10 EMC SourceOne for File Systems Concepts Introduction to EMC SourceOne for File Systems EMC SourceOne for File Systems allows you to archive, search, shortcut files, and can help you comply with legal requirements for archiving from supported file systems. Supported file systems include both Windows NTFS, UNIX, and files located on CIFS, DFS, or NFS shares. Network attached storage devices such as EMC Celerra are also supported. The software also supports indexing of content archived by separate archiving solutions, such as EMC Cloud Tiering Appliance (CTA) or EMC DiskXtender for Windows (DiskXtender). You process files using activities which you define using the EMC SourceOne console. You install EMC SourceOne for File Systems after installing the core EMC SourceOne Management product. When you install EMC SourceOne for File Systems, you add file processing activities to the EMC SourceOne system that you can use to process file content. Note: File archiving is not intended as a replacement for a backup tool and it is not intended to archive active content. If active content is archived, temporary files may be unintentionally archived. Unintentional archiving may be mitigated by explicitly excluding certain types of files. For example, temporary Office documents will have the Hidden and System attributes set. 11 EMC SourceOne for File Systems Concepts File archiving concepts This section provides information on file archiving concepts. Comparing typical archiving and in-place indexing You archive files using the File Archive-Historical activity. Typically you also index those files for searching, and you may shortcut those files to save space on the storage device. Sometimes, it may be desirable to index files without archiving them into the EMC SourceOne Native Archive. For example, the files may have already been archived by another archiving device or software package, such as the EMC Cloud Tiering Appliance (CTA) or EMC DiskXtender. Indexing files without moving them into the EMC SourceOne Native Archive is referred to as in-place indexing. In-place indexing is achieved using the File Index in Place-Historical activity. Although in-place indexing enables you to index and search files, it does not enable you to shortcut those files. Typically such shortcuts are not needed because the archiving device creates stubs for those files before moving them to secondary storage. This table lists the major differences between standard archiving and in-place indexing. 12 EMC SourceOne for File Systems Concepts Overview of the file archiving process Overview of the index only process When a file qualifies for archiving by the File Archive-Historical activity, the following steps occur. 1. A unique identifier for the file is calculated based on the name of the file, the content of the file and other information. 2. Two special files are created in each file directory as they are processed: A Hidden manifest file is created in the file directory with the name sourceonefilesmanifest.xml. The manifest file is used by EMC SourceOne for file processing. Do not delete the manifest file. A temporary lock file, named SourceOneFALock.lck is created while processing the directory. SourceOne deletes the SourceOneFALock.lck file when the activity completes processing the directory. 3. If the file does not already exist in the Native Archive, the file is archived. If the file already exists, a pointer to that file s location is placed in the Native Archive rather than archiving the same file again. Storing only a single instance of archived content, such as a file, is called single instance storage and allows EMC SourceOne to save space in the Native Archive. The process that EMC SourceOne uses to compare content and keep only that single copy of each is called deduplication. 4. If required, you can create a separate File Shortcut-Historical activity to replace the archived file with a shortcut (or link) that indicates the location of the file in the native archive. Alternatively, you can create a separate File Delete-Historical activity to delete the archived file from the file server. These actions are typically configured to occur some period after the archive, to allow time for the archived content to be replicated or backed up. When a file qualifies for indexing in place by the File Index in Place-Historical activity, the following occurs. 1. A unique identifier for the file is calculated based on the name of the file, the content of the file and other information. This is the same as for the archiving process. 2. Two special files are created in each file directory as they are processed. These files are the same as those described for the file archive process. 3. 13 EMC SourceOne for File Systems Concepts What qualifies a file for archiving? A file is archived by the File Archive-Historical activity when the following conditions in this section are met. The file meets the archiving criteria specified in the File Archive-Historical activity. The file is either not encrypted, or encrypted using the EMC SourceOne primary service account. The file does not exceed 2 GB in size. Files larger than 2 GB are not supported for archiving. The file does not already exist in the archive based on the file identifier computed by the activity. Sometimes, a file that is similar to an archived file will be considered a different file and so archived again if it meets all other criteria. A file is considered to be different from the original file and will be archived separately when the file identifier is changed. The file identifier changes when either of the following occurs: The file is renamed. This means that the same file with two different file names will be archived twice. When EMC SourceOne computes the file identifier, the file name that is used is case-sensitive. This means that the file named File.TXT would have a different file identifier than the file named File.txt, and so each would be archived separately. The file data is modified and the Last Modified time value is updated. This includes modifying the file contents, the file alternate data streams (ADS), or the file extended attributes. Changing the location, owner, attributes, security, or date information other than the Last Modified date, does not cause a file to be considered different. A file is only archived again when the file is considered different. File archiving concepts 13

14 EMC SourceOne for File Systems Concepts Understanding manifest files When EMC SourceOne processes files in a directory, a manifest file is created in the file directory with the name sourceonefilesmanifest.xml. Typically, users cannot see this file because it is marked with the Hidden attribute. The manifest file is used by EMC SourceOne to track the processing of files in the directory. Do not delete the manifest file. Deleting the manifest file from a directory causes EMC SourceOne to no longer be able to identify what files have been deleted from the directory by EMC SourceOne. Deleting the manifest file has the following impact on the two kinds of archiving: When using the File Archive-Historical activity to store the archived files in the EMC SourceOne Native Archive, deleting the manifest file can cause the archiving performance to decrease. When using the File Index in Place- Historical activity, deleting the manifest file causes EMC SourceOne to no longer be able to remove references to these files when they are removed from the file server, and so the files may be incorrectly returned as search results, even though they no longer exist on the file server. If an entire directory including the hidden manifest file is deleted by a user, this does not cause a problem for EMC SourceOne because there are no files in that directory that need to be tracked by EMC SourceOne. 14 EMC SourceOne for File Systems 7.2 Administration Guide

