3 I- REQUIREMENTS A- Main Before installing GT-HOSP, you must make sure that your customer enters in a normal software using context. You must therefore verify the following points: *The computer minimum configuration Processor minimum 1GHz 2Gb of RAM 4Gb of available disk space Graphic s resolution >= 1024x768 * Operating system: can be installed/used on: Windows XP Windows Vista Windows 7 Windows 2003 Server Windows 2008 Server Windows 8. * The PC must never be switched off brutally (use of an alternate power supply advised). *It s recommended to have a dedicated computer to use GT HOSP If the computer is used for other functions (development, server, Internet connection sharing, documents scanning, and so on ), the AtooSoft company will not be considered responsible for the possible issues. If the computer is not strictly dedicated to the call accounting, it is strongly advised to choose the external buffer solution if it can be used with your PBX (consult the provider first). Moreover, if multiple programs run on the computer, the software performances may be damaged. IT S ENTERLY YOUR RESPONSIBILITY IF THESE PREREQUISITES ARE NOT VALID. * Verify the PBX general parameters «Basic» printing parameters, Disable the alerts Disable the page breaks Disable the headers Etc... For more details use the specific documentations related to your PBX if available. 1- Operating system / environment * Firewalls / Antivirus softwares You must disable or configure the firewalls / antivirus softwares installed on the PC including the one integrated on Windows. Best usage: add exception(s) to the firewall. WARNING! Stopping the firewall on Windows 2K8 server prevents remote logins. To disable the Windows firewall Open «Control panel» Then «Administrative Tools» (Must be In classical view) Then «Services» Select «Windows Firewall/Internet Connection Sharing (ICS)» then «properties» Click on «Stop» Page 3 sur 29
4 Change the startup type by selecting «disable» Apply the changes If you want to configure a firewall, you must unlock the following ports: TCP 3050 incoming The IP port used by the PBX or the external buffer-box (TCP 7000 outgoing by default) GT-CENTRAL : TCP GT-REPORT : TCP GT-CONNECTOR: TCP 43XXX, XXX matching the GT-CONNECTOR number during the install. Default is 0001 for the first connector port TCP * System standby Also, you must have the «system standby» and «turn off hard disks» on the computer, deactivated. Click right on Desktop «Properties» Go to the part «Screen saver» Then «Power» Check that «turn off hard disks», «System standby» and «hibernate» would be on «Never» * Data execution prevention Check the following points: Open the «Control panel» Then «System» Then go to the tab «Advanced» Go to «performance» then click on «Settings» On the tab «Data execution prevention» Check that the «turn on DEP for essential Windows programs and services only» is selected You must start again the computer if you made changes. 2- Privileges * User s privileges on Windows You must have administrator s privileges on the computer. If you can t, you must have the rights on The installation folder (by default: «C:\Program files\gt2f») The folder «C:\Program files\firebird» On the following registry keys : o HKEY_LOCAL_MACHINE\HARDWARE\DEVICEMAP o HKEY_LOCAL_MACHINE\SOFTWARE\GT2F NB: On some restrictive environments you will have to allow also: The public documents folder. The registry key HKEY_CURRENT_USER NB: Server W2008 You must have the permission on HKEY_LOCAL_MACHINE\SOFTWARE\Microsoft\Windows\CurrentVersion\Explorer o Add read/write permissions for the account LOCAL SERVICE Page 4 sur 29
5 a- Starting installation Windows 8: start the extractor using a right click and selecting Execute as administrator. (Also for Vista / 7 / 2008 Server if the current account don t have enough privileges). b- Install program (Install Shield) Click on next to continue Accept the conditions and click on next Page 5 sur 29
6 Reminder of the requirements, click on next to continue. Enter the information if needed and then click on next. Select the install folder or use the default, then click on Next ton continues. Page 6 sur 29
7 Reminder of the selected settings before install, click on next to start. Wait for the install to finish. Once the install finished, click on Finish to close the install shield. Page 7 sur 29
8 After the end of the program, some process will be launched to install the following services: GTConnectorSrv_XXXX.exe (XXXX match the GT-CONNECTOR number) GTCentralSrv.exe GTReportSrv.exe Services linked to GT-HOSP and the DB Service linked to the DB Please check that the services are correctly installed on the system and running. If the services are not running try to start them manually or restart the computer. II- GT-CENTRAL First setup A- Registering the license Start Firefox by using the link «WEB GT-CENTRAL» or type the URL (on the local machine: ) A login screen will appears, by default login and password are «admin / admin» Enter the value for login and password then click on connection or hit Enter You will be redirected on the following page: Page 8 sur 29
9 Enter the serial provided for your software then click Activate online Wait for the process to finish Once the license activated, the data linked to it will be displayed. Caution: By default no site is created Page 9 sur 29
