CTERA Agent is a software application you can use to back up and sync files to the cloud, optionally via on-premises network attached storage devices. You can connect CTERA Agent directly to the CTERA Portal, or to a CTERA Cloud Storage Gateway which backs up and syncs files to the CTERA Portal. CTERA Portal provides cloud-based backup, enterprise file sync and share (EFSS), and disaster recovery services. CTERA Cloud Storage Gateways are Network Attached Storage devices that provide additional on-premises backup and disaster recovery, and FSS over the local network. CTERA Cloud Storage Gateways back up and sync files to the CTERA Portal. Together, CTERA Agent, CTERA Portal, and CTERA Cloud Storage Gateways comprise CTERA's complete Cloud Attached Storage solution. Automated differential backup and restore functions include block-level de-duplication, compression, and encryption technologies, ensuring secure and efficient synchronization between the cloud storage service and the CTERA Cloud Storage Gateway or CTERA Agent-installed computer. 6 About CTERA Agent CTERA AGENT MODES CTERA Agent functions in either of two modes: Gateway Mode (on page 27). In Gateway mode, CTERA Agent is signed into your account on a CTERA Cloud Storage Gateway. You can back up files, applications and/or your hard disk to the gateway. The gateway can also be connected to a portal and you can back up your data to the portal. Cloud Mode (on page 75). In Cloud mode, CTERA Agent is signed into your account on the CTERA Portal. If you are subscribed to the CTERA Portal Cloud Backup service, you can use your agent to back up files from your agent-installed computer to your portal account. If you are subscribed to the Cloud Drive service, you can use your agent to sync to files on your portal Cloud Drive and share those files. HOW DO I MANAGE AND MONITOR CTERA AGENT? There are several management options: Each end user can manage CTERA Agent from each workstation or server running CTERA Agent. For agents used in Gateway mode, Cloud Storage Gateway administrators can manage each user's CTERA agent from the Cloud Storage Gateway web interface. As a Cloud Storage Gateway administrator, you can restrict end users' management access to CTERA Agent. For agents used in Cloud mode, CTERA Portal administrators can manage each user's CTERA Agent from the CTERA Portal Web interface. IS THERE A MOBILE VERSION? Yes. CTERA Agent is intended for desktops, laptops and servers. CTERA also offers CTERA Mobile for mobile devices. CTERA Agent for Windows 4

7 About CTERA Agent WHAT CAN I DO WITH CTERA AGENT IN GATEWAY MODE? You can install CTERA Agent on workstations and servers and use it to back up data and applications and to perform disk-level (bare metal) backup and system state backup. CTERA Agent supports the following versions of Windows and the following backup types per version. 8 About CTERA Agent VIEWING THE AGENT STATUS The CTERA Agent screen shows you which types of backup are available and gives you controls for performing an unscheduled backup or restoring from backup files. It tells you when the next backup is scheduled to run. In Cloud Mode, the screen also shows you the sync status of the Cloud Drive and gives you controls for opening the local Cloud Drive folder and viewing the Cloud Drive online. To view the CTERA Agent's status, click the CTERA Agent tray icon in the system tray. CTERA Agent for Windows 6

9 About CTERA Agent VIEWING AGENT DETAILS You can view CTERA Agent details, including its version, the operating system on which it is installed, and copyright information. To view CTERA Agent details, right-click the CTERA Agent tray icon in the system tray, and click About. To view the end user license agreement and services agreement, click Legal Information. To close the license agreement window, click OK. CTERA Agent for Windows 7

11 2 INSTALLING CTERA AGENT In This Chapter Before You Begin Download CTERA Agent Install CTERA Agent BEFORE YOU BEGIN Make sure your computer meets the system requirements (see "Supported Operating Systems" on page 9) for installing CTERA Agent. If necessary, install an internet browser (see "Supported Browsers" on page 10) that supports CTERA Agent. Open the ports on your firewall (see "Opening Ports on Your Firewall" on page 10) that you'll need open for connecting the agent to a CTERA Cloud Storage Gateway or CTERA Portal. Supported Operating Systems The CTERA Agent can be installed on the following operating systems: Workstation Agent: Microsoft Windows 7 Microsoft Windows 8 Microsoft Windows 8.1 Microsoft Windows 10 Server Agent: Microsoft Windows Server 2008 Microsoft Windows Server 2008 R2 Microsoft Windows Server 2012 CTERA Agent for Windows 9

12 Installing CTERA Agent Supported Browsers CTERA Agent is managed through a web-based interface. You will need one of the following Internet browsers to manage your CTERA Agent: Microsoft Internet Explorer 11.0 or later Mozilla Firefox - two latest versions Apple Safari (Mac) - two latest versions Google Chrome - two latest versions Opening Ports on Your Firewall In Gateway mode (connected to a Cloud Storage Gateway), the Agent establishes a connection to the gateway using TCP port 995 and 873. This means that in order to allow roaming PCs and remote offices which are located outside your network to access the gateway for backup, you must open your firewall for the network where the CTERA cloud gateway is located, to allow incoming TCP ports 995 and 873 to the CTERA cloud gateway. In Cloud mode (connected to CTERA Portal), the Agent establishes a connection to the CTERA Portal using TCP port 995. You do not need to open any incoming ports. DOWNLOAD CTERA AGENT You can download CTERA Agent from support.ctera.com, from CTERA Portal (see "From CTERA Portal" on page 10), or from any CTERA Cloud Storage Gateway (see "From your Cloud Storage Gateway" on page 11). From CTERA Portal 1 From CTERA Portal, click Install Agent. You can do this from the bottom left of the CTERA Portal sign-in page or from the same place on the page when logged into the portal. The CTERA Agent installation file is downloaded to your computer. CTERA Agent for Windows 10

13 Installing CTERA Agent 2 If your browser asks you if you want to save the file to your computer, choose to save it. From your Cloud Storage Gateway 1 Log into your CTERA Cloud Storage Gateway Web interface. 2 In the My Computers tab, under Download Agent, click Windows. The CTERA Agent installation file is downloaded to your computer. 3 If your browser asks you if you want to save the file to your computer, choose to save it. CTERA Agent for Windows 11

14 Installing CTERA Agent INSTALL CTERA AGENT 1 Double-click the CTERA Agent installation file. The CTERA Agent Setup Wizard opens. 2 Select one of the following: Standard. A single Agent configuration will be shared by all users of the computer. Only users who have Backup Operator permission can configure the Agent and perform backup and restore operations. Multi-User. The Agent is installed separately for each user the first time the user logs in to the computer. Each user has an independent Agent configuration, and can connect to a different Cloud Storage Gateway or CTERA Portal than the other users. Each user has permission to manage their own Agent and can perform backup and restore operations for any files for which they have read/write permissions. Each user s Agent remains connected to the cloud and continues to perform its scheduled backups and synchronizations in the background, even when the user is not logged in. 15 Installing CTERA Agent Tip In multi-user mode, since each user has an independent Agent, the Agents appear as separate Agent objects in the portal/gateway. Each user is licensed separately. 3 Click Next. Read the End User License Agreement, choose I Agree, and then click Next to proceed. 4 Optionally, edit the folder path. Click Next. 16 Installing CTERA Agent 5 Click Next again to start the installation. The wizard displays the progress of the CTERA Agent installation: 6 When the installation is complete, click Close. CTERA Agent for Windows 14

