4 Key Points General: Students are responsible at all times for their district-issued laptops. Laptops must be supervised/secured at all times. Unsupervised or unsecured laptops may be confiscated by staff. The student who is assigned the laptop is the only approved user for that laptop. The laptop and its components are to be carried in the district-issued laptop carrying case at all times. Always use the handle, strap, or two hands to carry the laptop case. Students are responsible for their ethical and educational use of all computer hardware and software, networks and internet services, and for their files, passwords, and accounts on district-issued laptops. Students should ask for assistance if they do not know how to operate any of the hardware or software on the district-issued laptop. Immediately report anything suspicious or faulty to a teacher, administrator, or other school employee. At School: Bring the laptop to school each day with a fully-charged battery. Bring the laptop to all classes, unless specifically instructed otherwise. When in use, keep the laptop on the desk (not on your lap). Do not pick up or carry the laptop by the screen. Keep the laptop closed and in the district-issued carrying case when it is not being used. Follow all teacher directions about the use of laptops in the classroom. Secure the laptop in your locker if it is not stored with you. Do not put anything on top of the laptop when it is stored in your locker. Close the laptop to put it in sleep mode to travel from class to class. Do not shut it down. Do not put any foreign objects, such as a pencil, on the laptop keyboard as this can break the screen if it is closed while the object is still there. Shut down the laptop at the end of the school day or if it will not be in use for a while. At Home: Using a district laptop at home is a privilege which can be restricted or eliminated for failure to comply with all rules, expectations, and procedures. Charge the laptop fully each night. Use the laptop in a common room of the home. Store the laptop on a desk or table never on the floor. Protect the laptop from extreme heat and cold, food and drinks, small children, and pets. Do not leave the laptop in a vehicle. Completely shut down the laptop before traveling from one place to another with it. 4

7 Acceptable Use Students will: Understand and follow the One-to-One program objectives at school and off-campus; Bring their fully charged district laptop to school each day and to appropriate classes; Use the district laptop (including cameras, videos, printers, etc.) at appropriate times, in approved places, for educational purposes and school-related activities; Follow the same guidelines for respectful, responsible behavior online that they are expected to follow offline; Treat school technology carefully and alert staff immediately if there are any problems with their operation; Encourage positive, constructive discussion when using communicative or collaborative technologies; Alert a teacher or other staff member as soon as possible if they see threatening, inappropriate, or harmful content online (for example images, messages, posts, etc); Create files, projects, videos, web pages, podcasts, and other activities/projects using electronic resources that are directly related to classroom content and curriculum, or as directed by a teacher/administrator; Utilize Canvas and LD to facilitate learning, manage classes, communicate with teachers, and submit work electronically; Observe and respect license and copyright agreements cite sources when using online sites and resources for research; Recognize that use of the district laptop off-campus is a privilege and treat it as such; Be cautious to protect the safety and integrity of themselves and others; Help to protect the security of school resources; Use only their district-issued network account with assigned username and password; Keep usernames, passwords, and other login or personal information private; This is not intended to be an exhaustive list. Students should use their own good judgment when using school technologies. 7

8 Unacceptable Behavior Unacceptable conduct includes, but is not limited to, the following: 1. Attempting to defeat or bypass laptop/network security or the district internet filters for any reason (such as to view inappropriate content or conceal inappropriate activity); 2. Using any district electronic resources for unlawful purposes; 3. Accessing online sites or materials that are inappropriate for school purposes; 4. Downloading inappropriate materials, viruses, or software; 5. Creating, sending, sharing, accessing, or downloading material which is abusive, obscene, vulgar, hateful, threatening, stalking, harassing, demeaning, slanderous, racist, terroristic, sexually explicit, or any other inflammatory content; 6. Revealing, sharing, or posting personal information about yourself or others (such as home address, phone number, social security number, social media information, driver s license number, address, etc.); 7. Accessing, copying, or modifying the data or account of another user; 8. Downloading, copying, duplicating, or distributing copyrighted materials without specific written permission from the copyright owner; 9. Recording staff or students without their knowledge and written consent. This includes using video recording, audio recording, webcams, or cameras on laptops, cell phones, or any other digital recording device. 10. Gaining unauthorized access anywhere on the network; 11. Using the laptop or network for financial gain, advertising, or political influence; 12. Vandalizing or tampering with equipment, files, software, system performance, or other network equipment; 13. Attempting to repair, remove, or install computer hardware or unapproved software; 14. Taking out the battery, removing keys, or in any way attempting to access internal parts; 15. Interfering with the work of others; 16. Intentionally wasting internet or network resources; 17. Interfering with the performance of the network, internet, or computer hardware; 18. Causing network congestion (such as by subscribing to mailing lists, mass s, games, or other services); 19. Invading the privacy of others; 20. Using another person s username and password; 21. Allowing another person to access your account using your username & password; 22. Pretending to be someone else (such as when sending or receiving messages); 23. Using other than the school-issued account while at school; 24. Forwarding or distributing inappropriate messages; 8

