9 Introduction to Administering CenterStage Chapter 1 EMC Documentum CenterStage lets users create, edit, and collaborate on content in Documentum repositories in your organization s Documentum Enterprise Content Management System. Users run CenterStage in web browsers, giving them access to repositories and content management functions. The CenterStage client provides basic content services plus administrative access, advanced search, data tables, wikis, blogs, and RSS feeds. Chapter 2, Understanding CenterStage provides more information about CenterStage and other EMC products that extend CenterStage functionality. After your organization has installed CenterStage on the EMC Documentum platform, administrators must create users, set system-wide platform options, set system-wide CenterStage options, and create the first CenterStage spaces so that users can begin working with content through CenterStage. This chapter lists the tasks you must perform to set up CenterStage so that users can begin working with content. For a detailed introduction to CenterStage, see Chapter 3, CenterStage Technical Overview. Administrative tasks After your organization has installed CenterStage on the EMC Documentum platform, administer CenterStage by performing the tasks listed in Table 1, page 9. Table 1. 11 Chapter 2 Understanding CenterStage EMC CenterStage helps organizations enable communication among global communities across the extended enterprise and extract greater insight from information and relationships. CenterStage accomplishes these goals while addressing governance, risk, and compliance requirements. Overview of CenterStage functionality CenterStage offers a full range of content services, advanced search capability, web 2.0 collaboration features (such as wikis, blogs, and RSS feeds), and community workspaces so that global communities can interact dynamically across the extended enterprise and benefit from the full value of their information. CenterStage addresses the following needs of the knowledge worker: Reading and viewing content in a convenient and accessible way. Collaborating on document-centric information. Searching for documents contextually and efficiently. Managing content using standard methods (check out, check in, and version tracking). Facilitating a secure, social, and open sharing of ideas, to extend beyond document-based collaboration. Capturing critical knowledge and expertise within the extended enterprise. Offering cross-project visibility, new ways to organize information, and dynamic and aggregated views of your organizational knowledge. Interacting with a wide range of information sources. Understanding and extracting relationships between information, its authors, and their domain expertise, providing further context for the classification of information. BOCS helps your organization place content caches close to end users in branch offices or other remote locations, where there might be limited infrastructure and no on-site administrators. These products, which are part of the Content Transformation Services suite, provide rendition capabilities required to enable multi-page viewing in content viewers embedded in CenterStage. 14 Understanding CenterStage EMC platform products Retention Policy Services (RPS) Trusted Content Services (TCS) Use case Your organization needs to remain compliant with regulatory demands and needs to manage the growth of digital information. Retention Policy Services provides a policy infrastructure that automates the retention and disposition of information in compliance with regulations and information lifecycle management best practices. Your organization requires advanced security control for sensitive environments. Trusted Content Services provides additional information security guaranties, including information encryption as data is stored. 15 CenterStage Technical Overview Chapter 3 This chapter describes the components used to create the CenterStage interface. An overview of the CenterStage hierarchy is presented in Understanding the CenterStage containment hierarchy, page 15, and then the following subjects are discussed in detail: Understanding spaces, page 16 Understanding sections, page 17 Understanding pages, page 21 Understanding data tables, page 23 In addition, the following technical topics relating to CenterStage administration are described: Understanding templates, page 25 Understanding users and permissions, page 27 Working with CenterStage client-side plug-ins and components, page 29 Understanding the CenterStage containment hierarchy CenterStage allows users to access documents in the Documentum repository in a familiar and collaborative way consistent with popular web 2.0 applications. While CenterStage provides access to the repository, the repository itself is never visible to the user. In the abstract, a Documentum repository contains one or more spaces, which provide a way of grouping information by a particular field of interest. Within spaces, there are: sections, which group information by type (wiki pages, blog entries, discussions); folders, which contain attachments (files) and additional folders; and data tables, which contain field widgets and attachments. Sections consist of one or more pages, which are used to organize and display content. Pages contain widgets, which are lightweight applications used to edit and view discrete types of content, and attachments, which are content files in their native formats. This hierarchy is depicted graphically in Figure 1, page 16. EMC Documentum CenterStage 1.1 Administration Guide 15