17 Installing CTERA Agent An icon on the Desktop: is installed on the Windows taskbar. The Welcome to CTERA Agent window appears Tip The first time you open the Chrome browser after you install CTERA Agent, a plug-in notification appears. Approve the notification to enable the Edit files directly from your browser feature. This feature is described in Desktop Integration (on page 87). CTERA Agent for Windows 15

19 3 CENTRALLY INSTALLING CTERA AGENT VIA ACTIVE DIRECTORY The following procedure describes installation using a Windows 2008 Active Directory domain. It is relevant for both Windows Server 2008 and Windows Server Perform the following steps to prepare the CTERA Agent installation file for central use: a On the Active Directory machine, create a shared folder called Agent under C:\. b Copy the CTERA Agent installation file to C:\Agent. c Right-click the folder, and then click Properties. 22 Centrally Installing CTERA Agent via Active Directory e Perform the following steps or each user or user group for which you would like to install CTERA Agent: 1 Specify the desired user/group, either by typing the user/group's name in the field, or by clicking the drop-down list arrow and then clicking Find people. To enable installing CTERA Agent for all users/groups, type "Everyone". 2 Click Add. The user/group appears in the file sharing list. 3 In the user/group's row, click on the arrow in the Permission Level column, then click Read. 4 Click Share. The File Sharing dialog box displays a success message: f Click Done. g Click Close. 2 Create a policy that controls the installation of CTERA Agent: a In the Start menu, select Administrative Tools > Group Policy Management. 23 Centrally Installing CTERA Agent via Active Directory The Group Policy Management Console opens: This console enables you to create domain-wide policies or policies for specific organizational units. b In the navigation pane, right-click the domain or organizational unit for which you want to create the policy, then select Create a new GPO in this domain and Link it here. The New GPO dialog box appears: c Enter a name for the policy, then click OK. d In the navigation pane, select the policy you created. CTERA Agent for Windows 21

24 Centrally Installing CTERA Agent via Active Directory The policy appears in the right pane. e In the Security Filtering area, perform the following steps for each user or user group for which you would like to install CTERA Agent: 1 Click Add. The Select User, Computer, or Group dialog box appears. 2 In the Enter the object name to select area, type the name of the user/group. To enable installing CTERA Agent for all users/groups, type Everyone. 3 Click OK. f In the navigation pane, right-click the policy you created, then select Edit. CTERA Agent for Windows 22

25 Centrally Installing CTERA Agent via Active Directory The Group Policy Management Editor opens. g In the navigation pane, expand User Configuration > Policies > Software Settings. h Right-click Software Installations, then select New > Package. The Open dialog box appears. i Specify the network location of the shared folder containing the CTERA Agent installation file that you created in step 1. CTERA Agent for Windows 23

26 Centrally Installing CTERA Agent via Active Directory You can view the network location of the shared folder in the folder's Properties dialog box, in the Sharing tab. j In the Open dialog box, click Open. The Deploy Software dialog box appears: k Select Assigned. This option ensures that when a user or group specified in the policy's Security Filtering area logs in to the domain, CTERA Agent is automatically installed on the user or group's computer. l Click OK. CTERA Agent for Windows 24

27 Centrally Installing CTERA Agent via Active Directory 3 Add the ctera-agent.adm file to Domain Group Policy as an administrative template using the following steps: Tip The ctera-agent.adm file contains the agent deployment settings. a Open the Group Policy Object Editor. b In the navigation pane, right-click Administrative Templates, then select Add/Remove Templates. The Policy Templates window opens. c Select the ctera-agent.adm file and click Open. CTERA Agent for Windows 25

28 Centrally Installing CTERA Agent via Active Directory The Enable CTERA Agent automatic deployment Properties dialog box opens. d In the Sign into server field, type the fully qualified DNS name of the CTERA Portal or Cloud Storage Gateway to which the CTERA Agent should connect. e Click OK. CTERA Cloud Storage Gateways are network-attached storage (NAS) devices. Multiple CTERA Agents can be connected to each gateway. When an agent is connected to a gateway, the agent can back up data files, applications, and hard disks to the gateway for on-premises back up storage. The gateway can back up to the CTERA Portal, so your data is stored in the cloud as well as on the gateway. CTERA Agent for Windows 27

30 Gateway Mode CTERA AGENT LICENSING IN GATEWAY MODE When the CTERA Agent is installed on a Windows workstation operating system, it consumes one CTERA Workstation Backup license. When the CTERA Agent is installed on a Windows server operating system, it consumes one CTERA Server Agent license. Tip A license is taken for as long as an agent is defined in the cloud storage gateway. If you are no longer using an agent, you can delete the agent entry from the cloud storage gateway to regain its license. CONNECTING TO THE CLOUD STORAGE GATEWAY Overview To start backing up files, applications, or your hard disk to your CTERA Cloud Storage Gateway, you need to connect your CTERA Agent to your CTERA Cloud Storage Gateway. You can connect to the Cloud Storage Gateway over a local network or over the internet. The first time you connect the agent to the Cloud Storage Gateway, you sign in with your Cloud Storage Gateway account credentials. Your Cloud Storage Gateway user account is registered on the gateway as the agent's owner. Obtain a Cloud Storage Gateway Account Ask the Cloud Storage Gateway administrator for a user account for connecting to the gateway. Sign In 1 On the taskbar, click the CTERA Agent tray icon. CTERA Agent for Windows 28

31 Gateway Mode The Welcome to CTERA Agent window appears: 2 Enter the address of the Cloud Storage Gateway. To connect to the gateway locally, enter the gateway's host name or IP address. For example, for the C200 you might enter: C200-<xxxx>. To connect to the gateway over the internet, enter the gateway's DNS name. 3 Click Continue. CTERA Agent for Windows 29

32 Gateway Mode The sign-in window appears: 4 Enter your username and password for accessing the Cloud Storage Gateway, and then click Sign in. The CTERA Agent tray icon changes to, and the CTERA Agent window opens. CTERA Agent for Windows 30

33 Gateway Mode A shortcut to the files on the Cloud Storage Gateway is created automatically on your desktop: ACCESSING SETTINGS Overview When the CTERA Agent is connected to a CTERA Cloud Storage Gateway, it is managed via the CTERA Agent Editor in the CTERA Cloud Storage Gateway's web interface. The CTERA Cloud Storage Gateway administrator can choose whether to give access to end users to configure their agent. If end users are not given access to configure their agent, only the CTERA Cloud Storage Gateway administrator can select which files are backed up by the CTERA Agent from each end user's computer to the CTERA Cloud Storage Gateway. The end users cannot select files for backing locally, nor can they configure agent settings via the Cloud Storage Gateway web interface. However, they can still initiate backup and restore operations. If end users are given access to configure their agent, then the end user can select which local files are backed up. Each Cloud Storage Gateway contains a set of global agent settings which are applied by default to all agents connected to the gateway. Global agent settings can be overridden for each agent. Accessing the CTERA Agent Editor 1 Right-click the CTERA Agent tray icon in the system tray, and then select Settings. If you are not yet logged in to the Cloud Storage Gateway web interface, the Log In page appears. 2 Enter your username and password, then click Log In. CTERA Agent for Windows 31