9 25. Utilizing sites to sell or purchase written papers, book reports, and other student work, or to commit any act of plagiarism; 26. Using technology to circumvent doing your own work for your courses; 27. Using unauthorized technology to gain advantage on assessments or assignments by providing or receiving information not allowed by the instructor or that is unavailable to other students; 28. Assisting, observing, or joining any unauthorized activity using the laptop, network, or internet; 29. Accessing or attempting to access internet sites not approved by the district/teacher including non-educational social networking sites and other sites that could expose students to harm or distract students from being engaged in academic and schoolrelated pursuits; 30. Falsifying permission or identification information; 31. Knowingly placing a computer virus on a computer or network (additionally, legal charges may be filed); 32. Defacing school-owned laptops or laptop accessories, or causing other intentional permanent damage; 33. Accessing or attempting to access the wired or wireless network with any device that is not property of or registered with Lower Dauphin School District. 34. Possessing images of guns, weapons, pornographic materials, inappropriate language, alcohol, drugs, or gang-related symbols; 35. Failing to comply at all times with all policies, procedures, and guidelines outlined in this manual, the Lower Dauphin High School One-to-One Guidebook, the Acceptable Use Policy (244, 244.1, and 244.2), the Student Code of Conduct, and all other applicable School Board policies and procedures. 9

10 Consequences of Misuse, Neglect, or Noncompliance If students do not adhere to the policies, procedures, and guidelines outlined in the Lower Dauphin High School One-to-One Guidebook, the Acceptable Use Policy (244, 244.1, and 244.2), the Student Code of Conduct, and all other applicable School Board policies and procedures at all times, the privilege to use a district laptop may be restricted or eliminated. Intentional misuse or neglect can result in loss of laptop privileges or other disciplinary action as set out in the Lower Dauphin Student Code of Conduct. The school principal will have final authority to decide appropriate disciplinary action regarding noncompliance. Lower Dauphin School District cooperates fully with local, state, and federal law enforcement for computer crimes. Intentional misuse or neglect may also result in parent/guardian and student financial liability for repairs or maintenance. Liability for damages or theft due to negligence will be determined by LDSD Administration. Parent/guardians and the student will be notified of any such decisions, along with the costs. Disputes about damage costs or liability must be made in writing within seven calendar days. The principal will review the dispute and notify the parent and student of the review. If the parent/student is not satisfied with the outcome, they may appeal the decision to the Superintendent in writing within five school days. The Superintendent will make a final determination as to damage costs and liability. 10

