3 Before You Start System Requirements The system requirements for using the portal are Windows 7 or Mac or Linux Microsoft Internet Explorer 9.0 or later, Firefox 2.0 or later, Safari 4.0 or later, Google Chrome About This Guide In this guide, the graphics and step-by-step instructions are based on accessing the portal via the Internet. Because of the evolving nature of Internet technology, there may be recent changes to the portal interface and functionality that are not reflected in this documentation. Those users functioning on IE 8 may see different icons than are presented in training, support and promotional materials. Information in this guide is current through July, What is Event Tracker? The Event Tracker is the functional center of the Animal Feed Network. It consists of two portals PETNet and LivestockNet. Event Tracker will receive information about pet foods and livestock feed and store that information in a searchable database. All members will be able to input data into, and extract data from each portal. All data in the system is searchable using the Query tool. Each member will receive an alert when a new record has been submitted, or an existing record has been updated. Signing on to the Network Complete these steps to sign on to the network: 1. Open a browser and go to your network. (i.e., 2. Click Login. 3. Type your username and password in the Member Login text boxes. 4. Select the portal you would like to access. 5. Click Login. The portal homepage is displayed. Note: You have 5 attempts to login to the network. After 5 failed logins your access will be blocked, and you will be required to talk to Support to reactivate your login privileges. Support can be reached at (877) Signing off the Network To sign off the network, click Logout from the My Profile dropdown in the upper-right corner of the page. Ge%ng Started on the Network 2
4 Navigating the Portals Each portal provides access to helpful tools on every page. Main Navigation Toolbar You can access helpful tools by clicking one of the following icons located at the top of every portal page. (Figure 1-1) Home Quickly return to the portal home page by clicking to the left of either LivestockNet or PETNet. You may also click over Animal Feed Network or any of the three logos on the top of the page. Portal Quickly switch between the LivestockNet and PETNet portals. Report Submit a new report Query Review records and download data by case species, case state, product details, or all records. Submissions View, download, or filter your record submissions or all record submissions. Remove Alert Suspend notifications alerting you to new or updated record submissions. Click Add Alert if you wish to start receiving alert notifications. Directory Search or browse the network membership directory. [Your Name] (a.k.a., My Profile) Switch between portals, manage your contact information, reset your network password, and logout when your work is done. Figure 1-1. Main Navigation Toolbar Reports Located one each portal homepage, the Reports section provides quick access to the Add Report and View Submissions tools. Instructions/Training Materials Located on each portal homepage, the Instructions/Training Materials section provides quick access to available tutorials and documentation. 6 Accessing Reports To access Reports, click Report from the main navigation toolbar at the of the page. Submitting a Report To submit a report, access the appropriate portal and complete the following steps: 1. Click Reports from the main navigation toolbar, or click Add Report from the portal homepage. Note: Instructions on how to fill out the data fields can be accessed by clicking Report Instructions on the portal homepage. Inline help is also available by clicking to the left of each field in the form. (Figure 2-1) 2. Complete Section A Product Details by doing the following: (Figure 2-1) Enter name of pet food or feed. Enter lot code. If not known, enter Unknown. Select whether the feed is a medicated feed, or if the information is unknown (LivestockNet only) Select the type of packaging of the affected product. (LivestockNet only) Select one product form. Select the intended purpose of the affected product. (LivestockNet only) Enter the manufacturer. If unknown, leave blank. Enter the distributor or packer. If unknown, leave blank. 3. If you will be adding another product detail, click Save Product Detail and Add Another and repeat Step 2. Otherwise, click Save Product Detail. (Figure 2-1) When you are finished adding product details, your entries will appear on the form with icons to edit or delete the entry. (Figure 2-4) Figure 2-1. Section A. Product Details Reports 5
7 Submitting a Report (Continued) Notes: Any information entered in this area will ONLY be saved by clicking Add Product Detail or Save Product Detail and Add Another. It will NOT be saved by clicking Submit Full Response at the bottom of the form. A Case ID will automatically be assigned after the report is submitted. The entrant s name and contact information will automatically be captured and link to the record. 4. Complete Section B Case Information by doing the following: (Figure 2-2) Select one (1) species. If you select Other, specify the species in the space provided. Use one form per animal species affected. If reporting a product problem/defect only, select None. Select the class of the animal affected. Select all that apply. If you select Other, specify the class in the space provided. (LivestockNet only) Enter the number or estimated number of animals exposed to product(s) listed in Section A. If no animals were exposed, enter 0. If the number of animals is not known, select Unknown. Enter the number or estimated number of animals affected by the product(s) listed in Section A. If no animals were affected, enter 0. If the number of animals is not known, select Unknown. Select animal life stage. Select all that apply. If not known, select Unknown. If reporting a product problem/defect only, select Not Applicable. (PETNet only) Select