34 Gateway Mode The Cloud Storage Gateway Web interface opens, displaying the CTERA Agent editor. Enabling End Users to Configure Their Agents 1 Make sure the user has the Back up files and directories privilege in the Windows OS. Users in the groups Administrators, Backup Operators, and Domain Administrators have this privilege by default. If the user does not have the Back up files and directories privilege, an administrator can assign the user these privileges: a Click Control Panel > Administrative Tools > Local Security Policy > Local Policies > User Rights Assignment > Back up files and directories. (The path may vary depending which version of Windows you are running.) b Add the user. 2 Log in to the Cloud Storage Gateway web interface as an administrative user. For instructions on opening the web interface from your specific operating system, see the Cloud Storage Gateway User Guide. 3 In the Configuration tab's navigation pane, click Local Backup > CTERA Agents. 4 Click Global Settings CTERA Agent for Windows 32

35 Gateway Mode The Global Agents Settings window opens, displaying the Settings page. 5 Check Allow user to configure the agent. 6 Click Save. Toggling Global Agent Settings Off and On Global Agent settings are settings defined on the Cloud Storage Gateway that can be applied globally to all CTERA Agents. These settings include automatic file-level and disk-level backup scheduling, the target network share on the cloud storage gateway, and the type of files to back up. You can override or specify the use of global agent settings for each agent. 1 In the CTERA Agent editor, in the navigation pane, click the tab for the type of settings you want to change: Settings, File-level backup, or Disk-level backup. 36 Gateway Mode The page opens for the tab you selected, with an option at the top of the page for overriding or specifying the use of global agent settings: 2 Click Override to change the settings as needed. 3 To revert to global settings, click Use global settings. Tip Cloud Storage Gateway administrators can modify the global settings in the Cloud Storage Gateway's web interface: In the Configuration tab, select Local Backup > CTERA Agents, and then click Global Settings. 37 Gateway Mode CONFIGURING DESKTOP INTEGRATION SETTINGS 1 In the CTERA Agent editor, select the Desktop Integration tab. a Overlay icons on files and folders. Select this option to overlay CTERA backup icons on files and folders in Windows Explorer. Files and folders that are selected for backup will be overlaid with the icon in Windows Explorer. Folders for which only part of the contents are selected for backup will be marked with the icon. b Show notification on backup start. Select this option to display a pop-up notification above the CTERA Agent tray icon, when backup starts. c Show notification on backup end. Select this option to display a pop-up notification above the CTERA Agent tray icon, when backup ends. d Show notification on backup fail. Select this option to display a pop-up notification above the CTERA Agent tray icon, if and when backup fails. 2 Make changes as desired and click Save. CTERA Agent for Windows 35

38 Gateway Mode ENABLING/DISABLING SSL CONNECTION TO THE GATEWAY This setting controls when the CTERA Agent uses Transport Level Security (SSL/TLS) to encrypt connections to the CTERA Gateway. 1 In the CTERA Agent editor, select the Settings tab. 2 Click Override to override the global general settings. Tip You can revert to global general settings at any time, by clicking Use global settings. 3 In the Use SSL Connection dropdown box, select one of the following: Enabled. The CTERA Agent will use TLS. Disabled. The CTERA Agent will not use TLS. CTERA Agent for Windows 36

39 Gateway Mode Automatic (Default). The CTERA Agent will not use TLS when in the same LAN as the Cloud Storage Gateway, and will use TLS when not in the same LAN as the Cloud Storage Gateway. 4 Click Save. BACKING UP FILES Overview CTERA Agent enables you to back up files and folders from the local computer to the Cloud Storage Gateway. The agent can back up both unlocked and locked files. The files can later be restored as needed. The files and folders from the CTERA Agent-enabled computer are backed up to a share on the Cloud Storage Gateway. This is called the destination share (see "Selecting the Destination Share" on page 38). Subdirectories are automatically created under this network share for each backed up folder. By default, file backup is scheduled to run every 24 hours. Enabling Backup 1 In the CTERA Agent editor, select the File-level Backup tab. 2 Click Override to override the global settings for file-level backup. CTERA Agent for Windows 37

40 Gateway Mode Global settings include the file-level backup schedule. Tip You can revert to global file-level backup settings at any time, by clicking Use global settings. 3 To enable backup, check the Enable file-level backup check box. To disable backup, deselect the Enable file-level backup check box. 4 Click Save. Selecting the Destination Share 1 In the CTERA Agent editor, select the Settings tab. 2 Make sure that global agent settings are overridden. 3 In the Destination Share drop-down list, select the local Cloud Storage Gateway network share with which the files and folders from the CTERA Agent-enabled computer should be backed up. Subdirectories will automatically be created under this network share for each backed up folder. 4 Click Save. Selecting Files for Backup You can select which files are backed up to the Cloud Storage Gateway, either from Windows Explorer or from the CTERA Agent Editor. CTERA Agent for Windows 38

41 Gateway Mode Scheduling Backup 1 In the CTERA Agent editor, select the File-level Backup tab. 2 Make sure that global agent settings are overridden. 3 Click Schedule. 4 Select the desired options to configure a schedule: a Manual Only: Choose this option to disable automatic backups. b Periodically: Choose this option to specify that automatic backups should be performed every certain number of hours. c Start Every: Specify the interval between backups, in hours. d Specific Time: Choose this option to specify that automatic backups should be performed at a certain hour on certain days. e Start Time: Select the hour at which backups should start. CTERA Agent for Windows 39

42 Gateway Mode f On Days: Specify on which days backups should occur, by selecting the relevant check boxes or clicking Every Day. 5 Click OK. 6 Click Save to save your changes. Backing Up at Any Time 1 Click the CTERA Agent tray icon ( ). The CTERA Agent window appears. 2 Click Backup now. A progress bar appears that displays the progress of the backup to the Cloud Storage Gateway in both the number of files and bytes remaining. CTERA Agent for Windows 40

