5 1 Prerequisites Supported Operating Systems Windows Server 2012 R2 Update or Windows Server Recommended for most production environments. Windows 10 Recommended for production environments with light workloads. Note Additional installation guides may be obtained from the Owner Resources: Drivers & Downloads section on the page: FreeFlow Core is supported only on 64-bit Windows with.net updated to or higher..net 3.5 SP1 must be enabled for some versions of SQL Server. Please consult SQL Server requirements. Core, Mobile, Internet of Things (IoT), Home, and Team editions are not supported. Windows 10 S is not supported. does not support installation on computer systems that utilize Federal Information Processing Standards (FIPS). 7 2 Installing Licensing Trial License may be installed in trial mode without a license. The trial version includes all optional modules and is fully functional for 45 days. Production License The Enablement Kit delivered with your order contains your Activation Key(s) and Product Serial Number. Depending on your product configuration, you will receive one or more Enablement kits with an Activation Key for each module. Note The first time you acquire a license, you must enter the Activation Keys for your entire software configuration. For example, if your software configuration includes the base software and the Advanced Prepress module, you must redeem each key individually. If you obtain your license file using the Xerox Software Activation Portal, you must redeem all your keys before downloading the license file (refer to the steps below). If you obtain your license during installation over the Internet, refer to License Updates in this guide for more information. may be licensed during installation over the Internet. If the Xerox FreeFlow Core server does not have access to the Internet, you will need to obtain a license file using the Xerox Software Activation Portal. To obtain a license file, perform the following steps: 1. Open the Software Activation Portal website: 2. Enter your Activation Key. Click Next. 3. Enter all requested User Information. Click Next. 4. Review the license information. Select Back to make changes. Select Activate Another License to redeem additional Activation Keys. 2-1

8 Installing Once you have redeemed all Activation Keys, select Save and Download License File to save the file to the local system. 5. Close the web browser to exit the Software Activation Portal. Backup License You must obtain a valid backup license file from Xerox before installing the software. Do not attempt to license the software over the Internet or use the Xerox Software Activation Portal to obtain a license during the installation process. Refer to the instructions that came with your backup software Enablement kit for a Xerox Licensing Center in your region. The license for the backup system includes license entitlement for all optional modules purchased with the production system. Prepare for System Installation 1. Install all Windows Updates. 2. Disable antivirus software during the installation process. 3. Ensure the system is configured with a static IP address. 4. Install Microsoft SQL Server. SQL Server can be installed on either the local FreeFlow Core server or a remote server. If installing on local server, see Appendix A for typical installation instructions. If installing on remote server, see Microsoft instructions for installation of the SQL Server. Use of named instance is preferred. It is strongly suggest that SQL server be installed with mixed-mode (Windows) authentication. Use of SQL authentication with SA account is discouraged. Installing SQL Server on a compressed volume is not supported. 5. Server Roles and Features can be configured either manually or by the Installer. For manual configuration, refer to Appendix B-1 or Appendix B-2. Using FreeFlow Core Installer for system configuration is strongly recommended. To perform system configuration manually, refer to Appendix B-1 or Appendix B If Microsoft Office file conversion is required, install Microsoft Office 2013 or 2016 (64 bit) before installing. See Section 3, Optional Installation Procedures for more information. Installing the Software 1. Double-click FreeFlowCore-5.1.n.n-Setup.exe to run the file. For the installer to run, a reboot may be required. a) If prompted to reboot, restart the system and then run the installer again. 2. Select the desired language for the Installer user interface to display and click OK. 3. If the required prerequisites are not configured and a System Check log appears, do the following: a) Cancel the installation. b) Look for the ERROR's in the System Check log and configure the appropriate requirements per instructions in Appendix B

9 Note When installing FreeFlow Core with a remote SQL Server, the system check will show an error for SQL Server not found. This error may be safely ignored. c) Return to the installation. 4. If presented with a request to reboot the system at this time. You must reboot and then restart the FreeFlow Core installer. 5. In the Welcome window, click Next. 6. In the Custom Setup window, click Next. 7. In the License Agreement window, accept the terms of the license agreement and click Next. 8. In the Destination Folder window, change the workflow data folder so that it is installed on your largest hard drive partition, and click Next. 9. Add a license. a) If you have a license file, select Add or Change license dat file and select the license file using the open file dialog. Click Next. b) If you have an Activation Key, select License over the Internet using Activation Key. Click Next. The License Tool opens. 1. Select Download license from Software Activation Portal. Click Next. 2. On the SWAP Instructions, click Next. 3. Enter the required information on the next two screens and click Next. The license is automatically added to your system. Note You must use the Base Activation Key during installation. If the Xerox FreeFlow Core configuration contains optional modules, refer to License Updates, once you complete the installation in order to update the license and enable the additional optional module(s). 4. Click Finish. The License Tool closes. 5. Click Next to continue the installation without rebooting. c) If installing a 45-day trial, select Install Trial Software. Click Next. 10. Enter the SQL Server database information. Click Next. a) Local Database (Such as SQL Server 2014 Express installed on the FreeFlow Core Server) 1. SQL using Windows Authentication option: SQL Administrator Field will be filled with either of the 2 options below, Installing 1. Domain\username for Domain accounts and Password field will be grayed out. Enter the Instance ID during SQL Server installation as the Database Instance ID. The Server name in SQL Server is formatted as <hostname>\<instance ID>. Only the Instance ID is required. Enter localhost as the Database System Host Name. 2. Hostname\username for Logged in accounts and Password field will be grayed out. Enter the Instance ID during SQL Server installation as the Database Instance ID. The Server name in SQL Server is formatted as <hostname>\<instance ID>. Only the Instance ID is required. Enter localhost as the Database System Host Name. 2-3

