3 Create a New Funding Proposal Login 1. Login to the Staff Intranet with your university UPI and password. 2. Navigate to Research» Research Funding Module and click Access. 3. If you are on campus click Research Funding Module otherwise click VPN. Create New Proposal Click My Proposals then click Create New Proposal. 4 Primary Application Details Click at the top right to maximise your browser window. Step 0 - If you are not the Principal Investigator (PI) click Refer to the diagram below 1. Click onto the first letter of Surname. 2. Click onto Search for a particular entry and type the first few letters of the PI s surname. 3. Click the dropdown list arrow to view and select the PI. 4. Click Select to continue. Note: Only a PI can submit the Application Step 1 Leave the default setting Create a New Profile and click Step 2 Leave the proposal type default setting Full and click Step 3 - Refer to the diagram below. Step 3 - Click onto the first letter of the Sponsor/Scheme. 1. Click onto Search for a particular entry and type the first few letters of Sponsor. 2. Click the dropdown list arrow to view and select the Sponsor. 3. Click Show Schemes. 4. Click the arrow at bottom right of the window to scroll down the page. 5. 5 Primary Application Details (continued) Step 4 - Proposal number automatically generated. (continued) Step 5 - Type in your Proposal Title in the box provided. Note: You will not be able to change the title after Step 7. Contact the Research Helpdesk (details at bottom of page) for assistance. Click Step 6 - Select the project start and end dates by clicking the calendar icon or type in the dates using the format dd/mm/yy then click Step 7 The budget period automatically defaults to the number of years your project spans. However, the University requires you to change it to number one. Click the dropdown list arrow and select the number then click If all the information is correct click. Make a note of your Proposal number displayed at the top right of the screen. Step 8 - Setup Questions Answer all the following questions:- Submission Mechanism/Form Information If you need to change the name of the Sponsor:- - Click the here link. - Click the Change link. - Click the first letter of the Sponsor s Scheme name then click the dropdown arrow to find the name. - Click Select. 6 Primary Application Details (continued) Deadline Information Enter your Faculty deadline date (dd/mm/yy). (continued) General Proposal Properties Associated Departments You will need to add an associated department if the default is not where the revenue is being co-ordinated. Click Add. Refer to the diagram below. 1. Click the first letter corresponding to the Associated Department name to select from list. 2. Type in the first few letters of department name. 3. Click Locate and choose relevant department 4. Click the button. OR Scroll down to pick from the tree view. Click the icon to expand then click the radio button next to the department name before clicking the button. Research Office Helpdesk Ph: ext Em: Page 6 of 17
7 Primary Application Details (continued) (continued) General Proposal Properties Associated Departments (continued) Click the radio button to identify the department collecting the revenue General Proposal Properties PI Departments Identify all the Departments you (PI) belong to. Click Add. Click the radio button to identify the prime department by clicking the radio button. Budget Setup Information Click the dropdown list arrow to select the funding type. University Questions Answer each of the questions then click Save. Research Office Helpdesk Ph: ext Em: Page 7 of 17
8 Principal Investigator Information 1. The PI s name is displayed here. Click the Completed box or contact Helpdesk if information is missing. You do not have to click any other boxes as these options will be addressed in the Application Attachments. If a yellow triangle appears next to your name, contact the Research Office Helpdesk (number at bottom of page). Application Budget Total 1. Type in the total proposed amount in the field indicated below as per your budget spreadsheet. Note: If you are submitting an EOI ensure the budget amount is Click the Completed box at the top right of the window. Research Office Helpdesk Ph: ext Em: researchoffice@auckland.ac.nz Page 8 of 17
9 Application Attachments upload Refer to diagram and instructions. 1. Click to search for files and select one at a time. 2. Type in the title name for the file. 3. Click the upload icon 4. Type in the sequence number of uploaded documents according to your faculty checklist. 5. Click Save. 6. Click the Completed box at the top right of the window. To make any changes you will need to untick the Completed box first. Click Change to change the title name of the file. Click to replace a file that has been uploaded. Click to view the file. Click to Save and Print the file. Click to remove the file from the list. When you have finished making changes, click Save then click Completed box at the top right of the window. 10 Finalise 1. Click then click the button to create the cover sheet. 2. Click the button. 3. Click the icon to check your final document is correctly ordered in accordance with funding guidelines. If at this point you need to change your uploaded documents click on Application Attachments in the left hand navigation panel, then click the Completed box to untick so you can begin making changes. 11 Submit Application 1. Click Submit Final Review icon. 2. Confirm certification by clicking Accepted. Enter your UPI and password then click Continue. Note: Only the PI will be allowed to submit. 3. Click Submit. 4. Click the Done icon at the top left of the window to return to the home screen. Research Office Helpdesk Ph: ext Em: Page 11 of 17
12 Edit a Proposal Find a Proposal - Show/List 1. Click My Proposals. 2. Click Show/List if you are the PI. OR 1. Click Search For. 2. Type in one of the search values in boxes provided (click Show Additional Search Options for more search fields) then click Locate. Tips: Hover over the icon to view the proposal status. Click then the arrow icon to switch the order of the list between ascending and descending. 3. Click the icon. 4. Click the PD edit icon. PD= Proposal in Development PT = Proposal Tracking Click on the relevant option in the navigation panel then click the Completed box to untick so you can begin editing. 13 Delete a Proposal 1. Click My Proposals. (continued) 2. Click Show/List (Note: you can only delete Proposals that have not been submitted otherwise contact Helpdesk). 3. Click the icon. 4. 14 My Messages 1. Click My Messages. 2. Click Inbox to display proposals that have arrived for reviewing or rework. 3. Click the icon to open the required message. Note: Close your browser window to exit My Action Items 1. Click My Action Items to see your open or completed actions. 2. Click Open or Completed to view the list of items. 3. 15 My Preferences 1. Click My Profile. 2. Click Settings. 3. Click the radio buttons to turn off or on Portal Preferences and Colour Schemes. 4. Click the check boxes to turn off unwanted Web Portal Tabs. Add/Remove a delegation authority 1. Click My Profile. 2. Click Edit. 3. Click Delegation. 16 Add/Remove a delegation authority (continued) 4. Click the radio buttons identify access type and signing authority then click Add. Refer to the diagram below 1. Click onto the first letter of Surname. 2. Click onto Search for a particular entry and type the first few letters of the PI s surname. 3. Click the dropdown list arrow to view and select the PI. 4. Click Select to continue. 5. Turn on editing and signing authority 6. Delete the delegated authority access by clicking the remove icon.
