6 General information About the Océ CPS700 Introduction The Océ CPS700 is a Colour Production System with new technologies and features. New technologies like 'Colour Copy Press' and 'Image Logic' are a guarantee for a stable, high copy quality. The Océ CPS700 contains new features like the templates, the job queue and the paper manager. The Océ CPS700 is available in two configurations. Configuration Features Printer only Network printer Glass plate to make copies Controller Copier and printer Network printer Automatic document feeder and glass plate to make copies Controller Note: Because the Océ CPS700 is available in two configurations, it is possible that some information in this manual does not apply to your system. 6 Océ CPS700 Job manual

8 A new workflow Definition The Océ CPS700 contains new features to copy and print documents. The new features are the following. Multi-jobbing Define the originals and prints Paper manager Job queue Set build Templates Local mailbox. Multi-jobbing The Océ CPS700 allows you to define a new job while another job prints from the job queue. You can scan new originals while another job is printed. Define the originals and prints When the operator makes an extended copy, the operator must describe the originals and prints. The operator can for example define the settings for the sheet, the image and the layout of the originals and prints. Paper manager The 'Paper manager' is used to define the types of paper in the paper trays. When the operator defines a new job, the operator can select a paper type that is not in the paper trays. When a job requires a paper type that is not in one of the four paper trays, a warning is displayed. Then the operator can put the needed paper type into a paper tray. In other words, the new workflow requires you to select a paper type, not a paper tray. Job queue All the jobs that are printed go into the job queue. The jobs in the job queue are managed from the operator panel. 8 Océ CPS700 Job manual

9 Set build The Set-build key ( ) on the operator panel allows you to combine different sets of originals. You can also use the Set-build key ( ) to copy a set of more than 50 originals from the automatic document feeder. Templates A template is a group of pre-defined settings. The templates help you to define the settings of a job. You can select a template and edit the settings for the originals and prints. Local mailbox The Océ CPS700 allows you to scan the originals to the local mailbox. You can use this function for example to print a job more than one time or to make a proof print. The advantages of the new workflow The new workflow can help the operator to do more in less time. The operator can scan new originals while other jobs are printed. The originals are scanned and added to the job queue or local mailbox. The operator can also send jobs from the network mailbox to the job queue. The operator can do other tasks while the earlier scanned originals are printed. Introduction 9

The automatic document feeder can hold 50 sheets of paper (80 g/m 2 ). If a document contains more than the maximum number of sheets, the operator must use the Set-build key ( ). If the operator does not use the Set-build key ( ), a paper jam is possible. 12 The screen of the operator panel Introduction The operator panel contains a screen and keys. The operator panel helps you to handle the jobs. 14 You can select a template to start a new job. The job editor is opened in the Basic settings section. The job editor is the collective noun for all the job settings you can change. The Basic settings section contains a group of five shortcuts that refer to the most used settings for Original and Print. 15 The keys on the operator panel Introduction The keys on the operator panel give access to the functions of the Océ CPS700. Use the keys around the screen to move through the functions. The screen shows the function of each key. The keys around the screen are softkeys. The function of many keys changes when the screen changes. 17 Change the settings with the arrow keys Remember the following when the arrow keys ( ) are used to change the settings. Press the arrow-up key ( ) to increase the value in small steps. Press the arrow-down key ( ) to decrease the value in small steps. Press the arrow-right key ( ) to increase the value in large steps. 18 The power modes of the Océ CPS700 Introduction The Océ CPS700 has five different power modes. Machine-off mode Off mode Low power mode Sleep mode Stand-by mode or run mode [1] Power modes of the Océ CPS700 Mode Power switch Machine-off 0 no colour Off 1 orange Low power 1 green Sleep 1 orange Stand-by or run 1 green Colour of the LED in the ON/OFF button [1] Power modes of the Océ CPS700 Note: If the Océ CPS700 has a permanent error, the LED in the ON/OFF button is green. The screen of the operator panel displays the message 'System error (code:...). Please call Service.'. You can not use the Océ CPS700. What is the low power mode The Océ CPS700 turns into the low power mode when the Océ CPS700 is not used for some time. The settings of the ECO timer indicate the delay. The default value is 15 minutes. The key operator can change this value (see the configuration and maintenance manual). If a copy job, a scan job or a print job is started, the Océ CPS700 turns back into the stand-by mode. Note: You can not put the Océ CPS700 into the low power mode by hand. 18 Océ CPS700 Job manual

