No. 2-18(1)/15-16/NIAP 28 th Oct 2015 To Sir, Sealed competitive bids are invited for Desktops, UPS, Laptops, and Pen Drives. Bids should reach this office by not later than hrs. on 18/11/2014. The cover containing quotation should be super scribed as Tender for Purchase of Desktops, UPS, Laptop, and Pen Drives in NIAP due on 18/11/2015, failing which the quotation will have the risk of not considered. The rates quoted shall be valid for a minimum period of 120 days from the last date fixed for the receipt of quotations. 2. The rates quoted shall be for free delivery and installation at NIAP, New Delhi Prices should be quoted in Rupees only. 3. An Earnest Money in the form of an Demand Draft or Fixed Deposit Receipt from a commercial bank, amounting to Rs. 10,000/- (Rupees Ten Thousand Only) must be deposited in favour of Director, NIAP payable at New Delhi. The Tender will not be considered in absence of Earnest Money being enclosed with tender 1 of 7

2 4. Full specifications of the article quoted should match or supersede the technical specifications mentioned in Annexure I. Firm should produce its bid with supporting literature/pamphlet/drawing etc. The specification given in the brochure must be authenticated which can be verified from the site of firm manufacturing the equipment or supporting catalogues/oem certificate. 5. Firm should specifically write Yes or No against every specification mentioned in Annexure I. For example if any specification of quoted item differs with desired specification then bidder should write No in Annexure I. Specification that differs or supersedes the desired specification, must be specifically mentioned in Column 5 ( If specification of tendered item is better/different, then please provide actual configuration in column 5 ) of Annexure I. 6. Firm can quote superior configuration. However, in case of inferior configuration, Director NIAP reserves the right to accept or reject such bid. 7. Bidder can quote for some or all items. 8. Institute reserves the right to execute purchase with more than one bidder as per the lowest price quoted by particular bidder. 9. Bidder should quote only product for each category of item, strictly in format provided in ANNEXURE II. The prices should be inclusive of taxes only. No further clarification/request in this regard would be considered and any deviation from this clause shall empower this institute to reject bid at its discretion. 10. Supply is to be made by any convenient mode of transport at supplier s risk only. 11. In case the material is supplied by through his authorized agent, shall be responsible for the successful installation of the equipment. The shall be liable to any penal action for the shortcomings of the authorized agent. Any payment that is to be made separately to the agent if any shall be paid by the manufacture only. 12. EMD will remain valid for a period of forty-five days beyond the final bid validity period. 13. Firms registered with the Central Purchase Organization/NSIC are exempted from submitting bids without EMD (proof of registration must be attached therefore without which it will not be considered). 14. The EMD shall be refunded to the unsuccessful bidders after finalization of the quotation. 15. Bidder has to provide OEM authorization, distribution/dealership certificate etc for Laptops and desktops. 2 of 7

3 t."" " 16. Warranty has to be invariably provided by the firm. Minimum required is mentioned in Annexure I. 17. The rates should be quoted in complete rupees (No fraction) both in figures and words. No overwriting or erasing will be allowed, if so the cutting may be signed by Tenderer. 18. The quantity given In the schedule IS approx. which may be increased or decreased. 19. Payment will be made by mode of e-payment to the supplier/firm after satisfactory completion of work and receipt of pre-receipt bills triplicate. 20. Director NIAP reserves the right to dilute some or all specifications in case sufficient bids of desired specification are not received. 21. The Director NIAP, New Delhi also reserves the right to accept or reject any or all the quotations either in full or in parts without assigning any reason. 22. Quotations not complying with the above conditions are liable to rejected. 23. TINN ATIP AN/C.S.T. Nos may be given on the Quotation. 24. Documents required with the Bids for evaluation of equipment specifications a. Copy of the Registration of firm b. Copy of P AN Card and TIN number c. Required EMD in favour of Director NIAP may be enclosed.