15 EMC SourceOne for File Systems Concepts Archiving considerations and limitations When archiving files, be aware of the following considerations and limitations. Encrypted files can only be archived if they were encrypted using the EMC SourceOne primary service account. File links are not archived. By design, you cannot archive file links (filename.url) such as those created for file shortcuts. The File Archive-Historical activity skips file links during the archiving process and a message is written to the detailed job log, if it is enabled, similar to the following: 2011/03/31 15:40: Unsupported or non-beneficial file was skipped. Name: \\pc1\dev2\folder1\file.doc.url Reason: Non-beneficial file class or extension. To collect detailed information on message processing by activities, select the Enable Detailed Logging option on the Activity Name page. When a file is archived or indexed in place, a snapshot of the file attributes (Read-only, Hidden, and so on) and timestamps (Created, Accessed, and so on) is stored in the archive. Because these attributes and timestamps are considered to be of less importance than the file data, any changes to these attributes or timestamps do not result in the file being archived again, unless the file content (and the Last Modified date) of the file are changed as well. If additional instances of a file are found on the file server the timestamp of the first instance of the file is stored and the attributes for each file location are stored. If the File Restore-Historical activity is used on the file, it restores the attributes and timestamps of the first archived instance of the file. When files are archived using EMC SourceOne for File Systems, both the primary and any alternate data streams associated with the file are archived and indexed. Data in file extended attributes is also archived and indexed. Typically, the data in alternate (or secondary) data streams or in extended attributes is not visible to the end user. If a file is returned as the result of a search query and the search term does not appear to be in the file, it may be due to the search term being found in the alternate data stream or in the extended attribute data. Although EMC SourceOne for File Systems generally indexes and archives file extended attributes, this is not the case for files managed by EMC DiskXtender. This is because DiskXtender uses file extended attributes to manage DiskXtender purged files, also referred to as file stubs. File archiving concepts 15

16 EMC SourceOne for File Systems Concepts File indexing considerations File shortcutting concepts If the Enable Indexing checkbox on the New Archive Folder page is clear, then it is impossible to search for file content archived to an archive folder, by file names or by pathnames. If you want to index and search metadata (including file names and pathnames), but don't want a full-text index of all file content perform the following steps. 1. Select the Enable Indexing checkbox. 2. Clear the Content Cache checkbox. 3. Clear the Attachment Indexing checkbox. A file shortcut is a link to an archived file. File shortcuts cannot be created to files that were processed by using in-place indexing. File Shortcut-Historical activities are used to replace archived files with shortcuts. This is performed by creating a link on the file share to the archived file. The link is an Internet shortcut file, named using the following format: Original_file_name.url Consider the following: The.url extension appears if you view the file names from the command prompt. Windows Explorer displays the Internet shortcut files with the standard file name extension, not the.url extension..url shortcuts can be created on any CIFS or NFS volume, but can only be resolved from a Windows client. You cannot open a shortcut from a Linux or Mac file browser. When a user clicks a link they can perform the following: Add a file to the Restore List. Restore a file in the Restore List. Delete a file in the Restore List. View the list of files listed in the Restore list. Open and view the file or save the file to an alternate location. Modify the file. Note: You can set the default behavior for all users to either Save/Open, or add to restore list. If a shortcut file is required to be opened by an application, with no user intervention, the recommend approach is to use true stubbing by leveraging EMC Cloud Tiering Appliance (CTA) or EMC DiskXtender. 16 EMC SourceOne for File Systems 7.2 Administration Guide

17 EMC SourceOne for File Systems Concepts Adding a file to the Restore List Perform the following steps to add a file to the Restore List. 1. Click a file shortcut link. 2. Login if necessary. Restoring a file from the Restore List A login page appears, one time per session. If the single sign-on capability is configured, the login page does not appear. 3. To add a file to the Restore List where you can choose to restore the file to its original location, click Add to restore list. The List for Restore window appears. Perform the following steps to restore a file from the Restore List. 1. Click a file shortcut link. 2. Login if necessary. Deleting a file from the Restore List A login page appears, one time per session. If the single sign-on capability is configured, the login page does not appear. 3. Mark a file and then click Restore selected item(s). The File Restore Status window appears. Perform the following steps to delete a file from the Restore List. 1. Click a file shortcut link. 2. Login if necessary. Viewing files in the Restore List A login page appears, one time per session. If the single sign-on capability is configured, the login page does not appear. 3. Mark the file and then click Remove selected item(s) from the restore list. Perform the following steps to view the files in the Restore List. 1. Click a file shortcut link. 2. Login if necessary. A login page appears, one time per session. If the single sign-on capability is configured, the login page does not appear. 3. Click View restore list. Note: The View restore list option only appears if there are existing shortcuts in the list. File shortcutting concepts 17

18 EMC SourceOne for File Systems Concepts Opening and viewing a file or saving a file to an alternate location Modifying a file Perform the following steps to open and view a file or save a file to an alternate location. 1. Click a file shortcut link. 2. Login if necessary. A login page appears, one time per session. If the single sign-on capability is configured, the login page does not appear. 3. Click Save/Open. The file is accessed by using the default web browser. Typically, the Open or Save As prompt appears. If you select Open, the file is opened from a temporary directory. Any changes made to the file will be lost because the file is saved to the temporary directory. Perform the following steps to modify a file. 1. Click a file shortcut link. 2. Login if necessary. A login page appears, one time per session. If the single sign-on capability is configured, the login page does not appear. 3. Choose either of the following options: Restore the file to the files original location. This is the recommended approach. Note: Restore the file if the file has secondary file streams, extended attributes, or you want to keep the original security or file system attributes. Supported operating systems Configuring file shortcut support Select Save As, and manually save the file to the original or another suitable location. Using the Save As option, saves the primary data stream of the file only. The creation of file shortcuts can occur on any source system by way of a CIFS or NFS UNC path. The shortcuts use a Microsoft Windows-specific format, which means that a Windows client is necessary to open the shortcuts. It is impossible to open the shortcuts by using a file browser on another operating system, for example, Linux, or OSX. For the Shortcut files option to function, you must configure support for file shortcuts. 1. Install the EMC SourceOne Mobile Services. 2. Configure the EMC SourceOne Universal URL to specify the SourceOne Web Services. When you specify the SourceOne Web Services: 18 EMC SourceOne for File Systems 7.2 Administration Guide