SQL using Mixed-mode (SA account): To use the SA account instead of Windows Authentication, uncheck the use SQL Windows Authentication option and provide the System Administrator name and password used during the SQL Server installation. Enter the Instance ID during SQL Server installation as the Database Instance ID. The Server name in SQL Server is formatted as <hostname>\<instance ID>. Only the Instance ID is required. Enter localhost as the Database System Host Name. b) Remote Database (Such as SQL Server 2014 installed on a separate Database Server): 1. SQL using Windows Authentication option: SQL Administrator Field will be filled with, 1. Domain\username for Domain accounts and Password field will be grayed out. Enter the Instance ID during SQL Server installation as the Database Instance ID. The Server name in SQL Server is formatted as <hostname>\<instance ID>. Only the Instance ID is required. Enter the DNS Name or IP address of the server running SQL Server. The Domain\username is also required to be an Administrator on the Remote Database Server, and have SQL System Admin permission. 2. For Local accounts Remote Database is not supported. 2. SQL using Mixed-mode (SA account): To use the SA account instead of Windows Authentication, uncheck the use SQL Windows Authentication option and provide the System Administrator name and password used during the SQL Server installation. Enter the Instance ID during SQL Server installation as the Database Instance ID. The Server name in SQL Server is formatted as <hostname>\<instance ID>. Only the Instance ID is required. Enter the DNS Name or IP address of the server running SQL Server. Note If the SQL Server port number has been changed from the default, add a comma followed by the port number to the DNS name. Example: SQLServerName, If you are using SQL Windows Authentication, click OK to acknowledge the message regarding the SQL database administrative privileges requirement for the Windows User. 12. If using Microsoft Office conversion, enter the name of the Windows account that will be used to run the Core Services. Otherwise, check the box to use the local system account. Note For Remote Database in Windows Authentication local system account is not supported. a) Using Domain Accounts: 1. Local Database using Windows Authentication: Provide Domain Username & Password. 2. Local Database using SQL Authentication: Provide Domain Username & Password. 3. Remote Database using Windows Authentication: 2-4

Local Database using Windows Authentication: Provide Hostname\Username & Password. 2. Local Database using SQL Authentication: Provide Hostname\Username & Password. 3. Remote Database using Windows Authentication: Provide Hostname\Username & Password. 4. Remote Database using SQL Authentication: Provide Hostname\Username & Password. Note If you enter the Windows account at this time, the Installer automatically configures the services and MSMQ. You can also change this setting after installation completes by using the Core Configuration tool from the Windows Start menu. 13. Click Install to begin the installation. 14. Upon completion, click Finish and then Yes to restart the system. License Updates You may need to update the license: if the configuration contains optional modules and you elected to License over the Internet using Activation Key during installation. when upgrading a Trial license to a Production license. To update licensing: 1. Run the License Tool. 2. For each license file or Activation Key, follow the Add a license step in the installation instructions. 2-5

12 Installing 3. Reboot when all license files have been installed or when all Activation Keys have been redeemed. Web Browser Configuration Internet Explorer 11 Set the browser to compatibility view mode and restart it before using the browser with Xerox FreeFlow Core. If the browser is not set to run in compatibility view, the Silverlight application freezes. Safari on Mac OS X 10.9 Mavericks 1. Open the UI. 2. Go to Preferences > Security > Internet plug-ins > Manage Website Settings. 3. Set the Silverlight plugin to Always Allow. If the Silverlight plugin is set to Run in Safe Mode file uploads will fail. 2-6

