1 This document is to provide you with some additional information about features within our Online Registration System designed specifically for Group Leaders to help you manage all of the various registration details. These features are all found from within the menu option called Manage Events. Page 1

2 The Manage Events page allows Group Leaders to: 1. View the status of your group registration a. Approved (yes or no) b. # of tickets filled and available c. See a list of participants who have already registered to attend with your group 2. View and print your group registration invoice 3. Pay fees by credit card (if this feature has been activated) 4. Register participants to attend the event with this group a. Persons who have never attended before b. Persons who have attended with your group in the past 5. View and update Contact Info for participants in your group 6. View and update Medical Info for participants in your group 7. View and print liability forms for participants in your group 8. Send s to participants in your group 9. View and print your verification form 4a 1a 2 3 4b 9 1b 1c Page 2

3 1. View the status of your group registration a. Approved (yes or no): Group Registration status is updated to Yes once your deposit has been paid. When your group is approved, participants may register to attend the event as a member of your group. b. # of tickets filled and available: The system keeps track for you so that you don t need to keep a separate list. c. List of participants who have already registered to attend with your group 1a 1b 1c Page 3

4 2. View and print your group registration invoice: When you click the View Invoice link, a PDF document is generated. It will reflect your current payment status and show any balance due on your account. Please include a copy of your invoice when you send payments by mail. Page 4

5 3. Pay fees by credit card: When you select the Click here to pay with credit card link, you will be presented with the Pay by Credit Card page. Find the event for which you are registered on the list & enter the # of tickets for which you wish to pay. NOTE: This feature will only be shown if it has been activated by the Conference Office. Page 5

6 4. Register participants to attend the event with this group a. Persons who have never attended before: When you click the Register New Members link, you will be prompted to fill out the contact and medical info for a participant. Once you finish, that person will be added to your group & be listed on this Manage Events page. b. Persons who have attended with your group in the past: Click Manage Group Members. Follow the instructions at the top of the page. 4a 4b Page 6

7 5. View and update Contact Info for participants in your group: Click on the name of the person from the list of people registered with your group. This will bring you to the contact info page for that person. Fill in the info and click Update. 6. View and update Medical Info for participants in your group: Click on the Medical Info link next to the name of the person. Fill in the info and click Update. 5 6 Page 7

8 7. View and print liability forms for participants in your group: When you click the View Liability From link, a PDF document is generated. Make sure to bring a signed Liability Form for each participant in your group with you when you arrive at the conference. No one will be allowed into the event without this. Page 8

9 8. Send s to participants in your group: Click the Envelope icon next to the name of the person (for an individual message) or next to the to All link (to send a message to everyone in your group). Please note that the message will be sent to the address from the Contact Info page for each participant. 8 Page 9

10 9. View and print your verification form: When you click the View Verification Form link, a PDF is generated. Print this form once all your participants have registered with your group. Get the appropriate signatures and send it to the Conference office by the due date noted on the form. This form is used to confirm that your Chaperones are in compliance with USCCB Charter for the Protection of Children and Young People. Page 10
