3 3 PROJECTS Project Management Project Management structure is enhanced; project templates are now available and enable you to prepare common project settings to create client projects with ease. Project settings can include issues, staff assignments and roll forward options. The project type field is now deprecated. Subproject templates and client subprojects are also available for easy organization and grouping of larger projects. Options Automatic Project Numbering enables you to save numbering conventions in Time to automatically generate client project numbers. This feature provides you with two options; system generated numbers for sequential numbering or masks to specify unique project numbers based on project or client attributes. Client Filtering is available for client listings under Project Management. Filter clients by client properties, staff assignments or advanced fields such as tables or alternate codes. Roll Forward enables you to specify which project elements to roll forward and when. Automatically populate specific project template and client project settings and data for the next project cycle. CONVERSION INSTALLATION Staff Assigned enables you to assign staff members to project templates and subsequent client projects that are based on the selected template. Revised conversion workflow to include mandatory backups prior to conversion. Disabled conversion cancel button during file conversion. Removed limitation on duplicate address during contact conversion. Duplicate s between people types (Contacts, Staff and Employees) are now allowed. Fixed conversion for reports using the old project numbers to use the new project template numbers. Upgraded version of Microsoft SQL Server included with the Time installer to SQL Server 2008 Express edition. DATABASES Introduced support for Microsoft SQL Server ISSUES DOCUMENT PROPERTIES *New Feature: Issues*: Issues are specific tasks associated with projects. They can be defined for project templates and client projects. You can specify issue categories, staff assignments and other details related to dates, priorities, status and resolution. Use issues to track project tasks and monitor work progression and resolutions. Fixed an issue with Grouping and First Sort order settings under document properties. When choosing Project for either setting, reports are now filtered correctly on the project selected.

4 4 COMPANY PROFILE Tax Rates Increased the number of significant decimal places to three for tax rates. Tax rates include all significant figures in calculations. Totals are rounded to two decimal places. Project A new Project tab is available. New project options, such as automatic project numbering, can be set from this tab in the Company Profile dialog. The projects feature is still enabled from the Firms tab the Project tab appears only when the projects feature is enabled. Contact For Alternate Categories, you can now specify codes for Contact Companies. Codes from previous versions of Time are converted to their appropriate contact type contact or contact company. Company Address The Company Address tab now includes a country field for the firm address. Terminology The Terminology tab includes the new item Issue for projects. Statements The Running Total Balance option is a reporting option for statements. Your statements can now have line items with cumulative balances for each subsequent line rather than independent totals per line item. This option is set from the Design section of the Statements tab. EQUATION EDITOR SCHEDULING CLIENTS BILLING FROM WIP Improved performance when loading CaseView documents from Company Profile. Added Project Year to list of fields in reports where project table is available. *New Feature: Scheduling*: A new calendar display is available to view and track project issues. You can filter issues based on staff assignments, clients and projects. You can manage all issues across your firm from this dialog. Client employees are now set up as Contacts in Time Under the Attention tab in the client setup dialog, you can now select contacts from a drop-down list. Select a contact to appear on the attention line on documents. The Transfer command now enables you to transfer unbilled invoices from one client to another client. You can access the Transfer command from the Transfer button in the Billings from WIP area. Additionally, a Locked option is now available for final invoices. You can apply a lock to final invoices to prevent employees from modifying the invoice. See the Protection area for more information.

5 5 MAINTENANCE CONTACTS INTERFACE ACCOUNTS RECEIVABLES IMPORTS Improved error messages for Restore functionality in Time. Messages to provide more details for errors pertaining to SQL Server. Reformed the Supplementary File Directory item under Tools Maintenance. This item is now called SQL File Information and lists user information pertaining to the current file and SQL server version. Simplified how contacts are set up in Time. All people in the file that are not staff members, are now considered Contacts, and are set up from the Contacts setup dialog. You can still associate contacts with Clients, Groups, and Contact Companies. Improved contact listings and Add Contact command in Clients, Groups, and Contact Company dialogs. Contact listings now display separate columns for first name, last name, and address to enable you to sort by these columns. Increased the character limit of the Title field to 100 characters. Contact Conversion If upgrading from a previous version of Time, convert your existing contacts to Time 2013 using the Contact Conversion Wizard available under the Tools menu. Contacts structure is enhanced: Contacts and contact companies can now be differentiated in Time. Enter people into the Contacts area and enter companies in the Contact Companies area. You can associate contact companies with contact people. Categories and alternate codes can be defined to manage contact companies. Reports and documents can be customised to include contact person and contact company information. Associate contact people with clients to customise client documents. Increased the field limit for City to forty (40) characters in all setup dialogs to accommodate longer city names. This increase is applicable to all setup areas where you can specify an address. User Profile Corrected automatic refresh when filter is changed on Document User Profile. Credit Notes Resolved an issue where credit notes did not appear in Account Reconciliation dialog. All applicable credit notes are now displayed correctly. Introduced support for importing Contact Companies into Time. Select Contact Companies as the import component from the Import Wizard (available from File Import). Removed Attention field from Client/Group import component. All Client Attentions should now be imported as Contacts. Corrected for full name import when importing client attention during client import operation. New details are available during staff import. The Error Log entry provides you greater detail to help troubleshoot why staff members were not imported.