systems affected by product(s) listed in Section A. Select all that apply. If no illness occurred, select None. If you select Other, specify in the space provided. Select production loss. Select all that apply. If you select Other, specify in the space provided. If none, select None. (LivestockNet only) Select product problem or defect. Select all that apply. If not known, select Unknown. Enter date of onset or the date the product problem/defect was first identified in mm/dd/yyyy format, or select date by clicking within the field to open the calendar. Select whether the date listed is estimated or actual. Select the state(s) where incident was reported. If multiple states are involved choose either to report each state using the Control (CTRL) button to select multiple states, or select Multiple States from the dropdown menu. Select Outside U.S. if occurrence was outside U.S. borders. Select one (1) data origin. If you select Other, specify in the space provided. Are there any laboratory results available to share? Select either Yes, No, or Pending. 5. Click Submit Full Response. (Figure 2-2) Reports 6

9 Editing a Report To update a report you submitted, access the appropriate portal and complete the following steps: 1. Click My Submissions from the Submissions dropdown menu on the main navigation toolbar. 2. Click View to the left of the report for which you would like to edit. (Figure 2-3) Figure 2-3. My Submissions 3. Perform one or more of the following tasks: (Figure 2-4) To edit a product detail, click the Edit icon on the far right. To add another product detail entry, click Add Another Product Detail Entry. To remove a product detail entry, click the Remove icon on the far right. Note: You can only delete a product entry detail if there are multiple entries. Proceed to Section B. Case Information to enter updated information. 4. When you have finished updating your report, click Submit Full Response at the bottom of the page. Figure 2-4. Editing a Report Reports 8
10 Inactivating a Report To inactivate a report you submitted, access the appropriate portal and complete the following steps: 1. Click My Submissions from the Submissions dropdown menu on the main navigation toolbar. 2. Click View to the left of the report for which you would like to make inactive. (Figure 2-3) 3. Scroll down to the bottom of the record, and select Inactive to the right of Active Status. (Figure 2-5) 4. Click Submit Full Response. (Figure 2-5) Note: Once a report has been inactivated, it will be displayed in My Submissions and All Submissions with a status of Inactive. Figure 2-5. Inactivate/Activate a Report Reactivating a Report To reactivate a report you submitted, access the appropriate portal and complete the following steps: 1. Click My Submissions from the Submissions dropdown menu on the main navigation toolbar. 2. Click View to the left of the report for which you would like to reactivate. (Figure 2-3) 3. Scroll down to the bottom of the record, and click Active to the right of Active Status. (Figure 2-5) 4. Click Submit Full Response. (Figure 2-5) Note: Once a report has been reactivated, it will be displayed in My Submissions and All Submissions with a status of Active. Reports 9

12 Accessing the Submission Querying Tool The Submission Querying Tool is designed to allow members to review records and download data by case species, case state, product details, and all records. To access Submission Querying Tool, access the appropriate portal and click Query from the main navigation toolbar at the of the page. Querying All Records To query all records, complete the following steps: (Figure 3-1) 1. From the Submission Querying Tool, click View All Responses. 2. Select one or more of the following data filters: Note: To retrieve data on all records, do not apply any filters and proceed to Step 3. Pet Food or Feed Name (exact name is not required) Lot Code Medicated Feed (LivestockNet only) Active Ingredient Known (LivestockNet only) Record Active Ingredient (LivestockNet only) Concentration (LivestockNet only) Recorded Concentration (LivestockNet only) Packaging (LivestockNet only) Product Form Purpose (LivestockNet only) Manufacturer Distributer Species Affected Number of Animals Exposed Number of Animals Affected Animal Life Stage (PETNet only) System(s) Affected Production Loss (LivestockNet only) Product Problem/Defect Date of Onset or Date Problem Detected State Data Origin Lab Origins 3. 15 Editing All Records Query Located below the list of total records found in your query result is the Data Filters section displaying your current search criteria. (Figure 3-3) To edit the current query, make changes to one or more search criteria and click Get Data. To run a new query, click Clear Filters. Select one or more data filters, and click Get Data. 16 Querying Species Trends To query record submissions by case species, complete the following steps: (Figure 3-4) 1. From the Submission Querying Tool, click Filter by Species. 2. Select a date type. If you do not wish to filter records by this data, select Do Not Filter On This and proceed to Step 4. If you do not wish to apply any filters, proceed to Step Enter date in mm/dd/yyyy format, or select date by clicking within the field to open the calendar. 4. Select one or more species. 17 Total Records Found Species Trends Report submissions matching your query are listed at the top of the page. (Figure 3-5) To view a record from your result list, locate the record and click View on the left. To download the results list, click Download Records to Excel. Figure 3-5. 20 Editing Species Trends Query Located below the line charts is the Data Filters section displaying your current search criteria. (Figure 3-8) To edit the current query, make changes to the date and/or species designations and click Get Data. To run a new query, click Clear Filters. 21 Querying State Trends To query record submissions by case state, complete the following steps: (Figure 3-9) 1. From the Submission Querying Tool, click Filter by State. 2. Select a state(s). 