3 User Profile Name Located in the top right of your screen, you will find the User Profile icon. Clicking on this will allow you to change your user information such as: Reset password Personal preferences
4 Language View Languages By selecting one of the six languages that ICE Portal provides, it will automatically change the tabs, headings and the other ICE features. Note: Changing the language in ICE does not change the default language that goes out to the distributors.
5 Assets View Details of Listing Edit Mode Enter or Save Asset List Open Chevron for More Detail
6 Asset Detail Caption is the name that will display for your image when distributed. Edit Mode Entering edit mode will allow you to make changes to your listing. Image Order # Image Size Upload date Category Gives you the option to label your images with a category to better associate your content.
7 Editing Mode Once in Edit Mode, most fields are editable. You would simply click on a line and the dialogue box will appear and you can enter your content information. Drop Down Menu Lets you customize your content by allowing you to select your category

15 CMS - Approving Asset(s) A feature in ICE is the approval section that lets you approve or reject each image. This feature provides you with more control, because you will select individually which image goes to a distributor. It will also provide you with a history of who approved or rejected it, by giving you the status of the image, the date it happened and who changed it.
16 CMS - Approving Asset(s) You will receive a pop confirmation where you will see the current approval status and your options to change it to. To approve or reject an image just click on the Approval chevron and then click on the change link
17 CMS - Saving & Publishing Once finished making changes to your content, it is now time to Save it. To save your property, you will need to click on the top right of the screen under Save and Exit You will get three options and there is an explanation for each one underneath. You just pick the option that is best for your case.

21 To view all room types open the chevron, click in the cell to edit the room type code and description Room Types
22 Tags - Detail View To view all Tags and Edit, click +Edit below Tags or open Tags Tab Tags that have been selected for specified photo
23 Tags - Tag List Click +/- to expand/collapse tree Tags list check box to select/unselect tag(s) for one or more selected photo(s) Click chevron(s) to open/close sections and sub-sections
24 Quality Score - Criteria The system provides Quality Scores for each listing and for each photo The scoring is determined by the factors outlined in the table below Content Score Size in pixels Quantity OTA Category Room Type 100 >= 3,840 >= % categorized >= 3,072 >= 20 >= 80% categorized >= 2,340 >= 15 >= 60% categorized >= 1,536 >= 10 >= 40% categorized >= 768 pixels >= 5 >= 20% categorized 0-19 < 768 pixels < 5 < 20% categorized 100% of room photos tagged >= 80% of room photos tagged >= 60% of room photos tagged >= 40% of room photos tagged >= 20% of room photos tagged < 20% of room photos tagged
25 Quality Score - Listings Overall score for each listing shown with corresponding color and number Search by quality filter
26 Quality Score - Property Click on the Property listing next to the logo. Overall score for each category within a selected listing shown with corresponding color and number
27 Quality Score - Asset(s) Score for selected photos shown with corresponding color and number

32 Under Assets you can quickly check your duplicate images and correct the issue Duplicates
33 Changes Changes are easily indicated from the Asset tab by clicking the Show changes
34 Warnings From the Asset tab, a user can view warnings easily. They will marked areas of concern with an exclamation mark.
35 Media Type Users can upload or move asset(s) to Custom Content section If you DO NOT want that media distributed Users can select Media Type for specific assets in the File / Media Info section
36 Links & Media Info Users view selected asset or the entire Media Gallery both Live and Edited version
37 Rating - Asset(s) Star Ratings allows Digital Asset Library (DAL) users to filter/find highly rated images, and for CMS users to identify the best image within a group (category, room type, etc.) Users can rate every asset from 0-5 stars, by clicking on the star

40 CMS & DAL - User Settings Customer can access the User Settings in different places depending in the services you receive from ICE Portal. After logging into CMS your User Settings will always be on the top menu bar For DAL customers your User Settings will always be on the top menu bar
41 Roles - Control & Listings Click the chevron next to roles. If the Users folder is open close it and the Role folder will appear. Under privileges tab you can set the permissions of each role. Click the chevron next to listing control to assign permissions for that particular role.
42 Users - Roles Assets Control Click the chevron next to asset control to allow individual Roles specific control over asset types
43 Users - Adding Users Select the User Role when Creating a New NOTE: Alias Users will have the same Role and privileges as the Parent User
44 Users - Alias & Passwords Select Users Folder, Mouse Over to View Dialog box - Create, Disable or Delete Users Right click on User to View Dialog Box Create Alias, Disable or Delete Users, Change Password NOTE: Alias Users (Identified below the Parent) share the EXACT same Privileges and Access as their Parent User