6 6 DOCUMENT MANAGER STAFF CASEVIEW Placeholder entries can now be created for external documents. Use placeholder entries to define your Document Manager structure for files that do not yet exist in the company file. Word, Excel and File URLs are acceptable types of placeholders. Resolved an issue where the Document Manager was reordering folders. Fixed document manager issue where document shifting occurs when multiple users simultaneously change document properties. New for Staff entries is the ability to assign staff to projects. Assigned staff can have permissions set under project and processing areas. Enhanced Staff dialog to accept custom Days of the week. This field is located under Standard Hours and enables you to break down periods into weeks or days instead of strictly by month. Use this option for staff that are paid hourly and not on salary. You can track and report overtime hours for these staff. The Address/Phone tab of the Staff dialog now supports a Country field of up to 30 characters. TimeInfo Functions Added function TIMEINFO ( Document_CVGroupType ) for CaseView. This function returns the grouping type specified under the general properties of CaseView documents. Use this function to determine the grouping type for envelopes, letters, and labels. The added ability to assign contact people to clients enables you to access contact information for clients in a client document and access client information in a contacts document. Two new TimeInfo functions are available in the Functions tab of the Calculation Editor. TimeInfo Client s Contacts and TimeInfo Contact s Clients enables you to retrieve contact information in a client document and client information in a contact document, respectively. Invoices The Popup list code, available in Billing from WIP invoices, now supports type ahead from the drop-down menu. Now? if you know the name of the code you can quickly find it by typing its name while the drop-down menu is open. Statements Specifying the new option for Running Total Balance, in the Statements tab of the Company Profile alters the statements documents to calculate line item totals cumulatively rather than independently. Added an option for a Running Total Balance: This option changes the default behaviour of the Balance column to report a compounded total for each statement entry subsequent to the first. This option can be set from under Company Profile Statement tab. Changed the option Include transactions that balance to zero to omit zero amount invoices on statements.

7 7 Corrected problem with Group statements appending extra whitespace each time it is opened. Repaired filtering issue for Group statements with aging over 184 days. Print / Print Preview When printing labels you can now specify the starting position of the page. Specify the desired column and row if you do not want to start printing from the default first position (that is, row 1, column 1). Alternate Address In Invoice and Credit Notes documents you can now select one of four available addresses for a client. If applicable, the popup list offers you a choice of Main Address, Alternate Address, Group Address, and Group Alternate Address. The Main and Alternate addresses are set in the Client setup area, and the Group and Group Alternate addresses are set in the Groups setup area. Reset Function You now have the option to specify what parts of your document you wish to reset. Overwrite only layout option resets only common layout areas such as logo, headers, and footers defined in the company default; any detail items you added to the body are not reset. The option Overwrite layout and details resets the entire document to the company default. TIME AND EXPENSE ACCOUNTS RECEIVABLE Billings Invoice Resolved issue with detailed invoices omitting work code sub totals. Updated sample files to include contact information on client documents. Time and Expense Entries Fixed printing of these pages to be based on the option selected under Page Setup. Cash Receipts You can view applied details for cash receipts for prior periods. These details are nonmodifiable. Reverse Interest *New Feature: Reverse Interest*: This is a new process that enables you to reverse interest charges for a specified invoice. You can reverse interest on multiple invoices or invoices within some time period. Credit Notes Corrected issue with duplicate billing in WIP Invoices reversed by credit notes using the option Invoice Reversal and using Billing Option #2.