Understanding spaces A space is a CenterStage location created for a specific goal. Members achieve the goal through creating and sharing content and information. Each space has a set of policies that define such parameters as security, versioning, and notification. A space can also be subject to retention policies managed through the Retention Policy Administration client. A space s membership is either open to all the repository s users or restricted to specific users by invitation only. Each space member is assigned a user role that defines the user s access to content and actions. Users with the appropriate permissions can create new spaces within a repository and can save existing spaces as new space templates. Once users are logged in, they can navigate to spaces. Spaces open as tabbed panels in CenterStage and can be either public or private, as described in Table 4, page 17. Note: Super users can always access private spaces, even if they are not members of a space. 16 EMC Documentum CenterStage 1.1 Administration Guide

Public and private spaces Type of space Public Private Description Public spaces are open to all CenterStage users and open the flow of information, avoiding the segregation of information into silos. Private spaces restrict access to information that has security requirements. Whereas a public space can be seen by all CenterStage users, both from within and from without the organization, a private space is restricted by invitation-only to specific users. Understanding sections A section is a collection of pages within a space, with a specific page designated as the section s home page. When displayed in the navigation area, a section appears in a tree hierarchy. Sections are top-level objects; they cannot be stored in folders or be children of other sections. 18 CenterStage Technical Overview Wikis, blogs, and discussions are all examples of CenterStage sections, as illustrated in Figure 2, page 18. Figure 2. Sections in CenterStage Wikis A wiki is a document users can edit directly in the web browser. A wiki consists of content embedded directly on the web page. A wiki differs from a traditional document in that the latter is an uploaded file that members must first download before viewing or editing. Wikis streamline editing and improve collaboration. With wikis, users can create and edit content directly in the CenterStage interface and do not need a common application to work together on content. 18 EMC Documentum CenterStage 1.1 Administration Guide

19 CenterStage Technical Overview Anatomy of a wiki page A number of widgets are available when designing a wiki page: Contents: Displays the contents of a folder, a space, or a cabinet within the site (repository). Recent Activity: Shows up to 100 items that have been added, changed, or commented on in the wiki. Recent Posts: Displays blog posts recently added to blogs in the space. Recent Topics: Displays discussion topics recently added to discussions in the space. Recent Files: Displays files recently added to the space. Recent Pages: Displays pages recently added to the wiki. Recent Spaces: Shows up to 100 spaces that have been added recently. Rich Text: Displays formatted text; may include images and small tables. Tagged Content: Allows you to find items identified by specific tags. Feed: Displays the titles, timestamps, and authors of articles in a web feed. Popular Tags: Displays a tag cloud for the wiki. Document Viewer: Shows the content of an existing file that you select. Image Viewer: Shows an existing image or a gallery of all images in a folder. Figure 3, page 19 illustrates a wiki page comprising Rich Text widgets and a Document Viewer widget. Figure 3. Wiki page widgets Wikis are the model on which all sections are based. Blogs and discussions share the features of a wiki but extend that functionality with additional capabilities. EMC Documentum CenterStage 1.1 Administration Guide 19

20 CenterStage Technical Overview Blogs A blog is a section with specialized pages for rolling up content from a series of pages in reverse chronological order. Anatomy of a blog A blog is a section that contains several specialized page types to support journal-style entries made by a user or group of users: the blog home page, the blog post page, and the blog archive page. The blog home page contains the following widgets: Blog roll-up Shows all posts made to the blog. All posts are displayed in reverse chronological order. Each post falls under a date heading. Rich Text For editing and displaying the description of the blog Popular Tags Displays tags in use in the blog, indicating popular tags by increasing the font size for that entry Blog Archive Displays a list of blog archive pages in reverse chronological order by month. This widget is available only on the blog home page, blog post pages, and the blog archive page. Figure 4, page 20 illustrates a typical blog. Figure 4. Blog home page widgets When a user clicks an entry in the Blog Archive list, the blog archive page displays all of the posts for the selected month in reverse chronological order. The blog archive page contains the same widgets in the same configuration as the blog home page. 20 EMC Documentum CenterStage 1.1 Administration Guide