43 Gateway Mode Stopping the Current Backup 1 Click the CTERA Agent tray icon ( ). The CTERA Agent window appears. 2 Click Cancel. The current backup operation is stopped. Suspending Backup Suspending backup suspends any currently running local backup and all scheduled automatic local backups. To suspend local backup Right-click the CTERA Agent tray icon in the system tray ( ), and click Suspend Backup. If local backup is currently running, it is paused. 44 Gateway Mode BACKING UP APPLICATIONS Overview Application backup backs up applications without the need to specify each file that belongs to the application. You can back up the following server applications: Microsoft SQL Server Microsoft Exchange Microsoft Active Directory Microsoft SharePoint Microsoft Hyper-V Tip Application backup utilizes Microsoft s Volume Shadow Copy Service (VSS). VSS enables backups that are point-in-time and application-level consistent. Tip To enable backup and restore of Microsoft SharePoint, you need to enable the Windows SharePoint Services VSS Writer service by running the following command on the SharePoint server: stsadm -o registerwsswriter The backed up applications can later be restored (see "Restoring Applications from Application Backup" on page 52) as needed. Microsoft SQL Server backup is done through the SQL Server Backup menu, as described in Backing Up and Restoring Microsoft SQL Server. Most types of application backup are done through the file-level backup interface and are scheduled (see "Scheduling Backup" on page 39) together with all file-level backup. It is backed up to the same destination share (see "Selecting the Destination Share" on page 38) that all files are backed up to. It is included in any manual file-level backup (see "Backing Up at Any Time" on page 40). For most applications, see Enabling/Disabling Backup (see "Enabling Backup" on page 37) and Selecting Applications for Backup (on page 43) for instructions. CTERA Agent for Windows 42

45 Gateway Mode Enabling Backup 1 In the CTERA Agent editor, select the File-level Backup tab. 2 Click Override to override the global settings for file-level backup. Global settings include the file-level backup schedule. Tip You can revert to global file-level backup settings at any time, by clicking Use global settings. 3 To enable backup, check the Enable file-level backup check box. To disable backup, deselect the Enable file-level backup check box. 4 Click Save. Selecting Applications for Backup 1 In the CTERA Agent Editor, select the File-level Backup tab. 2 Make sure that global agent settings are overwritten. 3 Click Applications to Back Up. To back up Microsoft Hyper-V VMs, check the check boxes next to the VMs you would like to back up, or check the Microsoft Hyper-V VSS Writer check box to select all VMs. To back up Microsoft SQL server, select each database you want to back up. To back up Microsoft Exchange Server, select the mailbox database you want to back up. 5 Click OK and then Save. 47 Gateway Mode DISK LEVEL BACKUP What is Disk-Level Backup? Disk-level backup means backing up an image of the computer's hard drives. It is also known as bare-metal backup. In the event of an operating system error or hard drive failure, disk-level backup enables full restore of the exact state of the system. You can even restore to dissimilar hardware, provided it has sufficient disk space, or to a virtual machine (VM). Which Operating Systems Support Disk-Level Backup? You can use CTERA Agent for disk-level backup on the following operating systems: Microsoft Windows 7, except Windows 7 Home Premium and Windows 7 Home Basic Microsoft Windows 8 Microsoft Windows 8.1 Microsoft Windows 10 Microsoft Windows Server 2008 Microsoft Windows Server 2008 R2 Microsoft Windows Server 2012 Microsoft Windows Server 2012 R2 Tip Disk-level backup is not supported on Windows 7 Home Premium or Windows 7 Home Basic. How Can I Get the Full Benefit of Disk-level Backup? For local backup for fast restore, you can configure CTERA Agent to back up your computer's hard drives to your Cloud Storage Gateway. For complete disaster protection, you can additionally configure your gateway to back up your disk-level backup to the CTERA Portal, using the Cloud Backup service. CTERA s advanced deduplication efficiently handles the disk-level backups, ensuring that only differences are sent over the Internet. CTERA Agent for Windows 45

48 Gateway Mode What's the Storage Format? Disk-level backups are stored using the industry-standard Virtual Hard Disk (VHD) file format. VHD files can be mounted using standard tools to allow extraction of individual files and folders, and it is even possible to run the VHD disk image on a virtual machine (VM) for immediate disaster recovery after hardware failures. Configuring Disk Level Backup 1 Make sure that the computer running CTERA Agent has access to the CTERA Cloud Storage Gateway using Windows File Sharing. Disk-level backup operates over the Windows File Sharing protocol (CIFS). 2 In the CTERA Agent Editor, select Disk-level Backup. 3 Click Override to override the global settings for disk-level backup. Global settings include whether disk-level backup is enabled, as well as the disk-level backup schedule. 4 Select Enable disk-level backup. 5 Click Schedule, then configure scheduling for disk-level backup. 49 Gateway Mode The default scheduling setting for disk-level backup is Every 24 hours. 6 Click Volumes to back up, then select the hard drives you want to back up. Tip Disk-level backup does not support backing up volumes larger than 2TB. 7 Click Save. Enabling Incremental Disk-Level Backups 1 Connect to the Windows Server machine. 2 Open the Windows Server Backup. 3 Go to Actions > Optimize Backup Performance. 4 Choose Faster Backup Performance. 5 Connect to the CTERA Agent. 6 Run Disk-Level Backup. 7 Run Disk-Level Backup again. When the backup is complete, if you look in the Appliance Web interface at the Event Log > Log Viewer page and select Local Backup in the Select Topic drop-down list, you will see that the Transferred Size is much smaller than the Size. To restore an individual file 1 Download and install WinImage from 2 Use WinImage to open the disk-level backup file (a VHD file). 3 Copy the desired file from the disk-level backup to your computer. 57 Gateway Mode RESTORING A COMPUTER FROM DISK-LEVEL BACKUP Overview You can restore your computer from disk-level backup, using any of the following methods: Recovery via the Recovery Control Panel This option can be used to restore your system image to the same computer or a different one. It can only be used if the Control Panel is accessible. Recovery using a system repair or Windows installation disk If your computer is configured to start from a CD or DVD, and you have a system repair or Windows installation disk, then you can use the disk to restore your computer. Recovery using preinstalled recovery options Many computer manufacturers install preinstalled recovery options on your PC. This option should be used if the Control Panel is inaccessible, and preinstalled recovery options are already installed on your PC. Warning This procedure will replace all existing files, settings, and programs with those in the disk-level backup. Restoring Your Computer from the Recovery Control Panel Tip Use this procedure if you are able to access the Windows Control Panel. To restore your computer via the Recovery Control Panel 1 Click Start > Control Panel. 2 In the search box, type "recovery". 3 In the search results that appear, click Recovery. 4 Click Advanced recovery methods. 5 Click Use a system image you created earlier to recover your computer. 6 Do one of the following: If you want to backup your computer before starting the restore, click the Back Up Now button and you will be walked through creating a new backup. Otherwise, click Skip. 7 Click Restart. CTERA Agent for Windows 55

Restoring Your Computer Using System Repair/Windows Installation Disk To restore your computer using a system repair or Windows installation disk 1 Insert the installation disk or system repair disk. 2 Boot the computer from the inserted disk. 3 Choose your language settings. 4 Click Next. 5 If you are using a Windows installation disk, click Repair your computer. 6 Re-image your computer (see "Re-imaging Your Computer" on page 57). Restoring Your Computer Using Pre-Installed Recovery Options Tip Use this procedure if your PC manufacturer pre-installed recovery options on your PC. To restore your computer using pre-installed recovery options 1 Restart your computer. On operating systems other than Windows Vista, this step must be performed by pressing the computer's power button. 2 Do one of the following: If your computer has only one operating system installed, press the F8 key while your computer is restarting. You must press this key before the Windows logo appears. It is recommended to press it repeatedly, to ensure that you press it in time. If you do not succeed in pressing the key before the Windows logo appears, restart your computer and try again. CTERA Agent for Windows 56