19 What is the sleep mode The Océ CPS700 turns into the sleep mode when the Océ CPS700 is not used for some time. The settings of the ECO timer indicate the delay. The default value is 60 minutes. The key operator can change this value (see the configuration and maintenance manual). If the Océ CPS700 is in the sleep mode, the screen of the operator panel is off. Note: You can not put the Océ CPS700 into the sleep mode by hand. Introduction 19

20 Get started Turn on and off the Océ CPS700 Introduction The Océ CPS700 has three switches to turn on and off the Océ CPS700. The power switch ( ) The power switch ( ) turns on and off the mains power supply to the Océ CPS700. You can find the power switch ( ) at the rear on the left-hand side of the Océ CPS700. The key switch The key switch is a safety key. The operator can use the key switch to prevent undesirable use. Never turn off the Océ CPS700 with the key switch. The ON/OFF button with LED ( ) The ON/OFF button ( ) turns on and off the Océ CPS700. Before you begin Make sure that the Océ CPS700 is connected to the mains power supply. How to turn on the Océ CPS700 1 The power switch ( ) has two icons. Press the icon '1' to turn on the Océ CPS Press the ON/OFF button ( ). The colour of the LED in the ON/OFF button ( ) changes to green. When the system starts, the LED on the operator panel blinks green. The printer needs 12 minutes to reach the operating temperature. You can begin to scan the originals on the scanner before the printer is warm. When the printer is warm, the printer automatically starts to print the scanned originals. How to turn off the Océ CPS700 1 Press the ON/OFF button ( ). The LED in the ON/OFF button ( ) blinks green. 21 Adjust the System manager Introduction The System manager enables the operator to reset the day counter and select the language for the user interface. Note: Only the key operator can change the default settings for the System (see the configuration and maintenance manual). Reset day counter The day counter is set to 0. Language You can scroll through a list of 14 languages: UK-English, Dutch, French, German, Italian, Norwegian, Swedish, Danish, Spanish, US-English, Portuguese, Polish, Czech, Hungarian Note: You can not access the System manager when the job editor is open. 22 Océ CPS700 Job manual

24 Make a copy Make a basic copy Introduction The Océ CPS700 can copy documents that contain subsets or just make a basic copy. There are two methods to make a basic copy. Use only the Start key ( ) Select a template and edit the basic settings. The 'Basic settings' section contains a group of five shortcuts that refer to the most used settings for 'Original' and 'Print'. 25 Before you begin The operator must remember the following for all copy jobs and scan jobs on the Océ CPS700. Remove all staples Remove all paper clips Make sure that the originals in the automatic document feeder have the same size Make sure that the originals are not curled. The standard templates of the Océ CPS700 Name of the template Copy job Scan job Last used Function Use this template for copy jobs. Use this template to scan a document to the local mailbox. Use this template to repeat the settings from the previous job. Summary of the basic settings Basic settings Original Print Staple Definition You can indicate that the original is 1-sided or 2-sided. You can indicate that the print must be 1-sided or 2-sided. You can indicate that the Océ CPS700 must staple the prints. The Océ CPS700 can staple a document as follows. For portrait orientation: one staple at the upper left corner. For landscape orientation: one staple at the upper right corner. Note: The Océ CPS700 can staple a maximum of 50 sheets (80 g/m 2 ). 26 Basic settings 'Paper' 'Zoom' Definition You can indicate the type of paper for the print. The zoom range for the decrease in size or the increase in size of the printed image is between 25% and 400%. How to make a basic copy with the Start key (green button copy) 1 Put the originals face down in the automatic document feeder or on the glass plate. 2 Press the Start key ( ). The Océ CPS700 makes one copy only 1-sided. How to make a basic copy with the templates 1 Put the originals face down in the automatic document feeder or on the glass plate. 2 Select a template. The 'Basic settings' section opens. 3 Edit the basic settings. 4 Enter the number of prints with the numeric keys. 5 Press the Start key ( ). 26 Océ CPS700 Job manual

