directions your company gives us. ATB will change the administrator only under explicit instructions and authorization from the signing authorities of the company. User Guide - ATB Online Business General User 4
5 How to use this guide This guide is a reference for users of ATB Online Business after a business administrator has created roles and added users. If you are the administrator and signing in for the first time, check out the ATB Online Business Administrator User Guide to learn how to create roles and add users. This General User Guide gives you step-by-step instructions on using the products and services your business has enrolled in. To learn more about the products and services check out the associated User Guides to learn how. There are two types of users in ATB Online Business: Administrator The administrator was designated by the signing authorities when the business enrolled in ATB Online Business. The administrator creates roles and adds users so other employees can access ATB Online Business. User Users are granted access to ATB Online Business by the administrator. The administrator must create a role and then assign it to a user before the user can sign in to ATB Online Business. Roles and entitlements in ATB Online Business ATB Online Business uses roles so users can have different entitlements to access and perform transactions on the business accounts. Once a role is created, the administrator can add users; multiple users can be assigned to the same role. Administrator role The administrator is authorized by the signing authorities, to have full administrative access to all the accounts linked to the company's online banking. The administrator can create a user administrator role in cases of vacations, illness or other unforeseen emergencies. The user administrator would have the same access as the administrator. In ATB Online Business the administrator can: Perform transactions on accounts Create and assign roles for users Gives account and transaction access to users through entitlements Audit users and transactions Reset passwords and security answers for users User roles Once the administrator has created a role and assigns it to a user, the user can sign in to ATB Online Business. After signing in, the user is required to create challenge questions and answers along with enrolling in Enhanced Security. The user will then be able to see the accounts and perform the transactions the administrator has given their role entitlements to. User Guide - ATB Online Business General User 5
6 Limits All transactions are governed by the available funds in the deposit account. With many of ATB s services, both the company and the administrator can limit the value of transactions. ATB Online Business has two types of limits: Business-level limits are set in ATB s internal system. ATB personnel modify these limits, which are set by ATB in consultation with your company s signing authorities and administrator. Business-level limits apply to all users performing transactions, including the administrator. Role-level limits are managed by the administrator in ATB Online Business. The administrator can set different limits for different types of payments and transactions for each role. Role-level limits must match or be lower than business-level limits. Workflow approval All transactions are governed by the available funds in the deposit account. With many of ATB s services, both the company and the administrator can limit the value of transactions and create approval settings. ATB Online Business has two types of limits for workflow approval: Business-level workflow approval is set in ATB s internal system. ATB personnel modify these settings, which are set by ATB in consultation with your company s signing authorities and administrator. Business-level workflow applies to all users performing transactions. Role-level workflow approval is managed by the administrator. The administrator can use different settings for different types of payments and transactions for each role. Role-level settings must match or be lower than the business-level workflow approval. Role-level workflow is added when the administrator is creating a role. There are three types of workflow approval available for both business- and role-level workflow approval: No approval required User does not require any approvals and would not have a transaction or payment limit. The user is only subject to the business-level transaction and daily limits. Single approval required Any transaction or payment submitted must be approved by a different user with approval entitlements. The administrator can further specify a dollar limit whereby any transaction or payment over the specified dollar amount is subject to approval and any transaction or payment under the specified dollar amount does not require approval. Dual approval required Any transaction or payment submitted must be approved by two different users with approval entitlements. The administrator can further specify a dollar limit whereby any transaction or payment over the specified dollar amount is subject to approval and any transaction or payment under the specified dollar amount does not require approval. Deny workflow approval will deny any transaction or payment submitted by a user that exceeds the specified dollar amount. Any transaction or payment submitted below that dollar amount is subject to the business-level workflow approval. Deny is only available at the role-level workflow approval. 