5 The ebook is a tabbed electronic book 6 It is divided into Chapters, each of which may contain one or more Sections 3 3

7 It is designed for both; sharing on the web, and for Print 8 The pages are sized for viewing in a browser without scrolling 4 4

9 The tabs here provide an intuitive means of navigation just like a physical book 10 The ebook pages are automatically maintained in the correct sequence for printing 5 5

11 The ebook pages can be populated with visual content which is easily connected to details via hyperlinking. 12 For the web view, Search, Contents list, and a What's New are automatically generated. 6 6

13 14 To start ekaizen, click the button on the Desktop 7 7

15 ekaizen is built on Visio which is the diagramming tool in the Microsoft Office suite 16 Therefore, much of the user interface is very similar to any other Microsoft Office product 8 8

17 The Menus and Toolbars here work in the same way as, for example, Excel or Powerpoint. 18 This center area represents the drawing page. 9 9

19 Tabs down here represent the pages in the current drawing file. 20 The panes on the left are called stencils and contain a collection "shapes" 10 10

21 Stencils can be activated by clicking on these header bars

23 The shapes in the stencils can be dragged out onto the drawing page 24 A Visio drawing is composed of a collection of shapes

25 Shapes can also be creating from scratch with tools such as this Rectangle tool. 26 Shapes can be re-sized using these control handles Shapes can moved by grabbing any part of the shape away from the control handles 13 13

27 Other shape properties such as Fill color and Line type can be modified. 28 Individual shapes can be selected by just clicking on them. Multiple shapes may be selected by dragging the cursor over them

29 Selected shapes can be deleted via right mouse menus or by clicking the Delete button on the keyboard 30 Let us align these three shapes horizontally

31 Select the shapes, then click Shapes > Align Then click this button and OK 32 These red squares indicate active glue points

33 Shapes can be glued to each other so they stay attached when the diagram is changed. 34 The Undo button can be used to reverse most operations The gluing stays connected when changes are made to the diagram 17 17

35 The ebook file is saved just like any other document. Just click the Save button. 36 Visio also has a presentation mode called the Full Screen view 18 18

37 This works in a similar way to the Powerpoint Viewer mode. Just click the ESC key on the keyboard to revert back to the authoring mode 38 ekaizen Help can be accessed with the red icon here 19 19

3 Start ekaizen with this icon on the Desktop 4 A blank ebook template will open in this view 21 21

5 An ebook consists of chapters. Each chapter may contain one or more sections. Tabs located at the bottom here represent the chapters This is a Section tab 6 ebook Chapters are managed from the "Define Chapters" page To activate the "Define Chapters" page, double-click this page corner 22 22

7 Now you can add new chapters to the ebook by dragging out Chapter tabs from this stencil 8 The chapter tabs will snap to the guideline here 23 23

9 Now edit the tab text 10 We'll add a couple more chapters 24 24

11 Add new chapter tabs here, taking care to align them at the bottom of the ebook, and give them unique names 12 Click the Process ebook button to generate pages associated with the new tabs 25 25

13 Notice new pages got added to the ebook You can now open any chapter by double-clicking just below its chapter tab 14 Double-clicking under the Chapter 2 tab has made Chapter 2 active The title also shows which page is active

15 Drag out new Section tabs from the stencil and snap them to the bottom of the ebook here Make sure the section tabs are aligned along this line and given unique names 16 It is a good ideas to always make the section tabs one text line high while the chapter tabs are two lines 27 27

17 Section tab changes also need to be processed 18 Section tabs also have a double-click zone for navigation 28 28

19 The page titles are automatically created on new pages. You can change the default title at any time. 20 To save your ebook file, just click the Save icon 29 29

21 Be sure to save in a new empty folder. Saving multiple ebooks in one folder is not allowed 30 30

3 4 Navigate to the folder your ebook file is stored in and double-click the ebook file to open

5 Here is the previously created ebook. 6 What changes are possible in the ebook framework? You can move a section from one chapter to another You can change the formatting of the page titles You can rename and move existing chapter and section tabs. You can add new chapter and section tabs. You can change the color and fonts of tabs 33 33

9 To rename, just doubleclick on the tab and type the new text 10 Re-position tabs, then click the Process ebook icon 35 35

11 The tab changes now exist on all pages 12 To delete chapters, go the Define Chapters page, select tabs for the chapters to delete, then click the Delete icon 36 36

