4 Savance Enterprise Web Layout 1.1 Home Page Link Bar Directly under the Header is the Link Bar. Each of the links is divided by a series of blue dots. Company Site Clicking the "Company Site" link will take you to the Home page of the company's main website. Store Home Clicking the "Store Home" link will take you to the Home page of the webstore. Favorites Clicking the "Favorites" link will take you to the Favorite Items page where you can quickly view your Favorite Items and add them to a Quote. See the Favorite Items section for more information Savance 4

5 Quotes Clicking the "Quotes" link will take you to the My Quotes page where you can see all of your Quotes. See the My Quotes section for more information. Order Status Clicking the "Order Status" link will take you to the My Order Status page where you can see all of your Orders. See the My Order Status section for more information. Notifications Clicking the "Notifications" link will take you to the Notifications page where you can view, reply, and delete your Notifications. See the Notifications section for more information. Account Clicking the "Account" link will take you to the Account Overview page. My Info Clicking the "My Info" link will take you to the My Info page where you can update your Contact Details, upload your picture for the Contact Details page, and change your Password. Favorites Clicking the "Favorites" link will take you to the Favorite Items page where you can quickly view your Favorite Items and add them to a Quote. See the Favorite Items section for more information. Admin Clicking the "Admin" link (only available to administrators) will take you to the Admin page where you can open the manage the webstore Product Categories Menu Directly under the Link Bar is the Product Categories Menu. Hovering your mouse over a Product Category will drop down a submenu. You can click on the Product Category or a submenu to bring up the Product Category page for that group. See the Search for Items section for more information Quick Item / Quote Search On the top-right side of the screen is the Quick Item / Quick Search area. You can quickly do an Item Search by typing in the Part Number or Description. See the Search for Items section or the Search Quotes / Orders section for more information. 5

6 1.1.4 Quick Links On the Home page under the Product Categories Menu is the Quick Links area (if it is shown based on your security settings). Create a New Quote Clicking the "Create a New Quote" link will start a new Quote and take you to the Quote Details page. See the Create a Quote section for more information. Quotes within the Past 5 Days Clicking the "Quotes within the Past 5 Days" link will open the My Quotes page where you can see all of your Quotes. See the My Quotes section for more information. Orders within the Past 5 Days Clicking the "Orders within the Past 5 Days" link will take you to the My Order Status page where you can see all of your Orders. See the My Order Status section for more information. Search Inventory, Quotes, or Orders Clicking the "Search Inventory, Quotes, or Orders" link will take you to the Advanced Search page where you can search for Items or Quotes and Orders. See the Search for Items section or the Search Quotes / Orders section for more information. Edit Your Personal Settings Clicking the "Edit Your Personal Settings" link will take you to the My Info page where you can update your Contact Details, upload your picture for the Contact Details page, and change your Password. Account Overview and Details Clicking the "Account Overview and Details" link will take you to the Account Overview page Savance 6

7 1.1.5 Notification Links Recent Quotes On the Home page under the Product Categories Menu and to the right of the Quick Links is the Notification Links area (if it is shown based on your security settings). Clicking the "Notifications" link at the top will bring you to the Notifications page, and clicking the "Awaiting Approval", "General", "Expired or Deleted Quotes", or the number of each Notification Type link will also bring you to the Notifications page, but the page will automatically scroll down to the corresponding section. See the Notifications section for more information. The Recent Quotes area is found under the Quick Links and Notification Links area on the Home page. This area lists your five most recent Quotes. See the Search for Quotes / Orders section for more information Recent Orders Footer The Recent Quotes area is found under the Recent Orders area on the Home page. This area lists your five most recent Orders. See the Search for Quotes / Orders section for more information. The Footer appears at the bottom of the page and contains the same links as the Quick Links area along with a link to the Home page. If an item is not linked (meaning it is not underlined and clicking on it does not do anything) then you are on that page. 7