11 Student FAQs Q: How will LD s One-to-One laptop program help me academically? A: Preliminary educational research shows that when students effectively use computers in the classroom, students are provided with deeper learning experiences and are more effectively able to apply 21 st century learning skills. To compete in our global economy and equip our students for post-secondary education, the district needs to provide a learning environment that integrates today s digital tools, accommodates mobile lifestyles, and encourages students to work collaboratively in team environments. Through providing this learning environment, we will meet these globally competitive demands which will allow students to manage their own learning at any time and any location. This program is designed to enhance current teaching/instructional strategies through the effective use of technology and 21 st century teaching methods. Q: When will I get my district laptop? A: Student Laptop Orientation will be determined and announced on a yearly basis. Students meeting all requirements may start to take their laptops off-campus following the announced orientation. Q: What do I need to do to receive the district laptop? A: Students must attend an LDHS Student Laptop Orientation (Parents are strongly encouraged to attend an LDHS Parent Orientation session). Students and parents must sign the Acceptable Use Policy. Students and parents must sign the Laptop Loan Agreement. Students/parents must pay the cost-sharing fee. Q: What happens if my parent(s) refuses to sign the Acceptable Use Policy or sign the Laptop Loan Agreement? A: If the student has signed both agreements, then the student may use the laptop during the school day only (the student will not have the privilege of taking it off-campus until the parent has signed both agreements and has paid the cost-sharing fee). Q: What happens if my parent(s) cannot pay the $25 cost-sharing fee? A: Students participating in the Free and Reduced Lunch program qualify for a reduced cost-sharing fee of $10. Additional financial assistance may be available to students unable to pay the cost sharing fee. Please contact an administrator, high school office secretary, or the librarian for details. Q: Do I own the district laptop? A: No. Lower Dauphin School District owns the district laptop, carrying case, AC adapter and power cord. It is therefore very important that you take good care of them, leave the tags in place, don t damage them, and don t permanently mark them, as they do not actually belong to you. Upon graduating from Lower Dauphin School District students have the option to purchase their assigned laptop from the district under the following conditions: The laptop is a minimum of 3 years old. The total buy-out is $125 (prior fees paid each year will count toward that total). The district will remove all licensed software prior to the buy-out. Parents/students take on full responsibility for the laptop upon the buy-out. 11

12 Q: Must I use the district-issued laptop carrying case? A: Yes. The district laptop and all of its components are to be carried in the district-issued laptop carrying case at all times. Q: May I personalize the district laptop, case, or other laptop accessories? A: Yes, you may decorate the district laptop and its case. Decorations must be school appropriate and cannot be permanent (such as magic marker, scratches, etc.). Writing or drawing (such as with pen or marker) and any other permanent marks on districtowned equipment will be viewed as vandalism. There may be an associated cost to restore the laptop to the original condition if marked up permanently. Students may not remove, interfere with, or tamper with any identification placed on the computer by the district. You may also personalize the laptop wallpaper and screensaver, as long as you adhere to school district standards and policies; but, password-protected screen savers are not permitted. Q: May I use my own accessories with the district laptop? A: Yes and no. The laptop comes with 2 USB ports that can be used with digital cameras, ipods, MP3 players, etc. Some devices may require administrative privileges to install. These types of devices will not be able to be used. Q: What programs will be installed on the district laptop? A: Laptops will run a currently supported version of Microsoft Windows and will be internet capable. Web-filtering software will be installed (and will be active both at school and offcampus). Anti-virus software will also be installed. Certain software may be installed by members of the LDSD Technology and Information Systems Department. Other software will be made available for students to self-install through a self-service software portal provided by the district. No unapproved software may be installed by students. In addition, software installed by LDSD may not be altered or uninstalled. Q: May I install software on the district laptop? A: Yes and no. Students may download district-approved and district-supported software from LDSD s self-service software portal. Games, software, or music that you have legally purchased may be installed on the district laptop, provided that it is of an educationally appropriate nature and does not require elevated privileges to install (such as administrator rights). If you install anything on the district laptop that causes it to stop functioning correctly, the computer will be reformatted. This means all files will be lost. LDSD is not responsible for any loss incurred for personally owned software, games, or music. In addition, there may be disciplinary consequences for inappropriate or illegally obtained games, software, or music. Q: May I use the district laptop to play games, music, videos, etc? A: At school: Music, videos, and games can be disruptive to the educational environment. Therefore, students may play games, music, videos, and other types of media only when given specific permission from the teacher. All media must be of an appropriate nature and comply with the LD Acceptable Use Policy and abide by federal copyright laws. Off-campus: Students may play games, music, videos, and other types of media at home. All media must still be of an appropriate nature and comply with the district s acceptable use policy, other related school district policies, and federal copyright laws. 12

