3 July C Release Overview With the 14C release coming so soon after the May 2012 Look and Feel Redesign, this release has several small changes to improve some of our existing ordering functionality as well as a few changes to supplement our May release menu items. Highlights include: Digital hotlists in the Hotlists widget Browse Menu additions to complete our product type browse options Ordering Improvements o Better messaging on restricted titles o Grid ordering improvements Improved imatch functionality A filter for removing reproduction and compilation titles from Search Results Improved messaging for Ingram Entertainment Video titles Release Date: The release date is July 25 th, The changes will be built to production ipage late in the afternoon, so customers could see the changes in the early evening of the 25 th, but most customers will not see the changes until Thursday morning, July 26 th. 5 Browse Menu Additions The Browse Menu in ipage is now more comprehensive in terms of providing links for all the products we sell. Under the "BY PRODUCT TYPE" section we have added links to: o an Audiobooks Browse page similar to our Book Browse page that contains both Audiobooks and E- Audiobooks. o refine-able Music, Video, and Video Game search results Under "BY CLASSIFICATION", a new Dewey link has been added allowing our customers to drill down using Dewey categories. Under "BY INGRAM LISTS & PICKS", Video Game and Music links have been added to provide our customers with Ingram-vetted title lists and content concerning those two product types. Page 5 of 21

6 Ordering Improvements Better Messaging on Restricted Titles This release includes several improvements designed to provide a better user experience by: Giving customers messages up front when they attempt to add titles to a cart or selection list that are not available to them due to sales rights restrictions, product restrictions, publisher restrictions, or market segment restrictions. Not allowing the restricted title to be added to carts or selection lists. These messages will display when a customer attempts to add a title to his cart or list that is not available to his market segment or has some other sales, publisher, or product restriction on it for example, a UK edition of a title that is not available to our US customers. The messages will appear in a red box at the top of the screen and state the general reason for the title not being added to the cart or list. An example the various messages is displayed listed below: When a customer attempts to add titles to his Quick Order cart where there may be more than one title that is not available to his market segment: Page 6 of 21

7 Grid Improvements Retain Grid Information as a default With the July 2012 release, 'Retain Grid Information' is the default setting wherever a customer is able to use this option. These areas include: When selection lists are merged Editing a selection list where the Move/Copy/Delete options are at page level Page 7 of 21

9 Allowing the Customer to Change a Grid Template from Public to Private Customers will now be able to change the designation on a Grid Template from Public to Private or Private to Public. Users will also notice an improved look to the Grid Template Setup screen: The Public or Private designation will now be displayed on the Grid Ordering Setup page accessed from the Order Menu for each template a customer has: To change the designation, the customer must click the "Edit" button on the Grid Ordering Setup page shown above and "continue" through to the second Grid Template Setup page shown below: Page 9 of 21

10 A tool tip is provided next to the Public and Private options defining what each designation means. The user can access any tool tip on the site by simply rolling over the icon. Page 10 of 21

11 imatch Improvements Our initial release of imatch expected an XML format for information returned to us from a library s collection. For the July 2012 release, our imatch product is able to interpret traditional MARC records as well. What this means is that when a customer requests that we "'imatch" a selection list, we will take the items on that list 20 items at a time - and access the customer's collection using a standard Library information-sharing protocol called Z39.50 (Bib-1 Attribute Set) to determine if the customer has a particular title in his collection. Previously our imatch functionality would only work with those automation systems capable of sending results back in an XML format, but with this release, we are able to accept and understand records coming back in the more traditional MARC format. Also, we are now able to evaluate LCCN (Library of Congress Control Number) as a means to determine an exact match in addition to ISBN and EAN. Displayed below is an imatch Results screen showing an LCCN match. The automation systems ipage supports with the imatch functionality include: o o o o o o o Follett Biblionix Innovative Interface Inc.'s (III) Millennium SirsiDynix Horizon SirsiDynix Symphony/Unicorn Polaris Evergreen For a refresher on how the imatch process works, please see Appendix A of this document. 12 Search Filter for Reproductions and Compilations Titles A number of book producers who aggregate content and present the collected information to readers in a printed format have joined the industry. They are able to produce thousands of new titles a week. Often these titles are either Reproductions - previously published titles that are now in the public domain, or Compilations - collections of public information often gathered from internet Web sites. Since these titles may not be of interest to customers in some of their searches, the July release introduces a filter that will allow customers to remove reproductions and compilations titles from their search results. The filter will be located at the top left of all Search Results pages allowing the customer to Hide Compilations or Hide Reproductions or both. By checking either (or both) of the boxes at the side of the Hide Compilations or Hide Reproductions, an Apply button will appear at the lower right corner of the box. Once the user clicks the Apply button, the Search will be re-generated without compilation or reproduction titles contained in it depending on which boxes are checked in the filter. The filter will remain set for the life of the Search meaning that the user can continue to refine that particular search without re-checking the boxes. When the user generates a new search (by entering a new value in the Search Box above for example), the filters will be turned off again and the user will need to re-apply them for the new search. 13 Product Details Enhancements Ingram Entertainment Video Product Messaging Because of the relationship and proximity between Ingram Entertainment and Ingram Content Group we have the ability to get video titles from them within 24 hours in most cases, we show their on hand inventory as our on order inventory. We can usually fill backorders on Ingram Entertainment titles within 48 hours of the backorder being placed. However, because some customers are reluctant to backorder items because they don t know when they will receive them, a new message has been added to the Product Details page for Ingram Entertainment titles that have on order quantities in the Tennessee or Oregon DCs to let the customers know if they backorder these titles, they will be filled within 48 hours of the backorder being placed. The message appears in the green box just under the stock information: Digital Titles Format Label E-Books and E-Audio products will display the format of the title rather than the binding as shown below: Page 13 of 21