21 CenterStage Technical Overview When a user creates a new blog post or edits an existing post, the blog post page displays the content of the entry. The blog post page contains the following widgets: Plain Text Used for the post title. Rich Text For creating or editing the post content. In addition to the text widgets, the blog post page contains the following: Tag area for adding tags to the post. Version information for current version of the post. Figure 5. Blog post page widgets Understanding pages Pages are containers for content in CenterStage. All CenterStage items have pages, including spaces, files, folders, blogs, posts, wikis, discussions, topics, data tables, and data table entries. Using page widgets, you can show content such as rich text, data tables, lists, images, and so on. You can also add attachments to pages from both internal and external sources. Figure 6, page 22 shows a file page for a PDF document. You can view the document inline from this page, or you can perform a number of actions such as downloading, editing, subscribing to, or watching the file. File page in CenterStage Understanding page widgets Widgets are small applications that each have a very specific purpose such as displaying a graphic, editing text, or displaying a list of pages. By dragging widgets onto CenterStage pages, users are able to configure their workspace in ways that are most convenient for the discrete activities they perform on a day-to-day basis. CenterStage includes a multitude of page widgets. Essentially, these widgets come in three types: editor, layout, and viewer. Editor widgets allow the user to change the content of the widget, layout widgets are containers for other widgets, and viewer widgets display content. Table 5. Widgets added to the group box can be hidden or displayed by collapsing or expanding the group box. Displays a list of spaces most recently visited by the user. Displays a list of all recent changes in a space, section, or other location. Displays a list of all recently added or modified blog posts. Displays a list of all recently added or modified pages in a wiki. Displays a list of all recently added or modified files in a space, section, or other location. Displays a list of all recently added or modified discussion topics in a space, section, or other location. Displays a list of entries for an RSS feed. Users can subscribe to RSS feeds internal to CenterStage as well as subscribe to external RSS feeds. Users can add these feeds to any of their pages in CenterStage. Note: If a proxy server is used in your environment, CenterStage must be configured to use the proxy for feed requests. See Configuring an Internet proxy for the Feed widget, page 50 for details. Displays a single image, a series of images in a folder, or an image attached to a space. If the user selects a folder as the source, each of the images in the folder can be displayed one at a time using the navigation controls at the bottom of the widget. Displays a document from within the repository. Displays a list of items in the current space that share a specific tag. Displays a tag cloud, which is a list of the most popularly used tags with each tag s level of popularity indicated by the tag s font size. Tagged data tables and entries are included when determining the popularity of a tag. Understanding data tables Data tables are small databases that allow you to present structured information in table form. For example, you could use a data table to list project team members and their contact information. You can search, print, import, and export data tables. Data table entries can be sorted and autonumbered. EMC Documentum CenterStage 1.1 Administration Guide 23

24 CenterStage Technical Overview As a result, data tables provide many additional functions not available in the Rich text widget s table option. A user must have at least Create rights to create a data table in one of the following locations: Root content level of a space Folder As an attachment to another data table As an attachment to a data table entry Figure 7. Data tables in CenterStage Understanding data table fields Widgets are small applications that provide you with field formatting and layout options for entry fields in data tables. These two types of widgets are classified as: Field widgets, page 24 Layout widgets, page 25 You design a data table by adding, removing, and configuring fields on the master page. By default, all fields are visible on the entry page, but you can configure which fields are displayed by editing the Entry List Field Options. Consult the CenterStage online help for data table procedures. Note: A data table can have a maximum of 100 fields. Field widgets Field widgets provide formatting options for entry fields in the data table. These widgets are described in Table 6, page EMC Documentum CenterStage 1.1 Administration Guide