13 Q: May I use the district laptop to access social media? A: At school: Social networking activities will only be used when assigned and supervised by a teacher for academic purposes. Off-campus: Students may access social media at home. All use must adhere to the district acceptable use policy and other related school district policies. Students will avoid posting personal information online, will understand that postings are permanent, and will exercise mature and responsible conduct at all times while online, whether at school or off-campus. Q: May I use the district laptop to access personal accounts? A: At school: Students are provided an account by LDSD. All school-related correspondence will occur via the district account and will be used for educational purposes only. Electronic communication coming from or going to the school-issued account will be monitored. All use must adhere to the district Acceptable Use Policy and other related school district policies. Appropriate etiquette, language, and content are expected by all students at all times. Off-campus: Students may access their district account from home. All schoolrelated correspondence will occur via the district account and will be used for educational purposes only. Electronic communication coming from or going to the school-issued account will be monitored. Students may also access personal accounts at home. All use must adhere to the district Acceptable Use Policy and other related school district policies. Appropriate etiquette, language, and content are expected by all students at all times, whether at school or off-campus. Q: What is the expectation of privacy regarding use of the district laptop? A: There is no expectation of privacy regarding the contents of computer files or communication using any district-owned computer or network. LDSD reserves the right to investigate, review, monitor, and restrict information stored on or transmitted via the school district s equipment. Parents, guardians, and students do not have the right or expectation of privacy for any use of district-owned laptops, computers, or other equipment. Students must provide access to the laptop and any accessories assigned to them upon request by district employees. A search of the laptop, student files, usage history, and other related items may be conducted at any time and for any reason. If there is reasonable suspicion that any policies, procedures, or guidelines have been violated, the laptop and its contents will be searched. The district will cooperate fully with local, state, and federal officials in investigations of suspected illegal activities that may have occurred using LDSD equipment, network, or computer systems. LDSD reserves the right to use GPS tracking software to access the location of a lost or stolen laptop using map coordinates. The district does not have the ability to turn on web cams remotely when the laptop is outside of the district s network. 13

14 Q: Do I need to take the district laptop to all of my classes? A: Yes. Students need to take their district laptops to their classes each day, unless specifically instructed not to do so. The laptop should be fully charged to start each day. Students will follow all directions given by the teacher, including when it is appropriate to use the laptop and when it should remain closed and/or shut down and in the carrying case. Each teacher may have their own rules regarding use that is specific to their classroom. Q: What do I do if I leave my district laptop at home? A: Leaving a district laptop at home will be viewed the same as if you left your textbook or other required materials at home. Students may borrow a laptop on a daily basis from the LDHS Help Nest (while supplies last); however, upon the third incident of a forgotten laptop and for every instance thereafter, there will be a $2 daily service fee to borrow a laptop. Loaner laptops may not be taken off-campus. Disciplinary action may also be taken for students who repeatedly leave their laptops at home or otherwise abuse the borrowing of a device. Students leaving laptops at home will still be required to complete assignments during the school day (using alternate means determined by the teacher). Q: Where do I keep my district laptop while at school? A: In class: On the desk or in the carrying case. In the hallways: In the carrying case. In personal locker: In the carrying case and locked in locker with nothing on top of it. During gym class: In the carrying case and locked in personal locker or gym locker. During lunch: In the carrying case and locked in personal locker or with the student in the cafeteria. Laptops may not be used/charged in the cafeteria during lunch time, but students may have laptops in the cafeteria during lunch as long as the laptops are turned off, the lids are closed, and they are in the carrying case, and away from food, drinks, and traffic areas. During after-school activities: In the carrying case and locked in personal locker or gym/sports locker. Students should take their laptops home each night to charge and to complete assignments. Laptops should only be left at the school overnight in extreme circumstances or as a last resort. If the laptop is not taken home, it should be shut down, lid closed, in the carrying case, and locked in the student s personal locker, stored in a classroom (with teacher permission), or stored at the Help Nest on a first-come, firstserved basis. Laptops should never be left unattended or unsecured. Unsupervised laptops will be confiscated by staff and taken to the Help Nest. Students will need to see an administrator to get the confiscated laptop back. Leaving a laptop unsupervised may result in disciplinary action. Q: What do I do if my laptop battery is low during the school day? A: Ask your teacher if you may plug it in during class. Charge it at the Help Nest. Accept the consequences of not being prepared for class. Q: May I use the district laptop on the school bus? A: No, use of a laptop while on a school bus would constitute a safety hazard. Q: May I use the district laptop at lunch? 14