24 Querying Product Details To query record submissions by any product details, complete the following steps: (Figure 3-12) 1. From the Submission Querying Tool, click Filter by Product Details. 2. Select one or more of the following data filters. If you do not wish to apply any filters, proceed to Step 3. 28 All Submissions The All Submissions tool is designed to allow members to view records that all members have submitted. Accessing To access all submissions, access the appropriate portal and select All Submissions from Submissions dropdown menu on the main navigation toolbar, or click View Submissions from the portal homepage. Viewing To view a record, click View on the far left. (Figure 4-1) Browsing There are several ways to browse records: (Figure 4-1): Display Select the number of records to display per page from the dropdown menu. Sort Click over a column heading to sort records by Entered By, Entered On, Food or Feed, Product Form, Manufacturer, Distributor, and State. Search Quickly locate records with keyword(s). By Page Use the buttons in the lower-right corner to navigate to different pages of the result list. Filtering To filter records, scroll down to the bottom of the page. Select one or more filters, and click Get Data. (Figure 4-1) If no filters are selected, all records will be displayed. Downloading To download the results list, click Download Records to Excel. 30 My Submissions The My Submissions tool is designed to allow members to view and edit their submissions. Accessing To access your submissions, access the appropriate portal and select My Submissions from the Submissions dropdown menu on the main navigation toolbar. 33 Alerts The Alerts tool is designed to allow members to receive an notification when a new or updated report has been submitted. By default, members will automatically receive alerts for both portals. Removing a PETNet Alert To remove an alert, access the PETNet portal and click Remove Alert from the main navigation toolbar. 35 Accessing the Membership Directory To access the Membership Directory, complete the following steps: 1. Click Directory from the Main Navigation Toolbar at the of the page. Application Toolbar The persistent application toolbar provides quick access to the contacts, organizations, emergency, and all-hazards directories. (Figure 6-1) Figure 6-1. Contact Directory Searching for a Contact To search your network s membership directory, complete the following steps: 1. Access the Directory. 2. Enter keyword(s) separated by commas (,). (Figure 6-1) Note: The search will return any contact where your search term(s) were found in the contact s first name, last name, , or workplace. 3. Click Find Contact(s). (Figure 6-1) Note: It does not matter which portal you are in as you will be searching the entire network. Membership Directory 34
36 Searching for a Contact (Continued) The search results page provides you with a list of contacts matching your search query. Each contact listing provides you with the name of the contact, work phone, address, and name of organization. (Figure 6-2) From the search results page, you can do the following (Figure 6-2): Select the number of results to display per page from the Display dropdown menu. Click over a column heading to sort by name, organization, or phone. Search the results by entering keyword(s) in the Search box. Use the buttons in the lower-right corner to navigate to different pages of your search results. To perform a new search, click Search Again. View a contact s details by clicking over his/her name. Add a contact to your Connections by clicking the Action dropdown menu. Send an to a contact by clicking the envelope icon. Access the Directory. 2. To your right under Browse Directories, click Contacts by Name. (Figure 6-1) 3. Select the first letter of the contact s last name to view listings. (Figure 6-3) The Contact Listing by Last Name page provides you with a list of contacts matching your selection. Each contact listing provides you with the name of the contact, work phone, address, and name of organization. (Figure 6-3) From the this page, you can do the following (Figure 6-3): Select the number of results to display per page from the Display dropdown menu. Click over a column heading to sort by name, organization, or phone. Search the results by entering keyword(s) in the Search box. Use the buttons in the lower-right corner to navigate to different pages of your search results. View a contact s details by clicking over his/her name. 39 Browsing the Organizations Directory There are two ways to browse the Organizations Directory: Organizations by Name Organizations by State To browse organizations by name, complete the following steps: 1. Access the Directory. 2. To your right under Browse Directories, click Organizations by Name. (Figure 6-1) Note: You may also click Organizations from the application toolbar. (Figure 6-1) 3. Select a letter to view all organizations starting with that letter. (Figure 6-5) The Organizations Listing by Name page provides you with a list of organizations matching your selection. Each listing provides you with the name of the organization, website, and a link to view contacts at that organization. (Figure 6-5) From the this page, you can do the following (Figure 6-5): Select the number of results to display per page from the Display dropdown menu. Click over a column heading to sort by organization or website. Search the results by entering keyword(s) in the Search box. Use the buttons in the lower-right corner to navigate to different pages of your results. View an organization s details by clicking over the name of the organization. 41 Browsing the Emergency Directory To browse the Emergency Directory, complete the following steps: 1. Access the Directory. 2. Click Emergency Directory from the application toolbar. (Figure 6-1) 3. Select the emergency contact type you would like to view. You may choose federal, state, or local. (Figure 6-7) 4. Select the agency you would like to view. (Figure 6-7) Figure 6-7.