50 Settings - CMS The Supplier Logo displays within the listings and Media Gallery ONLY IF no other logo is added to the individual listing(s) ICE Portal s logo is the default logo -- When a new logo is uploaded, it will replace the existing ICE Portal logo Users with privileges may set the content requirements. Meaning the CMS will NOT allow users to upload image(s) smaller than the min. width / height set they will receive an error message. Depending on the agreement signed, Users that add Rich Media (Videos and/or 360 Virtual Tours) may incur additional fees the prompt will let them know.
51 Settings Distributor Access Distributor access - is the location where you can control where your images get sent to Distribution is managed in your Settings tab in ICE under the Distribution chevron There are several option when it comes to distributor access. You can find them by clicking on the drop down box
52 Settings Distributor Access Cont. Distribute to Everyone - grants access to every distributor that you have agreements with. Distribute to my brand only We will distribute your images only to your brand. Distribute to only those selected We will distribute your images to only those selected distributors. Distribute to everyone except those selected We will not distribute your images to those selected distributors. If you select any of the options with a yellow lock. You will need to select the appropriate distributor you wish to distribute or not to distribute. This can be done clicking the distributor you wish to add and then clicking on the add button You will follow the same process to Remove a distributor
53 Settings DAL Custom Folder For DAL users you get the option of having up to five custom folders. These folders can be used to store files that you wish to keep and even share among other users for your properties, but don t wish to have distributed. Once you check the box next to one of the five folder, they become live and you can name the folder if you wish.
54 Settings - DAL Settings To access your DAL setting you will go to the Setting tab and them click the DAL tab Under the DAL tab you will be able to be upload a logo for your DAL(1). Name your DAL (2) and add your URL (3). If you wish to customize your landing page background you can do this from this tab (4). Here you would upload your Terms and Conditions for using your DAL (5). Dal user can even upload a Customize Style Sheet (.CSS) for their DAL (6) 1 Logo Here
55 Settings - Media Gallery Those using Media Galleries have options to select a gallery style, preview it and customize it with the CSS. Format. Users may select what content to display in their Media Gallery and the default content Selecting Video to Auto-Play means it plays as soon as it opens, and selecting Auto-Sequence for 360s means a view will see the 360s spin around, from one view to the next in order Options include enabling and selection of a default language, enabling the share link, the powered by logo and starting page
56 Notifications The Notification page allows User to view the status of their requested downloads/uploads The operation, when completed, and Status Clicking Download allows users to download the list(s) to their local computer
57 Notifications Users may download or upload lists to receive or add data. Selecting Download list, the User may select from on of the 3 options NOTE: If the selection is GREATER than 10 listings, download will happen in the background and an Alert will notify the User that the status will display on the Notifications Page

59 Digital Asset Library - DAL User Access & Permissions Custom Folders Landing Page & User Login Browse & Search Content Cart Add to Cart Content Cart Checkout Content Cart Saved Cart NOTE: Some functions may not be available to all users depending on permissions granted. 60 DAL - User Access & Permissions You are able to control each DAL user by clicking on the User tab and then select the user that you wish to manage. Once you select the user you can control If the user can view, Edit or even not see the option in the DAL by clicking the radio button next to the option. You can also select if the user can create, EN/Disable, Delete, or Approve in the DAL.
61 DAL - User Groups & Settings For DAL Administer(Admin) Users can assign and control other DAL users in the Users tab located in the top toolbar once you login to the DAL. Just select a user and make your adjustments and/or selection on the right of the screen. The changes are saved automatically. Admin Users can create and assign users to specific User Groups in the Users tab in the DAL
62 DAL - Custom Folders Setup up to Five custom folders Store (menus, media files, print ads) Share folder only with specific group Once you check the box next to one of the five folders, they become live and then can be named.
63 DAL - Landing page & User Login When you click on the DAL tab it will take the user to the login screen. This login screen can be customized with an image that can be uploaded from the Settings tab in the main screen To access the DAL, you will need to enter your username & password. You can always reach out to your approver or to for help with your username & password.
64 DAL - Browse & Search DAL user have the option to browse their content and this is done by clicking the Browse tab located on the top of screen from the DAL main screen. This will display the option the user has to view their content DAL also provide you the option to search for an image if you know the name of the file. This option is found on the top right of your screen
65 DAL - Content Cart - Add to Cart Once you selected you click the Add to cart button located on the top right of your screen. The added content will then be appear in your cart. Your cart total will be displayed in your tool bar.
66 DAL - Content Cart - Checkout Once you click, review and are ready to check out, you will click the Checkout button located top right of your screen. Two pop ups will appear, one with summary of items in your cart (1), which you can rename and the other pop up with confirmation that the checkout was completed (2). 1 2
67 DAL - Content Cart - Saved DAL users have the control of resend content carts, doing a direct download of the content or deleting past carts. All you have to do to view past Content carts is to click on the Saved Carts located in the top of the DAL screen. All of your past cart will be saved until the expiration date that is set. You do have the option to change how long the past carts are saved by going into the DAL Setting tab.