27 Make an extended copy Introduction The Océ CPS700 allows you to copy a complete document, for example a report, a brochure, a folder or a calendar. To make an extended copy, the operator must first describe the original. Then the operator must describe the print. Note: The automatic document feeder can hold a maximum of 50 originals (80 g/m 2 ). Divide the document into subsets to copy more than 50 originals with the same settings (see Combine different sets of originals on page 39). Describe the original The workflow is as follows. 1 Select a template. 2 Press the key for Original. 28 Source Type Paper. The original comes from the glass plate or from the automatic document feeder. Local mailbox. The original comes from the local mailbox. Network mailbox. The original comes from the network mailbox. Orientation You can define how you put the original on the glass plate. Note: The automatic document feeder automatically detects the orientation of the originals. 29 Sheet Size You can define the size of the originals. Select User defined if the size of paper is not in the list. User defined Select this setting to define the size of the short edge and the size of the long edge of the originals. Short edge Use the arrow keys ( ) to define the size of the short edge of the originals. Minimum size: 10 mm Maximum size: 297 mm. Long edge Use the arrow keys ( ) to define the size of the long edge of the originals. Minimum size: 10 mm Maximum size: 432 mm Note: The operator must only define these settings when the glass plate is used. 30 Layout Original You can indicate that the originals are 1-sided or 2-sided. Note: Use the Set-build key ( ) to scan a 2-sided original on the glass plate. Document type The icons show the following. How the information is on the paper The binding edge of a 2-sided document (portrait or landscape). A 2-sided document can turn on the long edge or the short edge. Margin erase You can erase a part of the margin, for example if the margin has holes that must not be on the print. You can use the arrow keys ( ) to define the size of the margin that must be hidden. 31 Image Image type You can define the following image types. Halftone. For example a photo from a periodical or newspaper. Photo. For example an original photo, but not a halftone photo. Photo + text. For example a page that contains text and an original paste-on photo. 'Auto'. The Océ CPS700 automatically selects the best method for each area. Describe the print After the operator describes the original, the operator must describe the print. Press the key for Print to define the settings. 32 Target Type Paper. This value indicates that the job is sent to the printer. Local mailbox. This value indicates that the job is sent to the local mailbox. 33 Output Destination The setting indicates the tray where the prints are collected. You can select the following trays. Upper tray. Maximum capacity: 450 sheets of A4, A3 and full bleed (80 g/m 2 ). A staple is not possible Finisher tray. Maximum capacity: 1000 sheets of A4 only (80 g/m 2 ). A staple is possible. Staple Offset stacked The setting indicates that the prints are stapled or not stapled. Yes. One staple at the upper left corner (portrait) or upper right corner (landscape). No. No staple. The stapler has a capacity of 50 sheets (80 g/m 2 ). The setting indicates that the prints go into the finisher in offset stacks or straight stacks. Yes. Each set has an offset. No. Only the last set has an offset. The copy function 33

The list is based on the current contents of the four paper trays. The operator can select a paper type that is in the trays. Select Special feeder if you want to feed specials one by one. Select Other if the paper type is not in the list. Other Size You can define a paper type that is not in the list. Select Other. The screen displays two new options to describe the paper. 35 Type Weight Medium You can define the type of the paper. Select User defined if the paper type is not in the list. Note: Special is customer-defined paper, for example paper with a letterhead. The customer can define three specials. You can indicate the weight of the paper. Use the arrow keys ( ) to define the weight ( g/m 2 ). You can indicate the medium for the print. 36 Layout Print You can use the settings in Layout when the type of the original is set to Paper. The setting Print indicates that a print is 1-sided or 2-sided. Document type Margin shift Shift to centre The icons show the following. How the information appears on the paper The binding edge of a 2-sided document (portrait or landscape). A 2-sided document can turn on the long edge or the short edge. This setting indicates the move of the image on the front and the back of the print seen from the binding edge. You can move the margin from -100 mm to +100 mm. Use Margin shift for example to bind or punch a document. Note: The setting for Back is only available for a 2-sided print. You can use this setting to put an image into the centre of the print. For example if the print is smaller than the original. Yes. The image is put into the centre. No. The image is put into the upper left corner. If the original is too large, Shift to centre determines the part that is copied. Yes. The centre of the original is copied. 37 Define the settings for Print -> Image [15] The settings for Print -> Image [15] The settings for Print -> Image Image Zoom You can use the setting if the print is smaller or larger than the original. The zoom range is between 25% and 400%. Saturation Exposure You can use the setting to change the intensity of the colours. The saturation describes the strength of a colour with respect to the value of lightness of that colour. Use the arrow keys ( ) to change the saturation. You can use the setting to adjust the foreground and the background areas of an image. Use the arrow keys ( ) to change the exposure. The copy function 37