19 EMC SourceOne for File Systems Concepts File shortcut processing Updating shortcuts Specify the DNS CNAME alias of the server that is running the SourceOne Web Services. Do not specify a fixed IP address or a hostname as they can change. It is impossible to update file links that have incorrect URL information. If you do not configure file shortcut support as described, and you try to create a File Archive-Historical activity with the Shortcut files option selected, then a warning message appears when you click Next on the Behaviors page, and you cannot finish creating the activity. When you have created a file shortcut link by using the Shortcut files option in the File Archive-Historical activity, and that file gets archived again because the contents have changed but it has maintained the same file name, the file shortcut specifies only the most recently archived version of the file. When a shortcut file is restored to a location, that file replaces the shortcut to the file. If there were multiple versioned shortcuts to the file, all those shortcuts are deleted when the file is restored. When a shortcut is created, the EMC SourceOne Universal URL is embedded in the shortcut file. Use the following procedure to update existing shortcuts to match URL changes: 1. Open the File Shortcut-Historical Behaviors activity page. 2. Select the Update existing shortcuts (for example, if web server has changed) radio button. Note: You might need to update a shortcut when the URL changes to a different server. File shortcutting concepts 19

21 CHAPTER 2 Using In-Place Indexing This section describes the EMC SourceOne for File Systems in-place indexing feature that allows archiving files outside of the Native Archive, using remote archiving solutions such as the EMC Cloud Tiering Appliance (CTA) or EMC DiskXtender. 22 Using In-Place Indexing Benefits of in-place indexing EMC SourceOne for File Systems enables you to archive and index file content. By default, this content is archived into the EMC SourceOne Native Archive and then indexed. However, using a process called in-place indexing allows EMC SourceOne for File Systems to index data that is stored in an external archive, such as one managed by the EMC Cloud Tiering Appliance (CTA) or by EMC DiskXtender. In-place indexing allows EMC SourceOne for File Systems to index data archived by an external archive without first moving it to the Native Archive. In-place indexing saves storage space by not storing the same data twice, and EMC SourceOne processing time by not performing the second archiving operation. Overview of the in-place indexing process When content is archived by EMC SourceOne for File Systems, it is placed in an archive folder in the EMC SourceOne Native Archive, and then that folder is indexed for searching. When using in-place indexing, the content is stored in an external archive such as a Cloud Tiering Appliance (CTA) or DiskXtender archive, and that content is defined to appear in EMC SourceOne in a new type of archive folder, called a virtual archive folder. The virtual archive folder is linked to the archived content and is indexed by EMC SourceOne for File Systems in the same way content in a Native Archive archive folder is indexed. When EMC SourceOne indexes the virtual archive folder data, the data is copied from the external storage for local index processing. Only the File Index in Place-Historical activity that is part of EMC SourceOne for File Systems is supported for use with in-place indexing, and virtual archive folders. The following is a summary of the steps needed to perform in-place indexing, assuming all software is already installed and configured. 1. Configure the file archiving device to use in-place indexing, including excluding the EMC SourceOne for File Systems manifest file from being archived. 2. In EMC SourceOne, configure a virtual archive folder and associated mapped folder using the EMC SourceOne console as follows: a. Define a virtual archive folder by selecting Virtual Container as the Storage Type on the Storage Options page of the New Archive Folder wizard. b. Associate an Organization type of Mapped Folder with the virtual archive folder you defined previously. 3. 23 Using In-Place Indexing Configuring file archiving devices for in-place indexing The File Archive-Historical activity places a manifest file in every directory on the source file server. When this source file server is a file archiving device or software package, such as EMC Cloud Tiering Appliance (CTA) or EMC DiskXtender, this means that the manifest file is placed on that device. To maintain the best performance, exclude the manifest file from being archived to secondary storage on the file archiving device. Configuring CTA for use with in-place indexing When using Cloud Tiering Appliance (CTA) with in-place indexing, configure the CTA rules to exclude the manifest file, sourceonefilemanifest.xml, from being archived to secondary storage by using the Add File Matching Expression page, or the Edit File Matching Expression page, on the Policies tab of the CTA Console. Figure 1 CTA Edit File Matching Expression page Configuring DiskXtender for use with in-place indexing Before using EMC DiskXtender with in-place indexing, you need to complete the following tasks. Configure full backup mode on each DiskXtender drive to use in-place indexing. Configure a DiskXtender move rule to exclude the manifest file, sourceonefilemanifest.xml, from being archived to secondary storage by DiskXtender. 24 Using In-Place Indexing Configuring full backup mode on the DiskXtender drive Before using EMC DiskXtender with in-place indexing, each DiskXtender extended drive that is to be used with in place indexing must be defined to be in what DiskXtender calls full backup mode. This is because EMC SourceOne for File Systems reads files from the DiskXtender extended drive in full backup mode. If full backup mode is not set on the drive, EMC SourceOne only reads and indexes the stubs of the files and not the files themselves. Note: Set the exclude move rule as the highest priority move rule in the Move Rules list displayed by the DiskXtender File System Manager Administrator. 26 Using In-Place Indexing Configuring in-place indexing from the console You can only select in-place indexing and virtual archive folders from the EMC SourceOne console when using the File Index in Place-Historical activity. After a mapped folder is assigned to a virtual archive folder, that mapped folder does not appear for selection by any activity that does not support virtual archive folders. EMC SourceOne Discovery Manager does not support virtual archive folders. Use the following procedure to create the virtual archive folder that is required for in-place indexing. 1. In the New Archive Folder wizard Storage Options page, select Virtual Container. 2. In the Maximum Large File Size (MB) field, specify the maximum file size of the source file. The default value is 4 GB. Figure 4 Storage Options page for virtual containers You cannot enable retention or automatic disposition on virtual archive folders because files stored in a virtual archive folder are managed by an external storage system, such as EMC Cloud Tiering Appliance (CTA) or EMC DiskXtender, and not the EMC SourceOne Native Archive. 26 EMC SourceOne for File Systems 7.2 Administration Guide

