1 How to Register for Summer Camp A Tutorial 1. Upon arriving at our website ( the very first step is logging in. Please click the Login link in the top left corner of the page (A). A 2. If you have previously created an account on the Sooner Flight Academy website, please enter the username and password in the appropriate text boxes and then click Login. If you are new to the Sooner Flight Academy website and have not created a user account yet, but you have either an OU 4x4 or CCE login credentials, please type those into the username and password textboxes and then click Login. The website searches all three databases to confirm your identity. If you need to create a new user account, please click the here link indicated (B). B 3. Registering for a new user account is easy. Select whether you would like to have parent or teacher access to the site (you can have both, but for now select parent). Select a username and then add your (the parent s) First and Last name and address. Please make sure this
2 is the same address that you will use to login to the CCE registration portal later. Our website uses this address to pull data from that portal for you to review your registration information. If you are a student, faculty, or staff of OU Health Science Center, please use your HSC address in order to qualify for our Member Rate Discount. When you click Submit Query, the website will send an to this address with a link for you to click and select a password. Once this is accomplished, you can go back to the Login page shown under step 2 and login to the site. 4. To see a complete list of summer camp options, please click Programs and then Summer Camp along the left menu (C). C
3 5. Scroll down the page to see a chart that shows each camp session by age, price and dates (D). Select which camp session is right for your child. Clicking on the date will take you to that session s event page where you can read more. D 6. Another way to reach the event page is by clicking either Upcoming events links (E or F) from the home page. F E
4 7. Scroll to find the camp session you are looking for and click the title (G). G 8. The event page lists a short description (H), the dates and times the camp is in session (I), the location of the camp (and a link to Google Maps) (J), and the Registration button (K). Click this button. H K J I
5 9. The event registration page tells you whether you qualified for the Member Rate Discount or are receiving the Non-member rate for the camp fee (L). There are three buttons on this page which will send you to another website, the CCE Registration portal. The top button (M) should be selected if you wish to apply for a partial scholarship/financial assistance for summer camp. Selecting this button means you will only be charged the $25 non-refundable application fee at this time. The balance remaining will be billed after any scholarship/financial assistance has been applied to your account. Scholarships will be awarded by May 15 th. See appendix B for the scholarship application tutorial. The middle button (N) should be selected if you do not intend to apply for scholarship/financial assistance and desire to pay both the $25 non-refundable application fee and the entire camp fee at this time. The bottom button (O) should be selected if you do not intend to apply for a scholarship/financial assistance, but desire to pay only the $25 non-refundable application fee at this time. You will be billed for the balance remaining of you camp fee which will be due no later than the first day of camp. For both the top and bottom selections, you must call the CEE Registration and Records department to pay the balance by credit card or mail a check (contact info can be found on the bill which will be sent to you). L M N O 10. Clicking any of the three options (M, N, or O) above will take you off of the Sooner Flight Academy website and direct you to the CCE Registration Portal. This is a different website and requires you create another user account (if you have not already done so).
6 11. If you have registered for a CCE event (including any SFA events), please click the LOGON button (P). Otherwise, fill in all of the new user fields identified by a red asterisk. Please use parent s information on this page. Make sure you use the same address here as the one you used for the account on the Sooner Flight Academy website. Our website uses this address to pull data from that portal for you to review your registration information. Leave the box checked identified as I am not registering. I am registering someone else (fill in your information below). This tells the system that you will be entering your child s info on the next few pages. When all required fields are complete, click Create Account (Q). P Q
7 12. Once you have created your user account (or if you clicked Existing User LOGON (P) above), you will need to login. Enter you address and password in the appropriate text boxes. Click SIGN IN TO ACCOUNT (R). If you forgot your password, you can click (S) to have your password sent to your address. If you have changed addresses since the last time you registered for a CCE event, please click (T) to update your account. R S T
8 13. After signing into your CCE registration account, we need some information about your child who will be attending summer camp. All of the information on this page should be your child s info (except the address, which should be yours). Please fill in all the information indicated by a red asterisk. The Nickname field (U) is meant to be what your child would like as the first name on his/her name badge. When the form is complete, click ADD CAMPER (V). U V
9 14. Next you will be selecting which camp to attend. Please notice that the $25 non-refundable application fee is selected for you. Please select one camp session for the camper whose information you filled out on the previous page. If you have a second camper to register, you can add that camper on the next page. Remember that the ages listed must be accurate on June 1 st. If you wish to register for the Extended Day Curriculum for the week you are at camp (an extra $50 fee), please select that box as well (W). When you have selected your desired camp session and the Extended Day Curriculum if you desire, click CONTINUE (X) at the bottom. W X
10 15. If you desire to register an additional camper, please click Add Camper (Y). You will be asked to repeat steps 13 and 14 above for each additional camper. Make sure the information listed on this page is correct. If you discover you made an error in the camp session you selected or in the Extended Day Curriculum, please click Edit Items (Z). If you discover you made an error in your camper s information, please click Edit Registrant (AA). Please notice, the Pay by Credit Card is already selected for you (BB). If you desire to pay by some other method, please call CCE Registration and Records ( ) to coordinate payment method. You will be unable to register online. Click the box I Agree (CC) and then SUBMIT (DD). Z AA Y BB CC DD
11 16. Next you will be taken to the Credit Card Payment Portal. Please enter all requested information. Click Continue.