Provides a graphic status indicator, such as traffic lights, thumbs up/down, or flags. Provides a field for recording due dates and other occurrences. Exposes a date picker to users. Allows attachments to be added to the entry. Applies a lifecycle to entries in the data table. Provides a change log for entries. Layout widgets These widgets are available for controlling the layout of data tables but they are not exposed through data entry fields: Group Box: The group box is a container widget. Widgets added to the group box can be hidden or displayed by collapsing or expanding the group box. Column Box: The column box is a container widget that displays widgets in two, three, or four columns. Understanding templates To expedite the creation of spaces, wikis, pages, and data tables, CenterStage provides a starter set of templates and supports custom, user-defined templates. Table 7, page 26 describes the four template EMC Documentum CenterStage 1.1 Administration Guide 25

26 CenterStage Technical Overview types and lists the starter templates provided. A description of the widgets included in each starter template is provided when you browse for a template in CenterStage. Privileges for creating and managing templates are as follows: Space templates: Member must be assigned to the dmc_kw_manage_space_templates role in Documentum Administrator. Assigning members who create space templates to the dmc_kw_manage_space_templates role, page 34 provides the procedure. Wiki, page, and data table templates: Create a custom role in CenterStage and explicitly give members permission to create and manage templates. See the Add custom roles topic in CenterStage online Help for instructions. To create a custom template for an item, select Save as <item> Template from the item s Actions menu. Table 7. Template types Template type Description Starter templates provided Space template Wiki template Page template Space templates are collections of pages, widgets, layouts, data tables, business logic, and content tailored to address the needs and requirements of a specific business process or task set. Wiki templates provide pages and content for new sections. A wiki template is tailored to a particular purpose, such as project management, project specification, documentation, and so on. Page templates provide layout, widgets, content, attachments, tags, and properties for new pages. Templates can include a value for the layout type property, determining whether users can change the layout of a new page. Blank Collaboration Blank Rich Text Only Homepage Blank Rich Text Only Data table template When a page cannot be changed, users cannot add, remove, reposition, or resize widgets, nor can they change the number of columns. Data table templates maintain the layout of tables such as contact lists, task lists, and project plans. When you save a data table as a template, entries and comments are not copied to the template. 27 CenterStage Technical Overview Understanding users and permissions A CenterStage user is a person with a unique login account to at least one CenterStage repository. System administrators create user accounts. Administrators can create CenterStage accounts both for intranet users as well as users outside the firewall. The CenterStage user has automatic membership in all the repository s public spaces and might have membership in one or more of the repository s private spaces. Within each space, the user has an assigned role that determines the user s permissions for performing actions and accessing information. Permissions are granted on a per object basis. Each object in a space, including each location, is assigned an access control list (ACL) that defines the actions users of each role can perform on the object. CenterStage assigns an object an ACL at creation. By default, CenterStage assigns the ACL of the space to a new object created in that space. A user with adequate permissions can change an object s ACL. There are four permission levels in CenterStage, each of which is based on a combination of Documentum basic and extended permissions. Permission levels are cumulative: each level allows the rights granted to the levels below it. The four permission levels are described in Table 8, page 27. Table 8. Edit plus delete the item. CenterStage provides standard roles that grant these permissions to members with that role. The roles and their permissions are listed in Table 9, page 28. Table 9. Edit Secure Sockets Layer (SSL) By default, SSL is not enabled in CenterStage. Over HTTP, passwords and other user data are sent in clear text when SSL is not enabled. EMC recommends that customers enable SSL to provide secure transmission of sensitive data such as authentication credentials. 29 CenterStage Technical Overview Working with CenterStage client-side plug-ins and components The plug-ins and components listed in Table 10, page 29 work together to provide enhanced features for CenterStage, allowing users to copy and paste to the desktop via the desktop clipboard. They also allows users to seamlessly edit files and then import them back to the repository. Note: See Configuring CenterStage plug-ins and content transfer behavior, page 47 for details about configuring the browser plug-ins and content transfer behavior. Table 10. Browser plug-ins and client components Category Name Description Browser plug-in CTA applet DmDataTransfer. dll The CTA applet downloads/installs/upgrades other components (UCF Client, CTA Java application, FileWatcher.exe, DmDataTransfer.dll). It provides a file chooser dialog that allows users to select multiple files at once, and it launches and manages communication with the CTA application. This is an Active X control that loads in Internet Explorer (IE) or