8 8 DOCUMENTATION Implemented new web-based Help with Time and improved Help content. Click Help button in the program or press F1 to launch Help in your default browser. RECURRING INVOICES Additional options are available for defining patterns for Recurring Invoices. You can now specify specific dates within each period type to better control when invoices are re-generated. Different invoice amounts can now be set on a per client basis. Enable this option by selecting the checkbox Client Selected and assign clients to specify custom invoice amounts for them. Use the Set Amount for these clients to indicate the amount. PROTECTION There are several new protection rights in Time Rights [Process category] Billings from WIP: Lock Final Invoices - Allows the user to lock the final invoices to restrict employees from modifying the invoice [Process category] Billings from WIP: Edit locked Final Invoices - Allows the user to uncheck the Lock checkbox in the Billings from WIP dialog so that they can edit the invoice [Setup: Clients category] Clients: Edit Assigned - This permission enables users to edit client that they are assigned to [Setup: Clients category] Clients: View Assigned only - This permission limits users to see only the clients that they are assigned to [Setup: Projects] Create / Delete - This permission enables users to create or delete project templates or client projects [Setup: Projects] Edit Own - This permission enables In Charge or Team Leaders assigned to project templates or client projects to modify information therein [Setup: Projects] Edit Assigned - This permission enables users assigned to project templates or client projects to modify information therein [Setup: Projects] Edit All - This permission enables users to modify all project template or client project information [Setup: Projects] View Own - This permission enables In Charge or Team Leaders assigned to project templates or client projects to access information therein [Setup: Projects] View Assigned - This permission enables users assigned to project templates or client projects to access information therein [Setup: Projects] View All - This permission enables users to access all project template or client project information. [Setup: Client and Group Alternate Codes] Create/Delete - This permission enables users to create and delete alternate codes for clients and groups [Setup: Client and Group Alternate Codes] Edit - This permission enables partners or managers assigned to clients and groups to modify alternate codes. [Setup: Client and Group Alternate Codes] View only - This permission enables users assigned to clients and groups to access client or group alternate codes.

9 9 A new category Setup: Projects is available for both project templates and client projects. Also, the option Permission for Project Template apply to Client Project enables you to specify the same permissions be applied for project templates and client projects. A new category Setup: Client and Group Alternate Codes is available for alternate codes. CLOUD INTEGRATION FOR TIME NEGATIVE TIME/ EXPENSE ENTRIES DOCUMENTS A new category for Filtering is available for granting rights for viewing client lists and project/subproject lists in the interface. You can limit viewing rights for users or groups using the options: View Own only, View Assigned only, or View All. Introducing a new cloud solution with CaseWare Time. You can now integrate your Time environment with CaseWare Cloud to leverage the features and functionality available with cloud applications such as CaseWare Collaborate and Time on the Go. Integration between these systems enables you to: Access your Time data from any internet enabled computer, tablet, or smartphone device. A process called merging synchronizes the data between the Time and Cloud databases to provide updates to both client applications. Enter your time or expenses on any device. Merge Clients, Contacts, Staff, Work Codes, Company Dates, and Time and Expense between Time desktop and CaseWare Cloud. Returned the functionality to specify negative hours for time entries and quantity, rate, and surcharge for expense entries. These entries will not merge to CaseWare Cloud. Automatic Documents Added new document for Issues. You can format this document by project properties such as Assignee, Clients, Created by, Completed by, or Project. Additionally, you can drill-down from any issue on the report to view or edit it (given you have these rights in the file). Added With Memos option to Projects - Lists report. Check this option to display any memos added to a project. *New Feature: Column Freezing*: Column freezing enables you to lock column headings and full headers to keep them in view when vertically scrolling down long documents. Right-click on Automatic Documents to access the context menu and set your column freeze preferences. Note your preferences are saved to your registry and applies to all subsequently opened automatic documents. Horizontal scrolling is now available for wide documents with many columns scroll across the wide documents without having to adjust the width of the Time program. Also, lead columns remain locked to stay in view as you scroll horizontally. The Trial Balance document type with Summary format and Partner grouping now includes percentage columns for reporting a partner s percent of total receivables outstanding for each aging period.