12 17. You will be automatically redirected back to the CCE portal for your confirmation page. This confirmation page will also be ed to you. Remember, even if your camp fee is listed here as $0.00, you will be billed the balance which must be paid in full prior to the first day of camp. Please see the note at the bottom. You will also be required to fill out and bring the two releases with you on the first day of camp.
13 18. Back on the Sooner Flight Academy Website, you will also be able to confirm your registration by clicking on the Parents Tab (EE). You will notice there is a marketing survey for you to complete (FF). We would very much appreciate hearing how you found out about Sooner Flight Academy summer flight camp. EE FF
14 Appendix A Updating your information and adding your child s information 1. If you would like to add Teacher permissions or remove Parent permissions or change your address, you can do it by clicking the Update My Info link in the left menu (GG). GG
15 2. You can select Parent access (HH) and/or Teacher access (II) or type in a new address (JJ) on this page. If you change the address and click Submit Query (KK), the website will send a confirmation to that address to make sure it belongs to you. HH II KK JJ
16 3. We would also very much appreciate if you could add your child(ren) to your user account. From the Parent page, click Add a child from the left menu (LL). LL
17 4. Please fill in the requested information. The Nickname text box (MM) is the name we will print on your child s name badge. The secondary parent username text box (NN) is for you to give permission to another adult who has a Sooner Flight Academy website account to have access to update this child s information. The Authorized pickup adults text box (OO) is where you can give us permission to release your child at the end of a program. All adults will be photo identified before we release your child. Please include yourself on this list. The Special health info check box (PP) is for you to tell us to look on the medical release you fill out for allergies or other special needs your child may have. We used to ask for this information during registration. By moving this information to your user account, you can update it at any time (not just during registration). MM NN OO PP
18 5. Back on your Parent page, you can review and/or update your child s information by clicking Update Child Info (QQ). QQ
19 Appendix B Applying for a scholarship/financial assistance 1. If you selected the option during registration to apply for a scholarship, your parent page will now have a link to Request Scholarship (RR). You can learn more about the summer camp scholarships by clicking the Scholarship FAQ button (SS). Click the Request Scolarship link to start the application. SS RR
20 2. The scholarship application must be filled out for each child you would like a scholarship for. The event (TT) is the summer camp session this child is registered for. The Description of need textbox (UU) is your opportunity to tell the Scholarship selection committee about any extenuating family circumstances that will help them distribute the scholarship grant money. Please enter into the Teacher textbox (VV) the address of the educator who you would like us to request a recommendation from. The website will them a link to come write a recommendation directly into your child s scholarship application. We no longer require these teachers to login to our website to accomplish this. The Second teacher (WW) is optional. The scholarship selection committee only requests one recommendation. If you have more than one child you are requesting a scholarship for, select Save and Add another child (XX). Much of the information you entered will be repeated in the next application. 21 3. Back on the Parent page, your scholarship application(s) status can be viewed there (YY). You can click the child s name at any time prior to the May 1 st scholarship application deadline to edit or update the information there. The status of the teacher recommendation will be listed here (ZZ). If you wish to change the teacher address, you can edit the application to do that. If your child s creative submission on why they want to come to camp can be made into a computer file, you can upload it here (AAA). This option has a 500 MB limit. If your child s submission is a sculpture or diorama or some other piece of art that cannot easily be made into a computer file, you can bring it to Sooner Flight Academy and ignore this link.