10 B- Create a site Click on the button «Create a site» to add a new site from the «About» section, in our sample we can create only one due to licence restriction. Depending of your need you can have a multi-sites licence. C- Site s setup 1- Site s setup access Once the site(s) created, click on the link Sites. Then click on Not configured to launch the wizard. NB: All changes will be applied at once when you click on the button Apply. 2- Configuration of the sites First change the name if you want. Page 10 sur 29
11 3- Import an operator Click on Import an operator Select the language and country if available and click to see the files. Click on the file to import Click on Continue to start the import Page 11 sur 29
12 Wait for the process to finish (the progress bars will disappear), and you will get the following screen: Click on apply to finish the wizard. You will be back on the Site s main feature with the concerned site displayed as below: Click on the site after a few seconds, if the operations are finished, you will get the following view: Page 12 sur 29
13 4- Prefixes management During the wizard or by using the button, you can change the prefixes management. You can then change the site s name or enable the prefix removal function. The removal is needed if you use a 0 to take a line AND this 0 is transmited in the CDRs. Most of the PBX does nt send this number in the CDR even if you re using it on the extension. (ALCATEL-LUCENT OXO) Click on Apply to change the settings. D- Setup tariffs to use PBX Cost Used if the PBX calculates the cost of the call and sends it in the SMDR only. Use the button to access the site s main tariffs setup page. Click on the button Change accounting type to enable this feature. Page 13 sur 29
14 Select PBX Cost, then check the box Sale Inc Tax. Click on Apply to save the changes. NB: The PBX must be able to compute the cost AND transmit this information in the SMDR. 1- Add an extension in the directory The button opens the site s directory page and allows to manage levels and extensions To add a sub level, you have to do a right click on an existing level and select Create a sub level. Enter the level s name, and then click on Add. To add an extension, select the level on the left, and then click on Add an extension. Enter the physical number of the extension (mandatory) then click on Add. For more details on the directory management; please see the user s guide. 2- Additional information WARNING : As long as an extension is not created, SMDR will not be stored for it. The Auto generation feature allows only detecting the extensions not present in the software directory for which SMDR are received. And likewise if extensions as not done calls it will not appears in the Auto generation feature. You can also import the lvls and extensions from an Excel or CSV file. Don t forget to check your directory and if all the extensions needed are created. Page 14 sur 29
15 III- GT-CONNECTOR Setup of the PBX and GT Software On Firefox use the URL: Open a session by using the account «admin / admin» At the first connection the following screen appears Once the credentials entered, click on Connection or hit Enter Click on the combo box Brand to select a model and the following data will appear: A- PBX link setup Page 15 sur 29
16 For sample if you use an Alcatel-Lucent OXO with hotel features, you should use the address because the communication driver (O.L.D.) is on the same computer. For other PBX enter the communication parameters. (Use the help notes if available) Advanced parameters should not be changed without the provider s advice. - Allows modifying advanced features, only expert users should change the settings here. If everything is ok, click on Apply to save the parameters and the connection will try to start. B- Register the connector Enter the ID of the site that will be linked to the connector (0001 in this sample) Then click on Register to launch the process. Wait for the process to end, and then you will be redirected to the main page of the GT-CONNECTOR module. Page 16 sur 29
17 If the connection is working, the state will be in green, otherwise you will have red or orange sentence with some detail on the error cached. Check your settings / environment to get rid of the errors and once it s working you can follow the next steps. C- Check data reception Go in the menu Maintenance and check in the live logs if you see data for the calls. If not, first make an answered outgoing call to be sure that data should be present. More information will be available in the PBX dedicated help notes provide with the software. IV- GT-REPORT A- DHM Test, Check-in on a Room To test the DHM features, you will have to execute a Check-In on a room. Launch Firefox with the shortcut «WEB GT-REPORT» or enter the URL The login / password by default are «admin / admin» Enter the credentials then click on Connection After the connection the following page appears: Page 17 sur 29
18 Click on Customer CheckIn Click on the button select (best if the extension is near to do the tests). The selected extensions will appear in the bottom list, click then on Check-in to enter the stay s data. Page 18 sur 29
