3 Overview Landing Page When you have logged-in to etv you will be taken to this page that defaults to Editors Picks - a list of recommended new programmes. Other options are to view your Favourites list, see the Most Viewed and Most Recent uploaded programmes. On the right is a list of programmes requested for recording by other etv Users. etv Account Coordinator Guide August 2011
4 Main etv Logo When you are on other pages in etv just click the etv Logo on the top left of any page to return to the Landing Page. Page Footer At the bottom of each page you will see links to Request a Recording, Contact Us or Report a Bug. You will also see links to all sections of the website. Top Menu There are 5 main sections in etv On Demand, Live Channels, My etv, Reports and Search. On Demand has TV Recordings, Curriculum Collections and the Library. TV Recordings are from Free to Air, Sky and International Channels. Click the Channel icon to see each Channel s selection. Only Staff can see and use the Request a Recording button to ask for programmes to be recorded and added to the TV Recordings section. etv Account Coordinator Guide August 2011

6 Curriculum Collections Short instructional videos downloaded by etv from authoritative websites. Organised by NZ Curriculum Subject Channels. Note: Staff users can request videos to be downloaded or ask for specific content searches to be made to locate suitable instructional content to be uploaded into etv. Please use the Request a Recording Notes field or the Support button to make a request. Requesting a Recording Note: Available to Staff only. Students requiring a recording to be made should contact a member of Staff. Click the Request a Recording button either under On Demand or at the bottom of every page. etv Account Coordinator Guide August 2011
7 Fill out the required fields, and you can also view upcoming programme guides on a link at the bottom of the yellow box NZ Free to Air (TV1, TV2, TV3, Prime, Maori TV, Choice TV, Cue, Four and Te Reo) and International Channels, etv records and holds all programmes broadcast for 13 days. You can request us to keep any programme for 2 weeks after broadcast. SKY channels still require advance recording notice. Please give at least 1 working day notice of your request and ensure that all weekend programming requests are submitted by 2pm on Friday. If you see a programme you want on a SKY Channel after broadcast, please request us to record it on a repeat since most SKY channels have a high repeat rate. If you want to request the recording of an ongoing series, you have an option to select an end date and you can also add a comment if needed, for example: add extra time to start of recording. etv Account Coordinator Guide August 2011
8 On the right side of the page you are able to view programmes that other teachers have requested to be recorded on etv. If the programme you require is not featured there you can request a recording. Keep in mind that etv routinely records all the main News, Current Affairs and documentaries on NZ Free to Air channels and records all programmes listed in the Screenrights Guide. If your institution has a Screenrights licence you can subscribe yourself for free. Please go to and fill in your details. Library This is where organizations upload videos available for users to access. All Catalogues are identified by Logo. Your own institution may have a Library Catalogue of internal videos accessible by staff and students only. Library Uploading online is available to Admin Users only. etv Account Coordinator Guide August 2011
9 Channel and Catalogue Result pages Clicking a logo will create a quick search result for programmes in a Channel, Collection or Library Catalogue. Programmes are displayed in most recently added order. You can change the number of results displayed on the page on the top left. Search within a Channel Page using the Search box located on the top right of the page that will look within that channel or catalogue only. This is a predictive search displaying results as you enter each letter. Hover your mouse of the the programme name and the description will pop up in a box. Click at the top of each column to reorder the display numberically or alphabetically. Click the Thumbnail or Title to go to the Programme page. etv Account Coordinator Guide August 2011
10 Programme Page Clicking on a programme link will take you to the programme page. Video Player Control Bar Below the video screen is the control bar. The duration of the programme appears to the right and the timeline marker where you are in the programme appears to the left. Play/Pause Volume Timeline Duration Full Screen To play the video click the Play/Pause button or click on the screen anywhere. To fast forward or rewind click and drag the button on the timeline. You can immediately move to any part of the programme. The time into the programme will show above the cursor. To enlarge to full screen, click the icon on the far right of the toolbar. etv will automatically detect your bandwidth and select the appropriate bitrate. Recording Quality: Please note that programmes recorded prior to October 2011 are at a lower quality than those recorded since that date. Older recordings also have not been clipped to start at the beginning of the programmes. etv Account Coordinator Guide August 2011
11 Programme Information Below the video screen is information about the programme. Options Menu Click on any keywords to be shown other programmes featuring the same keywords Other episodes of the series Options Menu The Options Menu allows you to add the video to your Favourites Folder, Recommend this Programme by to a friend, and to Share this Programme. Teaching Staff only will see and be able to use the buttons marked Download Video, Download metadata, Get Embedding Code. etv Account Coordinator Guide August 2011