28 Using In-Place Indexing 5. Select By Date to have the archive folder organized by date. An archive folder organized by date can be used with any type of mapped folder. You cannot modify the organization method for an archive folder. 6. Click Next. The New Archive Folder wizard Indexing page appears. Figure 7 Indexing page for virtual containers 7. Specify whether to enable or disable indexing in the Enable Indexing checkbox. After enabling indexing, you can specify indexing options. If the Enable Indexing checkbox on the New Archive Folder wizard Indexing page is clear, then it is impossible to search for file content archived to an archive folder, by file names or by pathnames. Do not enable indexing on archive folders used for Microsoft SharePoint External BLOB Storage (EBS). 8. Click Finish. Specifying Indexing options This section includes information about the indexing options that you can specify. Maximum Index Size Use the Maximum Index Size (MB) field, to specify the maximum size, in MB, of individual indexes in this folder. The default size is 2048 MB. 29 Using In-Place Indexing The indexing system uses the Maximum Index Size (MB) field value to determine when it is to place new volumes into a new index. In general, indexes do not exceed the specified size, but because the indexing system estimates sizes, some indexes can exceed this maximum value. Content Cache Use the Content Cache checkbox to specify whether a Content Cache is to be created. Attachment and File Indexing Index nested subcontainers in attachments Creating a Content Cache for the index greatly improves performance when rebuilding an index because the content for the index does not need to be read again from the archive. Use the Attachment and File Indexing checkbox to specify whether attachments and files are to be indexed. If you enable attachment indexing, you can use the Index nested subcontainers in attachments checkbox to specify whether to index subcontainers in attachments. By default, all new and existing indexes will have the Index nested subcontainers in attachments checkbox clear. Changing the selection of the Index nested subcontainers in attachments checkbox only applies to content archived and indexed after the selection was changed. To index nested subcontainers in attachments for existing indexes, rebuild the index. Metadata Indexing Use the Metadata Indexing checkbox to specify whether to index file-specific metadata. Specifying Index Storage Locations File-specific metadata is additional information about a file that does not appear in the file body itself. The extra metadata typically is application specific, and is not supported for all file types. If the file support the extra metadata, you can view details in the Details pane of the file properties view in Windows Explorer. For example, Microsoft Office documents can include author, subject, tags, comments, and other descriptive fields. Photographs can include details of the image, and the camera that took the image. Audio files can include details of the song title, album name, artist, and year recorded. If you select the Metadata indexing checkbox, then the inclusion of this file-specific metadata appears in the index. Clear is the default setting for the Metadata indexing checkbox because this process can slow down indexing performance and increase the size of the index, particularly for situations where there are many small files and metadata. You cannot change the Metadata indexing checkbox setting after folder creation. This section includes information about adding, editing, and removing Index Storage Locations. Adding an Index Storage Location Use the following procedure to add an Index Storage Location. 1. Click Add. Configuring in-place indexing from the console 29

Specify the path to the storage location by editing the path in the Index Storage Location field, or click Browse to browse to the path. When specifying the path in the Index Storage Location field, you can specify that path as a UNC path or a local path. Note: Do not use nested network share folders for multiple index storage locations. Index services stop working when you use this configuration. 3. Specify which Native Archive index servers are to use the Index Storage Location. Select Allow all servers to use this storage to allow: All Native Archive index servers to use the Index Storage Location. Subsequently added index servers to automatically use this Index Storage Location. Select Only allow the following servers to use this storage to: Allow only the selected Native Archive index servers to use the Index Storage Location. Control which index servers have access to the Index Storage Location. Segment your index processing into groups of index servers and index storage locations. 4. Click OK. This allows you to verify that the delete settings are correct because the files that would have been deleted are listed in the detailed log. Perform the following steps to test deletions before actually performing them. 1. Create the File Delete-Historical activity as follows: Enable the Preview mode only (no files are removed) option on the Behaviors page to cause the files to not be deleted, but instead be listed in the detailed log. Use the Schedule page to set the activity to run daily. Enable the Enable Detailed Logging option on the Activity Name page to cause the list of files that would be deleted to be viewable. 2. If the list of files that would have been deleted is correct, modify the activity as follows: Disable the Preview mode only (no files are removed) option before the next run to allow the deletions to occur. Change the schedule of the activity to have it actually delete the files when you want them deleted. You may also want to disable the Enable Detailed Logging option on the Activity Name page if you have no other reason to collect detailed logs, because that would reduce the amount of work performed by the activity. 3. If the list of files that would have been deleted is not correct, review the activity, make the needed corrections, and test it again. You can use the File Delete-Historical activity to delete invalid, also known as orphaned, shortcuts. These shortcuts are created when the shortcut references a file that no longer exists in the Native Archive. When you use the File Delete-Historical activity to delete invalid shortcuts, test the deletion before actually deleting the invalid shortcuts. This allows you to verify that the delete settings are correct because the shortcuts that would have been deleted are listed in the detailed log. Perform the following steps to test the deletion of invalid file shortcuts. 1. Create the File Delete-Historical activity as follows: a. Enable the Cleanup orphaned shortcuts option on the Behaviors page to cause the deletion of orphaned shortcuts. b. Enable the Preview mode only (no files are removed) option on the Behaviors page to cause the file shortcuts to not be deleted, but instead be listed in the detailed log. 34 EMC SourceOne for File Systems 7.2 Administration Guide