38 Black/white Colour balance You can use the setting to print a document in black/white and not in colour. Select Yes to print a document in black/white. You can use the setting to adjust the colours of the print. You can change three settings. The colour balance for yellow to blue The colour balance for magenta to green The colour balance for cyan to red. Use the arrow keys ( ) to change the colour balance. How to make an extended copy 1 Put the originals in the automatic document feeder or on the glass plate. 2 Select a template. 3 Define the settings for the original. 4 Define the settings for the print. 5 Enter the number of prints with the numeric keys. 6 Press the Start key ( ). 38 Océ CPS700 Job manual

39 Combine different sets of originals Introduction A document can contain different parts that require different settings. Each part that requires other settings is called a subset. If a document contains different subsets, the operator must use the Set-build key ( ) to make a complete document. If the original document contains more than 50 sheets, the operator must also use the Set-build key ( ). If you use the Set-build key ( ), the Océ CPS700 can print the last page of a subset on the front side of a sheet. Then the first page of the next subset is printed on the rear side of the sheet. To keep the rear side empty, the operator must scan a blank page. Then the next subset starts on a new page. Note: You can also combine documents from the local mailbox, the network mailbox and newly scanned originals. Then these documents become subsets of a larger document. How to combine different sets of originals 1 Put the first subset of the originals into the automatic document feeder or put one original on the glass plate. 2 Select a template. 3 Edit the basic settings or define the settings for 'Original' and 'Print' (see Make an extended copy on page 27). 4 Press the Set-build key ( ). The scanner scans the originals. 5 Repeat the steps 1, 2, 3 and 4 for all subsets. 6 The operator can edit all the settings for the 'Print' ('Target', 'Output', 'Sheet', 'Layout' and 'Image'). The operator can also edit the settings for the 'Image type' of the 'Original'. 7 Enter the number of prints and press the Start key ( ). Note: The settings of the last subset remain valid for the next subset. The copy function 39

40 How to delete a subset 1 Wait until the scan of a subset has finished. Press the Correction key ( ) on the operator panel. The screen displays the message Delete last subset? Note: Press the Correction key ( ) three times when the default settings in this subset were changed. 2 Press Yes to delete the last subset. 41 How to combine documents in the mailbox and new paper originals (example) 1 Press the key for the Local mailbox or Network mailbox. 2 Select a job. 3 Press the key for Edit The job editor opens. The operator can edit the settings. 5 Press the key for Source in Original. 6 The operator can use the Set-build key ( ) to combine documents from the local mailbox, the network mailbox and new paper originals. Note: Remember the following. You can combine documents from the local mailbox, the network mailbox and new paper originals in any required order. The required final document decides the order in which the subsets are combined. The copy function 41