15 A: No, considering the presence of food and drinks, the cafeteria during lunchtime is not a safe place for the laptop to be used/charged. Q: May I let other LD students use my district laptop? A: No, the laptop should only be used by the person to whom it was assigned. Q: May I take the district laptop home? A: Yes. The district laptops are a necessary tool for learning. Although it is not a strict requirement for students to take the laptops home each night, we strongly encourage them to do so. If students do not take their laptops home, they may arrange with a teacher to store it in his/her classroom, check-in their laptops on a first-come, firstserved basis at the Help Nest, or they should leave the laptop turned off, lid closed, in the carrying case, and locked in their personal locker. Students will find that many of their teachers will give assignments to complete at home that require the use of a computer and/or the internet. Students may use a home computer to complete these assignments, but the district laptop will have software installed that may be helpful in completing the assignments. An additional advantage of taking the district laptop home is that students could charge their laptops overnight so that they are ready to be used for the next day. Q: May I access the internet at home with the district laptop? A: Yes, students may use off-campus internet service on their district laptops. LDSD recommends that students use the laptops in plain view of parents/guardians when not on campus. LDSD will not serve as a home internet service provider, but the district internet filtering system will still be active during off-campus internet use (as required by the Children s Internet Protection Act). Filtering restricts access to unacceptable sites. It also restricts access to inappropriate materials of all kinds. LDSD cannot guarantee that access to all inappropriate sites will be blocked. No filter is as reliable as adult supervision. Internet log files are maintained by the district with a detailed history of all sites accessed. The district may review logs periodically to ensure proper use of the laptop and other resources. It is the responsibility of each student to use the laptop, network, and internet appropriately and in accordance with district policies. And it is the responsibility of the parent/guardian to monitor student laptop use, especially internet access, when the student is not at school. Under no circumstances should anyone try to tramper with the installed filter. Any attempts to remove, disable, alter, circumvent, or manipulate the filter will be considered a violation of the acceptable use policy. Q: May I use my printer at home with the district laptop? A: Yes, as long as the printer software does not require administrative installation privileges. Q: What if I don t have internet access at home? 15

16 A: Students are still required to complete assignments that need an internet connection. We encourage students to plan accordingly. For example, students could utilize study hall time to complete assignments that may need internet access while saving assignments that do not need internet access to be completed at home. We also encourage students to be resourceful. All Lower Dauphin School District buildings have wireless internet and network access. The high school library is open after school. There are a number of public places that provide free wireless access, including public libraries (see the Wireless Hot Spots section later in this manual). In addition, some service providers offer a reduced price for an internet subscription for those who qualify. For example, Comcast currently provides home internet access for $9.99 a month for those that are within their service area and have at least one child that participates in the National School Lunch Program. Please call (855) or pick up a brochure in the Help Nest for more information. LDSD does not provide technical support for off-campus internet access or Wi-Fi connectivity issues. Q: Is there anything special that I should do with my district laptop at home? A: Be sure to: Charge the laptop fully each night. Store the laptop on a desk or table, not on the floor. Protect the laptop from food/drinks, extreme heat/cold, weather, small children, and pets. Keep your laptop away from magnets, including large speakers, amplifiers, transformers, and vacuum cleaners. Remember to bring your laptop and power cord back to school with you every day. You will be responsible if your computer is not ready for class work every day. If your laptop is not charged, it will be viewed the same as if you left it at home. Please refer to pages for General Laptop Care Guidelines. Q: Will other members of my household be allowed to use the district laptop? A: No, the laptop should only be used by the person to whom it was assigned. If anyone else accesses the laptop and violates district policies, the student will be held accountable. Parents/legal guardians may only use the laptop to assist their child with a school assignment or to perform supervisory tasks such as to inspect an internet search history. Q: What do I do if my district laptop doesn t work or is damaged? A: All physical damage to the laptop must be reported to a responsible adult as soon as possible either at school or at home. It must also be reported to the Help Nest no later than the next school day. Do not attempt to repair the equipment. In the event of negligent, malicious, or willful damage to the equipment, the parent/guardian will be responsible for paying for repairs or for replacing the equipment at full cost. A temporary laptop will be issued (if necessary) while the laptop assigned to the student is repaired or replaced. Students may be required to complete a short incident report form when laptops are damaged. 16