Enable the Enable Detailed Logging option on the Activity Name page to cause the list of shortcuts that would be deleted to be viewable. 2. If the list of shortcuts that would have been deleted is correct, modify the activity as follows: a. Disable the Preview mode only (no files are removed) option to allow the deletions to occur. b. Change the schedule of the activity to have it actually delete the shortcuts when you want them deleted. c. You may also want to disable the Enable Detailed Logging option on the Activity Name page if you have no other reason to collect detailed logs, because that would reduce the amount of work performed by the activity. 3. If the list of shortcuts to be deleted is not correct, review the activity, make corrections, then test it again. Using File Removal and virtual archive folders Use the File Removal activity to delete references in the EMC SourceOne database and indexes to files in virtual archive folders that have had their underlying storage removed. Virtual archive folders are used with in-place indexing of file content on storage devices, such as EMC Cloud Tiering Appliance (CTA) or EMC DiskXtender. Delete these references when a storage device is removed, replaced, or renamed. Removing these references prevents EMC SourceOne from reporting on files that no longer exist, such as returning them in search results. Processing files managed by CTA or DiskXtender EMC SourceOne for File Systems can process files on Cloud Tiering Appliance (CTA) or DiskXtender devices in one of two ways. Files can be copied to the EMC SourceOne Native Archive and indexed for searching. This is the standard way that EMC SourceOne archives content, and is selected by using the File Archive-Historical activity. Files can be left on the CTA or DiskXtender device, and then indexed using in-place indexing. This is called in-place indexing and is selected by using the File Index in Place-Historical Activity. When archiving and indexing files from a CTA or DiskXtender device using EMC SourceOne for File Systems, be aware of the following considerations: Although EMC SourceOne for File Systems generally indexes and archives file extended attributes, this is not the case for files managed by EMC DiskXtender. This is because DiskXtender uses file extended attributes to manage DiskXtender purged files, also referred to as file stubs. Using File Removal and virtual archive folders 35

36 Best Practices for File Processing Activities When file stubs created by CTA or DiskXtender are archived by EMC SourceOne for File Systems, the full file data is archived and if selected indexed by the EMC SourceOne software. This means that the file is stored twice, once by the file device, CTA or DiskXtender, and once in the Native Archive. When using the File Archive-Historical activity to archive files from CTA or DiskXtender devices, review the following information on using the options on the Behaviors page: Select the Leave files on the file source after archived option for CTA or DiskXtender devices. Select the Process offline files option for CTA or DiskXtender devices to enable offline (stubbed) files to be processed. Note: To archive CTA or DiskXtender offline files, the file data is recalled from secondary storage, causing the primary storage device to contain the files until the files can be stubbed again. Select the Open offline file using no-recall semantics option. Selecting this option prevents files from being recalled to primary storage from the remote storage device managed by CTA or DiskXtender. When this option is selected, the archiving operation will read file data for offline files directly from secondary storage, without recalling it to primary storage first. If this option is not selected, files will first be restored to primary storage, and then archived, which will increase the amount of storage needed until the file can be stubbed again using DiskXtender or CTA. Do not select either of the following options for CTA or DiskXtender devices, when archiving using EMC SourceOne because choosing either of these options can cause the deletion of the file stubs. Delete files from the file source after archived Replace files on the file source with shortcuts after archived When restoring files previously stored on a CTA or DiskXtender device using the File Restore-Historical activity, any existing file stub with the same name as a stub being restored will be overwritten, and so deleted, by the restored file. This will cause CTA or DiskXtender to archive and stub the file again the next time a matching CTA policy or DiskXtender rule is processed. When using the File Index in Place-Historical activity to index in place files from CTA or DiskXtender devices, review the following information on using the options on the Behaviors page: Select the Process offline files option for CTA or DiskXtender devices to enable offline (stubbed) files to be processed. 40 Introduction to file activities A policy groups together one or more activities. An activity is a user-named definition for performing a specific type of work with EMC SourceOne, including the environment it will be performed in and when it will be performed. Activities, like policies, are defined by using the EMC SourceOne console. Prerequisites for creating and using file processing activities Summary of file processing activity types Before you create an activity to process files, perform the following steps. 1. Verify that the EMC SourceOne system is ready to create the activity. 2. Verify that the file shares you will use with the file activities have adequate permissions. 3. Verify that the archive folders you intend to use were created. If you intend to search the archived files, verify that the Attachment Indexing option is enabled on the archive folder, otherwise the files will not be indexed. The Attachment Indexing option applies to file content, , and SharePoint content, although files do not have attachments. 4. Map the archive folders to EMC SourceOne mapped folders of the Organization type. Assign users the My Files permission on the mapped folders. 5. If you plan to use EMC SourceOne to shortcut files, then you must configure the Universal URL to support the shortcut process. 6. Review the description of the activity type to ensure that you are aware of all prerequisites, considerations, and limitations associated with the activity. 7. Consider the processing load that may be created by the activity. If the CPU on an EMC SourceOne worker computer is completely consumed by a single activity, then break that activity into smaller activities that can process separately. This section summarizes the types of activities you can create. The activity types available for you to select are determined by which EMC SourceOne products are installed. The following are the activity types for processing file content: File Archive - Historical Archives files located on file servers or other networked disk resources. into the Native Archive and can then be searched and retrieved. File Delete - Historical Deletes files from selected file servers and other networked disk resources. This activity does not delete files from the EMC SourceOne Native Archive. Note: The File Delete - Historical activity is not compatible with in-place indexing. 41 File Index in Place - Historical Allows files to be indexed while stored in a virtual archive folder on a storage device, rather than in the native archive. This is referred to as in-place indexing. File Restore - Historical Restores files to a file server from the Native Archive. Note: The File Restore - Historical activity is not compatible with in-place indexing because it restores files from the Native Archive, and in-place indexing does not cause files to be stored in the Native Archive. File Shortcut - Historical Allows archived files on the file server to be replaced by HTML shortcuts pointing to the files in the Native Archive. The activity also allows existing shortcuts to be updated, if the Universal URL has changed. The File Shortcut - Historical activity is not compatible with in-place indexing. If a particular directory has been processed with in-place indexing selected, using the File Shortcut-Historical activity on that same directory results in an error. File Removal Removes references to deleted files from the database and indexes. This activity is used when a storage device associated with a virtual archive folder, used for in-place indexing, has been removed. Summary of New Activity wizard pages for file activities This section summarizes the New Activity wizard pages for each of the management activity types. The pages that appear in the New Activity wizard depend on the activity type that you select. Not all pages appear for every activity type. This table lists the pages in the New Activity wizard in the order in which they are displayed by the wizard for each file processing activity. A plus sign (+) in a table cell indicates that the page is used for the activity. Adding file activities to an organizational policy Perform the following steps to add a file activity to an organizational policy. 1. In the EMC SourceOne console, select the Organizational Policies node. 2. In the Organizational Policies list, select the policy to which you want to add a file activity. 3. Select Action > New Activity. The New Activity wizard starts. Note: The checkboxes in the left column indicate the progress through the wizard. 43 Activity Type (Files) The Activity Type page of the New Activity wizard appears for all activity types. Depending on the installed EMC SourceOne components, you may see management and SharePoint activities in addition to file activities listed. Figure 9 Activity Type page Perform the following steps to specify the type of activity you want to create. 1. Select the type of file activity to create from the displayed list. Only one activity type can be selected for an activity. The activities available depend on the EMC SourceOne components installed. 2. Click Next. The Activity Type checkbox is selected automatically and indicates that you completed the step. 3. The next page that appears depends on the type of file activity. Activity Type (Files) 43