8 1.2 My Quotes The My Quotes page (accessed via the "Quotes" link in the menu) shows all the Quotes you have made over the specified Date Range. The default Date Range is five days. To change the Date Range, click the "30 DAYS" link (or how ever many days are set) at the top of the page where it says "Quotes within the past X DAYS" where "X" is the number of days specified. Click the number of days you want the new criteria to be in the window that opens and click "SAVE". On the next screen, click the "Close" button to close the window and refresh the page in the background. The Date Range you specify also affects the Date Range for the My Order Status page. There is also a "SEARCH FOR MORE" link at the top of the My Quotes page that brings you to the Advanced Search screen. See the Search Quotes / Orders section for more information Savance 8

9 1.3 My Order Status The My Order Status page (accessed via the "Order Status" link in the menu) shows all the Orders you have made over the specified Date Range. The default Date Range is five days. To change the Date Range, click the "5 DAYS" link (or how ever many days are set) at the top of the page where it says "Orders within the past X DAYS" where "X" is the number of days specified. Click the number of days you want the new criteria to be in the window that opens and click "SAVE". 10 1.4 Notifications The Notifications page is where you can view Quotes that were sent for your review and to view or reply to General Notifications Viewing Notifications You can get to the Notifications section by clicking the "Notifications" link or the number of Notifications link on the Link Bar at the top of the page, or you can use the links in the Notification Links area on the Home page below the Product Categories Menu and to the right of the Quick Links area. If a Notification is associated with a Quote, you can click the Quote Number link or the Message link to take you to that Quote. If there is no Quote Number and the Message is not a link then it is just a general note and is not associated with a Quote Savance 10

11 1.4.2 Sending and Replying to Notifications You can send a Notification by either replying to an existing Notification, or by sending it from the Contact Details page. To reply to a Notification, click the note icon in the Reply column of the Notification section. In the window that pops up, type in the note you want to send and click the "Send Note" button. On the next screen, click the "Close" button to close the window and refresh the page in the background Removing Notifications To remove a Notification, click the "Remove" link under the Remove column of the Notification you want to remove. If a Notification is in the Awaiting Your Approval section, you must either accept or reject it to remove it from your Notifications. 11

12 1.5 Favorite Items On the Favorite Items page, you can quickly view your Favorite Items and add them to a Quote. You get to the Favorite Items page by clicking the "Favorites" link on the Link Bar. When a user searches for a part, there will be a Fav column with each result. Click the "Add" in this column to add an item to your favorites. If an item is already in your Favorite Items, you will see a "Del" link in the Fav column which will remove it from your Favorite Items if you click it. Items can also be added to your favorites after you submit an order Savance 12

13 Quote Functions 2.1 Create a Quote There are three ways to create a new quote. When a new Quote is created, you will be taken to the Quote Details screen New Quote from the Home Page If you are on the Home page, click "Create a New Quote" in the "Quick Links" section (if it is shown based on your security settings). 13

14 2.1.2 New Quote from Any Page New Quote from a Search Screen If you scroll to the bottom of nearly every page, you will see the footer with links. Click "New Quote" to make a new quote. If you are not currently working on a quote, you can add an item or items to a new quote immediately. After completing a search or finding an item in the Product Categories, check the box in the "Add" column in the same row of the item you wish to add to a quote and click the "Add" button at the bottom of the screen. You can also specify a Quantity in the text box in the "Qty" column if you want more than one of that item. For more information on searching for items, see the Search for Items section. 2.2 Adding and Removing Items on a Quote You can either add items to a Quote by searching for them or finding them in the Product Categories, adding a single item from the Quote Screen, or adding multiple items from the Quote Details screen Savance 14

15 2.2.1 Adding Items by Searching If you do not know the Part Number of the item you want to add to the Quote, you can search for the item or find it in the Product Categories and add it based on the search results. After completing a search, check the box in the "Add" column in the same row of the item you wish to add to a quote and click the "Add" button at the bottom of the screen. You can also specify a Quantity in the text box in the "Qty" column if you want more than one of that item. For more information on searching for items, see the Search for Items section Adding and Removing Items from the Quote Details Screen Add an Item To add a single item to the Quote when you know the Part Number, enter the Part Number into the field at the bottom of the Quote Details page. You can also enter the desired Quantity. You may also want to specify a Manufacturer in the MFG text box or the Description in the Description / Comments text box, but this is not required. When you are ready to add the part to the Quote, click the "ADD" button. Once you add an item, it will show up in the items section above where you added the item. 15