7 Note: Users can t approve their own transactions nor can a user approve the same transaction twice if dual approval is required. Transactions must be approved within the specified time limits. If a transaction deadline passes with no decision, it will expire and be deleted from ATB Online Business. The deadlines vary with the transaction type as follows: EFTs expire 60 days after the file creation date. One-off Payments expire depending on the currency: CAD One-off Payments will expire at 12pm (noon) MT on the payment s due date. USD One-off Payments will expire at 11:59pm MT on the day before the payment s due date. Wires expire at 2pm MT on their effective dates. AGLC payments expire at the end-of-day on the due date. Cheque Management Services decisions expire at 11am MT on the presentment date. Interac e-transfers expire seven days after creation. Bulk Interac e-transfers expire seven days after creation. User and role approvals expire 30 days after their initiated date. Enhanced Security Enhanced Security will prompt you to enter a one-time verification code when you initiate specific sensitive online transactions. These transaction through ATB Online Business may include: Adding or editing bill payees EFT files One-off Payments Changes to passwords and challenge questions and answers Managing users and roles Your one-time passcode will be sent to you by SMS text or automated phone call, depending on your preference. When you enter the passcode in ATB Online Business, the transaction proceeds. 8 User procedures If you are the administrator for ATB Online Business, you ll need to sign in before anyone else in your business can have access. You will automatically have full access to all accounts the business has requested be available in ATB Online Business and the services in which the business has enrolled. Accessing ATB Online Business Sign in Your administrator will send you your User ID and password to sign into ATB Online Business. If you have not received your User ID and initial password please contact your administrator. Once you have received your User ID and password: 1. 9 2. Type your user ID and password, click Submit. 3. Follow the on-screen instructions to change your temporary password. 4. Set up your challenge questions and answers. 5. Select questions by using the drop down arrows within each Select a Question box. 6. Type in the corresponding answers to the questions in box adjacent to the question you have selected. 7. 10 8. Click Next to begin enrolment and activation of Enhanced Security. If you are not ready to enrol, click Defer Enrolment; the Account Summary page will be displayed in ATB Online Business. Note: If you defer enrolment you will have limited functionality for certain transactions, payments and administrative functions. The enrolment process will be presented each time you sign in to ATB Online Business until you enrol. ATB recommends completing your enrolment as soon as possible. 9. Enter your phone number, phone name (i.e. mobile, office) and the preferred delivery method for Enhanced Security notifications. The delivery method can be changed with each Enhanced Security notice you receive. User Guide - ATB Online Business General User 10
11 10. Click Submit to register the phone information. A passcode input page will appear. A one-time passcode will be sent as verification that the phone is in your possession and the number was entered correctly. This verification process is required for each new phone number added for Enhanced Security. Note: When you add a new phone for Enhanced Security, a SMS text message is sent as notification that ATB alerts have been activated regardless of the delivery method chosen. This enables the phone to be used for either delivery method after it has been successfully added. 11. Enter the passcode received in your message from ATB and click Submit to complete the phone verification process. Enhanced Security passcodes are time-sensitive and are one-time use only. A. If your passcode is validated as correct, a Success page will appear. Your Enhanced Security enrolment is now complete. User Guide - ATB Online Business General User 11
12 B. If your passcode has been entered incorrectly, a Verification Failed message will appear. Click Send New Passcode to generate a new passcode or click Cancel to leave the enrolment process. C. If your passcode has expired, a Passcode Expired message will appear. Click Send New Passcode to generate a new passcode or click Cancel to leave the enrolment process. 12. Once you ve successfully entered a passcode, click Next to display the Account Summary page. For details on how to add, edit, or delete Enhanced Security, change your password or security questions see Security Preferences this General User Guide. 13 manage your accounts and check out the other User Guides for the services you have enrolled your business in. If you have employees in your business that need to access ATB Online Business, read the Roles and users section of the ATB Online Business-Administrator User Guide. Managing your accounts Note: When creating your role, your administrator gave you entitlements to specific accounts and services. For any changes or questions about which accounts and services you have access, contact your administrator. View account details You ll see the Account Summary page when you first sign in to ATB Online Business. To view the transaction details of a particular account, click the account name. Up to 18 months of transaction history is available. You can use the drop-down menus to edit the criteria and filter the transactions. User Guide - ATB Online Business General User 13
14 Edit account nicknames Account nicknames can help you keep track of your accounts. The default name for each of your ATB Online Business accounts is the account type. For example, the default nickname for a Pay as You Go will be Pay as You Go. Managing account nicknames 1. On your Accounts Summary page, click Edit Account Names. 2. Edit the individual account names or click Clear All to delete all account names before typing in new nicknames. When you re finished, click Save. Note: If you would like to have your account nicknames displayed on your statements, click the Display nickname on statements check box. Only the administrator of ATB Online Business has access to this feature. User Guide - ATB Online Business General User 14