44 File Sources (Files) The File Sources page allows you to view, add, or delete the file sources used by an activity. A file source specifies the location of files to be processed by the activity. If you have not specified any file sources, then the list is empty. Figure 10 File Archive-Historical File Sources page Use the File Sources page to add or remove file sources for an activity. You must specify at least one and no more than 4096 sources from which to process files. 1. Determine whether to include subdirectories when adding or removing file sources. The root directory is always included for the selected file source. Specify whether or not to include subdirectories for each selected file source: To include subdirectories of the selected file source, select the Include Subdirectories checkbox for that file source. This option is selected by default when you add a new file source. To exclude subdirectories of the selected file source, clear the Include Subdirectories checkbox for that file source. 2. Add or remove file sources. 3. Specify the number of directories to be processed by each job, if applicable. 4. When the list of file sources is complete, review the status of the file sources. 5. Click Next. The next activity page is displayed. 45 Adding file sources Perform the following steps to add a file source to the list on the File Sources page. 1. On the File Sources page, click the Add button. Perform one of the following: In the File Source field, type the name of the new file source, specifying it as a UNC path. Previously processed file source paths are available from the list box. Click the Browse button, select a UNC file share as a file source, then click OK to close the Browse For Folder dialog box. Note: Do not select a local path. If you select a local path, an error message displays. 3. To save the changes and close the Add File Source dialog box, click OK. The File Sources page refreshes to list the new file sources. 46 Editing file sources Perform the following steps to edit a file source in the list on the File Sources page. 1. On the File Sources page, click the Edit button. Perform one of the following: In the File Source field, edit the name of the file source, specifying it as a UNC path. Previously processed file source paths are available from the list box. Click the Browse button, select a UNC file share as a file source, then click OK to close the Browse For Folder dialog box. 3. To save the changes and close the Edit File Source dialog box, click OK. The File Sources page refreshes to display the updated file source. Perform the following steps to remove a file source from the list on the File Sources page. 1. Select one or more file sources in the list. 2. Click Remove. Understanding status of file sources 3. In the Remove File Source dialog box, click OK to confirm removing the file source. When the list of file sources is displayed initially, and when you add or edit file sources, the system takes the following steps. Validates the UNC format. Verifies that the file sources are available. When you place the cursor over a file source icon in the first column, a tool tip appears that describes the status of the file source (online or offline). A red X icon indicates that a file source is unavailable to the account that is using the EMC SourceOne console. If the red X icon is displayed then correct the access problem for the account. Verify that the file source is accessible to the worker service account if it is different from the account using the EMC SourceOne console. 46 EMC SourceOne for File Systems 7.2 Administration Guide

47 Note: Because the account used with the EMC SourceOne console may be different than the worker service account, the worker service account, and any activities running under that account, may be able to access the file source when the account using the EMC SourceOne console cannot. Similarly, the account accessing the EMC SourceOne console may be able to access the file share, but the worker service account, and activities, may not. Controlling scalability For the File Archive - Historical, File Shortcut - Historical, and File Index in Place Historical activities, the File Sources page will also offer the ability to configure the number of directories to be processed by each job. This value defaults to 100, but can range from 1 to 10,000. This setting determines how the jobs used to process the specified file sources are to be broken down: File sources on different servers are always processed by separate jobs. File sources on the same server will be processed based on the Number of directories to be processed by each job value. For example, if a particular file source contains 1000 directories, including the share itself, and the Include Subdirectories option is selected, and the number of directories to be processed by each job value is left at the default setting of 100, 10 jobs are created. If there are 1001 directories, 11 jobs are created. SourceOne allows the number of jobs each Worker will process concurrently to be configured, with a default of 4 per Worker for File activities. For a large file server with many directories, additional Workers can be added to the system so that more jobs can be processed simultaneously. Note: This may be limited by the physical characteristics of the file server and the network. If the file server has a high number of files in each directory, or if files are large, the administrator may want to lower the number of directories processed by each job. Conversely, if the file server has a few files per directory, or files are small, the number of directories per job can be increased. File Sources (Files) 47

48 File Types (Files) Use the File Types page to specify the types of files the activity is to process. Figure 13 File Archive - Historical File Types page 1. Specify the types of files to archive: Select the Process all files, without any filtering radio button to process all files of all types, and not perform any additional filtering based on file age, size, attributes, or ownership. The file type group area is not needed and so is not enabled. When Process all files, without any filtering is selected, the following pages are not displayed for the activity because no filtering is completed by these pages: File Age File Size File Attributes File Ownership Select the Process all file types (*.*) radio button to process files of all types, with any extension or no extension, and also enable additional filtering based on file age, size, attributes, or ownership. 49 Select the Process specific file types radio button to process files of selected types, and also enable additional filtering based on file age, size, attributes, or ownership. Selecting this option provides the same behavior as the previous version of the File Types page. When the Process specific file types option is selected, the file type group area is enabled. The file type group area lists the default system file groups, and file type groups that you have defined. For easier management, you define and select groups of file types instead of individual file types. Note: The file type groups that you define are available for all file archiving activities. The file type groups that you select from the list are specific to the activity. 2. Specify the types of files to process by selecting the checkbox next to that file type group. 3. Define new groups of file types. 4. Edit file type groups in the list. 5. Delete file type groups from the list and from the system. Note: To see the file types that are in a group, move the mouse pointer over the name of the group in the list. The tooltip displays the file types in that group. Defining new file type groups 6. Click Next. The File Types checkbox is selected automatically to indicate that you completed that step. Follow these steps to define a new group of file types. 1. On the File Types page, click New. The New File Type Group dialog box appears. 2. In the New File Type Group dialog box, perform the following: a. In the File Type Group Name field, type a unique name for the group, up to a maximum of 64 characters. The name cannot be a blank. b. In the File Type Specification List, type each file type in the following format: *.extension File Types (Files) 49