14 Appendix A - How does imatch work? Administration/Setup We now offer our library customers the ability to check titles in their collection against titles placed in a selection list to see if they already have a title in the list or if they have something similar. This new tool is called imatch. The ipage site uses Z39.50 (Bib-1 Attribute Set) to access an institution s catalog to pull back their collection information for comparison by ipage. If a library customer does not use Z39.50, they will not be able to use this function. Setup To set up a library for imatch, the ipage administrator will roll over the "My Account" menu and chose the "ipage Account Settings". There is a section on this page called imatch Collection Matching. To begin, fill out the following information in this section: URL/IP Address Port Database Name MARC Tag of Status Code (optional) Subfield: User Name (optional) Password (optional) MARC Tag of Branch/School Subfield After entering the MARC tag housing the library branch or school information, click the View/Edit Locations button to map the value in this MARC tag for each of the customer's Ingram ship-to account numbers. This new page will display all bill-to and associated ship-to numbers for the library's ipage account. They will be able to resort by any column heading on this page with the exception of the Branch/School Value column. Or, they can also choose a sort from a Sorted By dropdown box on the page. IMPORTANT NOTE: This mapping is required to give each of the library locations the ability to use the imatch tool. If the customer does not want to do location specific searching, a common tab and subfield combination must be used. Page 14 of 21

15 Enter the branch or school value in the MARC location record for each bill-to/ship-to combination. This information is critical. Without it, ipage will not know which branch or school s collection to match against since it is looking at a global or union catalog for the library or school district. Examples of values could be Arbor Hills HS or Click Save Changes to return to the previous screen to finalize the imatch Collection Matching setup information. WARNING: Accounts that are missing a mapping value will not be able to use the imatch tool. After clicking Save Changes, a message will display on the first screen that states that location additions/changes have been saved. Please check the information on this first page to make sure all other setup information is correct. If IP or Port information has been entered or changed, please click the Test Connection button to make sure ipage can access the collection data. Clicking Test Connection will start a process to verify if ipage can establish a successful connection based on the information provided in this section. If the connection is successful, a message will display stating Test connection successful. Page 15 of 21

16 If the connection is not successful, the following message will display: Test connection failed. Check your imatch settings and try again. If the connection fails a second time, please contact your system administrator to verify your Z39.50 URL/IP address, database name, and port number. If you still are experiencing connection issues, please contact ipage Technical Support for assistance. Until a successful connection can be made, the customer will not be able to use the imatch function. If the test is successful, enter the customer's ipage password at the bottom of the page and click Submit to transmit the new or edited information to Ingram. Once you have tested, received a successful connection message, and submitted your setting information to Ingram, you will be able to use the imatch function upon your next login. Editing When returning to the ipage Settings page after submission, any information previously entered in the imatch fields will display on the initial page and on the location values page. The data in the textboxes can be overwritten and re-saved if desired. Any new bill-to or ship-to accounts that have been added to that ipage account since completing the initial setup process will display on the location mapping page with empty values in the Branch/School Value textbox. If no values are entered for those new bill-to/ship-to accounts, those accounts will not see the imatch buttons on the site. Page 16 of 21

17 imatch Collection Matching The imatch Collection Matching service is designed for library customers to match titles they wish to order with titles already in their collections. Because some libraries may not order duplicates of titles they already own, we are providing imatch to determine if the title is, or is likely to be, already in their collection. Once the ipage administrator has set up imatch by supplying the connection information needed, the library will be able to use imatch against a selection list. A library can check any of its selection lists except Hard to Find Books lists. A customer can start the imatch process from any of three places: a link on the Order Menu, the Selection List page, or when viewing or editing a selection list. On the Order Menu, there is a new link for imatch Collection Matching. Page 17 of 21

18 Clicking this link will take you to the new imatch Collection Matching page, where you will choose the selection list you wish to match from the dropdown list. Click Continue to start the imatch process. While imatch is processing, the library customer will see the page below. It may take several minutes for the next page to be displayed, depending on several factors including the speed of the library s server and communication lines. When the imatch process has been completed for the first 20 items in the list, the imatch Collection Matching Results page will display. Those titles will be shown in title order, with a color bar to the left indicating the level of match found, if any. Page 18 of 21

19 The results are color coded to show where matches were found. If no color appears to the left of a title, no match was found. A red bar indicates an exact match, yellow a possible match, and green a title-only match. Hovering over a color bar indicator will display details about the match. The details will include which criteria were matched, and whether or not the edition matches the library s collection. For an exact match, the status of the title in the collection will also be shown. Clicking a title link will show the title detail page, along with the imatch information for the title. The customer can move through the selection list title by title, just like any selection list product browse. Page 19 of 21

20 Moving through the list may be somewhat slower than normal, because of the imatch process. Clicking the return to list link will return the customer to the imatch results page. From the results page, the customer can delete titles from the selection list, move or copy titles to another selection list, and change the quantities to be ordered. The selection list quantity for each title will be shown on the results page, and may be changed. Clicking the Update Page button after changing the quantity will save the changes. Note that all changes made to the imatch Collection Matching Results page will be applied to the selection list that has been used for matching. When the customer moves to the next page, the next 20 items on the selection list will be matched, and the inprocess page will again be displayed. Page 20 of 21

21 imatch can also be accessed from a selection list on the Selection List page. A new imatch this List button will be shown for all lists that are eligible for matching on this page. Click the button to match the list against a library customer s collection and display the results page. While viewing or editing an eligible list, the customer will see the imatch this List button as an option. Click it to run the imatch process against the current list.
