1 1 of 1 Introduction Visual materials are one of the most effective means of communicating a message. They can give a presentation a professional quality. Visuals help a speaker to be well prepared, organized, and knowledgeable about the topic. Key points and effective graphics can add clarity to a presentation. PowerPoint makes it easy to prepare visual materials with pre-designed templates. Create a master slide with elements that are repeated throughout the presentation. Produce and print notes for yourself and for the audience. Easily hide and move slides to customize a show for your audience. Getting Started When you first open PowerPoint, you are provided with a new blank presentation. Click on the Microsoft Office button: To open an existing presentation, choose Open, then browse for the presentation you are opening. To start a new presentation based on a template, click on New. The New Presentation window will appear and give a number of options. Installed Templates/Themes: This is the first place to begin for someone who has not used PowerPoint before. PowerPoint offers a choice of pre-designed, professional templates. Once you have opened a template, all you have to do is follow the instructions and enter your content. (You might choose to learn to modify these templates or to create your own.) New from existing: This option allows you to use one of your existing PowerPoint presentations as a template for a new presentation. Microsoft Office Online: This feature helps you build the content of a presentation using pre-designed content templates from the Microsoft database. Selecting a Template If you want to use a template from Microsoft Office Online, Choose one of the categories in the New Presentation window.

2 2 of 2 Choosing a New Slide When you are inserting a new slide, go to the Home tab and click on the button, New Slide. A number of slide layouts will appear containing basic slide elements in various combinations: text (headings, bulleted lists, etc.), images, charts, and tables. To choose a new slide, simply select the layout of your choice. Views PowerPoint gives you a choice of several views in which you can work (although not all options are available in all views). These can be selected from the View tab or from the bottom right-hand corner of your screen. Notes Pages lets you add speaker notes to the slides. The Notes Pages view is only available through the View tab in the ribbon. Slide Sorter view lets you organize the order of your slides, add transitions, and build effects. Normal view is the standard view to be used for adding content to the slides. There are two tabs available for Normal view: the Outline tab lets you see the text that appears on each slide, while the Slides tab lets you see thumbnail versions of each slide. Slide Show view lets you run the show. Note that the Slide Show option in the View menu will start your slide show from the beginning, whereas the Slide Show option in the bottom right-hand corner of your screen will start your slide show from the currently active slide. Adding Text Text can be added in the Normal view to either the large slide on the right half of your screen (A.K.A. slide area) or the area under the Outline tab on the left half of your screen (A.K.A. outline area). Any changes made in outline area are reflected in slide area and vice versa. slide area outline area

3 3 of 3 Adding Text in the Outline Area Select View Normal and choose the Outline tab. To do this: Press: Position the cursor in the first Promote paragraph Alt+Shift+Left Arrow slide icon and type a title for Demote paragraph Alt+Shift+Right Arrow the slide. Move selected paragraphs up Alt+Shift+Up Arrow Enter moves you to the next Move selected paragraphs down Alt+Shift+Down Arrow slide, while Shift + Enter Show heading level 1 Alt+Shift+1 moves you to the next row. Expand text under a heading Alt+Shift+Plus To add bullets and headings, Collapse text under a heading Alt+Shift+Minus press Ctrl + Enter and then Show all text and headings Alt+Shift+A add your text. Turn character formatting on/off / Adding Text in the Slide Area Select View Normal. Position the cursor anywhere on the title box on the slide area and click the left mouse button once. Type in your title. The title is typed in the font, style, and colour of the template (this can be changed if you wish). If you make a mistake while typing, correct the mistake as you would in a word processor. Repeat the same steps for your body text. When you have completed typing the title and body text, you must click outside the text box to let PowerPoint know that you have finished editing the text in that box. Enhancing Text You can change text size, font, style, colour, size, etc., by selecting the text and applying the chosen formatting from the Home tab. To change the text colour, font, etc. for all slides: Go to View Slide Master. Make the desired changes. Inserting a New Slide To insert a new slide: Click on the New Slide button located on the Home tab. You will then be presented with choices of different slide layouts. Choose a layout.