If you do not include the wildcard, then the activity interprets the file type as a literal file name. You must specify at least one file type in a group. Type a space between each pair of file types. Include literal text and spaces in a file type. If a file type includes a space, you must enclose the file type in double quotes, for example, FY 2009 *.xls. On the File Types page, select the file type group. 2. Click Edit. 3. In the File Type Group dialog box, edit the fields. Note: You cannot edit the File Type Group Name of default system groups. 4. At the following confirmation prompt, click Yes to confirm the changes: Editing this item will impact other activities using this group. Are you sure you want to continue? Deleting user-defined file type groups You can delete user-defined file type groups. You cannot delete default system groups. Note: Deleting a file type group does not affect any running activities that use that file type group. To have the changes affect running activities, you must stop, not pause or suspend, the running activities, and then restart them. Because the deletions affect the file type groups that are available for future activities and for scheduled activities that have not yet run, you must confirm the changes. If you delete all the file type groups that have been selected for a scheduled activity that has not yet run, then that activity fails, because every file activity requires at least one file type group. Perform the following steps to delete file type groups from the list and the system. 1. On the File Types page, select the file type groups to delete. 2. Click Delete. 3. 55 File Ownership (Files) Use the File Ownership page to optionally specify which files to process based on the owners for those files. A file owner is the sole domain user or group that owns the file. All files must belong to an owner. Note: The presence of other users and groups in a file s ACL does not imply that those users and groups are owners. The File Ownership page lists all file owners that you have specified for the activity. If you have not specified any file owners, then the list is empty. File ownership is an optional filter. If you select to use file ownership as a filter, you can specify a maximum of 4096 file owners in an activity. Specifying a security group will only match files for which that group is the owner, it will not match files owned by the individual members of the group. To match files owned by individual members of a security group, specify those members individually. Searching for archived files is based on security group membership. 4. Click Check Names. 5. Click OK to copy the selections to the File Ownership page and to close the Select Users dialog box. Perform the following steps to remove a file owner from the list on the File Ownership page. 1. 57 Understanding status of file owners Behaviors (Files) Behaviors: File Archive - Historical When the list of file owners is displayed initially, and when you add or edit file owners, the system validates the file owners. The icon in the first column indicates whether the file owner is a user or a group. A question mark icon indicates that the user or group no longer exists. Use the Behaviors page of the New Activity wizard to specify behavior options for an activity. The options on the Behaviors page depend on the type of file activity being defined. Use the File Archive - Historical activity Behaviors page to indicate how files are to be archived by the activity you are defining and what happens next with files after they are successfully archived. 58 Delete files from the file source after archived Select the Delete files from the file source after archived radio button to delete the files from their current locations after the files are archived. This radio button was deprecated in a previous release, but remains in the user interface for activities created in older versions of the product. The deletion occurs only after the file was successfully archived and the file to be deleted is verified as being identical to the one in the archive, based on the last write time. Use the File Delete - Historical activity to delete files from the file system after they are archived. Setup the File Delete - Historical activity to process some period after the File Archive - Historical activity, to allow time for files to be processed on the file source, and backed up or replicated on the target hardware. For example, the File Archive - Historical activity can be configured to archive files that have not been accessed in 180 days, while the File Delete - Historical activity can be configured to delete files that have not been accessed in 200 days. By default, the File Delete - Historical activity will not delete files that have not been archived. When the Delete files from the file source after archived radio button is selected, the Remove directories when they become empty checkbox becomes editable. Use the Remove directories when they become empty checkbox to remove empty directories after successfully archiving and deleting the files in those directories. An empty directory is not removed when this option is selected, if: The directory was defined as a file source for the activity on the File Sources page for the activity. The activity performed no processing on files in that directory, for example, if the directory was empty before the activity ran. Replace files on the file source with shortcuts after archived Select the Replace files on the file source with shortcuts after archived radio button to replace the files with a shortcut that indicates the archived file is in the Native Archive. This radio button was deprecated in a previous release but remains in the user interface for activities created in previous versions of the product. Use the File Shortcut - Historical activity for files that are to be replaced with a shortcut on the file system after they are archived. Setup the File Shortcut - Historical activity to process some period after the File Archive - Historical activity, to allow time for files to be processed on the file source, and backed up or replicated on the target hardware. For example, the File Archive - Historical activity can be configured to archive files that were not accessed in 180 days, while the File Shortcut - Historical activity can be configured to delete files that were not accessed in 200 days. Alternatively, the File Shortcut - Historical activity can be configured to a set number of days after the file was archived. The File Shortcut - Historical activity does not replace files with shortcuts unless they were archived. The Process offline files checkbox is automatically selected and cannot be disabled when the Include files having the following combination of file system attributes checkbox is selected and the Offline File System Attribute Set is selected on the File Attributes page. The Process offline files checkbox is not available for selection when the Include files having the following combination of file system attributes checkbox is selected and the Offline File System Attribute Cleared is selected on the File Attributes page. Open offline files using no-recall semantics If you select the Process offline files checkbox, then the Open offline files using no-recall semantics checkbox becomes available for selection. Use the Open offline files using no-recall semantics checkbox to prevent files from being recalled to primary storage from remote storage during the File Archive - Historical activity, such as when they are on managed remote file devices such as EMC DiskXtender or EMC Cloud Tiering Appliance (CTA). When this checkbox is selected, the archive operation reads file data for offline files directly from secondary storage, without recalling the files to primary storage first. If this checkbox is clear, any files archived are first restored to primary storage, and then archived, which increases the amount of storage needed until the file can be stubbed again using EMC DiskXtender or EMC CTA. If you are processing files stored remotely on EMC DiskXtender or EMC CTA devices, EMC recommends that you select the Open offline files using no-recall semantics checkbox. Behaviors (Files) 59