Re-imaging Your Computer This procedure is performed in the context of restoring your entire computer from disk-level backup. CTERA AGENT LICENSING IN CLOUD MODE When the CTERA Agent is installed on a Windows Workstation operating system: If you are subscribed to the Cloud Backup service, the agent consumes one Workstation Backup license. If you are only subscribed to the Cloud Drive service, and not to the Cloud Backup service, your agent does not consume Workstation Backup licenses. CTERA Agent for Windows 75

78 Cloud Mode When the CTERA Agent is installed on a Windows Server operating system: The agent consumes one CTERA Server Agent license. Tip A license is taken for as long as an agent is defined in your CTERA Portal account. If you are no longer using an agent, you can delete the device to which the agent is connected from your CTERA Portal Account to regain its license. For instructions on deleting a device, see Deleting Devices Through the End-User Portal (on page 145). CONNECTING TO CTERA PORTAL 1 On the taskbar, right-click the CTERA Agent icon and select Open. The Welcome to CTERA Agent window opens. Tip In Windows 7, the CTERA Agent tray icon may be hidden. In this case, click the arrow in the notification area of the taskbar to reveal hidden icons: 2 Enter the address of the CTERA Portal using one of two options below: Enter the portal's DNS name. 85 Cloud Mode The CTERA Agent tray icon changes to, and the CTERA Agent screen opens. SETTING UP CONNECTION VIA A WEB PROXY The CTERA agent supports HTTPS proxies that support the CONNECT method. If you want CTERA agent to connect to the portal via a proxy, you can configure the proxy before you sign into the CTERA agent. The following proxy authentication schemes are supported: Basic NTLM NTLMv2 To set up a connection to the portal via a web proxy 1 In the Welcome to CTERA Agent window, click Advanced. 2 From the Proxy Settings dropdown list, select one of the following: CTERA Agent for Windows 83

86 Cloud Mode Use HTTP Proxy. The CTERA agent uses the proxy you configure to connect to the portal server. Auto. The CTERA agent attempts to automatically determine your proxy settings according to your Windows settings. Automatic proxy detection is based on the system-wide proxy settings, which are not the same as the Internet Explorer settings. In 64-bit Windows versions prior to Windows 8, configure the system proxy settings using this command: %WINDIR%\SysWOW64\netsh winhttp set proxy <settings> In all other Windows versions, configure the system proxy settings using the following command: netsh winhttp set proxy <settings> 3 If you selected Use HTTP proxy, complete the following: a Address. Type the address of the proxy server. b Port. Type the proxy server port number. c Proxy server requires a password. Check this box to specify that the proxy server requires authentication via a username and password. If checked, the username and password must be entered into the remaining fields. ACCESSING SETTINGS When using CTERA Agent in Cloud Mode (directly connected to CTERA Portal), configure the agent settings using the CTERA Agent web interface. Enabling Access In order to access the CTERA Agent web interface, a user must have Back up files and directories privileges. In Windows, only users in the Administrators, Backup Operators, and Domain Administrators groups have these privileges by default. To allow a user who does not belong to one of these groups access to the CTERA Agent web interface, make sure you are logged on as an administrator, and assign the user the Backup files and directories privilege. If a user does not have Back up files and directories privileges, an administrator can grant those privileges by adding the user to: Control Panel > Administrative Tools > Local Security Policy > Local Policies > User Rights Assignment > Back up files and directories Enabling and Disabling Remote Access 1 Right-click the CTERA Agent tasktray icon, and select Settings. The CTERA Agent Web interface opens. CTERA Agent for Windows 85

88 Cloud Mode 2 Select Advanced > Remote Access. 3 Slide the lever (a) to turn remote access on or off. When remote access is enabled, click the link (b) to access the CTERA Agent remotely. If the currently logged in user account does not have sufficient credentials to manage the CTERA Agent, a Login page appears. 89 Cloud Mode 2 The CTERA Agent Web interface opens in your Web browser, displaying the default Control Panel page. Logging Out In the CTERA Agent web interface status bar, click Logout. You are logged out of the CTERA Agent Web interface. DESKTOP INTEGRATION By default, CTERA Agent features are integrated into Windows for optimal convenience. These include notifications that pop up in Windows and icons that are overlaid on files and folders in Windows Explorer, to show you at a glance which files and folder are selected for backup. The notifications also include a device connection is not stable alert, in the event a device connects or disconnects from the agent every few minutes. You can disable and re-enable these desktop integration features. To configure desktop integration settings 1 In the CTERA Agent Settings window, click Advanced > Desktop Integration. 90 Cloud Mode 2 Change the settings according to your preferences: a Overlay icons on files and folders. Select this option to overlay CTERA backup and sync icons on files and folders in Windows Explorer. Files and folders that are selected for backup will be overlaid with the icon in Windows Explorer. Folders for which only part of the contents are selected for backup will be marked with the icon. Files and folders that are selected for sync will be overlaid with the icon. b Show notification on backup start. When this feature is enabled, you can select a file on the portal, click to edit the file, and the file is downloaded to your agent workstation for editing. When you are done editing, you save your changes, and the updated file is automatically uploaded to the portal. This feature requires Google Chrome. f Enable Outlook Plugin. 91 Cloud Mode CLOUD BACKUP Why Should I Use Cloud Backup? Backing up your important files enables you to protect them against future data loss. If the original data becomes corrupted or is accidentally deleted, or if your hard drive fails, you can restore the lost data from the backup. Traditional backup methods include CD/DVDs, external hard drives, tape units, and more. All of these methods are effective, though not necessarily efficient or convenient. The CTERA agent provides cloud backup, in which your files are automatically backed up to the cloud and stored remotely. Cloud backup offers numerous advantages over traditional backup methods: Simplicity Traditional backup methods require user intervention, complicating the backup process. You may have to insert CDs into drives, change tapes, or even manually initiate the backup. In contrast, cloud backup requires only a simple, one-time configuration. Once configured, cloud backup runs automatically according to your desired schedule, without any need for user intervention. Time Efficiency Due to cloud backup's simplicity of use, there is no need to waste time or effort backing up data. Your valuable time can be spent on other matters. Security In cloud backup, your data is automatically encrypted and fingerprinted. For even stronger security, you can configure a secret passphrase for accessing the backed up data. Versioning When using traditional backup, users often choose to maintain only the most recent version of their files, due to storage space restrictions. Cloud backup preserves multiple versions of your data, enabling you to restore the version of your choice. Storage Locations With traditional backup, your backed up data is usually stored in a single location (for example, in a stack of CDs in your office. This means that if a natural disaster strikes at that location (for example, a fire in your office), your data, along with all of the backups, will be lost. Cloud backup ensures that your data is stored in multiple locations. Restore Options CTERA Agent for Windows 89