12 Add to Favourites This will add the programme to your Favourites Folder. Staff Users can then add Keywords and upload Related Materials. Once added this star icon will appear next to the Channel or Catalogue Logo. To remove a video from your Favourites click on the Remove from Favourites in the Options menu. (To view all your Favourites or add them to folders, go to the My etv section or click the Favourite star logo) Recommend this Programme Recommend a programme enables you to a contact about a video. The will include a link to the programme within etv so a login will be required to view. You can add a message to send with the recommendation. etv Account Coordinator Guide August 2011
13 Share a Programme Enables you contact other etv users about the video via numerous social networking applications, click on this and a selection will appear. You can then place a link and information on the programme on your pages there. Keywords, Related Material and Comments To add Keywords, Comments or Related Materials you need to first add the programme to your Favorites. Note: Only Staff can add Keywords and Related Materials. All Users can add Comments. With these 3 options you have the ability to control who can see your added Keywords, Related Materials and Comments. Note: All Users means everyone on etv can see. Then you are able to add your own information to a programme page. then choose who can see it. Type your Comment Click to save your Comment. etv Account Coordinator Guide August 2011
14 Adding Keywords To add Keywords, click the Add Keywords button, then add Keywords, select the access level, then click the Add Keyword to List button to the right. Many keywords can be added. Multiple-word Keywords can be added separated by a comma. Adding Related Materials To add Related Material either select a file from your computer or add a URL, select the access level, then click the Add Related Material button to the right. Note: Add only one Related Material at a time. Adding Comments To add Comments, type a comment in the box, and then choose who can see it. Finally, click the Add Comment button. etv Account Coordinator Guide August 2011
15 Download Features To download the Programme video file, click Download Video. Note: Downloads are only available to Staff users. Not available to Students. Licensing information regarding distribution of the Programme video file will appear on the next screen and you must agree to the terms by ticking the checkbox. Finally, click the Download button, which appears once the I Agree checkbox is ticked. If the download does not start, click on the link that will appear below. Downloading Metadata To download all information about the video (metadata) select the option on the menu and an.xls file will download from the site. Embedding Codes Embedding code provides a script that will allow a player screen of the video to display on other webpages, s and Learning Management Systems such as Blackboard and Moodle. User Logins are not required to view the programmes once embedded. Note: Embedding Codes are only available to Staff users. Not available to Students. etv Account Coordinator Guide August 2011
16 Optional buttons download the code to your desktop as: a) A.txt file (to copy and paste into Learning Management Systems), or b) An.htm file (which holds the player on a simple webpage which is only available from that computer). c) You may simply copy the contents displayed & paste directly. etv Account Coordinator Guide August 2011
17 Live Channels Watch live streams of National and International TV Channels. Next to the Channel name above the player window is a link to the Channel s online schedule. NOTE: If you do not see the channel logos below the live player screen using IE, please use Chrome, Firefox or Safari. Special Events On occasions Special Event live streams will be available to view. A schedule will display upcoming and available streams. etv Account Coordinator Guide August 2011
18 My etv In My etv you are able to view your Favourite programmes, and in Personal Details - view and change your Password and User Name. NOTE: Not available for Single Sign On Users. Favourites Clicking on Favourites will take you to a list of all the programmes you have Archived or selected as a Favourite. To view the Programme page just click the title. Creating Folders Your Favourite videos can be sorted into Folders. To create a Folder, type the name you want to call the folder, then click Add a new Folder. A new folder has now been created. Select the Folder you want in the Folder dropdown list. Putting Programmes into Folders To put a Programme into a Folder click on the Folder icon at the left of the video name, then select the Folder to place the video in and click Add, You may etv Account Coordinator Guide August 2011
19 select more than one Folder to put Programmes into. You can also Remove videos from folders here in the same way. To view items in each Folder click on the arrows on the Select Favourites Folder, then select the Folder you want to view. You can now view the videos in the Folder. Personal Details To change or view your details on etv select Personal Details. etv Account Coordinator Guide August 2011
20 You will then be able to view or update your User Name or Password. You cannot change your First and Last Names or your assigned address (Single Sign On Users can view but cannot change any details). etv Account Coordinator Guide August 2011
21 Search Options There are several ways to search etv content across the whole site. Standard Search Click in the Search box, for a standard search start to type Keywords. By clicking Search Now or enter, a full search list page will display based on your keyword(s) entry. Advanced Search You can refine your search using the Search Filters below the Search keyword entry field. You can make multiple selections within Age Levels, Categories, Sources, or Subjects. Your Filter selections will display in the Advanced Search box on the right. These default to All if no selection is made. etv Account Coordinator Guide August 2011