4 4 of 4 Altering Text Boxes and Other Slide Objects Although the template provides text boxes for titles, bullets, and other text, you can modify or delete them. Moving the Title box or Other Objects/Images Click on the object you wish to move. A hatched box will now appear around your object. Click on the hatched border with the mouse and drag the box to a new location. (Your cursor will change into a cross with four-way arrow). Resizing the Text box and other Objects/Images Click on the object by using the Select Objects tool. Eight small handles will appear around the object. Position the mouse pointer on one of the handles (Your cursor will change into a double-headed arrow). Then, press and hold the left mouse button. Drag the mouse in the direction you wish to resize. You will see a dotted line indicating the new size and location of the object. (Note: To keep the proportions of the image intact while resizing, click and drag from one of the corner handles.) Release the mouse button when you are satisfied with the size. Bullets Once you create a bulleted list, you can change the look of the bullets, such as the size or colour, by highlighting the paragraph in which the bullet appears and then clicking the bullets button on the Home tab. Modifying the Bullet Select the text. Go to the Home tab and click on the arrow beside the Bullets tab. A box will appear which allows you to modify the bullet shape, colour and size. Changing the Distance Between the Bullet and the Text In Normal view, select the text portion of your bulleted list. Drag here If the ruler is not displayed, click Ruler on the View tab. Drag the top half of the lower indent marker to a new position on the ruler. The top half of the marker shows the margin the bullet will appear while the bottom marker denotes the margin where the words begin. All the bulleted paragraphs in the text object change to the new position. Note: If you want to change the distance between bullets and text for your entire presentation, make the changes on the Slide Master, which is found under the View tab. Add Animation to the Bullets Select the bullets. From the Animations tab, select Custom Animation. Select the effect from Add Effect. Modify the effect by using the options available in the Start, Direction, and Speed dropdown menus. If you want this to apply to every slide, do the same steps, but start in Slide Master view. (Note: Any changes you make to a slide individually will override changes made in the Slide Master view.)

5 5 of 5 Slide Transitions and Effects Transitions refer to the way the slide is presented on the screen. Effects add bullets, text and objects on the screen one at a time. Adding Transitions In Slide Sorter view, select the slide or slides for which you want to add a transition. Go to the Animations tab. Choose one of the preset transitions in the Transition to This Slide section. You also have the ability to adjust the speed and sound for the transition, as well as decide whether the slide should advance to the following slide automatically or upon mouse click. Adding Images The Microsoft Clip Art Gallery PowerPoint offers a set of Clip Art images to give your presentations more impact. The pictures in Clip Art are pre-designed images that can be imported into your slide. Go to the Insert tab then click Clip Art. The Clip Art task pane will appear along the right-hand side of the screen. Type in a topic for the Clip Art for which you are looking into the Search for: textbox. Click Go. Click on the desired image. This will insert a copy of that image into your PowerPoint presentation. Other Images In Slide View, display the slide to which you want to add a picture. Go to Insert Picture. The Insert Picture dialog box will appear. Find the folder containing your image and click on the filename for the image you want. Click Insert. Note: You can also create arrows and other shapes of your own by using the tools in the Shapes button in the Insert tab.

6 6 of 6 Showing your Presentation To view your presentation, go to the Slideshow tab and choose either From Beginning or From Current Slide or simply click on the Slide Show button. Tips for moving through the slide show: To move to the next slide, simply click anywhere on the screen or press Enter, N, or the down arrow on the keypad. To move back one slide, click with the right mouse button and select Previous or press P or the up arrow on the keypad. To stop the slide show while viewing, press the Esc key (or click with the right mouse button and select End Show). Saving Your Work Click on the Microsoft Office Button and click Save As. Type in a name for your presentation in the Save As dialog box. Choose the appropriate directory (i.e. your H:\ drive) in which to save your presentation. Click OK. Printing Go to File Print. The Print dialog box will appear on your screen. Click to specify: What you want to print (slides, handouts, notes, outline) How many copies you want Whether you wish to print all slides, just one slide, or a range of slides If you wish to print in colour, or in black and white Click Print. (Note: To cancel printing, click the cancel button or press the Esc key.) Modifying the Presentation Deleting a Slide Go to the Slide Sorter view. Select the slide(s) you wish to delete. Press the Delete key on your keyboard. Moving a Slide Go to the Slide Sorter view. Click on the outer edge of a slide and drag the slide to a new position. (When you see a vertical black line, that is where the slide will be placed). Changing the Design of your Presentation Click on the Slide Design button located on the Standard toolbar (it does not matter which view) or choose Format Slide Design. To apply the new slide design to all slides, select the new design from the Slide Design task pane. To apply the new slide design to selected slides only, click on the downward triangle to the right of the desired slide design and choose Apply to Selected Slides. Changing the Layout of your Slide Click on the Slide Layout button located on the standard toolbar (it does not matter what view) or choose Format Slide Layout. Choose the new layout from the Slide Layout task pane.
