1 Exercise 19 Adding Graphic Images To Microsoft Word 2000 Graphic images include clip art files, photographs, drawings, and Word Art. Graphic images can be inserted in a document from many sources. For example, you can insert saved images from the Internet a scanner, or a digital camera. Another possibility is to insert the clip art available in the Microsoft Clip Gallery. The clip art in the Microsoft Clip Gallery is grouped by category (such as Business, People, and Transportation) to make it easy to find just the right picture. A picture is worth a thousand words, even in word processing. Word provides ready-to-use-pictures, called clip art, to add impact to your documents. It also contains many photographs. You can format these pictures in many ways. For example, you can resize them, change the brightness of the picture, and create special effects using wrapping and layering options. This lesson focuses on inserting and formatting clip art in your documents. Starting Word 1. Click the Start button, point to Programs, and select Microsoft Word. Open an Existing Document 2. Click File on the Menu bar and select Open. 3. The Open dialog box opens. 4. Click the drop-down arrow to the right of the Look in box and select Network Neighborhood. 5. Double-click Wright-ms1 (Zeus). 6. Double-click Students 200_. 7. Double-click your personal folder. 8. Click Word Exercise 1 select it. 9. Click the drop-down arrow next to the Views button and select Preview. 10. This will give you a quick look at the document before opening it. 11. Click the Open button. 12. Click the Show/Hide button on the Standard toolbar so that it is turned on. 13. Press Ctrl+Home to move the insertion point to the beginning of the document. 2 Inserting Clip Art Using the Clip Gallery s Categories 14. Click Insert on the Menu bar, point to Picture, and select Clip Art. 15. The Insert Clip Art dialog box opens with the Microsoft Clip Gallery. 16. The Clip Gallery contains thousands of Clip Art images that are grouped in alphabetized categories to make your image easy to find. 17. Use the Clip Gallery s scroll box to move down to the Transportation category. 18. Double-click the Transportation category to open it. 19. The Transportation category has hundreds of pictures. You are looking at the first Scroll to the bottom of the Clip Gallery to find the Keep Looking hyperlink. 21. A hyperlink opens another page. 22. Click the Keep Looking hyperlink and you will see another sixty images. 23. Click the Keep Looking hyperlink a second time. 24. Between clips , you will find a picture of this old sailing ship. 25. Look at Figure 1. Figure Click the ship image and a Pop-up menu will appear. 27. Click the top button from the Pop-Up menu to insert the ship picture into your document. 28. 3 Formatting Your Picture The sailing ship picture is now in your document. Right now, the picture is selected, because you can see eight handles around the picture. Before you can format a picture or text, it must be selected. However, it is not where you want it to be in the document, and the text does not wrap around the picture. You need to format the picture! 29. Double-click the ship picture. 30. The Format Picture dialog box appears. 31. Click the Layout tab. The Layout tab contains 5 Wrapping styles. Wrapping styles are designs that you chose to affect the relationship of the text and the picture. You can also change the Horizontal alignment of the picture and there are advanced features that you will use later. Pictures always are In line with text after they are inserted. 32. Click the Tight Wrapping style. 33. The text will wrap closely to the shape of the picture. 34. Select the Right alignment. 35. The picture will move to the right side of the document. 36. Click OK. 37. Let s change the Wrapping style. Double-click the picture again. 38. Click the Layout tab. 39. Click the Square Wrapping style. 40. Select the Center alignment. 41. Click OK. 42. This Wrapping style and Horizontal alignment makes the text hard to read. It s a bad design because the text is not readable. Pictures should make your text easier to understand not harder to read. 43. Click Ctrl+Z to undo the wrapping and alignment formatting. 44. The wrapping and alignment are back to your first choices. Moving Your Picture A picture can be moved anywhere on a page. You want to have the picture on the right side of the document, but in the middle of the paragraphs. Before you can move the picture, it must be selected. 45. Notice the eight handles around the picture. 46. If you do not see them, click the picture once to select the picture. 47. 4 48. Holding the Shift key down while moving a picture allows you to move the picture in a straight horizontal or vertical line only. 49. Move the I-beam over the picture. The I-beam changes to a four-headed arrow. 50. Click and drag the picture down so that the top handles of the picture are even with the text in the first paragraph. 51. Look at Figure 2. 5 Saving a Revised Document You already used the Save command to name Word Exercise 1. Now that you made some changes, you can save the document with a new name. To save a document with a new name you use the Save As command. 61. Click File on the Menu bar and select Save As. 62. The Save As dialog box will appear. 63. Click the drop-down arrow to the right of the Save in text box and select your period folder. 64. If you know exactly what you are looking for, it is usually faster to search for the image instead of going through a category. 89. You are going to search through all the Clip Art images to find a picture of the Lincoln Memorial. 90. In the Search for clips text box, type lincoln memorial. 91. Press Enter to start the search. 