17 Q: What do I do if my district laptop is stolen? A: At school: The theft should be reported to the high school office as soon as possible. Off-campus: Parents/student must report the theft to the police. A copy of the police report should be brought to the school and given to the school principal. A temporary laptop will be issued (if necessary) while the laptop assigned to the student is replaced. Parents/student will be responsible for costs related to theft caused by negligence. Q: What is cyberbullying? A: Cyberbullying is when someone uses internet or other electronic communication technology to act cruelly toward another person. Cyberbullying includes any activity meant to harass, threaten, torment, embarrass, or intimidate students or school staff. Online attacks often hurt more than face-to-face bullying because the attacker can be anonymous, will behave in ways they would not in person, and has the potential for a much larger audience. Cyberbullying in any form is unacceptable. In situations in which cyberbullying originates from off-campus conduct, but is brought to the attention of school officials, any disciplinary action will be based upon whether the conduct is determined to be materially and substantially disruptive of the school environment or to have a direct and immediate effect on school safety or on maintaining order and discipline in the schools. Discipline for cyberbullying will be handled on a case-by-case basis as deemed appropriate by the school principal. Refer to LDSD Board Policy 249. Q: How long will I have the district laptop? A: The laptop is yours to use during the school year. Prior to the beginning of summer, you will turn in your laptop for reformatting, updates, and general maintenance. Once the next school year starts, you will be reissued the same laptop. You will be assigned the same laptop until you graduate or withdraw from LDHS. Q: May I use my own laptop rather than the district laptop? A: Students may use their own computer as part of our BYOD program; however, no technical support will be provided for personal equipment. In order to provide a standard learning environment, district laptops will be required for most classroom activities. 17

18 Laptop Care Guidelines Laptops are sensitive machines, but they will last for the remainder of your LDHS academic career if you take proper care of them. Below are guidelines to help you care for your assigned laptop. The following guidelines are not all-inclusive, but serve instead as an overview of proper care. General Precautions Keep your district laptop in the district-issued carrying case when it is not in use. Do not overload the laptop carrying case with other items, or items that may damage the laptop. Do not sit on your laptop or place any objects on top of it. Doing so may cause damage to the screen and internal components. Do not pick up or carry your laptop by the screen or push against the screen with more force than necessary to operate the touch screen. Do not touch the screen with pens, pencils, or any sharp instruments. Be careful not leave pencils, pens, or papers on the keyboard when closing the screen. Keep liquids, food, pets, and debris away from laptops. Do not keep food, food wrappers, or drink containers in the laptop carrying case. When using the laptop, gently place it on a flat, solid surface. This will allow air to circulate properly and keep the laptop from overheating. For example, placing the laptop on a pillow or blanket can block airflow. Do not expose your laptop to extreme temperatures (below 35 degrees or above 90 degrees Fahrenheit). Keep your laptop away from magnets, including large speakers, amplifiers, transformers, and vacuum cleaners. Do not leave your laptop unattended, such as in a car or area where it may be damaged or stolen. Cords, cables, and removable storage devices must be inserted carefully into the laptop. Never attempt to repair or reconfigure the laptop. Under no circumstances are you to tamper with the internal components or remove any screws. You are not permitted to install a second operating system on the laptop, to upgrade or repair the laptop, or to have a third party upgrade or repair the laptop. Except for travel between classes, do not leave your laptop turned on while it is inside of the laptop carrying case. The district-issued laptop, case, and power cord must remain free of any permanent markings. Laptops and carrying cases may be personalized with stickers or other materials that are of an educationally appropriate nature, can be removed, and do not cause damage to the equipment. Remember that the laptop and accessories are the property of LDSD. A label and an asset tag have been applied to your laptop for identification purposes. Do not alter, cover, or remove any district information marked on the laptop. 18

19 Carrying Your Laptop The laptop and its components are to be carried in the district-issued carrying case at all times. Carefully unplug all cords and accessories before placing it into the case or carrying it. When traveling between classes, place your laptop in sleep/hibernate mode in order to provide faster startup time in your next class. If you are not using your laptop in your next class, turn off the laptop completely before placing it in the carrying case. Turn off your laptop completely before traveling between home and school. Remember to close the lid before carrying the laptop. Be sure to zipper the case completely closed. Cleaning Your Laptop Disconnect the laptop from electrical outlets before cleaning. Clean the screen and touch pad with a lint-free, anti-static cloth or LCD-approved antistatic cleaner or wipe. **Never use glass cleaner (such as Windex), water, or other liquids that are not approved for use on touch screen displays. Battery Life and Care It is your responsibility to bring your assigned laptop to school fully charged every day. Electrical outlets may not be available in classrooms for recharging. Bring laptop charging cables with you to school to recharge the battery if necessary. The laptop should not always be kept at a 100% charge (always plugged in). Keep your laptop running on the district-set energy-saving battery plan. Use a surge protector while charging whenever possible. During prolonged periods of inactivity, shut your computer down completely. Use sleep or hibernate mode during short periods of inactivity. Dimming the brightness of the screen will extend battery run time. Do not access radio, games, and videos that are not related to your coursework. Laptop Security Make sure that your laptop is supervised at all times. In the event of a fire drill or other classroom evacuation, laptops may be left in the classroom. Classroom doors will be secured. You are encouraged to take your laptop home every day, regardless of whether or not the laptop is needed. Do not store your laptop in a vehicle, especially when the internal temperature of the car may be very hot or very cold. 19

