1 Microsoft Word (97, 98, 2000) Word Processing Instructions Managing Toolbars Click on View. Select Toolbars. Click to select Standard, Formatting, and Drawing. Formatting Text 1. Once text is typed in, it must be highlighted (click mouse and drag arrow over text to select) in order to make changes. 2. Use icon shortcuts on Formatting Tool Bar (putting your arrow on top of each icon will show you what each one will do) 3. Or use the Menu Bar and select Format then select Font. Select Font, Font Style, Size, and Color. Click on scroll bar for selections. For Color selection click on down arrow. Click OK. Iredell-Statesville Schools Technology Department 02/00 1
2 4. To choose alignment of text, use the Formatting Toolbar or use the Menu Bar and select Format then select Paragraph. 5. Select Line spacing by clicking on down arrow. Iredell-Statesville Schools Technology Department 02/00 2
3 1. If you want to dress up titles or other words, choose Insert from the Menu Bar, then select Picture, WordArt or choose the WordArt icon on the Drawing Toolbar. 2. Select a WordArt style and click OK. 3. Type your text in the Edit WordArt Text box. 4. You can change the Font and Size by clicking on the drop down arrows. (Notice the options of bold and italicize are also available.)click OK. 5. You can drag your WordArt to place it in your document. If you need to edit your WordArt, use the WordArt Toolbar. Click on your WordArt to select it. Click on Edit Text from the WordArt Toolbar to change your text. Click on to change the WordArt style. Click on to format WordArt. Click on Wrapping to format how text appears around WordArt. You can also format the color and fill effects of your WordArt by clicking on Colors and Lines. Click on to change the shape of WordArt. To delete WordArt click on it to select it. Once selected, handles will appear and you can hit the Delete key. You can easily move your WordArt. Simply click on it to select, then drag to a new position in your document. Adding Graphics 1. To add clipart to your document, choose Insert on the Menu Bar then Picture and select Clip Art. 2. Click on a category and select graphic or use Find and enter a Keyword and click Find Now. Iredell-Statesville Schools Technology Department 02/00 3
4 3. Double click to select graphic or click once and click Insert. 4. The Pictures tab will give you choices of photographic type pictures. 5. You can also use the Import Clips option to look for clipart on the Internet. There is a short and free registration process required. 6. To resize the picture, click on one of the handles and hold and drag in or out. 7. If you need to format your picture, right click on the image and choose Format Picture. 8. This will open the Format Picture window. You may need to click on the Wrapping tab to wrap text around the graphic. 9. If you need to delete your graphic, simply click on the image then hit the Delete key. 10. To add a digital photo click on Insert from the Menu Bar. Select Picture then From File. Locate the photo on your hard drive or floppy disk. Double click to open or click once and select Insert. Procedure is the same as it was for clipart from here. 5 Cut, Copy, and Paste 1. If you want to delete or cut a picture, clipart, or text from a document and place it somewhere else (either within the same document or another document on the same computer), you can use the cut option. 2. When you cut a selection, it will disappear from its previous location, but will be stored in the clipboard until you cut or copy over it. 3. To bring it back, you will need to click where you want it and choose the paste option, either on the Toolbar or Edit Menu. 4. Using the delete key or backspace after something has been selected, does not save a copy of it. 5. If you want to copy the same text or picture to another location (either within the same document or another document on the same computer), highlight the text or select the picture by clicking on it, and choose copy. 6. Click where you want to copy the selection and choose paste. 7. If you want to copy the same selection more than once, you only need to paste again, not copy. 8. If you find a graphic on the Internet that you want to use (check to make sure it is free and that you have permission to use), with the arrow on top of the graphic, right click and choose Copy. Then open up your document, click where you want to insert the graphic and right click and choose Paste or use the Edit Menu and choose Paste. (this feature works with Internet Explorer not Netscape Communicator) 9. If you want to insert text from the Internet, highlight the text you want to copy, and then use the Edit Menu and choose Copy. Open the document you want to copy the text to; click where you want to insert the text and right click and choose Paste or use the Edit Menu and choose Paste. 10. 6 Page Borders 1. To insert a border around an entire page, choose Format from the Menu Bar and select Borders and Shading. 2. Click on Page Border tab. 3. Choose Style, Color, and Art by clicking on the drop down arrow. 4. Be sure to select where you want to place the border under Setting on the left side of the Borders and Shading window Headers and Footers 1. These are good places for names, dates, page numbers, and other identifying information. 2. Click on View from the Menu Bar. Select Header and Footer. 3. You can choose Auto Text by clicking on the drop down arrow. 4. Using the Header and Footer Toolbar, you may type text and insert: Page Numbers Date Time 5. Scroll down to Footer or use to switch between Header and Footer. 7. Click Close on Header and Footer Toolbar to return to document. Iredell-Statesville Schools Technology Department 02/00 6
7 Page Setup 1. If you have specific requirements about getting everything on one page or need certain margins, select File from the Menu Bar and select Page Setup. 2. Click on Margins to increase or decrease the spacing on the four sides of your page. 3. Click on Paper Size to select Orientation (Portrait or Landscape). Spell Checker and other Options 1. You can check Spelling and Grammar by choosing Tools from the Menu Bar, or the F7 Key, or the Toolbar icon. 2. A Thesaurus is available from the Menu Bar. Click on Tools, Language, Thesaurus or use Shift plus the F7 Key. 3. Word Count will literally count All the words in your document, including the header and footer. Click on Tools from the Menu Bar and then choose Word Count. 4. If you need to Find and Replace text, click on Edit from the Menu Bar, click on Find, enter text to be found, click on Find Next. To replace, click on Replace tab and enter Find What (word to be replaced) and replace with (word that will replace). Click on Replace or Replace All. 5. To insert a Page Break, click on Insert from the Menu Bar, click on Break, click inside radio button to select Page Break, click OK. 6. Use the File Menu, Print Preview or the Toolbar icon to preview your document for proper alignments, etc. before printing. 7. Bullets and Numbering can be added using the Toolbar icons.to remove bullets and numbering, click on the toolbar icons again. Format Bullets and Numbering by choosing Format from the Menu Bar and selecting Bullets and Numbering. 8. If paragraph markers are displayed on your document, click on the Toolbar to hide. 9. Remember to use the HELP option. Click the Help Menu and choose Index. Type in a word or phrase of the topic you need help with and you will be given a listing of available choices. 10.