15 Reactivating inactive accounts If an account has had no customer-initiated transactions for one year, ATB considers the account inactive. Inactive accounts are tagged with a warning icon Business. To reactivate an inactive account: to the left of the account name in ATB Online 1. On the Account Summary page click the account name next to the warning icon to view the inactive account. 2. Click Currently inactive, click to activate. User Guide - ATB Online Business General User 15
16 3. Select the account(s) you d like to activate on the Accounts Acknowledgement page; click Next. Note : It can take up to 48 hours for an account to be reactivated. Until it is reactivated, it will still be shown as inactive in ATB Online Business. Download account transactions To download account transactions to your computer for use with accounting software: 1. On the Accounts tab menu, click Download Transactions. Then click on the Account(s) dropdown. User Guide - ATB Online Business General User 16
17 2. Follow the on-screen instructions to specify the accounts you want to download. Choose the file format based on the accounting software that your business uses. ATB Online Business offers multiple formats for download: CSV, BAI2, and proprietary formats for the following accounting software: Open financial exchange (OFX) format (please refer to the Exporting Account Information to.ofx Format Software (Simply Accounting User Guide) QuickBooks Quicken The comma separated value (CSV) format is commonly used in the exchange of data. The data in CSV files is written in ASCII format and the data is separated by a delimiter. ATB Online Business allows you to use pipes, commas, spaces or tabs as delimiters. The header record in a CSV file defines the layout or order of the fields the file. If the header appears within the CSV data set it must be the first record of the file and follow the same formatting rules as the rest of the file. The header record is useful if you are unsure of the order in which the data parts of the CSV file have been put together. See the Appendix for more information on the BAI2 format. 3. Transaction download files that you request will remain available in the dropdown section for up to one week. These will be available to all users assigned to the same role in ATB Online Business and can be downloaded multiple times throughout that period. User Guide - ATB Online Business General User 17
18 E-Statements E-statements are PDF copies of your regular paper statement, which you can save or print. You can set your statements preferences through ATB Online Business, which are available upon request for accounts for up to seven years from their original date. E-Statements are available as consolidated or individual statements; consolidated statements show the activity of all your accounts combined in one statement for the statement period you ve chosen. Edit statement preferences You can change your statement preferences to display E-Statements Only or Paper and E-Statements. 1. From the Account Summary page, click E-Statements. 2. Click Edit Statement Preferences. 3. Under Statement Delivery, choose from the drop down menu; E-Statements Only or Paper and E-Statements. Click Save Changes if no more changes are needed. Note: If you click the radio button under Statement Alert you will receive an alert when your statement is available for downloading. To view E-Statements: 1. From the drop down menu, select the account you want to view a statement for. 2. A list of available statements will be listed as PDF. Select the month, one at a time, you d like to view. 19 Approve or reject items awaiting approval If you have approval capabilities, when you sign in to ATB Online Business the Today s Items for Review field will display the number of items awaiting your approval. Approve or reject items 1. Under Today s Items For Review, click Approvals, then click on the Item(s) Awaiting Approval link. 2. Click the checkbox of the transaction you want to approve or reject under the Select column. To see further details before you approve or reject a transaction, click the ID number link. 3. Once you have reviewed the transaction, click Reject Selected or Approve Selected. 4. A verification screen will appear. Click Save Changes to finalize the approved or rejected transactions. 20 5. A confirmation screen will appear. View approval history To view your account s approval history: 1. Under Today s Items For Review, click Approvals, click on Approvals History.. 2. Enter the criteria of the approvals you d like to review. 3. Click Submit. Transferring funds You can transfer funds between the accounts that you have access to in ATB Online Business. Contact your administrator if you have questions about account access or changing your entitlements. Set up a single, future-dated or recurring transfer: 1. Click Transfers. 21 2. Enter the details of the transfer you d like to make. Click Next. 3. Once you verify that the information is correct, click Submit. Note: The transaction reference number and the details of the transfer are also available through the Transfer History tab. Set up multiple transfers: 1. Click Transfers, then Multiple Transfers. 22 2. Enter the details of each transfers you d like to make. Click Submit. 3. Once you verify that the information is correct, click Submit. Note: The transaction reference number and the details of the transfer are also available through the Transfer History tab. View, cancel and edit pending transfers: 1. Click Transfers, click Pending Transfers. 2. Select the transfer you want to edit, cancel or view. 3. For single transfers, click Delete or Edit to change the details of the transfer. 23 4. For recurring transfers, click the radio button that matches how you d like to change the transfer. 