13 3 Optional Installation Procedures Windows Shared Folders or Microsoft Office Conversion Setup Use of Shared Windows Directories and Microsoft Office file conversion requires to run under a service account. It is recommended that you use Core Configure to change these settings. This service account must: Run FreeFlow Core services via change to their LogOn property Have Full Control over the OAP Message Queue Have access to Shared Windows Directories Manually Setting the Log On Properties for Services in Windows To configure how a service is started using the Windows interface 1. Click Start, click in the Start Search box, type services.msc, and then press ENTER. 2. Optionally, export and save a list of the existing settings. To do this, right-click Services, select Export List, and save the settings list. 3. In the details pane, right-click the FreeFlow Core service that you want to configure, stop the service and then click Properties. 4. On the General tab, in Startup type, click Automatic, Manual, Disabled, or Automatic (Delayed Start). To specify the user account that the service can use to log on, click the Log On tab, and then do one of the following: a) To specify that the service uses the LocalSystem account, click This account, and then type "NT AUTHORITY\LocalService" Without the quotes. Do not enter a password. b) To specify another account, click This account, click Browse, and then specify a user account in the Select User dialog box. When you are finished, click OK. 5. Type the password for the user account in Password and in Confirm password, and then click OK. If you select the LocalSystem account do not type a password. 3-1

14 Optional Installation Procedures 6. Repeat Steps 3-6 for the FreeFlow Core JMF Gateway and FreeFlow Core Resource Monitor services. To configure how a service is started using the command line You can also manage services using the sc config command. For more information about the options available, open a command prompt and type sc config /?. For examples and detailed descriptions of the command-line options, see the command-line reference at Manually Setting the Message Queuing Security for Windows 1. Click the Start Menu (or Windows Key) and enter Computer Management. 2. Select Services and Applications > Message Queuing > Private Queues. 3. Right-click oapeventmessagequeue and click Properties. 4. Click the Security tab and click Add. 5. Under Enter the object name to select, enter the name of the service account, such as Administrator. Click Check Names and then OK. The service account must be the account used for the service logon. 6. Under Permissions for Administrator, check Full Control and click OK to allow all permissions. Adding Shared Folder Credentials to the Windows Account If the Windows account used for the service has access to the shared folders then additional configuration is not required. Note Shared folders must be UNCs (for example: \\<server>\<path>\file.ext). Mapped drives are not supported. To validate access to a shared folder: 1. Log into the server using the Windows account used for the Xerox FreeFlow Core service. 2. Launch Run. 3. Type the UNC to a folder or file in the shared directory and select OK. The file or folder will open without prompting for credentials. Add Credentials to Windows Account If needed, credentials can be added to the Windows account used for the service. 1. Select Control Panel > User Accounts > Credential Manager > Windows Credentials. 2. Select Add a Windows Credential. 3. Specify the server Internet or network address and a valid User name and Password. Click OK. 4. Validate access per instructions above. 3-2

15 4 Post Installation Steps Create an Administrator Account 1. Open the UI: Select Start. Type "FreeFlow" and select FreeFlow Core from the Search Results. To access from a remote system, go to the following URL: or ip address of FreeFlow Core server>/freeflowcore 2. If prompted to load Silverlight, select Click now to install, and follow the instructions. Once it is installed, close your browser, and relaunch. 3. Enter the Username and Password for an administrator account. You will log on after the account is created. Easy Start Workflows To configure your system with predefined workflows, download the Easy Starts package from the Owner Resources: Drivers & Downloads section on the web page and follow the provided instructions. Windows Firewall and Virus Protection Windows firewall enablement and configuration details are provided in the Security Guide. This guide also includes anti-virus software configuration recommendations. The Xerox FreeFlow Core Security Guide is available from the Xerox Security Information website: 4-1

17 5 Upgrades In order to perform the upgrade, you will need to obtain a new license(s) for version 5.0 using your existing 4.0 product Serial Number and Activation Key(s). Obtaining a New License To update the license: 1. Open the Xerox Software Activation Portal (SWAP) website: 2. Enter your Activation Key. Click Next. 3. Enter your system UUID (including dashes) or the Network Interface Hardware Address (MAC Address). 4. Enter your Serial Number. Click Next. 5. Enter all requested User Information. Click Next. a) Select Back to make changes. b) Select Activate Another License to redeem additional Activation Keys. c) Once you have redeemed all Activation Keys, select Save and Download License File to save the file to the local system. d) Close the web browser to exit the Software Activation Portal. 6. Upload the license file in as outlined in Upgrade Procedure below. Each time an Activation Key for an optional module is redeemed subsequent to redeeming the Activation Key for the Base software, the license for the optional module(s) is appended to the Base software license file. If all Activation Keys are redeemed in succession, the final license file received will include entitlement for the Base software and any/all optional modules and only needs to be installed once unless additional optional modules are added to an existing installation. If all Activation Keys are not redeemed, the optional module(s) for which an Activation Key(s) has not been redeemed will not be licensed or enabled in the software. To resolve this, repeat the steps described above in order to append the Activation Key(s) for the additional option(s) to the existing license file, and re-download the license file. 5-1