19 B- Calls test After opening the room if no error were displayed, use the extensions to make an outgoing external call. You should be able to do it, and a call with a cost should appear on the room in the software with a cost. For the tests, please use the PBX specific document if available. C- Check the SMDR Simply navigate in the report module s home feature. Then click on the extension button D- Guest departure (CheckOut) On a busy room click on the bottom button Wait a few seconds, and then try to do an outgoing call again. You should not be able to do it. V- Advanced settings A- s To enable mails from the software, you have to enter the SMTP settings in the menu MAILS/SMTP of the GT- CENTRAL module. Fill the information according to the SMTP server (please see with the SMTP administrator) NB: SENDER Name of the mail s sender. BE CAREFUL some SMTP server is restrictive and will not send mail for address which doesn t belong to them. Remember to at the end of the sender to avoid rejects. Page 19 sur 29
20 B- Tariffs The software can handle several tariffs grids and can link them to the directory s levels (default: sites). If a level has not a tariff defined, he will use the parent s level s tariffs.. By default all levels will use the tariffs linked to their site. All sites can share the same tariff (to simplify changes jobs) or use each one a different tariff. 1- Add a tariffs grid to the software The software is provided with default grid, sorted by country. To add a new operator, go in the menu Tariffs of the CENTRAL module. On top of the page: Click on the button import: The pop display the available items: - Folders. - Files of the current folder. Navigate and selected the wanted tariffs, the following confirm message will appear: Wait while the file is being imported: Click on Continue to start the process. Page 20 sur 29
21 Once the import finished the new operator will appear in the global operator s list available in the menu Tariffs. BE CAREFUL, you have to link new operators to a level in order to use them. To link the operator to a level use: Click on the line Link a level to the operator The directory view will appear Select the item and click on Apply. Repeat for each level you want to link. NB: children levels will automatically use the parent tariffs if you don t link a specific one to them. 2- Save an operator If you have manually changed an operator (prices modifications for sample), you can save the grid in a file to use it for another install or if you need to reinstall the software later. Go in the Tariffs menu of the CENTRAL module. On the line of the operator at the right end click on You will be asked to save the file Page 21 sur 29
22 3- Delete an operator Go in the Tariffs menu of the CENTRAL module. On the line of the operator at the right end click on BE CAREFUL, as displayed in the confirm message, if levels have no tariffs, computation of the calls will fail. 4- Edit a tariff 4.1 Operator general settings You can change the data of the operator: prefixes, taxes, name. 0 prefix here represents the start of national (and local) phone numbers and allows to search for an operator during calls computation. He will replace the character X entered in the destinations. 00 prefix here represents the start of international phone numbers and allows to search for an operator during calls computation. He will replace the character Y entered in the destinations. The checkbox Special N defines if the operator must handle the phone numbers without prefix (short numbers) only one operator can handle the special numbers for one level. Click on Modify to save the changes. 4.2 Change accounting type You can change the global accounting type of an operator by using the button change accounting type. The software can handle the computations in 3 different ways: Duration: based on the start of the phone number and the duration of the call. Pulse: (must be sent in the SMDR). The software will multiply the number of pulse by the cost defined in the operators. SMDR Cost: (must be sent in the SMDR), the software will only report the cost computed by the PBX. Page 22 sur 29
23 Select the mode by checking the box. For Duration you have nothing to change. For pulse you will have to enter the pulse costs: See the dedicated chapter to know how to enter the value (later in the. For Cost, you can select the field linked to the cost (use sales field for an hotel mode) and you may had a margin %: 4.3. Apply a margin The software is able to add a margin on the purchase costs to compute the sale costs. You define a percentage for the margin in the tariff s management windows, click on: The following popup will appear: Page 23 sur 29
24 The option Purchase cost = Sale cost will apply a 0% margin and only use the taxes rate to compute the costs. The second option will let you define a % for the margin and will also add the taxes. E.g.: a 100% margin will double the price (and add the taxes). - Click on Apply the margin to start the process Understanding the tariffs management To compute the cost for a call, the software will do the following operations: The software use the operators linked to the level which contains the call s extension. To select the operator the software will use the prefix (start of the number). If an operator as a prefix defined which match the start of the number, he will be used for all the following operations. If no operator is found the software will try with the one handling the special number (search without prefix). Once an operator found, the software will search in all the destinations of this operator the longest matching the start of the number. If a destination is found, the cost defined for the zone containing this destination will be