Firefox. For both browsers, this control allows the native Windows file picker dialog to be used when selecting one or more files to be imported using the plug-ins. Additionally, with IE, this control provides integration with the desktop clipboard. More specifically, it allows the CenterStage user to: 1. Copy items in CenterStage to the desktop clipboard. If the user then pastes such an item into an application such as MS Word, the result is a link (that is, a fully qualified URL) to the CenterStage item. If the user pastes one or more file items onto the desktop or into a folder using Windows Explorer, the files are first downloaded using CTA, and then moved into the target location. This happens in the background, allowing the CenterStage user to continue to use the browser while the files are being downloaded. 2. Copy file items from the desktop clipboard into CenterStage. If the user pastes file items on the desktop clipboard to a CenterStage content folder, the "Import Files" dialog appears and is automatically populated with the files from the clipboard. Once all required information for each file has been specified in the Import Files dialog, the files are then uploaded into the target content folder in CenterStage. This is the same UCF client used by Documentum Administrator and other EMC applications. This is an applet that orchestrates a single content transfer operation using DFS and the UCF Client. FileWatcher is a Win32 application launched by UCF Client via CTA to monitor a file being edited on the Windows desktop. 31 Chapter 4 Set Documentum Platform Options You set the Documentum platform options using Documentum Administrator (DA), which is installed with CenterStage. DA provides a web-based interface to administer the Documentum Content Server platform, Documentum repositories, and Documentum platform clients, such as CenterStage. To perform the procedures in this chapter, you must have the URL and a username to sign in to your organization s DA installation. To set Documentum platform options, do the following: Creating a user in the repository, page 31 Enabling notification for subscribed content, page 32 Assigning members who create users to the dce_user_manager role, page 33 Assigning members who create spaces to the dce_room_creator role, page 33 Assigning members who create space templates to the dmc_kw_manage_space_templates role, page 34 Depending on your installation, administering CenterStage can involve additional tasks not described in this guide. To set other platform options, see the Documentum Administrator 6.6 User Guide. Creating a user in the repository To use CenterStage, a person must have a user account in at least one EMC Documentum repository. This section describes how to create a user account in a repository. Before you create a user, determine the type of authentication used by the Documentum Content Server. The Content Server can use any of the following: LDAP authentication, Windows domain authentication, or an inline password managed by the server. For more detailed information on how to create a user, see the User Management chapter in the Documentum Administrator 6.6 User Guide. To create a user: 1. In Documentum Administrator, connect to the repository in which to create the user and navigate to Administration > User Management > Users. 2. Select File > New > User. 32 Set Documentum Platform Options 3. Enter the following minimum information required to create a CenterStage user: Name: Type the name that appears to other users. User Login Name: Type the name for signing into a repository. User Source: Select one of the following options: None: The user is authenticated in a Windows domain. LDAP: User is authenticated by an LDAP server. Inline Password: User is authenticated by a password stored in the repository. UNIX only: User is authenticated by UNIX. Domain only: In a repository with Windows domain authentication enabled, user is authenticated against a Windows domain. UNIX first: In a repository with Windows domain authentication enabled, user is authenticated first by UNIX and then against a domain. Domain first: In a repository with Windows domain authentication enabled, user is authenticated first against a domain and then by UNIX. Note: For instructions on entering additional user information, see the Documentum Administrator 6.6 User Guide. 4. To allow the user to receive notifications when subscribed content changes, enter the Address. Note: For users to receive notifications, you must also specify the SMTP server on the Documentum platform, as described in Enabling notification for subscribed content, page Click OK. Enabling notification for subscribed content For users to receive notifications when subscribed content changes, do the following: Specify the SMTP server that provides mail services to the Content Server, as described in this topic. For each user, set the Address option in the user s profile, as described in Creating a user in the repository, page 31. To specify the SMTP server that sends notifications to CenterStage users: 1. In Documentum Administrator, navigate to Administration > Basic Configuration > Content Servers. 2. Select the Content Server and select View > Properties > Info. 3. In the SMTP Server field in the Info tab, type the name or IP address of the SMTP server that provides mail services to the Content Server. 