This is selected by default. Selecting the checkbox deletes files from the source only if the file has been archived and the file being deleted is identical to the one in the archive, based on the last write time. EMC SourceOne uses the manifest files that it creates in the directories being processed to verify that files were archived. The manifest file has the Hidden file attribute and is named sourceonefilesmanifest.xml. If a manifest file does not exist in the directory being processed, EMC SourceOne assumes that the files in that directory were not archived and so does not delete the files. Clear the checkbox to have all files deleted, whether, or not they were archived. Preview mode only (no files are removed) Select the Preview mode only (no files are removed) checkbox to view which files are a candidate for deletion. When the checkbox is selected, each file that is a candidate for deletion is listed in the detailed log. To view this information, the activity must have the Enable Detailed Logging option selected on the Activity Name page. The list of files that are candidates for deletion appear in the detailed log in a summary format, for example: Preview mode-files that match for deletion \\R2D3J4\Dir1\File1.txt.url \\R2D3J4\Dir1\File2.docx.url \\R2D3J4\Dir1\File3.mov.url Cleanup orphaned shortcuts Select the Cleanup orphaned shortcuts checkbox to remove shortcuts to files that no longer exist. Shortcuts to be deleted are selected by matching the criteria used to match files to be deleted, except that only shortcut files, ending with.url, are processed. For example, if.docx and.xlsx file types are selected when the checkbox is selected, then only.docx.url and.xlsx.url files are matched. After a shortcut is matched, EMC SourceOne determines if the file still exists in the EMC SourceOne Native Archive. If the file does not exist, the shortcut is removed, or an entry is added to the detailed log, if the Preview mode only (no files are removed) checkbox is selected. Behaviors (Files) 61

For a File Restore - Historical activity, use the options on the Behaviors page to specify how and where to restore archived files. Note: File Restore - Historical activity performance may degrade as the amount of data increases in the mapped folder being processed. Restore files with: Their name and depending on the restore options used the file path. All content, including alternate data streams (ADS) and extended file attributes. The default permissions and ownership in the target directory, based on the current Windows security policy. Any existing System, Hidden, Read-only, or Archive file attributes. Files are not restored with: File system permissions, including owner Encrypted, Compressed, or Offline file attributes. Note: To restore files at more granular level, rather than for the entire mapped folder, use the web search File Restore feature instead. Specifying a security group gives access to that group and to the individual members of the group. Searching for archived files is based on security group membership. 2. When you are finished adding users or groups, click OK. Your selections are copied to the list on the Archived File Access page and the Select Users, Contacts, or Groups dialog box closes. Removing access from specified users and or groups Perform the following steps to remove access from specified users and or groups that can access files archived by the File Archive - Historical activity. 1. The specified file owner must be listed in the Active Directory forest in which EMC SourceOne is installed. If the specified file owner is a local user or local group, they cannot access or search for the files after archiving. Note: Users with Administrator or Read All permissions on the mapped folder associated with the archive can also access the files. Include original file system owner Select the Include original file system owner checkbox to have the original owner permissions retained on the file when it is archived. The specified file owner must be listed in the Active Directory forest in which EMC SourceOne is installed. If the specified file owner is a local user or local group, they cannot access or search for the files after archiving. Note: Users with Administrator or Read All permissions on the mapped folder associated with the archive can also access the files. Force existing permissions in SourceOne to be updated Select the Force existing permissions in SourceOne to be updated checkbox to force permissions to be updated for files that were already archived and have not changed. A snapshot of permissions is captured when the file is archived or indexed in place. If the activity is run again later, and that file has not been modified, SourceOne will not update the permissions on the file. This is true even if the Include snapshot of file system permissions or Include original file system owner checkboxes are selected, and the file system permissions or owner have changed. Rescanning permissions for every file every time the activity runs can be a time consuming and system intensive operation. The Force existing permissions in SourceOne to be updated checkbox allows such a rescan to be requested on demand, rather than occurring every time the activity runs. New permissions can be specified explicitly, and scanned from the file system for each file if the Include snapshot of file system permissions or Include original file system owner checkboxes are selected. There are two ways the new permissions can be applied to existing archived files: Select New permissions replace existing permissions to completely replace any existing permissions for the file, Select New permissions are added to existing permissions to add any new permissions to the file, while retaining any existing permissions the file had. 70 Note: SourceOne permissions are tracked per location the file is archived from. If a file has been archived from several different locations, adding or removing permissions for a particular user or group in one location will not impact other locations, unless those locations are processed as well. Mapped Folders (Files) Use the Mapped Folders page to select the mapped folder to use with the activity. File Archive - Historical: Selecting a mapped folder For the File Archive-Historical activity, perform the following steps. 1. When using file processing activities, the default duration of 1 hour may not grant enough time for the activity to complete. The activity will reoccur according to the information you specified in the Recurrence area. End by The activity will first occur on the start date and time you specified. The activity will reoccur according to the information you specified in the Recurrence Pattern area, until the end date you specify in this option. Select Worker Group Click the down-arrow, then select an end date from the calendar. When creating an activity, the SourceOne administrator can select to constrain the execution of the activity to specified worker group or to all workers. Perform the following steps to specify a worker group for an activity. 1. Click the checkbox to select Select Worker Group. 2. Select Specify the worker group for this activity. 3. The results pane lists the new activity following the policy to which it belongs. The status of the new activity is Active. Use this page of the activity wizard to review the options you have selected for the activity. If any of the options are incorrect, click Back until you reach the page and change them.