13 The chapters tabs and the chapters are gone 14 Sections are deleted in the same way. Remember, sections are managed from the first page of the chapter they exist in 37 37

15 It is possible to recover deleted chapters and sections with the undo function 16 3 Then click the Move button 1 2 To move a section from one chapter to another, first go to the first page of the chapter the section is in Then select the section tab to move, and with the shift key held down on the keyboard, select the target chapter tab 38 38

17 ebook Formatting changes are controlled from the Format ebook page 18 A list of the possible changes is available on the Format ebook page 39 39

19 3 Then click the Process ebook button to propagate the change through the whole book 2 Change to the required fill color 1 The color of the ebook is automatically set by the Active Chapter tab 20 All changes are now propagated through the whole ebook 40 40

5 6 We will use these three shapes to see how

7 2 Then click the Hyperlinks button. If this button does not exist in your toolbar, you can click Insert > Hyperlinks 1 Select shape and click the hyperlink icon. 8 This dialog will open Click this Browse button to link to another page within the current book 44 44

9 Select page to link to here and click OK. 10 Text entered in the Description field, will appear as a tool-tip

11 Now let us hyperlink to a document. Just select this shape, then click the Hyperlinks button in the toolbar 12 Click this Browse button this time, and then select Local File 46 46

13 2 Then select the file to link to 1 You will need to open the file filter here to All Files. 14 And now, a hyperlink to a website. Just select this box and click the Hyperlinks button 47 47

15 You can type or paste the URL here 16 We have created all three types of links. When any of these shapes are clicked in the web view, the target will open in the current browser window

17 Let's set this link to open in a new window. 18 Select the shape, and then click the New Window button here 49 49

19 1 First click the new window switch on 2 Then select your browser window features. 3 Set the new window size and position 20 If you have a lot of hyperlinks in your ebook, you can use the hyperlink report to check and maintain these 50 50

21 To view the report, click the Hyperlinks Report icon. 22 The report lists the hyperlinks and performs some basic checks on these

23 At the bottom of the report is a Key providing descriptions of the report columns

25 Any shape in Visio can have text. The text can be edited by selecting the shape and typing. Text controls are available on the toolbar and via the Format pull-down menus If the shape is moved, the text stays with it. 26 The text on a shape can be moved relative to the shape with the Text Block Tool 53 53

27 You can also rotate the text or change the size of the invisible box around the text

29 You can copy/paste most things you see on your screen 30 Right mouse click on the graphic and use the Copy command 55 55

31 Then just paste (Edit > Paste) on to your ebook page 32 You can use the Visio Crop tool to crop imported graphics 56 56

33 Here we cropped the graphic, re-sized it, and moved it 34 To import text, just select and copy it

35 Paste and position it on the ebook page

37 Just select the cells and Copy 38 Select the Paste Special command in Visio 59 59

39 This is a good paste option 40 Here is a picture of the table in the ebook 60 60

41 42 The Page Layout page is used as the background for the ebook. Any visible change you make to this page will appear on every page in the ebook 61 61

43 Here we have moved some of the buttons and added our logo 44 And here you can see the changes come through to the ebook pages 62 62

5 6 To create the web files, just click the Publish to Web icon here 65 65

7 The published ebook will automatically open in a web browser 8 Maximize the browser window to see the whole ebook 66 66

9 In the browser view, you can click any tab to get to the page associated with it 10 The Table of Contents is generated automatically and can be accessed by clicking the TOC button

11 On the TOC list, just click the page you wish to open. 12 A Search index is also automatically generated 68 68

13 14 Here is a folder containing a published ebook 69 69

15 The Publish to Web function generates all these web files The ebook source is contained in this single Visio file To view the ebook in a web browser, just double-click the index.htm file 16 To make the published ebook available on the web, you need to copy all of these files to a web server

17 Then you need to give your audience the location (URL) to the index.htm file

19 20 Here is an ebook in a web browser. Remember, The audience only need a browser to view ebooks 72 72

21 One way to facilitate feedback is with the button. When the viewer clicks this, a blank will pop-up 22 The address field is prepopulated with the author's E- mail address 73 73

23 24 Here is a blank PowerPoint page. And this is a browser window showing the ebook 74 74

25 The viewer can just click on the ebook page and drag it out to the PowerPoint window 26 Standard PowerPoint functions can then be used to annotate the feedback and then the PowerPoint file can be ed back to the author 75 75