92 Cloud Mode When using traditional backup, you must have access to the backup medium, in order to restore your data. In contrast, cloud backup offers multiple restore options, including restoring your data from anywhere by downloading it from the cloud backup site. For additional restore options, see What Restore Options Are Available? (on page 100). How Does the Cloud Backup Service Work? The first time cloud backup runs, the CTERA agent performs a full cloud backup for the selected folders. Depending on the size of your data set, this might take a long time. Subsequent backups are performed incrementally and normally take much less time than the initial backup. Only data that has actually changed is uploaded. CTERA uses data compression and data deduplication techniques to ensure that the backup happens as quickly and efficiently as possible. In addition to backing up your files, when cloud backup runs the configuration of your CTERA agent is automatically backed up to the CTERA Portal, from where it can be easily downloaded and used to restore your configuration settings, as needed. Is My Data Secure? In addition to using AES encrypted TLS (Transport Level Security) connections, the same security mechanism used by banks, all of your data is encrypted using 256-bit AES encryption and fingerprinted by 160 bit SHA-1 digest to ensure that your data is protected against eavesdroppers. For even stronger security, you can use a secret passphrase. If you use a secret passphrase, your data will not be readable by anyone or any entity (including CTERA) without knowledge of your secret passphrase. How do I Control Which Files will be Backed Up? Overview The particular set of files that is backed up when the Cloud Backup service runs is controlled by a combination of selection mechanisms: Backup Files These are files directly selected for backup. You can select entire folders or specific files. Backup Sets (see "Backup and Exclude Sets" on page 93) These are filters that you can define and enable which select files to include in the backup based on criteria of your choice, such as file type, location, modification date, and so on. 93 Cloud Mode These are filters that you can define and enable which select files to exclude from the backup based on criteria of your choice. These options can be used in combination. When all options are used, the CTERA agent determines the final set of files to include in a backup operation by performing the following checks for each file: 1 Checks whether the file is contained in an Exclude Set. If so, the file is skipped. 2 Checks whether the file is contained in a Backup Set. If so, the file is backed up. 3 Checks whether the file is contained in a folder that was selected for backup in the folder selection page. If so, the file is backed up. Selecting Backup Files from Windows Explorer 1 Browse to the desired files and/or folders. 2 Right-click each file or folder and select: CTERA Agent > Add to backup to select the file for backup, or CTERA Agent > Remove from backup to deselect the file from the backup selection. Tip An overlayed icon on a folder indicates that files in this folder are already selected for backup and new files and folders in this folder will be backed up. Selecting Backup Files in the CTERA Agent Web interface 1 Right-click the CTERA Agent icon in the windows task tray and select Settings. 94 Cloud Mode 3 Change the selection of files to back up, like this: a Expand the tree ("All Volumes") and navigate to any drives, folders or files you want to add or remove from the backup. b Select the check box next to any item you want to add to your backup. c Deselect the check box next to any item you want to remove from your backup. d Folders appear in the tree. e Files in each folder appear in the right pane when you select the folder. f The Selected Files field indicates the size of the files selected for backup. g The Cloud Storage Usage field indicates the amount of used space in your account after the next cloud backup operation (including backups from any other CTERA devices included in your account). h For example, let's say your account includes two devices, and each device will back up Click Save. MB worth of files in the next cloud backup operation, for a total of 200 MB. Your account already has 350 MB worth of files stored online. In this case, the Cloud Storage Usage field will display "550MB". Tip A folder icon with a plus sign together with a selected check box ( ) indicates that the folder and all of its sub-folders are selected for backup. A folder icon without a plus sign together with a selected check box ( ) indicates that some (but not all) of the folder s contents are selected for backup. 95 Cloud Mode Backup and Exclude Sets About Backup and Exclude Sets A Backup Set is a filter which includes files in a backup based on criteria of your choice. An Exclude Set is a filter which excludes files from a backup based on criteria of your choice. Each Backup Set or Exclude Set represents a group of files that will be included or excluded in a cloud backup, provided the Backup Set or Exclude Set is enabled. When you create a Backup Set or Exclude Set, you can specify files by extension type, name, location, size, and/or modification date. For example, you could create a Backup Set called "My Music" and include all files with the extensions *.wav and *.mp3 that are located in the folder My Documents > Music. If a file is included in a Backup Set and the Backup Set is enabled, it will be included in the backup even if it is not individually selected as a Backup File. If a file is included in an enabled Backup Set but is also included in an Exclude Set, the file will be excluded from the backup. Backup Sets and Exclude Sets can be enabled or disabled. When you create a new Backup Set or Exclude Set, it is enabled by default. Backup Set and Exclude Set Conditions The files to be included in a backup set are defined by a set of conditions that you create. Each individual condition is built of: a A Parameter. You can choose one of the following Parameters: File Name File Path File Type File Size File Modified b An Operator. The Operator will define a comparison to the Parameter. For each of the parameters, you can choose an operator according to the following table. c A Value which will be compared to the Parameter. Define conditions for a file to be included in the backup set, by doing the following for each condition: d Click Add condition. e Click Select, then select the desired condition parameter from the drop-down list. f In the second column, click Select, then select the desired condition operator from the drop-down list. g Click in the third column, and complete the condition: If the parameter is File Size, type the desired file size and unit. If the parameter is File Modified, click and choose the desired date. For all other parameters, type the desired free-text value. For example, if you select File Name as the condition parameter in the first column, select begins with as the condition operator in the second column, and type "Work-123-" in the third column, then the backup set will include all files whose names begin with "Work-123-". Likewise, if you select File Type as the condition parameter in the first column, select is one of with as the condition operator in the second column, and type "avi, mov, mpg" in the third column (without the quotation marks), then the backup set will include all files with the extension *.avi, *.mov, and *.mpg. h If you need to delete a condition, click in its row. 4 Click Next, and select which folders to which you want to apply the conditions for the backup or exclude set: CTERA Agent for Windows 96

99 Cloud Mode Expand the tree nodes as much as necessary and select the shares and folders to which this backup set should apply. By default, the root folder is selected, meaning that the backup set applies to all files in all folders. If desired, you can select specific folders to which this backup set should apply. For example, you can create an backup set that contains all files that have the extension *.txt and reside in the folder /myfiles/textfiles by entering "txt" in the previous dialog box, and then choosing the folder /myfiles/textfiles in this dialog box. 5 Click Next and then Finish. Modifying Backup and Exclude Sets To modify a backup or exclude set, select the backup set in the Backup Sets or Exclude Sets page, click Edit, and proceed as for creating. How do I Start, Stop or Schedule Cloud Backup? Starting Cloud Backup Click the CTERA Agent tray icon, and then click Backup now. CTERA Agent for Windows 98

Scheduling Cloud Backup 1 In the CTERA Agent Settings Window, click Backup Options > Schedule. a Do one of the following: To override settings inherited from the CTERA Portal, click Override. To use settings configured in the CTERA Portal, click Use portal settings. b Periodically. Choose this option to automatically back up files every specified number of hours. c Start Every. Type the amount of time between automatic cloud backups, in hours. (The default is 24 hours.) CTERA Agent for Windows 99