22 Search Results On the Search Result page prioritisation will first display, in highlighted gold, programmes with the word(s) found in their Title, followed by programmes with the word(s) included in the Description, Subject, Keyword or Tags fields. Multiple, different Word Matches can be searched with search results displaying in order - results with the most different words matched take priority over those with fewer different word matches. Note: To refine a search click the << Start search again link at the top of the page. REPORTS Here you can see what has been viewed or downloaded by yourself. Select a date range from the pop-up calendars, select an option to report on View on Demand or Downloads, then click Generate Report. There is also the option of exporting the report as an.xls spreadsheet where any sorting of the report columns can be done locally. etv Account Coordinator Guide August 2011
23 etv Overview for Account Coordinators Account Coordinator/Admin Status in etv Each etv Client organisation can have as many Account Coordinators as needed. To have any Staff person given or removed from Account Coordinator privileges please us and we will change their access level. Reports & Management Reports Here you can see what has been viewed or downloaded by people in your organisation. Select a date range and the option to view Downloads or items watched by selecting View on Demand, then click Generate Report. There is also the option of exporting the report as an.xls spreadsheet where any sorting of the report columns can be done locally. User Management This is where you can manage all of your users and see their activity. Note: User Management is not required or available for Single-Sign-On (SSO) or Shibboleth organisations. etv Account Coordinator Guide August 2011
24 Adding Users You are able to add single users by clicking the Add User button. Add Mass Users. To upload a list of users please follow the instructions on the Mass User page. Download Mass User Template File. Click to download. Please use only the etv.xls template for Mass User Upload. Copy and paste required Users' first names, last names & addresses in the etv.xls template on your local machine. Name & save the file. Keep lists of Staff separate from Students as each is a separate upload. completed list of users to education@etv.org.nz All Users will be automatically sent a Welcome with their login details. Note that any User already set up in etv will not receive a second login from a Mass User Upload. They will retain their original logins. Deleting Users To delete users tick the box to the side of their name and then click Delete User. Activating and De-activating Users To enable or disable users from using etv you are able to deactivate or etv Account Coordinator Guide August 2011
25 activate their account without deleting them. Tick the box by their name then select either the Activate or De-activate option. Tip: To more easily manage your changing Student rolls and to manage additions of new students and removal of departed students on an annual basis, etv recommends that all Student Users are deleted and reset up with new logins. Contact etv to have your student roll mass deleted in advance of a re-upload. Library Media Hosting Service The Library is now open to host your own videos, using all etv s powerful access features giving online access to your staff and students. We strongly recommend use of Chrome, Firefox or Safari for Library Upload and Editing metadata pages. IE is not recommended at this time. etv hosts the content for you and all the etv metadata and search tools are available for your staff and students to easily access those videos and then view any related materials associated with them. Library Folder managed by Account Coordinators. Catalogue identified by your Logo displayed on Library page. Related Materials can be associated with any video and uploaded to the Programme Page. (any digital files uploadable) All etv Metadata fields available. All etv Search protocols available. Video can be uploaded directly via FTP. There are several options available to control user access: 1. All etv users 2. Internal staff and students only 3. A "View Only" and/or "Download" option is also available. Library Management You are able to Upload Programmes to your Library and then Add or Remove, Activate and De-activate Programmes from displaying on the site should you want to temporarily change access to them or to delete them or to enable access only by Embedding Code. etv Account Coordinator Guide August 2011
26 Library Upload is available within the Reports and Management > Library Management section or can be access under the On Demand Section. Here you are able to manage your Programmes, as well as edit their metadata. Library Upload Instructions etv Library Upload enables Account Coordinators (Admins) to manage a Library Catalogue in etv. Your Logo will identify your Catalogue in the etv Library. All videos uploaded are encoded automatically from a master digital file (see all accepted formats in Elemental Input Formats document) into etv streaming bitrates and codec (mp4). Multiple video files can be uploaded at the same time. Only one video file can be uploaded to any single Library entity. Depending on the load on etv s encoding server at the time of upload, a video can be successfully encoded within an hour but may take longer if uploaded during working hours. 27 Enter all the metadata ( you can always edit later if you need to). If this is a one off leave the Episode field blank. Otherwise put in the episode title here. etv Account Coordinator Guide August 2011