5. Click Submit. A verification screen followed by a confirmation message will appear. View your transfer history: 1. Click Transfers, then Transfer History. 2. Select the account and period for the transfers you d like to see and click Search. 24 Stop payments Note : You need the entitlements to use stop payments. Contact your administrator if you have questions about your entitlements. Stop a cheque 1. Click Stop Payments, click Single Stops. 2. Click the Stop payment on a single cheque radio button. 3. Enter the details of the cheque you want to stop and click Submit. 4. Verify that the information is correct and click Submit again. 5. A confirmation message will appear once the request is accepted. Stop a pre-authorized payment request 1. 25 2. Click the Stop Single pre-authorized Payment radio button. 3. Enter the details of the payment you want to stop, click Submit. 4. Check that the information is correct and click Submit again. 5. A confirmation message will appear once the request is accepted. Stop payment on a range of cheques 1. 27 View and delete stop payments 1. Click Stop Payments, then Manage Stop Payments. 2. Select the account you want to view the stop payment details and click Submit.. 3. To view additional details of a stop payment, click on the hyperlinked Stop Number. 4. To delete a stop payment, click the Delete icon next to the stop payment. 28 5. Check that the information is correct and click Continue. 6. A confirmation message will appear once the request is accepted. Paying bills In ATB Online Business, bill payments can only be made from a deposit account. ATB Online Government Tax Payment & Filing and AGLC Payments are accessed through the Pay Bills tab. If you aren t enrolled in and would like to use these services, contact us. Note : You must have entitlements to pay bills. Contact your administrator if you have questions about or need changes to your entitlements. Add a new payee 1. Click Pay Bills, click Manage Payees. 2. 29 3. Select the payee you d like to pay then click Next. 4. Enter the account number and create a nickname, click Next. 5. Validate the information is correct and click Submit. 6. A confirmation message will appear once the request is accepted. User Guide - ATB Online Business General User 29
30 Edit a payee 1. Click Pay Bills, click Manage Payees. 2. Click on the name of the payee you d like to edit. 3. Edit the details and then click Next. 4. Check that the information is correct and click Update Payee. 5. A confirmation message will appear once the request is accepted. User Guide - ATB Online Business General User 30
31 Delete a payee 1. Click Pay Bills, Manage Payees. 2. Under Edit Payee, next to the payee you want to delete, click the trash can under Delete. 3. 32 Make a one-time bill payment 1. Click Pay Bills, click Create Payment. 2. Enter the details of the payment you want to make and click Next. If the intended payee does not appear in the list, you need to add them as a new payee. See the Add a new payee section of this user guide. 3. Check that the information is correct and click Submit. 4. You ll see a confirmation screen with reference numbers for each transaction. User Guide - ATB Online Business General User 32
33 Create a recurring bill payment 1. Click Pay Bills, click Create Recurring Payment. 2. Enter the details for the recurring payment, then click Next. If the intended payee does not appear in the list, you need to add them as a new payee. See the Add a new payee section of this user guide. 3. Check that the information is correct and click Submit. 34 4. A confirmation message will appear once the request is accepted. Edit or cancel pending bill payments 1. Click Pay Bills, click Pending Payments. 2. Click the Edit/Cancel button next to the payment you want to edit or cancel. 3. Click the radio button next that matches how you d like to change the payment. 35 4. Click Submit to finalize the instruction. 5. A confirmation message will appear once the request is accepted. View bill payment history 1. Click Pay Bills, click Payment History. User Guide - ATB Online Business General User 35
36 2. To see detailed record of a payment, click the Reference Number that corresponds to the payment you want to view. Alerts Alerts are automatic notifications that will enable you to react faster and avoid missing key deadlines for important transactions and day-to-day banking activities. You must have alerts entitlements to subscribe to or create an alert. Contact your administrator if you have questions about or need changes to your entitlements. Check out the Alerts User Guide for step-by-step instructions on subscribing and setting up alerts. Client Services Depending on your entitlements, the Client Services tab allows you to access your account services, security preferences, Mastercard services, ATB s privacy statement or learn the best ways to get in touch with us. Account services * Order a copy of a cheque 1. Click Order Cheque Copy. Fill in the details of the desired cheque. 2. Click Next to verify the order, click Submit to confirm your request. 3. 37 Order a copy of a bank statement 1. Click Order Statement Copy. Select the account and date of the statement you want. 2. Click Next, verify your request, and click Submit to see a confirmation message. *Fees may apply Mastercard services Note : You must have Mastercard entitlements to view and perform any available Mastercard actions in ATB Online Business. Contact your administrator if you have questions about or need changes to your entitlements. Apply for an ATB Mastercard Apply for a new ATB Mastercard through ATB s Online Shopping or click Apply for an ATB Mastercard. Order Mastercard cheques 1. Click Order Mastercard Cheques. 2. Select the account and enter the quantity of cheques you want to order. Click Next and follow the on-screen instructions. Pay a creditor from a Mastercard account 1. 