16 Finding a To Be Determined Item If the item is not recognized when you add it, it will show up with "TBD" (To Be Determined) as the Price and Extended Price. Clicking "TBD" will do a search for that item and you can add the item from the search results. Updating Quantity If you want to change the Quantity of the item ordered, type the desired Quantity in the text box in the Qty column of the part you wish to update. Next click the "Update" button if you want to keep working on the Quote, or click the "Proceed to Order" button to update and order the items in one click. You can update multiple Quantities at once. Removing Items To Remove an item from a quote, click the "Remove" link in the Edit column on the row of the part you wish to remove. You can also type "0" in the Quantity text box in the Qty column of the part you wish to remove and clicking the "Update" or "Proceed to Order" button. You can remove multiple items at once by entering "0" in the Quantity text box and updating Adding Multiple Items from the QUote Details Screen If you want to add multiple parts to a Quote at once, click the "Add Multiple Items" button at the bottom of the Quote Details screen. This is very useful for pasting a column of Part Numbers from an Excel spreadsheet. On the Add Multiple Items screen, enter the Part Numbers you want to add separated by carriage returns (enter keys) as seen in the example below. When you have entered in all the Part Numbers you want to add to the Quote, click the "Submit" button Savance 16

17 2.3 Convert a Quote to an Order Proceed to Order Once you complete a quote and want to order the item or items, click the "Checkout" button from the Quote Details screen Order Now On the Order Now screen, fill out all the ordering information. Most of this screen will already be completed if you filled out this information previously on the Quote itself. The only new fields that you cannot change from editing the Header or Ship To tabs on the Quote are the Requested Delivery Date (which is the next day by default), the Billing Address, and the Comments section. When you are ready to go to the next step, click the "Continue" button at the bottom of the page. 17

19 2.3.3 Order Confirmation The Order Confirmation reviews all the ordering information from the Order Now screen as well as the item or items you are ordering. You can also look at the Terms and Conditions. Once you have reviewed everything and verified that it is correct, click the "Confirm" button at the bottom of the page to place your order. If you need to change any of the information, click the "Back" button at the bottom of the page. Note that by clicking "Confirm" you agree to the Terms and Conditions listed on the Order Now page. 19

20 2.3.4 Order Summary When you confirm your order, the Order Summary screen will come up. This screen displays your Order Number and gives you the opportunity to print out a summary of your order, add items to your favorites, and return to the Home page. Print Summary Button To print out a receipt (which contains all the information seen on the Order Confirmation screen) click the "Print Summary" button. A new window will open up where you click the "Print Receipt" button to choose a printer and print the receipt. When you are finished printing and reviewing the receipt, click the "Close" button. Add Checked Items to Favorites Button If you want to add any of the items from this Order to your Favorite Items, click the box under the "Fav" column for each part you want to add and click the "Add Checked Items to Favorites" button. See the Favorite Items section for more information. Home Button To return to the Home page, click the "Home" button Savance 20

21 2.4 Request to Edit Quotes When looking for Quotes in the Recent Quotes section of the Home page, the My Quotes page, or a Quote Search, you may find a Quote that you cannot edit. If this is the case, the link under the Edit/ Order column will say "Request to Edit" instead of "Edit/Order" and your Inside Sales Representative will need to grant you the rights to edit the Quote. To send a request to edit a quote to your Inside Sales Representative, either click the "Request to Edit" link under the Edit/Order column of the Quote List, or click the "Request to Edit" button at the bottom of the Quote itself. The note is automatically generated when you click "Request to Edit", but you may add to it if you wish. When you are ready to send the request, click the "Continue" button on the Request Edit screen. 2.5 Remove Quotes When looking for Quotes in the Recent Quotes section of the Home page, the My Quotes page, or a Quote Search, if you see a Remove column then you have the security rights to remove a quote. If this is the case and you want to remove a quote, click the "Remove" link under the Remove column. If you remove a Quote, you can still search for it later, but it will no longer show up in the Recent Quotes section of the Home page or the My Quotes page. After clicking the "Remove" link, the Reject Quote Reason window will open. Select your Removal Reason, optionally enter a Comment, and click the "REMOVE" button. 21