102 Cloud Mode d Specific Time. Choose this option to automatically back up files according to a specified daily schedule. e Start Time. Select the time at which cloud backup should start. Tip If a given backup extends past the scheduled time for the next automatic backup, the next automatic backup will commence immediately upon completion of the prior backup. f Stop Time. Select the time at which cloud backup must end. This can be any of the following: A specific hour On Completion (default). The backup operation will only end when cloud backup is complete. Tip If the amount of changed data to back up is large, the backup process can take several hours or days. Therefore, if a stop time is configured, the backup process may not be completed within the time frame. For example, if you specify that data should be backed up between 12 AM - 2 AM, and the backup requires 3 hours, the backup will not be completed. g On Days. Select the days on which cloud backup should be performed. This can be any of the following: One or more specific days Every Day (default). Cloud backup will occur every day. 2 Click Save. RESTORING FILES What Restore Options Are Available? The CTERA agent enables you to restore files from backup in the following ways: By restoring some or all files and folders to a previous version via the Cloud Backup Control Panel By restoring individual files or folders using Microsoft Windows Shadow Copy By restoring individual files or folders using the Virtual Cloud Drive By downloading files from your CTERA Portal account CTERA Agent for Windows 100

103 Cloud Mode Restoring Files and Folders from the Cloud Backup Control Panel You can restore individual files or folders that were backed up to cloud storage. Alternatively, you can simultaneously restore all backed up files and folders, in order to roll back your disk contents to a previous point in time. Note that if the same files already exist on your computer, they will be overwritten with the files you selected for restoration. Files that have been deleted since the date of the selected files will be recreated. Files that exist on your computer, but which do not exist in cloud storage or were not selected for restoration, will not be affected. To restore files, the CTERA Agent must be connected to the CTERA Portal. To restore backed up files from the Cloud Backup Control Panel 1 In the navigation pane, select Main > Cloud Backup. The Cloud Backup Control Panel page appears. 2 Click Restore. The Restore Files Wizard opens, displaying the Select Files to Restore dialog box. 3 In the Snapshot drop-down list, select the snapshot from which you want to restore files. 4 Specify which files and folders you want to restore, by doing any of the following: CTERA Agent for Windows 101

104 Cloud Mode To select individual files and folders: 1 In the left pane, expand the nodes and click on the desired folders. The folder contents appear in the right pane. 2 Select the check boxes next to the desired folders and files. For an explanation of the icons and check boxes next to each folder, see Folder Icons (page 103). To select all files, click Select All. To deselect all files, click Clear All. 5 To restore files to a location other than the original location, click the icon next to the Restore to Folder field, and then browse to the desired location. 6 Click the arrow next to the If file exists option and select the action to take when restoring files that already exist on your drive: Overwrite Append modification date Skip Overwrite if newer. 7 Click Next. 8 Click Finish. A progress bar appears, displaying the progress of the restore operation. 9 Click the icon next to the restore bar and select a menu item to toggle between the following restore information. Canceling the Current Restore Process When restoring files from the Cloud Backup Control Panel, you can cancel a running file restore process by clicking Cancel. CLOUD DRIVE SYNC Overview If you are subscribed to the CTERA Portal Cloud Drive service, you can synchronize (sync) your portal Cloud Drive with your CTERA agent. You can also sync your portal Cloud Drive simultaneously with additional agents and gateways. You can sync any folder on your portal Cloud Drive with any folder on your CTERA Agent computer, and can exclude specific subfolders. Syncing folders with each other means that the contents of the synced folders is identical at all times. Whenever any change of any kind is made to any file in any of the synced folders, the same change is made immediately in the other folders that are synced with that folder. For example, if a file is deleted from one of the folders, the same file is deleted from the other synced folder(s). It makes no difference which user made the change or in which of the synced folders the change was made. CTERA syncs multiple files in parallel, rather than as single-file sync transactions. This reduces the overall throughput of the synchronization process, especially in high-latency environments. CTERA Agent for Windows 103

106 Cloud Mode Why Use Cloud Drive Syncing? Cloud drive sync helps you: Sync files across your own devices. If you have several personal devices, such as a desktop computer, a laptop, and a smartphone, syncing files between them helps you effortlessly take your files with you wherever you go with the confidence that the files you are working with are always current. You do not even need to remember which device you were working on when you last modified a file. For example, you can create a file on your laptop and later open and modify it from your desktop. Collaborate easily with others. Cloud drive sync lets you sync any number of shared folders. That means you can sync a folder with folders on other people's devices. Everyone who syncs the shared folder can view, update, and delete the files in the shared folder. What Happens to Simultaneous File Changes? With Cloud Drive sync, different people can work on the same files at the same time, which means that conflicts can occur. CTERA keeps track of who is making updates and when, detects file conflicts when updates occur simultaneously, and resolves those conflicts. CTERA records the history of file events. The changes made in the most recent update are always saved to the original file. Changes that are lost due to conflict are retained in a renamed version of the file. Tip In order for conflict resolution to be performed correctly, your computer clock must be synchronized with the CTERA Portal clock. If there is more than one hour difference between the two clocks (after taking into account timezone differences), the agent will not synchronize the Cloud Drive folder. Can I Use File Syncing as a Backup? File sync is sometimes confused with file backup, but is very different. File sync does not protect data. It is not a substitute for file backup, because: Sync is bidirectional. For example, files deleted in the cloud are automatically deleted locally. This is not a desirable feature for backup, which should produce a stable, read-only copy of your data. Sync is continuous. Backup should run at scheduled intervals and preserve an accurate point-in-time snapshot of your data. Sync should not transfer locked files. Backup should transfer files which are locked by applications. Sync allows you to share file access with other users. Backup should protect your data from other users. CTERA Agent for Windows 104

107 Cloud Mode Sync supports standard files and documents. Backup should support applications, such as databases, in addition to standard documents. Viewing Your Cloud Drive From the CTERA Agent Web Interface Click Main > Cloud Drive. The Cloud Drive page displays the following: a All the Cloud Drive folders that are currently synced with folders on the CTERA agent computer. b Any other folders on your Cloud Drive. 108 Cloud Mode Online, in the CTERA Portal Right-click anywhere in the Cloud Drive folder (see "Your Local Cloud Drive Folder" on page 106), and click CTERA Agent > Browse online. If prompted to log in, enter your login credentials. The CTERA Portal opens in your browser displaying your Cloud Drive. Your Local Cloud Drive Folder CTERA Agent creates a folder on your computer called CloudDrive. This is the default destination for synced Cloud Drive folders. (Note, however, that you can sync any folder on your computer to your Cloud Drive (sync any folder (see "Syncing Local Folders to the Cloud Drive" on page 107)). You can also change the location of any synced folder in the Cloud Drive folder (change the location of any synced folder (see "Controlling to Which Local Folder a Cloud Drive Folder Syncs" on page 115).) You can drag items into subfolders of the Cloud Drive folder to add them to be synced to the Cloud Drive. To open the local Cloud Drive folder Click the CTERA Agent tray icon and click Open Folder in the CTERA Agent screen. Right-click the CTERA Agent tray icon and select Cloud Drive. Files and folders that are in sync are marked with the icon, and files that are currently synchronizing, or are waiting to be synchronized, are marked with the icon. Syncing Local Folders to the Cloud Drive From Windows Explorer To sync local folders to the Cloud drive, do one of the following: Drag folders into a subfolder of the local Cloud Drive folder. Right-click any folder on your computer that you want to sync and select CTERA Agent > Sync this folder. CTERA Agent for Windows 107