38 2. Add the information required to pay the creditor. 3. Read the disclaimer and tick the Accept radio button. Click Next. Manage a Mastercard credit balance refund 1. Click Manage Mastercard Credit Balance Refund. 2. Select your Mastercard account and fill in the details. 3. In the Amount box, type the amount of the credit balance that you want refunded. 4. Do one of the following: Click Issue Draft if you d like ATB to send you a bank draft for the amount. Select the account under Credit my ATB account that you d like ATB to credit the amount to. 5. 39 Apply to change the limit on an employee Mastercard 1. Click Change Individual Card Limit, then select the relevant card and fill in its details. Click Next. Add or remove an employee Mastercard holder 1. Click Add or Remove Employee Cardholder. 2. Click Mastercard Account and select Add Cardholder or Remove Cardholder. 3. Enter the details for the employee cardholder you want to add or remove. 4. Click Next and follow the on-screen instructions. User Guide - ATB Online Business General User 39
40 Security preferences Your banking security is one of our top priorities at ATB. We maintain strict security standards to prevent unauthorized access to your accounts and your financial information through ATB Online Business. For details on the specifics, refer to your ATB Online Business Access and Services Agreement. Change your password 1. Click Change Password. 2. Enter your Current Password and your New Password. 3. Click Submit. A confirmation message will appear after the change has been accepted. If you re the administrator and you re locked out of ATB Online Business, please contact ATB to change your password: Business & Agriculture clients call Corporate Financial Services clients call If you re a user and you re locked out of ATB Online Business, please contact your administrator to reset your password. 41 Change challenge questions and answers 1. Click Change Challenge Questions and Answers. 2. Click the Modify link for the challenge questions you d like to change. 3. Select new questions and type your new answers as desired, click Submit. Manage Enhanced Security Enhanced Security may prompt you to enter a one-time verification code when you initiate specific sensitive online transactions. 42 Contact us Read messages Occasionally ATB will send you important information through the Message Center. Here s how to view your messages 1. Click Client Services, click Read Messages. 2. Select the number of messages you want to look at and click Display. 3. Click on the message you d like to read. Note: You can also access the Message Center through the Account Summary page. Just click Today s Items For Review and then New Messages. Send us a message We believe that a bank should listen to you. That s why we respond to every message we get at the the Customer Care Center. Here s how to get in touch: 1. From the Client Services page, click Send Us a Message. 43 2. Select a message subject from the drop-down menu and type your message in the space provided. Then click Next. 3. Give your message a quick read to make sure it says what you want. Service statements Service Statements summarize the service fees associated with your accounts for the products and services in which your business is enrolled. 45 How ATB Online Business protects you Secure web pages and data encryption ATB Financial adheres to industry-standard security and encryption practices to protect your banking. Your account information is encrypted as it travels between our computer system and your Internet browser during your banking transactions. ATB Online Business uses 128-bit encryption to secure your financial information. In addition, your ATB Online Business banking session will automatically sign you out after a 15 minute period of inactivity. ATB Online Business is an Entrust Secured website. Intelligent Authentication ATB Intelligent Authentication makes your ATB Online Business experience even more secure. Intelligent Authentication examines the access behaviour of visitors to ATB Online Business and determines when it is necessary to block or challenge suspicious visitors. How you can protect yourself We recommend that you adopt the following security practices to increase your own level of protection: Choosing and protecting your password Your ATB Online Business password guards your security. Never tell anyone your password, including ATB representatives. ATB Financial will never ask you for your password. We can reset the password only for the administrator or signing authorities. Only your administrator can reset user passwords for ATB Online Business. Choose a password that you will remember but that is not easy to guess. Passwords containing combinations of letters, numbers, and capital letters (for example, 45GC7kt9y) are usually more secure. The password for ATB Online Business is case-sensitive and needs to be alphanumeric and between six and 32 numbers. Your password for ATB Online Business should be unique. Change your password on a regular basis. Do not write your ATB Online Business User ID together with your password. Do not write down or tell anyone your challenge questions and answers. Download virus definitions and updates regularly to ensure you have the most up-to-date versions of your software. ATB Financial does not recommend accessing ATB Online Business from Internet cafés and other public-access wi-fi sites. Check for an Internet protection symbol in the bottom right corner of your browser. Be sure to sign out of ATB Online Business once you have completed your banking session. Never sign in to ATB Online Business from an message or link. ATB will never send an message linking you to the ATB Online Business site. Always sign in directly from your browser to avoid being directed to a false site. ATB will never ask for your personal and financial information by .
