4 Introduction The Wyoming Integrated Statewide Education (WISE) Data System was created as a result of 2003 state legislation. The WISE Data System unit supports the development, data quality, security, and management of school, student, and staff data. The WISER Registration System is a key component of the system. The WISER Registration System assigns and maintains WISER ID numbers for students and staff in Wyoming schools. A WISER ID number is a single, non-duplicated number that is assigned to, and remains with, a student throughout their educational career - including Wyoming postsecondary schools. Educators in Wyoming also have WISER IDs to enable submission of staffing data to the WDE as well as access to the statewide Learning Management System. An individual who is both a student and an educator will only have one WISER ID. The Wyoming Department of Education (WDE) has implemented a new WISER Registration System. This system will allow the user to upload data in.csv files and then download that same data with the WISER ID data that has been assigned to that student or staff. The WISER Registration System can be accessed through the WDE website. Click on the Data & Reporting header or Once on this page, on the right side of the screen, under the Data & Accountability Topics, click on the WISER Registration System logo to access the system. The Log In screen will appear. 4

6 This website is restricted to authorized users conducting official business with the Wyoming Department of Education. A Fusion user name and password is required along with the WISER ID Administrator role. To obtain the right to upload data to the Department, contact your Fusion Administrator and make sure the correct roles are assigned. Please be aware that the following depictions of what the user will view on the screen are examples only. The user account information that is shown is a testing account and does not represent a valid user or data. Once the user is signed in, the File Wizard Home page will be displayed. The Upload Files, Download Files, and Logs options along with About, Contact, and Logout options can be accessed from the menu bar. The Upload Files, Download Files, Logs, and File Structure options can also be accessed via the links located in the middle of the screen. 6

7 Upload Files To upload a file, drag and drop it into place. Click on the Preview Records button to view if there are any errors in the file. (a file has been placed in the Submit a File box) (the Preview Records button has been selected) The above example shows the records in the file about to be submitted. Notice that there are both student and staff records within the file. 7

8 The Error column will indicate if there is a problem with a record. The file can still be submitted if there are errors, however, the record(s) with errors will be ignored. Click the Upload Records button on the left of the screen to upload the file to the System. Click the Remove File link to remove the file from being uploaded. A message will display in upper right corner indicating that the file has been received. Download Files Click the Download Files link to review submitted data and retrieve WISER IDs. (list of uploaded files) Select the file and click the Preview Records button to view the following screen. 8

9 The first column of the previewed file will indicate the status of the record. When the file is previewed on the screen, the N_SLF_STATUS column will have the status spelled out, whereas, if the file is downloaded into Excel, the column will be in number format. The following table shows what each number means. There can be multiple statuses within the same file. N_SLF_STATUS Meaning Notes 1 Request Initiated When uploading a file, this field will always be 1 2 Request in Progress 3 System Match WISER System has identified that this person already has an ID 4 System New WISER System has issued a new ID 5 User Match WDE has resolved an ambiguous case, ID issued 6 User New WDE has determined that this is a new person, ID issued 7 Unresolved ID request has been sent to the WDE for resolution 8 Resolution in Progress 9 Complete 10 Error Respondent needs to resolve error and re-upload The WDE will resolve all ambiguous cases. 9