22 On the next screen, click the "Close" button to close the window and refresh the page in the background. Basic Functions 3.1 Search for Items OrderSavant Web provides multiple ways to search for items to add to a Quote or check the price and availability Savance 22

23 3.1.1 Product Categories Quick Item Search The Product Categories are the menus located near the top of the page directly below the Link Bar. They each have different category titles. When you hover over a category, a sub menu will appear. If you click on a menu or sub menu, more sub menus will appear if they are available, and / or items associated with the menu may appear if they are available. The fastest way to search for an item is the Quick Item Search that can be found on the top right of the screen. You can quickly do an Item Search by typing in the Part Number or Description. See the Search for Items section or the Search Quotes / Orders section for more information. 23

24 3.1.3 Advanced Search On the Advanced Search page you can search for multiple parameters when searching for an item. You can get to the Advanced Search by clicking the "Adv. Search" link on the top-right of the page. You can search with as much or as little criteria as you want, but the more detailed the search, the less results that will be returned. For example, you can search for a Manufacturer and Description at the same time, which is helpful if you know a Manufacturer but do not know the entire Part Number. This will prevent you from sorting though many irrelevant results Savance 24

25 3.2 Search for Quotes / Orders Old Quotes and Orders can be found in OrderSavant Web a few different ways Recent Quotes and Recent Orders Your five most recent Quotes and five most recent Orders are displayed on the Home page. Recent Quotes The Recent Quotes section lists the Quote Date, Quote Number, Quote Name, and who it was Created By. If you click the link under the Quote Number or Quote Name columns, you will be redirected to that Quote. If you click the name link under the Created By column, you can leave a note for that person. For more information, see the Notifications section. Clicking the "Edit/Order" link under the Edit/Order column will set that Quote as your Working Quote and display it as your Current Quote in the Header Information section at the top right of the page, as well as redirect you to that Quote. If the link under the Edit/Order column says "Request to Edit", then the Quote is not editable in the Web and your Inside Sales Representative will need to allow you to edit the Quote. If you click the "Request to Edit" link, you can send your Inside Sales Person a note asking them to allow you to edit the Quote. For more information, see the Request to Edit Quotes section. Under the Remove column is a "Remove" link to delete the Quote. For more information, see the Remove Quotes section. 25

26 Recent Orders The Recent Orders section lists the Order Date, Order Number, PO Number, Order Name, who it was Created By, and the Order Status. If you click the link under the Order Number, PO Number, or Order Name columns, you will be redirected to that Order. If you click the name link under the Created By column, you can leave a note for that person. For more information, see the Notifications section Quick Quote / Order Search You can search for your own quotes from the "My Quotes" page, or you can search all quotes by clicking "Adv. Search" on the top-right of the screen. This will allow you to make a search, as seen below. You can search with as much or as little criteria as you want, but the more detailed the search, the less results that will be returned. For example, you can search for a Quote Number and Part Number at the same time, which is helpful if you know which Part Number is in the Quote or Order, but do not remember the whole Quote Number. This will prevent you from sorting though many irrelevant results. 3.3 Sorting Search Results Multiple Results Pages If there are more than ten items resulting from a Quick Item Search, Advanced Item Search, Product Category Menu, or Favorite Items page, the results will break down into separate pages (up to 50 pages maximum) and you can go to the previous or next page by clicking the "PREV" or "NEXT" link under the last item returned. This section will also tell what page you are on and how many total results were returned Savance 26

27 3.3.2 Sorting by Manufacturer or Part Number When doing a Quick Item Search, Advanced Item Search, or looking at your Favorite Items, the results are returned sorted ascending by Manufacturer and then by Part Number. If you want to sort Descending, click the "Manufacturer" or "Part Number" link at the top of the column depending on which one you want to sort by. 27
