1 Journal Text Styles: International Journal of Work-Integrated Learning Karsten Zegwaard 16 February, 2018 Each journal develops their own style. A journal style is important for the journal s professional presentation. Where possible, IJWIL has followed default Microsoft Word settings. IJWIL has no direct income and the bulk of IJWIL s operations costs is around copy editing of the styles and fixing APA referencing. We ask authors to help keep IJWIL costs low by submitting manuscripts that follow the IJWIL style carefully. 2 General Page size is A4. IJWIL uses US English. Margins: 2.54 cm top, left and right (default MS Word margins) (provides useable width of 16cm). Bottom margin: 4.5 cm (provides usable length of 22.7cm length). All font in Palatino Linotype. Single line spacing throughout. Paragraph and heading spacing of 10 points. All text justified. Use two spaces after a sentence full stop. Acronyms are generally discouraged and limited to well-known acronyms (e.g., WIL). Main text Font: size 10, Palatino Linotype, justified. Spacing, single line, paragraph spacing of 10 points. No blank space between paragraphs (use 10 point paragraph spacing instead). Use two spaces after a full stop. Paper headings Generally, headings should be: o Short but informative. o Never more than one line (paper title [level 1] is allowed two lines). o Use of abbreviation and acronyms in headings are discouraged but, when needed, may be used for well-known acronyms (e.g., WIL). Level 1 (paper title). o Sentence capital case. Use of colon permissible. Use of commas discouraged but permissible in special cases. o Font: Palatino Linotype, bold, size 16, centred. o Spacing: single line space, 10 point paragraph/line spacing. Level 2 (within text first level heading). o Font: size 10, Palatino Linotype, full capitals, no bold, no italics, left align. o 10pt spacing above and below. Level 3 (within text subheading). o Font: size 10, Palatino linotype, italicised, no bolding, each significant word starting with capital. o 10pt spacing above and below. Level 4 (within text sub-subheading) are strongly discouraged but can be necessary at times. o Font: size 10, Palatino Linotype, italicised, only first letter of first word capitalised, 1cm indented. o 10pt spacing above, 0pt spacing below. Referencing style APA 6 th edition. No exceptions! Any departures from APA will require amendments. Any citations followed by cited within will be challenged. Authors should seek the original source authors may find that it actually didn t mean as it was cited (and if it did, then authors can now cite the original source as it should be).
3 Authors Author name in full capitals, one author per line. Institutional affiliation is shown below the author, in italics. Institutional location in standard font (no italics). Spacing single line spacing, 0 points between paragraphs/lines. Font: Size 10, Palatino Linotype. There should be one empty line above the first author and one empty line below the last author s intuitional affiliations. Authors should be listed in order of contribution, not alphabetical nor in order of institution. This may mean an author from the same institution as another author is listed separate, with another author from a different institution in between. When there are two consecutive authors from the same institution, list the institution only after the last author from the same institution. Footnotes and authors contact details All footnotes font size 7, Palatino linotype, left aligned, using numerical numbering system (MS word default). Corresponding author footnote: o Corresponding author only. Corresponding author does not need to be first author. o Name and address only. Preferably an institutional address with hyperlink enabled. Abstract and keywords A single black ¼ line above abstract and below keywords. Font: size 9, Palatino linotype, justified. Spacing, single lined, 10 point paragraph spacing. Keywords: About 5 key terms (a term can be more than one word, but avoid more than 3 words for a term), preferably sticking to one line. Tables Please insert the table in the document at the location you prefer. The table must be referred to in the text (e.g., Table 1. Note the capital T ) prior to the table being presented. Caption o At top, the word TABLE: in full capitals, followed by table number and then colon. o Caption text in plain font, sentence capitals. End with a full stop. o Caption text must explain table well enough to standalone. Length between 1-2 lines, preferably single sentence. o Margin indented to 1cm for all of caption. Table o All lines ¼ width. For a simple table, there will only be a top line, line under column titles, and a line at bottom of table, with no lines in between and no column lines. o All text/numbers must be Palatino linotype. Preferably font size 10pt but 9pt will be common and it can be reduced to 8 if needed (try use consistently within all tables). o Use of mathematical symbols are preferred over words please follow APA rules carefully. o Notes (if any) must be at bottom of table, font size 8.