20 During after-school activities, you are still expected to maintain the security of the laptop. Students may secure the laptop in a locked locker. Contact the main office for locker access. Do not lend your laptop to any other person for any reason. The laptop should only be used by the person to whom it was assigned. This includes other family members. Parents/legal guardians may only use the laptop to assist their child with a school assignment or perform supervisory tasks such as to inspect internet search history. The laptop should not be turned in to anyone other than a LDSD employee. For repairs, your laptop must be turned in to the Help Nest (located in the LDHS library). The laptop has internet content filtering software installed. The software may not be removed, altered, or circumvented. Internet activities will be monitored. An activity report will be run periodically to verify appropriate use. A parent/guardian should supervise use of the laptop during non-school hours. All policies, including the Acceptable Use Policy (244) and Acceptable Use of Social Media and Digital Communications (244.2) are applicable and in force whenever the laptop is in use, whether during or after school hours. Each laptop has identifying labels, including a serial number and asset tag. These labels must not be altered or destroyed. Laptop and all laptop accessories must be returned to LDSD upon request, within twenty-four hours of withdrawing from school, or at the conclusion of the term for which the laptop is assigned or borrowed. Failure to return a laptop may result in full payment for the cost of a replacement laptop, disciplinary action, and/or legal action. 20

21 Software and File Management General Information 1. Laptops come with a standardized software configuration. This configuration may not be altered. 2. A self-service software portal that contains approved software will be available while the laptop is connected to LDSD s network. Unapproved software is not to be loaded on the laptop. Students may install educationally appropriate software as long as it does not interfere with district supplied software and does not require elevated privileges, such as administrator rights, to install. 3. Do not change the computer name. 4. Do not change or remove operating system extensions. 5. The school will not be responsible for the loss of any deleted data due to re-imaging laptops. Music, Games, or Programs The LDSD Acceptable Use Policy states that students are expected to comply with ethical use of the district s network and abide by federal copyright laws. Music, videos, and games can be disruptive during class and may not be used unless the student has permission from the teacher. Student Storage/Saving Files Students are responsible for maintaining and backing up their files and documents. Any files saved to the laptop hard drive may be lost in the event of a hardware failure, or may be removed during maintenance. At the end of the school year all student files on the laptop hard drive will be deleted. Students may back up to external devices, such as a thumb drive, to cloud storage such as Google Drive, or to their district-provided network storage area (P drive). If the student laptop crashes and files are lost, it is the student s responsibility to have the files saved elsewhere. The district will not provide file recovery services. Please note: the computer crashed is not an acceptable excuse for not turning assignments in on time. Do not delete any folders or files that you did not create or that you do not recognize. Deleting files could interfere with the functionality of the laptop. Computer Shut-Down Students must completely shut down laptops at the end of each school day prior to leaving campus. Students must boot/restart laptops when returning to campus each morning. 21

22 Software Updates Updates will be provided to supported software, including the laptop operating system. When possible, updates will be controlled by the district and will be automatically installed. Operating system patches should not be installed manually by students. LDSD tests patches before they are installed. Updates will be installed during an advertised maintenance window as published on the Lower Dauphin web site, except for cases that have a high potential of effecting district operations and security (in which case the district will update equipment as needed). Screensavers/Wallpapers If students choose to modify the standard wallpaper or screensaver, it must adhere to the standards and policies of LDSD, including #244, #244.1, and # Password protected screen savers are not permitted. Encrypted Files Students may not apply encryption or password protection on files or folders. Sound Laptop sound should be muted at all times while in school unless permission is granted from the teacher. Headphones may be used in class with express permission from the teacher. Web Cam The web cam shall be used for educational purposes only. Per policy 244.1, the web cam shall not be used for audio or video recording of any person without written consent of all individuals who will appear or be heard within the audio or video recording. Audio or video recording shall be consistent with state/federal laws. Printing Help conserve our instructional resources by using print preview or digital transmission of work. In many cases assignments may be turned in via Canvas. Teachers will provide directions on how to submit assignments. Print jobs can only be submitted while connected to the LDSD network. Print jobs will be held until released by each student at the print release station located next to the printer. All print jobs will be tracked and logged. Excessive printing may result in loss of printing privileges. 22