4. Inline user accounts are authenticated by the Content Server instead of a Windows or UNIX domain or an LDAP directory. For instructions on creating inline users in CenterStage, see the topic Create new users to add to a space in the Membership chapter of CenterStage online Help. To assign members to the dce_user_manager role: 1. In Documentum Administrator, open the User Management node. 2. Select the Roles node. 3. Navigate to and double-click the dce_user_manager role. If the role does not appear on the first page of the list, navigate to the next page. 4. Select File > Add Member(s). 5. Add users to the role by selecting the users in the left pane and using the arrow button to move the users to the right pane. 6. Click OK. 35 Chapter 5 Set Federated Search Services Options Federated search is available if your organization has enabled the connection with the Federated Search Services (FS2) server. Federated search allows users to search external and internal sources at the same time and display all results consistently. This section briefly describes the main steps to add and configure external sources. For more information on FS2, see the Documentum Federated Search Services 6.6 Administration Guide, available within the CenterStage product on the Powerlink website. You manage external sources using the Admin Center FS2 administration tool. Each external source in CenterStage is an information source in Admin Center. An information source relies on an adapter bundle (available as a *.jar file) and a specific configuration. Some information sources can be available with a default configuration because they correspond to public information sources. For example, the information sources Google, Wikipedia, OpenDirectory, and YahooDirectory are already configured and available in CenterStage. Other information sources require configuration before being available to users. The following adapter bundles are available out-of-the-box with FS2: EMC Documentum ECM (Enterprise Content Management) EMC Documentum eroom EMC Documentum ApplicationXtender EMC Documentum Xtender EMC SourceOne JDBC/ODBC Google Desktop Enterprise Windows Search OpenSearch FS2 Indexing for shared drives The configuration of each adapter is described in the Documentum Federated Search Services 6.6 Adapter Installation Guide. FS2 Admin Center can be accessed using a URL such as: where <FS2_server_host> is the name or the IP address of FS2 server, and <Admin_Center_port_number> is set to 3003 by default. 37 Set Content Intelligence Services Options Chapter 6 Documentum Content Intelligence Services (CIS) extracts information for CenterStage users to select when they filter content lists to narrow the numbers of items displayed. CenterStage provides three filters, as described in Table 11, page 37. The CIS server analyzes CenterStage content and metadata every 30 minutes to extract new or updated information. CIS refers to extracted values as entities. Table 11. 39 Chapter 7 Set Retention Policy Services Options Documentum Retention Policy Services (RPS) automates retention and disposition of content in accordance with configured policies. RPS is a WDK-based application, like Documentum Administrator (DA), that runs in an application server. If you have deployed RPS in your CenterStage environment, consult this chapter for RPS-specific configuration information. Enabling all users to apply retention policies To ensure that all users have the necessary rights to apply retention policies to CenterStage objects, run the method SetupCenterStageForRPS in DA. The method, which can be called by a job on a nightly basis, adds the dcs_privileged_users role to the dm_retention_manager role, and adds all space members and groups to the RPS contributor roles. Note that using CenterStage with RPS requires a privileged DFC, which requires the DFC to be registered in the global repository. Refer to the Documentum Retention Policy Services 6.6 Administrator User Guide for details about RPS. Refer to the Documentum Administrator 6.6 User Guide for information about privileged DFC. 41 Chapter 8 Configure Content Transformation Services CenterStage provides inline viewers that display the first page of a document with a thumbnail. Documentum Thumbnail Generator (TG) creates single-page thumbnails for images, PDF files, and Office documents that are displayed in the inline viewers. Optionally, you can use Documentum Media Transformation Services (MTS) or Documentum Advanced Document Transformation Services (ADTS) instead of Thumbnail Generator to provide full-screen, multi-page document and image viewing capabilities in addition to thumbnails. Note: If you decide to use ADTS or MTS with CenterStage, you must first uninstall Thumbnail Generator. Do not attempt to run Thumbnail Generator on the same host as any other Content Transformation Services product. You set system-wide options through Documentum Administrator (DA), which is installed with CenterStage. DA runs in a web browser. To access DA, you must have the URL of your organization s DA installation and a username and password. Many of the procedures in this chapter involve the app.xml file. To save time, you can check out this file from DA and make all required changes before checking in the file. Additional settings in app.xml relating to branding are described in the CenterStage Best Practices Guide.