18 Upgrades Upgrading from 4.0 Prior to performing an upgrade: Ensure you obtain a FreeFlow Core 5.0 license. Ensure all jobs have completely finished processing through your workflows. To minimize the time it takes to perform the upgrade, it is recommended you delete all jobs. If you are upgrading from FreeFlow Core 4.0.x.x, additional prerequisites may be configured by the Installer which may require a reboot and then a restart of the installer. If prompted to reboot, do so and then continue by restarting the Installer. To upgrade to FreeFlow Core 5.0, refer to Installing the Xerox FreeFlow Core Software. Optional If you are using Windows Shared Folders or Microsoft Office Conversion, once you upgrade your system, you need to perform the following from the Optional Installation Procedures chapter in the Xerox FreeFlow Core : 1. Setting the Service Logon Ensure the setting is correct. 2. Setting the Message Queuing Security. This information may not be retained when you upgrade. 5-2

19 6 Appendix A: Manual SQL Server Installation Install Microsoft SQL Server 2014 Express with Tools Note The instructions for other versions may vary. 1. Download Microsoft SQL Server 2014 Express with Tools (SQLEXPRWT_x64_xxx.exe). The software can be downloaded from the Microsoft SQL Server Express site: xxx represents the language code. 2. Install SQL Server 2014 SP1 Express with Tools. a) Launch the SQLEXPRWT_x64_xxx.exe. b) Select a directory where you want the files extracted and select OK. c) On the SQL Server Installation Center window, select New SQL Server stand-alone or add features to an existing installation. d) On License Terms, accept the terms. Click Next. e) On Microsoft Updates, click Use Microsoft Update to check for updates (recommended) and then click Next. Updates will automatically download and install. f) On Feature Selection, click Next. g) On Instance Configuration, select Named Instance. Click Next. You may optionally change the Instance ID. The Instance ID is required during the Xerox FreeFlow Core installation. h) On Server Configuration, change the SQL Server Browser Startup Type to Automatic. Click Next. 6-1

20 Appendix A: Manual SQL Server Installation i) On Database Engine Configuration, do one of the following to set up the Authentication Mode: - Windows Authentication: Select Windows authentication mode. Note Remote database requires the account to be a domain account. Local accounts cannot be used with a remote database. - SQL Server System Administrator: Select Mixed Mode. Enter a password for the account and click Next. The name and account password are required during the installation. j) Once the installation is complete, click Close. k) Close the SQL Server Installation Center. Install Microsoft SQL Server 2014 Standard Use the Microsoft instructions for installing SQL Server and apply the following options. 1. On SQL Server Installation Center, select Install from the left side. 2. On SQL Server Installation Center, select New SQL Server stand-alone installation or add features to an existing installation. 3. On Setup Support Rules, click OK. 4. On Product Key, enter the Product Key. 5. On License Terms, accept the terms. 6. On Setup Roles, select SQL Server Feature Installation. 7. On Feature Selection, select the following options, the same as SQL EXPRESS: a) SQL Server Replication b) Management Tools - Complete c) SQL Client Connectivity SDK 8. On Instance Configuration, select Named Instance and specify a named instance, for example, FREEFLOWCORE. Do not use MSSQLSERVER as the Instance ID. The installation will fail to configure the database if this is the Instance ID. 9. On Server Configuration, if it is not already selected, modify the SQL Server Browser Startup Type to Automatic. 10. On Database Engine Configuration, do one of the following to set up the Authentication Mode: Windows Authentication: Select Windows authentication mode. Note Remote database requires the account to be a domain account. Local accounts cannot be used with a remote database. SQL Server System Administrator: Select Mixed Mode. Enter a password for the account. The name and account password are required during the installation. 11. Select Add Current User to register the logged on desktop user as a SQL Server Administrator. 23 Appendix B-1: Manual System Configuration for Server 7 Roles and Features for Windows Server Roles and Features for Windows Server, including validating that a supported version of Microsoft SQL Server or SQL Server Express has been installed prior to initiating the installation or upgrade, are automatically configured during the installation process. In the event that the FreeFlow Core Installer encounters a problem when attempting to validate the required prerequisites, the Installer will display a warning message. In such cases, refer to the System Check log for ERROR s and configure the appropriate requirements per the instructions below. Customers are responsible for installing and configuring Microsoft SQL Server or SQL Server Express prior to running the Installer. Refer to the Microsoft website for installation instructions. 1. Launch Server Manager. 2. To launch the Add Roles and Features Wizard, select Add roles and features from the Welcome Tile and click Next. Note Always select Add Features or OK when popup windows prompt to add features that are required for a selected feature. 3. Select Role-based or feature-based installation and click Next. 4. Select Next to select the local server. 5. Under Server Roles, select Print and Document Services > Print Server. 6.