119 Cloud Mode Suspending/Unsuspending Cloud Drive Synchronization To suspend or unsuspend synchronization between the Cloud Drive and the CTERA Agent at any time, click Main > Cloud Drive and then Suspend or Unsuspend. FILE SHARING Overview You can share files and folders in your Cloud Drive folder with other people, both inside and outside your network, by sending them invitations to access the files/folders. The invitation is sent by and includes a URL, which when clicked allows the invitee to view or edit the files/folders from anywhere, using a Web-based file manager. Upon clicking the URL or path, invitation recipients are granted read-only or read-write access to the shared files/folders. CTERA Agent for Windows 117

120 Cloud Mode Inviting Collaborators 1 Open the Cloud Drive folder (in Windows Explorer, or using the desktop icon). 2 Right-click the file or folder you want to share and click CTERA Agent > Share this folder/file. The CTERA Portal opens in your browser. CTERA Portal displays the Cloud Drive with a sharing dialog box for the file or folder. 3 Add the people with whom you want to share the file or folder. You can add people as users or groups and you can add several. a Select Users ( ) to add one person, or Groups ( ) to add a group of people who belong to a CTERA Portal user group. 128 Cloud Mode Changing Access Levels To change a collaborator's level of access to the file or folder, click access. and select the level of SENDING ATTACHMENTS VIA THE CLOUD DRIVE Overview CTERA Agent includes a plug-in for Microsoft Outlook that enables you to send attachments as public links to files on your Cloud Drive. The plug-in syncs attached files to the Cloud Dive and inserts public links to the files into the body. A Cloud Drive ribbon is added to the Outlook toolbar during CTERA Agent installation to enable you to access this plugin. Sending attachments as public links has several benefits: You can send large files as attachments, especially those that are larger than the limit that may be imposed by your Microsoft Exchange Server. You can maintain less Exchange Server storage. You can delete or edit files after sending them. Files are never sent in a non-encrypted format. The plug-in enables you to: Send attachments as public links. Convert attachments to public links after you attach the files. Control the following through the plug-in settings: Whether to automatically send all attachments as public links, send any attachments over a certain size as public links, or never automatically send attachments as public links. Whether to be asked if you want to send each attachment as a public link. The expiration period for the public links. CTERA Agent for Windows 126

Cloud Drive Plug-in Settings 1 In Microsoft Outlook, open an composition window. (Click New > Mail Message). 2 In the Cloud Drive ribbon, click Attach Files and select Settings from the menu. 3 Set the Cloud Drive Addin settings according to your preferences: a Always. 137 Cloud Mode Clearing Logs 1 In the Log Viewer (Advanced > Log Viewer), select the category of logs you want to clear. 2 Click Clear. 3 Click Yes to confirm. The logs in the selected category are cleared. Exporting Logs You can export logs in any category to a CSV file on your computer so that you can view it in Microsoft Excel. 1 In the Log Viewer (Advanced > Log Viewer), select the category of logs you want to clear. 2 Click Export to Excel. CONFIGURING EVENT LOG SETTINGS 1 In the CTERA Agent Settings navigation pane, click Advanced > Log Settings. 2 To change the the minimum log level to display in the CTERA agent web interface, click Log Level and select a different level from the list. (The default is Info.) For example, if you select Critical, then only Alert, Critical, and Emergency logs will appear in the CTERA agent web interface. 3 The CTERA agent automatically logs all backup and restore operations. To specify whether CTERA agent displays additional information, such as file name and deduplication ration, about files that are backed up and restored, click Cloud Backup Log Level and select one of the following: CTERA Agent for Windows 135

138 Cloud Mode Log Every File: Provides additional information about all backed up and restored files. Log Errors Only (default): Only provides additional information about files for which errors occurred during backup and restore operations. No Logging: Does not provide additional information about backed up and restored files. For more information, see Viewing Cloud Backup Logs (see "Cloud Backup Logs" on page 132). 4 Click Save. CONFIGURING THE CTERA AGENT LANGUAGE You can configure the language to be displayed in the CTERA Agent's interface. The following languages are supported: English, French, German, Hebrew, Italian, Polish, Spanish, and Portuguese. Tip The CTERA agent automatically uses the language defined on the PC when you install CTERA agent for Windows. If the language is not supported, then English is used by default. 1 In the navigation pane, click Advanced > Regional Settings. 2 Click Change Language. CTERA Agent for Windows 136

141 6 MANAGING CTERA AGENTS In This Chapter Replacing an Existing Computer Activating an Additional Computer Deleting Devices Through the End-User Portal REPLACING AN EXISTING COMPUTER CTERA Agent allows you to replace an existing computer connected to agent and restore the backed up content without involving the administrator. The process, which gives you full ownership of your devices, allows you to restore all backup files from the existing computer to the replacement device. It also works with different operating systems so that, for example, you can replace a Windows workstation with a Mac OS X machine. However, you cannot replace a server with a workstation, or the reverse. 1 Install CTERA Agent on the replacement computer, then log in using the same account credentials as the computer you want to replace. CTERA Agent for Windows 139

142 Managing CTERA Agents CTERA Agent detects automatically that you have another computer on the same account. The Activating CTERA Agent window appears, prompting you to select an agent activation option: 2 Select Replace an existing computer. 3 Select the computer you are replacing from the drop-down list. 4 Click Continue. A confirmation message appears: 5 Click OK. CTERA Agent for Windows 140

143 Managing CTERA Agents The computer you are replacing is disconnected from the services, and a window appears that gives you the option to restore its files from the backup to the new computer. 6 To restore the backed up files to the replacement computer, click Restore My Files. Tip To restore the files to the replacement computer at a later time using CTERA Agent's regular restore process, click Skip restore instead. The Select Files to Restore dialog box appears. 7 Select the files you want to restore: a To select specific folders, expand the folder tree in the left pane, then make sure only the folders you want are checked. 144 Managing CTERA Agents b To select individual files in a folder, select the folder in the left pane, and then select the individual files in the right pane. Tip You can create a new folder and restore files to the new folder. You can also restore backups that require a user password. 8 Select the settings for restoring the files: a To select a different folder to which to restore the files, click and browse to the desired folder in the Directory dialog box. b To specify the action to take if the file already exists on the computer, select a new action from the If file exists drop-down list. 145 Managing CTERA Agents c To restore files attributes, check the Restore file attributes check box. 9 Click Next. A progress bar appears that displays the status of the restoration process. When the files are restored successfully, a success message appears. The folders that were just restored are added automatically to the list of files for the backup operation. 10 Click Finish. ACTIVATING AN ADDITIONAL COMPUTER You can install CTERA Agent on additional computers in order to back up, restore, and sync your digital content. You are required to have a license available for each additional computer. Once the agent is installed, sign using the same account credentials as your primary computer's. Tip Make sure that a license is available for this computer before installing CTERA Agent. 1 Install CTERA Agent on the new computer, then log in using your CTERA Agent account credentials.