23 Help Nest Procedures 1. Student identifies a problem. 2. Prior to school, during lunch or study hall, after school, or during class with teacher permission, the student reports the problem to the Help Nest (located in the HS library). 3. The student MUST bring the laptop, bag, and charger to the Help Nest. 4. The Help Nest intern will attempt to remedy the problem. 5. If necessary, the Help Nest intern will check in the laptop, including bag and charger, and check out a loaner laptop to the student. 6. When a laptop is checked in, a form describing the problem will be filled out. A loan receipt for the temporary laptop will be signed before a loaner laptop will be provided. 7. A Help Nest ticket will then be generated and, where necessary, escalated to the district s Technology and Information Systems Department for repair. 8. When the original laptop has been repaired, the Help Nest volunteer will contact the student via their LDSD account. 9. Students will pick up their repaired laptop and return the loaner laptop within one school day of notification. *It is the student s responsibility to return the loaner laptop, carrying case, and charger. *Any data that is saved on the student computer or loaner computer may be destroyed. The district is not responsible for any lost data, nor will any lost data be recovered. *Every effort will be made to repair or replace the computer within 48 hours. However, this time will vary depending on the extent of repair, availability of parts, and volume of requests that are received. Damages must be reported to the Help Nest supervisor within one school day. Reports of theft that occur outside of LDHS must be accompanied by an official police report. It is the responsibility of the student or parent to provide the district with the official police report. Liability for damages or theft due to negligence will be determined by LDSD Administration. Parent/guardians and the student will be notified of any such decisions, along with the costs. Disputes about damage costs or liability must be made in writing within seven calendar days. The principal will review the dispute and notify the parent and student of the review. If the parent/student is not satisfied with the outcome, they may appeal the decision to the 23

24 Superintendent in writing within five school days. The Superintendent will make a final determination as to damage costs and liability. Upon completion of repairs or replacement, the student must pay for repairs/replacement in full, pick up repaired/replaced equipment, and return the loaned equipment. Repeated incidents of repair/replacement that are caused by negligence may result in disciplinary action in addition to the costs of the repair or replacement. 24

25 Copyright and General Guidelines of Fair Use Fair Use means students may use portions of lawfully acquired copyrighted works in their academic multimedia projects, with proper credit and citations. They may retain them as examples of their academic work. Students and teachers must include on the opening screen of their programs and on any printed material that their presentations have been prepared under fair use exemption of the U.S. Copyright Law and are restricted from further use. Fair use ends when the multimedia creator loses control of his/her product s use, such as when it is accessed by others over the internet. Educators or students need not write for permission if their presentations fall within the specific multimedia fair use guidelines; however, educators and students are advised to note that if there is a possibility that their own educational multimedia projects incorporating copyrighted works under fair use could later result in broader disseminations, whether or not as commercial product, it is strongly recommended that they take steps to obtain permission during the development process for all copyrighted portions rather than waiting until after completion of the project. Text You May Use Up to 10% of a copyrighted work or 1000 words, whichever is less. Poems o Entire poem If less than 250 words. o 250 words or less if longer poem. o No more than 5 poems (or excerpts) of different poets, from an anthology. o Only 3 poems (or excerpts) per poet. Motion Media You May Use Up to 10% of a copyrighted work or 3 minutes, whichever is less. Clip cannot be altered in any way. A photograph or illustration may be used in its entirety. No more than 5 images of an artist s or photographer s work. When using a collection, no more than 10% or no more than 15 images, whichever is less. Music You May Use Up to 10% of a copyrighted musical composition, but no more than 30 seconds. Up to 10% of a body of sound recording, but no more than 30 seconds. Any alterations cannot change the basic melody or the fundamental character of the work. 25