42 About the Paper manager Definition The Océ CPS700 has a special workflow. To do more in less time, the operator can scan new jobs and print existing jobs at the same time. The new workflow has an important feature. When the operator defines a new job, the operator can select a paper type that is not in the paper trays. When a job requires a paper type that is not in one of the four paper trays, a warning is displayed. Then the operator can put the needed paper type into a paper tray. In other words, the new workflow requires you to select a paper type, not a paper tray. Load paper for example in the following cases. When the job manager shows an alarm bell because the job needs a type of paper that is not in the paper trays When the trays are almost empty. This chapter explains the function of the 'Paper manager' in the form of an example. The example describes the workflow if a job needs a type of paper that is not in the paper trays. 44 Example The operator scans five jobs. Four jobs need colour copy paper (A4, 100 g/m 2 ). The fifth job needs transparencies. All paper trays contain colour copy paper (A4, 100 g/m 2 ). What is the workflow? 1 The first four jobs are processed without problems. 45 Copy special originals and originals of a non-standard size Introduction Special originals are for example the following. Pages from a bound original like a book or a magazine Damaged originals or curled originals. To copy originals of a non-standard size from the glass plate, the operator must enter the orientation and size of the originals. The originals must fit the following ranges. The minimum size of the short edge is 10 mm. The maximum size of the short edge is 297 mm. The minimum size of the long edge is 10 mm. The maximum size of the long edge is 432 mm. If the original is larger than the print material, the Océ CPS700 adjusts the print size and zoom. There is no image loss. Use 'Shift to centre' to put the decreased image into the centre of the print. A part of the original can be hidden, for example holes or staples. Use 'Margin erase' in the settings for the 'Original' to erase a part of the original (see Make an extended copy on page 27). 47 The mailbox function About the mailbox Introduction The Océ CPS700 has two mailboxes, the 'Local mailbox' and the 'Network mailbox'. The mailboxes are digital storage areas. The 'Local mailbox' stores scanned originals. The 'Network mailbox' stores the print jobs from the network users. A job from the mailbox that is sent to the job queue is a copy of the job in the mailbox. The original job remains in the mailbox. To remove the job from the mailbox, the operator must delete the job. Remember the following. The jobs in the 'Network mailbox' remain in the mailbox. The operator must remove the jobs. When the system is turned off, all the jobs in the 'Local mailbox' are removed. When the system enters the low power mode or the sleep mode, all the jobs in the 'Local mailbox' are removed. However, it is possible to keep the data when the system enters an energy save mode. Océ has an Océ 900/950C PPD (PostScript Printer Description) based driver for PC users. The Océ 900/950C PPD adds the features of the Océ CPS700 to a general Adobe PostScript 3 TM printer driver. Adobe PostScript 3 TM printer drivers are used on the Microsoft Windows operating systems (Windows 9x/ME/NT/2000) and the Apple Macintosh platforms (Apple MacOS 9.x/10.x). 90 How to handle contradictions on the Océ CPS700 Introduction A job does not print if the settings do not match or the required supplies are not available. There are three types of contradictions. Specification contradictions Specification contradictions refer to a combination of settings that are not possible. For example: you want to print transparencies 2-sided. This is a specification contradiction. You can only print transparencies 1-sided. Specification contradictions occur before a job is sent to the queue or mailbox. The screen shows a message. Start contradictions Start contradictions refer to a combination of settings that are not possible at this moment because the supplies are not present. For example: a job needs transparencies, but the paper trays do not contain transparencies. Start contradictions occur after a job is sent to the queue or mailbox. The job bar displays a warning (alarm bell). If the job is opened, the screen also shows a message. The screen of the operator panel displays complete information about how to handle the problem. Error, for example a software error, that the Océ CPS700 can recover by a restart. The screen displays the error code (five digits). A message on the screen of the operator panel can ask you for example to press the Start key ( ) to reset the Océ CPS700. Errors, for example paper jams in the Central Process Group or the replacement of certain parts, that the key operator can recover. The errors are indicated as follows. The KOM warning icon on the system monitor changes into orange. The key operator must clear the error as soon as possible. The operator panel displays the message 'Maintenance is required'. The key operator must clear the error at once. Errors that the operator, the key operator and the machine can not recover. The screen displays the error code (five digits). 94 How to handle paper jams on the Océ CPS700 Introduction The Océ CPS700 can have different paper jams. The paper jams can be the following. Paper jam in the automatic document feeder If a paper jam occurs in the automatic document feeder, the scan process is stopped. The operator panel shows an error screen. Follow the instructions on the screen to remove the paper jam. Load all originals and scan the originals again. Paper jam in the paper compartment or finisher If a paper jam occurs in the paper compartment or finisher, the print process stops. A message asks you to wait. The operator panel shows an error screen. Error prints are sent to the lower output tray (the error tray). Follow the instructions on the screen to remove the paper jam. Paper jams in the Central Process Group If a paper jam occurs in the Central Process Group, the operator must call the key operator. Only the key operator can clear a paper jam in the Central Process Group (see the configuration and maintenance manual). The error screens on the operator panel contain two windows.