used. All destinations with the same costs can be grouped in the same zone. E.g.: For a French s operator, the destinations X1, X2, X3, X4, X5 (national calls) will be grouped in the NATIONAL ZONE because they share the same prices a. Zones management Zones are divided by types. Types are only here to ease the tariffs management and some statistics (product related): The zone s type will not have an impact on the costs computation. By clicking on one of the tab, the zone defined for the type will appear. At the bottom of the list, the available actions: Delete: delete the zone and delete the link with the destinations that were in it. Be careful, while a destination is not linked to a zone, the cost will not computed for the calls matching. Modify: to change zone s name. New zone: to add a new zone (a name will be asked). NB1: When creating a zone all cost will be set to 0 and the accounting mode will be duration. Page 24 sur 29
25 NB2: you can manage accounting mode zone by zone. Eg: some zones defined in duration and others with pulse. If you use the global action Change call accounting all zones will be set to the one used b. Manage a zone s destination After clicking on the zone a the detailed information will appears On the bottom a frame Zone s destination will be displayed. A destination contains two information: A name (not unique, several zones can share the same). A destination value (prefix unique for an operator) that will be used to search the tariffs for a phone number. NB: X is the operator s prefix and Y the operator s international prefix, during the search the values will be replaced by the one defined in the global settings of the operator.. By selecting a destination in the list (check the box) you can remove it from the zone (if you need to affect it to another zone). The destination will not be deleted, and will be available to link it to another zone. To add a new destination to the zone click on: The following popup will appear: Enter the data and click on Apply. If an error is detected a message will be displayed (duplicate entry, wrong format) and the destination will not be added. To link existing destinations use the button: Page 25 sur 29
26 Use the following screen: Search the destination, click the box of the lines you want to add to the zone, and then click on Link. Real destination delete will be done with this popup. Duration: 4.4. c. Change a zone s costs Behind, the list of the field to fill (Purchase): - COST EX TAX : Price to bill for the duration in seconds defined in Step - STEP: Billing interval in seconds (a 60 s step mean that the price will be applied every minute) - DURATION: Duration for which the step will be repeated. By default duration equal -1 meaning infinite. If you specify duration the next line will be used for the remaining time to bill on the call. - E.g.: To bill 1$ by minute, you will enter 1 in cost, 60 in step and -1 in duration. - Eg2: To bill 0.15 $ for 10 seconds the first 30 seconds and then 1$ by minute, you will enter : Line 1 : 0.15;10;30 and on the second line : 1;60;-1 You can also add a connection cost by checking the box and typing the value. This amount will be added on every answered outgoing call. Page 26 sur 29
27 For sales costs, the rules are the same, you will simply use the Cost Inc Tax instead. Pulse: By default, you just have to enter the value of one pulse in the field Cost Ex Tax on the first line. You can use step if want to use a regressive tariff for longer calls (use a value greater than 0) and then use the second line. As for duration, the rules are the same for Sale costs. PBX Cost: Here you define the field to link to the PBX cost (most often the Sale Inc. Tax). You can also add a margin by entering a % value Users management Access to the software and some features are restricted with privileges. By default the software has an account named Admin with all privileges. For each module, only one access is allowed for the same account. It s important in case of multi-users to create an account for each. Management is done in the Users menu of the module CENTRAL 4.5. a. Profiles Privileges are defined for a profile (users group). By default a profile ADMIN is created with all the privileges. This profile cannot be deleted. You can add / modify / delete others profiles. Page 27 sur 29
28 4.5. b. Users Display the users of the selected profiles. You can also change the settings for the numbers mask here (defined for the profiles) Use the value 0 to disable the feature c. Authorizations You can delete, edit, add or change the password of a user with the actions at the end of the line. In this Tab you can define the privileges on the features of the software. Each line contains a description on the privileges. Select the privileges to edit by checking the box, then click on the bottom button Allow or Deny. 4.6 Sites management For each site defined in the software you will get a frame with a light summary of the data configured. 29 Description: : The top bar displays the ID and name of the site for the software. Give the ID of the connector linked (CAREFUL IT S NOT ALWAYS THE SAME). The second line reminds the name of the default operator for the site. Numbers of extensions defined in the directory of the site. Access to the directory Acces to the main tariff Agent s settings Allow to reset the base settings. THIS FEATURE SHOULD NOT BE USED WITHOUT THE PROVIDER S SUPPORT.