92. Word will find many Clip Art images of Lincoln and the memorial. 93. Look at Figure 3. 7 Formatting Your Picture The Lincoln Memorial picture is now in your document. Right now, the picture is selected, because you can see eight handles around the picture. Before you can format a picture or text, it must be selected. However, it s not where you want it to be in the document, the text does not wrap around the picture, nor is it the correct size. You need to format the picture! 96. Double-click the Lincoln Memorial picture. 97. The Format Picture dialog box appears. 98. Click the Layout tab. 99. Click the Tight Wrapping style The text will wrap closely to the shape of the picture Select the Right alignment The picture will move to the right side of the document Click the Size tab Under Scale, double-click the 100% next to Height Type 165 and press the Tab key This will enter 165% next to Width Click OK Notice that the text is wrapping to the shape of the Lincoln Memorial, but one word is by itself This is a bad design because it is hard to read Let s change the Wrapping style Double-click the picture again Click the Layout tab Click the Square Wrapping style Select the Right alignment Click OK Look at Figure 4. Text wrap set to square and alignment is right Moving Your Picture by Nudging Nudging means moving a picture just a bit using the arrow keys. Before you can move the picture, it must be selected Notice the eight handles around the picture If you do not see them, click the picture once to select the picture Press the down arrow key until the top picture handles line up with the text in the first paragraph Look at Figure 4. Press Ctrl+A to select the entire document Using the Formatting toolbar, change the Font to Kristen ITC Kristin ITC has a hand-written appearance Triple-click the title The Mount Rushmore National Monument to select it Using the Formatting toolbar, change the Font to Eras Bold ITC Using the Formatting toolbar, change the Font Size to 16-points Click and drag to select the title and the two paragraphs only Press Ctrl+5 to change the line spacing to 1.5 lines Press Ctrl+J to change the alignment to Justified The left and right sides of the document are now straight Press Ctrl+Home to move the insertion point to the beginning of the document. Inserting Clip Art by Searching the Clip Gallery Live on the World Wide Web The Clip Gallery that comes with Microsoft Word or Office comes with thousands of graphic images and sounds. However, Microsoft has over 100,000 free graphic images and sounds that you can download to the Clip Gallery Click Insert on the Menu bar, point to Picture, and select Clip Art The Insert Clip Art dialog box opens with the Microsoft Clip Gallery If you can t find what you re looking for by searching the Clip Gallery, it s time to use the Clipgallerylive on the World Wide Web Notice the toolbar at the top of the Insert Picture dialog box Click the Clips Online button This will connect you to Microsoft on the World Wide Web Before you may use Microsoft s clip art, you must click the button Under Search for, type mt. rushmore in the text box Click the Go button The Search engine will find a number of clips in the Clipgallerylive. Rushmore to the right Click the download button under the picture s red arrow The Insert Clip Art dialog box will open with the Clip Art image in it Click the Clip Art image that looks like a photo and select the top button from the Pop-up menu Close the Clip Gallery by clicking the Close button. Formatting Your Picture The Mt. Rushmore picture is now in your document. Right now, the picture is selected, because you can see eight handles around the picture Double-click the Mt. Rushmore picture The Format Picture dialog box appears Click the Size tab Under Scale, double-click the 100% next to Height Type 90 and press the Tab key This will enter 90% next to Width Click the Layout tab Click the Advanced button Click the Text Wrapping tab Click the Top and Bottom Wrapping style The text will wrap closely to the top and bottom of the picture, not the sides Click the Picture Position tab Change the Horizontal Alignment to Center relative to Margin Click OK twice. 15 Inserting Clip Art by Searching the Clip Gallery 243. Click Insert on the Menu bar, point to Picture, and select Clip Art In the Search for clips text box type capitol Press Enter to start the search Word will find many Clip Art images of the Capitol Right-click the picture you see in Figure 6 and select Insert Close the Clip Gallery by clicking the Close button. 17 Cropping Your Image Sometimes you don t want all of a picture to show. Cropping is like cutting-out the parts of the picture that you don t want to use. To crop a picture you use the Cropping tool on the Picture toolbar. The picture of the Capitol needs to be cropped in order to get it to fit on the page Click the picture of the Capitol if it is not selected You need to click it in an area away from the text When a picture is selected, the Picture toolbar automatically opens If it doesn t open, right-click any toolbar and select Picture Click the Cropping button on the Picture toolbar Move the I-beam over the resizing handle in the middle of the bottom of the page. The I-beam changes to the Cropping scissors Look at Figure 7 on the next page Click and drag straight up towards the top of the page Stop below the text Word Exercise 4. Note: Your teacher darkened the watermark so that it shows up better. Your picture will be much lighter. Final Formatting 276. On the Standard toolbar, click the Zoom drop-down arrow and select 100% Triple-click to select the date Type today s date Move the insertion point to the right of the 4 in Exercise Press the Backspace key Type 22.
