1 FIRST TIME LOGIN FOR VOIC Perform the following procedure from your telephone: From your telephone, dial (which is the voic system pilot number.) When your hear the system say Please enter your security code. Enter {XXXXX997 #}. This is the default security code. XXXXX is your 5 digit extension number You are now in your personal mailbox, where the tutorial will walk you through three tasks: 1. Record your name (first & last) 2. Record your personal greeting 3. Pick a new security code. SAMPLE PERSONAL GREETING: "Hello, this is (Your Name Here). I am unavailable to take your call at this time. At the tone please leave your name, telephone number, and brief message. I will return your call as soon as possible. Thank you for calling
2 TOSHIBA STRATAGY VOICE MAIL SYSTEM TO ENTER YOUR VOICE MAILBOX: From your own phone when your message waiting light is flashing: a. Press your flashing key. b. The system will prompt you to enter your security code followed by the # sig From your own phone when your message waiting light is not flashing: a. Dial the internal extension number for voice mail Ext b. The system will prompt you to enter your security code followed by the # sign. From another phone within the facility that has a voic box: a. Dial the internal extension number for voice mail Ext b. When voic answers, press # then * followed by your personal mailbox number followed by # c. The system will prompt you to enter your security code followed by the # sign. d. You will now hear the User Menu. From outside the facility: a. When voic answers, press* followed by your personal mailbox number followed by the # sign. b. The system will prompt you to enter your security code followed by the # sign. USER MENU: Press (1) - to play your messages. Press (2) - to send a new message. Press (3) - to manage your mailbox (Mailbox Manager Options). Press (0) to exit user mode. Press (#) to hang up.
3 TO PLAY MESSAGES: 1. Access your voice mailbox & press (1) to listen to messages. 2. Once you have listened to a message you must take action on it before going on to the next message: Press (1) - to skip and play the next message. Press (2) - to save the current message. Press (3) - to delete the current message. Press (4)- to pause/resume. Press (5)- to forward the current message to another mailbox user. Press (6)- to reply to the message (if it was sent from another mailbox user). Press (77)- to toggle between the New and Saved Message Queues. Press (0) - to turn down volume (press multiple times to adjust to lower levels). Press (*)- to backup the current message five seconds. Press (*1)- to replay the entire current message. Press (#)- to advance the current message five seconds. Press (9) - to return to the Main Menu. TO RECORD & SEND A MESSAGE TO ANOTHER VOICE MAIL SUBSCRIBER (Inter-Office Messaging): 2. Press ( 2 ) to send a message to another mailbox user. 3. Enter the mailbox number of the person to whom your message should be sent, followed by [ # ]. - or, press [ 00 ] to access the company directory. - or press [01] to enter a personal distribution list number - or press [02] to enter a system distribution list number - or, press [ 04 ] to enter multiple destinations. 4. Record the message, press [ # ] when finished with the recording. 5. Press [ # ] once more to send the message immediately, or, before sending you can use any of the following options: Press (1) - to review the recording. Press (2) - to discard the recording and rerecord it. Press (3) - to append to the recording. Press (4) - to add additional mailbox users to receive your recording. Press (7) - for special delivery options. (1) - to mark the message Urgent. (2) - to mark the message Private. (3) - to send the message with Return Receipt (9) - to return to the previous menu. Press (8) - to set future delivery. Press (*) - to cancel message and select new destination. Press (**) - to cancel the entire message and return to the user menu.
4 MAILBOX MANAGER OPTIONS (Option 3 on User Menu): Press (1) to change your greetings Press (2) to change your user options Press (3) to manage your lists Personal Greetings: 3. Press (1) to change your greeting. 4. Select which personal greeting you wish to create or change. Choose Greeting Press (2) - to record the new greeting start recording at the tone - press [ # ] when finished. (1) - to review the selected greeting. (2) - to re-record the selected greeting, press ( # ) when finished. (4) - to cancel recording. (9) - to save the recorded greeting. User Options: 3. Press (2) to change your user options. 4. The following options are provided: (3) - to change your security code. (9) - to return to the previous menu. Manage Your Lists: 3. Press (3) to manage your lists. 4. The following options are provided: Select List 1 25 for a Personal Distribution List Press (1) to Review your current list. Press (2) to Add a User ID to the list Press (3) to Delete a User ID from the list Press (4) to Record a list comment (name)
5 TO TRANSFER MAILBOX USERS INTO VOICE MAIL: 1. Follow your telephone system transfer procedures, and transfer the employee to the voice mail pilot extension CNF/TRN Hang up. TO EXIT YOUR VOICE MAILBOX: If your intention is to exit voice mail completely and hang up: a. Press [ # ] b. The system will say "Thank you for calling - goodbye." If your intention is to exit voice mail and try to reach someone else in the office: a. Press [ ] b. The system will then tell you to enter your party's extension number