10 10 Project list reports: Enhanced filter options to filter by client project team leader and in charge. Use the equation editor to select these filters. Added short name to the report. Fixed issue with overlapping columns when columns are hidden. Project cost reports: Resolved issue of incorrect filtering when grouped by In Charge and Team Leader. Trial Balance reports: Enhanced the option Include clients with activity or no activity where totals balance to zero to account for other document property options when filtering clients. Time Journal reports: Resolved an issue related to margins in print outs. WIP analysis reports Client detail with staff subtotals report: Corrected employee write-up and write-down amount when using filters. WIP summary by client staff: Corrected staff records display when the Partner grouping is selected. Cash Receipt Journal Aged format report: Fixed an issue where cash receipt amount totals were not calculated properly if there were cash receipts with duplicate numbers. Time/Expense Journal Detail Firm documents can now view data prior to current year. Monitor Documents Added column for Address in the Staff Monitor report. You can now sort by addresses in this document. Added the ability to edit time and expense entries in a given period from the WIP Monitor report. This can be used to adjust time and expenses. Resolved an issue with the Time entries monitor report where weekend overtime hours were not being included in the overtime totals for new staff members. This issue is now fixed. Corrected error when saving Client Monitor reports to Excel. Long Client names are no longer truncated. Added Cost Rate and Overtime Rate to Staff Monitor report. Enhanced WIP Monitor reports to print columns Approved, Office and Department. New Documents Invoice Journal: This document can now compare your invoice with prior year invoices when using the Prior Year Comparative format. There are a number of new document types available from the list of automatic documents. The following document types and their descriptions follow: Contact Companies: This document reports the contact companies for your contacts. Formats include, Alternate Codes, Contacts, Detail, Rolodex Electronic and Summary. Alternate Code: This document reports alternate codes in use across an engagement. Formats include, Client/Group, Contacts and Contact Companies.

11 11 Time reports by class code. Format include, Classification/Work Code Summary and Classification Summary. Document Properties The document number field now supports from 12 up to 40 characters. Also, for formats where specifying ranges (i.e. has From and To fields), the To reference field is automatically filled to ensure a valid range. Drilldowns from Documents DIAGNOSTICS Drill downs have been added to the following documents: Integrated WIP and AR drills down to client details, WIP summary drills down to WIP detail, Receivables summary line drills down to trial balance. For WIP reconciliation, the WIP beginning balance and WIP ending balance items provide a drill down to directly navigate to WIP details. Documents for Client Summary and Monitor and Contacts Summary are expanded to include a field for address. Client and contact reports now have filter options to filter by client and contact tables. This enables you to narrow down client and contact lists based on user-specified filter parameters. Fixed dialogs where print preview was not working. Resolved issue with Invoice Analysis drill-down to client and project detail. Added a non-billable line for totals on Time Analysis detail reports where total is zero. Each entry in the Staff and Client/Group areas now require a unique address. Additional diagnostics are added to identify duplicate addresses in these areas: E301 Staff duplicate address and E50 Client employee duplicate address Staff Added error E302 - Invalid address to diagnostics. Staff members must have a valid address. Added warning W305 - Staff missing address to diagnostics. Contacts Added error E501 - Invalid address to diagnostics. Contacts must have a valid address. Added warnings W509 - Contact missing first name and W510 - Contact missing last name. Contacts must now have a last name. Client/Group Added Contact Company diagnostics: Error E51 - Check contact company address is valid. Warning W55 - Check contact company has a name.

12 12 Added error E51 - Invalid address to diagnostics. Clients and Groups must have a valid address. Work in Process Added critical error C212 - Record has invalid Year End Close flag to diagnostics. This diagnostic reports any discrepancies between WIP detail and WIP summary reports that must be resolved. Receivables YEAR END CLOSE CLIENT BATCH /PRINT Added error E123 - GL has different date than transaction date to diagnostics. When dates in the general ledger are inconsistent with dates for receivables this error appears in the diagnostics report. Use the drill down command from diagnostics to resolve any discrepancies. Added Staff No. to Staff Diagnostics E301. Modified error codes for duplicate address: Client E50, Contact E500 and Staff E301. These diagnostics report people of the same type with the same address. Added warning codes for duplicate address: Client W61, Contact W508 and Staff W304. These diagnostics report people of different types with the same address. Resolved drill-down ability to prior year data when file history option is enabled during year-end close. Fixed the Create a new file option to purge inactive clients if there are final invoices with zero balances. Client Batch s can now be sent without having to add an attachment. Client filtering is available for the client list in this dialog; default filters, advanced filters and alternate code filters can be applied to narrow the list of clients. Resolved an issue related to ing and printing of CaseView letters and Miscellaneous invoices. Corrected refresh behavior when making changes to client options. New functionality added allows users to now add a port for their Outgoing Mail (SMTP) Clients who do experience timeout issues when performing batch s can now request a new Port to be opened from their Internet Service Provider with extended timeout settings etc. This Port number can then be added manually to CaseWare Time -- Engage with your IT person/team to implement function -- Contact Support for more information, support@cqs.co.za
