1 Quick Reference Guide WebEx on an ipad Install WebEx Meetings for ipad In order to schedule and attend WebEx meetings from your ipad you need to download, install and activate the Cisco WebEx Meetings application. To install the Webex Meeting application: 1. On your ipad navigate to the App Store. 2. Tap the Search icon and use WebEx as a search keyword. 3. Choose Cisco WebEx Meetings and then tap Free then Install. The application icon appears on your ipad s Home screen. To activate the WebEx service on your ipad: 1. From your web browser sign into WebEx at the following address: 2. Select the Downloads link in the upper right corner of WebEx site. 3. Select Continue beneath WebEx for Mobile Devices. 4. An activation will be sent to your address. 5. To complete the activation process, open the activation on your ipad and select the link to activate the service. 6. If you are not already logged into Griffith Single Sign-On you will be prompted to login. Enter your login credentials. 19 June 2014

2 7. WebEx Meetings launches automatically and the Today My Meetings calendar is displayed. To see meetings other than Today Scroll Up. Schedule a Meeting You can schedule meetings using the Cisco WebEx Meetings for ipad Application. To schedule a meeting: 1. Open the application and sign in, if prompted. 2. Tap the plus sign (+) in the top of the My Meetings view. The Schedule Meeting form appears. 3. Optionally, tap to delete the default meeting topic then enter your topic text. 4. Tap Starts Duration and then set the meeting date and time. Specify the meeting length in hours and minutes, then tap Save.

3 5. To invite attendees by , tap Invitees, and then enter addresses. Tap the return key on the keyboard to separate invitees. When finished, tap Done. Only 20 participants can be invited at one time. Note: Tap to access your ipad s contact list and select invitees. 6. Optionally, enter a meeting password in the password field and choose whether to show it, then tap Save. 7. Review and tap Schedule. Attendees will receive an containing your meeting invitation, and you will see the meeting in your My Meetings list. Change Settings To make changes to your WebEx account settings and to enable some useful features, tap Settings at the top left corner of My Meetings view. The Settings screen appears.

Choose the setting you want to change, then slide the lever to the On. 2. Tap the back arrow to return to settings. Start a WebEx Meeting (host) When it is time to start/attend your meeting, open the WebEx Meetings application on your ipad, choose the meeting from the My Meetings view and then tap Start. The meeting will open on your ipad. To connect to the Audio Conference: You can connect to the meeting s audio by calling into the meeting using your ipad or any other telephone, receive a call to a Griffith University phone number or use your computer to make a call over the Internet. Make a selection by tapping an audio option: Note: If you choose to connect using the Internet, you will be using your 3G or 4G data plan unless you are on a Wi-Fi connection.

5 To leave the audio conference: 1. Tap the Audio icon, then tap Disconnect Call. You can re-join the audio conference at any time as long as the meeting has not ended. To leave a meeting: 1. Tap the Leave Meeting icon in the top right corner of the screen. 2. Tap Leave Meeting. Join a Meeting (participant) 1. When signed in, choose the meeting in the My Meetings view, then tap Join. 2. To connect to the audio conference, see the Connect to Audio Conference section above.

6 In-meeting Interactions When a presentation is shared in a meeting, it will be visible on your ipad screen. You might want to change the orientation of your screen for better viewing. When hosting a meeting from your ipad, you may need to assign the Presenter role to another participant so they can share a presentation. You can interact with other participants using these controls: Mute or unmute yourself. Connect or disconnect from audio. Send video. Open Participants view. Send Chat. View meeting information. End or leave the meeting. To send chat messages: 1. Tap the Participants icon, then select your message recipient(s). 2. Enter the text and tap Send. To make someone the presenter: 1. Tap the Participants icon. In the Participants view, drag and drop the WebEx ball to the participant you would like to make the presenter. You can also tap the participant s name and tap Make Presenter from the dropdown list

7 To share your video from your ipad: 1. Tap the Send Video icon. You see the preview of your video. 2. Tap Start My Video to share. The camera icon turns green. If several meeting participants share video, their images will appear in the video carousel on your screen. To end a meeting: 3. Tap the End Meeting icon in the top right corner of the screen. 4. Tap End Meeting.
