1 WebEx Web Cnferencing Quick Start Guide WebEx allws the curse instructr and participants t cnnect using web cnferencing and VIP using yur cmputer r smart device. WebEx's allws yu t share cntent, chat, and see yur instructr via webcam. Befre Jining the WebEx Web Cnference Sessin: Yu may need t pre-install the WebEx sftware prir t the sessin by ging t Click the Supprt drp dwn menu item n the left Click Dwnlads Dwnlad the apprpriate Training Center applicatin fr yur platfrm and cmplete the installatin. Nte: In rder fr the sftware t remain, yu must have administrative rights t the cmputer. If yu d nt, they will need t cntact yur lcal IT prfessinal fr installatin. 1

2 Jining the WebEx Web Cnference via VIP: Nte: Yu may jin the meeting up t 15 minutes befre the scheduled start time. Yu will nt be able t lgin earlier than 15 minutes befre the scheduled start time. Plug in yur USB headset t yur cmputer BEFORE turning n yur cmputer. Then, start yur cmputer and pen an Internet brwser. Fr the weekly meeting, yu will use the same URL fr each sessin. Click n the URL link r cpy and paste the URL address int yur Internet brwser, such as Internet Explrer (nt Firefx, we have experienced prblems using Firefx). Enter yur full name, address and, if prmpted, the passwrd t jin the meeting. Then click Jin. Anther web brwser pens and displays the Cisc WebEx meeting rm. When yu jin a Cisc WebEx meeting, three brwser windws pen: Cnnect me windw, Meeting in prgress windw (with a warning nt t clse), and Cisc WebEx meeting rm. Yu will see this WebEx icn in yur cmputer s task tray. 2

3 Yu will be directed t the meeting screen which will lk similar t this: Click here t enable audi Yu will then need t manually cnnect t WebEx audi. T enable audi, click n the Call Using Cmputer buttn. When successful, yu will see a green Cnnected message. 3

4 T test yur cmputer s audi, click Audi Cnference. This will pen an Audi Cnference dialg bx. Click Audi Cnference t test audi cnnectin Click Test cmputer audi. This will pen a Speaker/Micrphne Audi Test dialg bx. Select the apprpriate speaker and micrphne frm the drp dwn bxes (i.e., select yur USB headset). Click Test t test the speaker vlume. Adjust accrdingly. T test the micrphne, talk ut lud. If the gray bars turn dark green int the gd range, then yur micrphne is wrking prperly. If the gray bars d nt extend int the gd range, adjust yur micrphne (i.e., turn it up, bring the micrphne clser t yur muth, speak up luder). When dne testing yur speaker and micrphne, click OK. WebEx Basics The fllwing graphic shws yu the basics f yur WebEx screen. Details n specific functinality fllw belw. 4

6 T use AUDIO during a sessin: When nt talking, be sure t mute yur micrphne at all times t minimize feedback and backgrund nises. T mute yur micrphne click n the micrphne icn. Yu will knw it is n mute when it has turned RED. T unmute yur micrphne, click n it again. Yu will knw it is nt muted when the icn is n lnger red. Micrphne is muted (red) and red x is lcated next t image f headset Micrphne is NOT muted and yur audi is being transmitted T use CHAT during a sessin: T send a message t everyne, type yur message in the Chat bx and click Enter. T send a message t a specific persn r the instructr, click in the Send T: bx t select the apprpriate recipient. 6

7 Meeting Etiquette: Raise yur virtual hand t ask a questin BEFORE speaking. T raise yur hand, click n the hand buttn lcated abve the chat bx. T lwer yur hand, click n the hand buttn again. Prir t speaking, click the micrphne buttn n, wait 1-2 secnds, then speak. When yu are dne speaking, wait 1-2 secnds after yur last wrds and then turn yur micrphne ff. This helps eliminate cutting ff the beginning and ending f yur audi. Remember t talk clearly and slwly. Mute yur micrphne when yu are nt speaking. Remember, when using the Chat functin, yur message will be bradcasted t all participants. Please d nt chat abut nn-curse related items when class is in sessin. D NOT use a speakerphne. The use f a USB headset is required. Reduce backgrund nise as much as pssible by jining the meeting in a quiet lcatin with reliable, high-speed Internet. If yu are experiencing cnnectin issues during yur web cnference, here are sme TROUBLESHOOTING tips t try: Meeting lgin issues: Disable ppup blcker sftware. Clear the brwser's cache. Try cnnecting frm anther cmputer. Are yu accessing the crrect link? If yur cmpany uses a prxy server t cntrl internet access, try the fllwing: Within Internet Explrer select Tls > Internet Optins > Advanced tab. Enable the setting Use HTTP 1.1 thrugh prxy cnnectins and click OK. Clse all brwser windws and re-pen befre trying t cnnect t meeting again Audi, vide, etc. prblems: Quit all ther applicatins and clse all ther brwser windws. The quality f the VIP audi can be imprved by using a high speed, wired cnnectin and by clsing ther applicatins running in the backgrund, including . Ensure yu have manually cnnected t WebEx audi using the instructins abve. 7

8 Run the Speaker/Micrphne Audi test again. Make sure the apprpriate speaker and micrphne are selected frm the drp dwn bxes. Make sure t dwnlad and run the web prgram that manages the WebEx meetings (nte: yu are prmpted t d this prir t jining the meeting). Clse yur Internet brwser cmpletely, and restart yur cmputer. Ensure yu USB headset and webcam (if needed) are plugged in PRIOR t restarting yur cmputer. Yu can jin and leave audi cnference repeatedly during the sessin if yu accidentally exit the audi cnference.