4 o o Avoid tables that are longer than a page. Tables longer than a page generally are moved to appendices. Table can be on a landscape page only if portrait page does not work. Figures Please insert the figure in the document at the location you prefer. The figure must be referred to in the text (e.g., Figure 1. Note the capital F ) prior to the figure being presented. Caption o At bottom, the word FIGURE: in full capitals, followed by figure number and then colon. o Caption text in plain font, sentence capitals. End with full stop. o Caption text must explain figure well enough to standalone. Length between 1-2 lines, preferably single sentence. o Margin indented to 1cm for all of captions. o Figures must NOT have a title the caption should be all that is needed. Figure o All text within figure should be Palatino linotype. Font size preferably 10pt but 9pt will be common and it can be reduced to 8 if needed. o Graph legend (if any) must be located within the figure unless the graph is narrow. o No outside borders around the figure. o Colour is permissible, however, must be of a colour that shows as discernibly different shades of grey printed out black&white. o It is possible to have two figures (e.g., two graphs) side-by-side. In such cases, these figures become, for example, Figure 1a and 1b, with one caption indicating what 1a shows and what 1b shows. o Preferably graphs are Microsoft Office Graphic Object to allow copy editor to make editing changes if needed. o Pictures must be high resolution that print out legibly. o Photos are discouraged, however, may be permissible for special circumstances. o Figures reproduced from a publication elsewhere need permission from the relevant editor. List items/bullet points Use either rounded black bullets or numbers, whichever is appropriate. If using numbers, use Arabic numbers (European digits), not Roman numerals. Bullets/numbers should have hanging indent of 0.63cm (MS Word default indent). There is a 10pt gap above the list. Each line is single line spaced, without gap. There is a 10pt gap below the list.
5 Quotes <40 words. o Within sentence, using quotation marks. o Standard text format. o Quotes from published work requires a citation with a page number. >40 words. o Standard text formatting, no italicizing or bolding, unless part of the original quote (in which case add the words original emphasis ). o Left margin independent to 1 cm for all lines.. o Right margin as document standard. o Quotes from published work requires a citation with a page number. Citation can be shown as part of the lead-in text or at the end of the quote. Italicizing can be used by the author to empathise a word within, for example, a participants quote (in which case add the words emphasis added ) however, such practice needs to be used very sparingly. Use of numbers and mathematical units within text Within sentence, all numbers less than 10 are words unless it is followed immediately by a mathematical unit/symbol (e.g., 5 mm, or 5%). Numbers less than 10 with a decimal point value are shown as numbers, not words (e.g., Likert value of 5.4). Numbers used for Figures and Tables are always numbers (e.g., Table 2). If starting a sentence with a number, it is always a word no matter how big the number. (IJWIL encourages authors not to start a sentence with a word, if that is possible). Numbers in thousands are separated with a comma (e.g., 9,000). Mathematical units are preferred in short form or symbol form rather than in full (e.g., mm is preferred over millimetres, % is preferred over percent ). Acknowledgements Use of acknowledgements should generally be limited to acknowledging funding sources and to acknowledge if the work (in part or full) has been, for example, presented at a conference. Acknowledgement of other people should be reserved for special circumstances (e.g., contributed significantly to the work but not enough to warrant being listed as an author). Acknowledgements are shown after the Conclusion/Implications section and before the Reference section. Acknowledgment section must remain short. Often it is one sentence, perhaps two. References list Font: size 8, Palatino Linotype. Spacing: Single line, 0 point paragraph spacing. Second line indentation of 1 cm. All references with a web address must have the hyperlink live. Please check that the hyperlink points to the correct website, which must be accessible to people outside the institution. Please include DOI details if these are given. Appendices Generally discouraged
6 If included, must use standard IJWIL styles. Appendix heading is in full capitals and numbered using letters (e.g., APPENDIX A). Appendices are shown after the Reference list. Header and running head title: A running paper title head for the headers is generated through the copy editing process, however, authors are welcome to suggest a running head. Font: size 7, Palatino Linotype type, centred, no bolding or italics. All authors last names in full capitals (use et al. after first author if many authors). Running head text should be an abridged version of the article title. Use of common abbreviations is permissible (e.g., WIL). Must stay on one line using default article margins. Use different first page and keep first page header blank. Editor reserved the right to amend heading if required. Footer and pagination The footer along with pagination is generated by the copy editing process. Authors do not need to provide. Font; size 7, Palatino Linotype, centred. Page number on far right. Declaring funding sources Where research was directly funded by an external funding organisation, this needs to be acknowledged in the Acknowledgment section. Declaring prior conference presentations of the work It is common for work to be presented at conference and, in part, published in conference proceedings. For transparency, this needs to be mentioned in the Acknowledgements section. The journal manuscript cannot be identical to the proceedings paper there need to be substantive changes and additions to the journal manuscript. The Editor can advise and check if the author is unsure. Declaring ethics approval of the research Where ethical approval was needed to undertake the work (e.g., involving human participants), it needs to be stated in the methods section that ethical approval was obtained (along with a reference number, if one was provided).