28 Note: If you want people to be able to download as well as view click VOD and Download. If you want View only click VOD (which is the default). Select All Users if you want all etv users to be able to access. If you want only your own Users to be able to see select Members of my Organisation only (this is the default). Click Save. (If you are editing following initial metadata entry, you must click this Save button each time you change the page info) etv Account Coordinator Guide August 2011
29 Step 2. Upload a Screenshot or logo (this displays on the programme page when users access it. Click Upload Image button Attach any related materials or links. (you need to do this one at a time but can keep adding as many as you want). Click Add Related Materials button each time you have a new item. When you are done click Upload Programme Video. etv Account Coordinator Guide August 2011
30 Step 3. On this page at the bottom left of the small upload window select Add Files. Note: Only one video per library entry can be uploaded. This video must be on your computer as a digital file. Please upload the largest quality you have available within the 1GB limit. Once you have selected the video click Start Upload. After a few seconds the upload will begin. You will get a confirmation message that upload has been successful. It may take a few hours to be processed into the live streaming files on etv, and although the wording says that you will be notified you will need to check back to ensure that the video is successfully loaded. etv Account Coordinator Guide August 2011
31 Editing or Managing Your Library To do this go to Library Management as before. The page will show you all your videos (active or in-active). View/edit metadata Preview programme page Activate video To check or edit your metadata Click the Programme name (left column) and then you can edit if needed anytime. (remember to click Save each time you edit) To check that the video has uploaded and is playing correctly Click the Filename in the column on the right. A Preview of the Programme page that your users will see when you Activate the video will display. You can also check that your video s Programme page is displaying all the correct information, metadata, thumbnail image and Related Materials, TIP: You can keep a programme In-active but still make it available to be viewed by selected users by getting the Embedding Code. This button is available on the Programme Preview Page since all tools on that page are fully functional in Preview mode. The Embedding code can then be copied onto any other webpage or LMS desired and the resulting player will play even though the programme is In-active and not showing in your Library Catalogue. To make the video available in your Library Catalogue. Activate the programme by clicking the checkbox on the right of the programme name and then click the Activate Programme button at the top of the listing areas. Your video will now be live to all selected Users. The Status column shows if your video is Active or In-active. You can De-activate (take off line for any period of time) or Delete a video completely from your Library (this will delete the video file along with all metadata permanently). 33 VHS/DVD Digitising and Encoding Service etv offers a solution for Libraries wanting to digitise important content currently stored on VHS tapes, Films or DVD s. Format shifting to Digital is increasingly important for preservation and to enable online access by staff and students. Note: Copyright and format shifting rights are your responsibility. etv Digitisation Services Bulk VHS/DVD/Film Digitisation Preservation Service: Full archive encoding with MPEG masters, Hard Drive Disk (HDD) and/or DVD storage option, workflow upload to client etv Library option, offline backup service. The process involves the evaluation of each tape, DVD or film, cleaning, then digitisation which creates two files, one an MPEG2 for burning a DVD (if required) and the other an MPEG4 which becomes the master copy. The MPEG4 file then is encoded into etv streaming format and uploaded into the Institution s secure etv Library. Online hosting backup provided for etv streaming copies. Metadata is to be provided for each title in a.csv file or other format that enables etv to upload this data into the etv hosted Library system and thereby to create an entity for each title in the Institution s Library Catalogue in etv with all key fields populated. etv manages the video file master encoding to streaming format and the metadata upload process. Manual metadata entry by etv add $20 per title. Minimum run is 10 titles. If a DVD master copy is required - add $10 DVD's are play through i.e. in a DVD player it will start playing but there is no menu. Produced on silver discs and printed (in black ink) the details of each recording. A case polyprop PPSD5 is included these cases are transparent therefore the print on the disc will be visible. Multiple Parts: Multiple parts or episodes on the same DVD, tape or film will be processed as one video. The digitisation will generate a single file of all parts or episodes on the provided material. If separation of content within a single tape, DVD or film, is required each part will be priced as a separate digitisation. Repair: The pricing does not take in to account any preparation or repair work for DVD s. tapes or films, which should be in good playable condition. Sometimes collections have tapes, DVD s or films which are mouldy, damaged or substandard in some way, and which require preparation work prior to digitisation. If this is the case please provide us with information on this so we can advise any additional costs. Courier: Materials are to be couriered to etv.
