2 CLIENT OPERATING SYSTEM.1 INTRODUCTION TO WINDOWS XP FILE STRUCTURE Every time you work on a computer and write any program codes or do your assignments, either you print these programs and assignments for filing or save them on your computer. These program codes and other data is saved on you hard disk as a file. Every operating system has its own way to organize these computer files. Windows XP have three basic divisions for the data or program which exist on computer. Files Folder Drives.1.1 File A file is a collection of information that you create while you work on a computer. Files are made up of the filename, and the extension. File extension tells about type or nature of file. For example, if you created a Microsoft Word document, the file is saved as myfile.doc. With this doc file extension, computer knows that it is Microsoft Word file and it can read it and open it using Microsoft Word. Often files cannot be opened to read, they are simply data files the computer understands, but we cannot..1.2 Folder You can store a file in a folder. One folder can be put into another folder, such folder is called sub-folder. Folder helps you to organize computer files. For example you can create marketing folder for keeping all the files belong to market department while research folder will contain all files related to research. Windows XP stores its important files in Windows folder usually found in C drive..1.3 Drives Files and folders are stored on drives. Drives hold large amount of data and programs. 3 MANAGING SHARED FOLDER AND DATA STORAGE.2 WINDOWS XP FILES AND FOLDERS SHARING Computer networking is becoming an integral part of our home as well as offices. Nowadays, most of the computers are connected to another computer forming a computer network, usually called Local Area Network (LAN). If you have multiple computers in your home and they are connected together with LAN, you can share files among your computers. No need for you to copy files to a floppy disk or USB flash drive to transfer them one to another computer. You only need to configure your computer to share files and folders. You (or another user with the appropriate permissions) can copy or read the shared files from another location via your local computer. Windows XP Professional allows files and folders sharing which can be accessed by other users. To access the shared files and folders, the users can be on local computer or over the network with appropriate rights. Windows XP has various tools to make files and folders sharing easy. Local user can log onto Windows XP with their local user account or guest account to gain access of shared resources. Remote users connect to computer over the network to access shared folders and disk space. Organization having established computer network can benefit from sharing resources using Windows XP. Figure -2 Windows XP Professional Allows Files and Folders Sharing Over Network and Locally Windows XP has a file sharing user interface for enabling simple files and folders sharing. If you have formatted your hard disk with NTFS file system then Windows XP allows more control over shared folder. You can combine NTFS folder sharing feature with simple files sharing feature. Once you have applied any sharing permissions on a folder, sub-folder will automatically have all the permissions granted. In other words, all the sharing permissions from parent folder automatically transferred to child folder. Files and folders that are created in or copied to a folder inherit the permissions that are defined for their parent folder. 3

4 CLIENT OPERATING SYSTEM.2.1 Simple File Sharing By default, the Simple File Sharing user interface is turned on in Windows XP Professionalbased computers that are joined to a workgroup. Windows XP Professional-based computers that are joined to a domain use only the classic file sharing and security interface. When you use the Simple File Sharing User Interface, both share and file permissions are configured. If you turn off Simple File Sharing, you have more control over the permissions to individual users. However, you must have advanced knowledge of NTFS and share permissions to help keep your folders and files more secure. If you turn off Simple File Sharing, the Shared Documents feature is not turned off. By default, files that are stored in My Documents are at Level 2. Levels 1, 2, and 3 folders are available only to a user who is logging on locally. Users who log on locally include a user who logs on to a Windows XP Professional-based computer from a Remote Desktop (RDP) session. Levels 4 and 5 folders are available to users who log on locally and remote users from the network LAB: Turning on and turning off Simple File Sharing You can turn on or off simple file sharing on Windows XP, to have more control on your file sharing. Follow these steps: 1. Double-click My Computer icon on the desktop; this will open My Computer dialogue box 2. Click Tools menu of My Computer dialogue box and select Folder Options. 4

5 MANAGING SHARED FOLDER AND DATA STORAGE 3. Click View tab, scroll down to advanced settings list, check or uncheck Use simple file sharing to turn it on or off. By default simple file sharing is on. Clear the checkbox to turn off this feature. 4. This is how File sharing properties dialogue box will look, once use simple file sharing is on 5

You can enable simple file sharing on your Windows XP Professional system for others to access. Shared files can be accessed locally as well as over the network, if user has appropriate right. Follow these steps to implement simple file sharing: 1. Locate the drive or folder which you want to share. Point mouse over the folder and right click and select sharing and security.. (Once the folder is selected you can click 2. If you are sharing file of folder for first time then you will see My Pictures Properties dialog box as shown below. 10 CLIENT OPERATING SYSTEM.2.2 Levels of access to shared files and folders Windows XP Professional provides five levels of access to shared folders and files. Level 1 being most secure while 5 is least secure and allow public to change the content of shared folders. You can configure Levels 1, 2, 4, and 5 by using the Simple File Sharing user interface of Windows XP. Shared folders are accessible to network users if the computer is connected network and users have appropriate permissions. Different levels of access can be used while accessing Windows XP files and folders. Figure -3 highlights different level of access with examples where it can be implemented. Access Levels Level 1 Level 2 Level 3 Level 4 Level 5 Example Can be applied to My Documents folder to make it private, only allow particular user to access My Documents folder, not even system administrator. This is default access level applied to My Documents Files and documents shared with level 3 access is available to local users Shared Files on the Network (Readable by Everyone) have access level 3 Shared Files on the Network (Readable and Writable by Everyone) have level 5 Figure -3 Windows XP Files and Folder Access Levels Level 1: Make My Documents Private Level 1 access rights can be applied to My Documents folder of a computer which gives the owner read and write permission to the file and folder. Nobody else can open or read any file or folder contained in My Documents folder, not even other administrators account. All subfolders that are contained in a folder that is marked as private remain private unless you change the parent folder permissions. If you are a Computer Administrator and create a user password for your account by using the User Accounts Control Panel tool, you are prompted to make your files and folder private. The option to make a folder private (Level 1) is only available to a user account in its own My Documents folder. Take care of private folder serious because once you cannot access your account due to loss of passwords or any other reason, then your private folder become inaccessible. You have to apply special techniques to recover data in such cases. 10

Right-Click the folder e.g. My Documents then click Properties 2. In My Document Properties, Select the Make this folder private check box and click OK button. 11

12 CLIENT OPERATING SYSTEM LAB: Assigning a Level 2 access rights to a folder (My Documents by default) The owner (creator) of the files and folders as well as local Administrator of the computer has permission to read and write to the created files and folders. Other users don t have read and write access to those files and folders which are not created by them. This permission is defined by access level 2 which is also default permission for each user s My Documents folder on Windows XP professional machine. To set a folder as well as all files in it to level 2, follow these steps: 1. Right-click on the folder to which you want to set access level 2 rights, and click sharing and security 2. Uncheck both of boxes (Make this folder Private and Share this folder on the network) and click OK 12

13 MANAGING SHARED FOLDER AND DATA STORAGE Access Level 3 Permission: Files and folders in shared documents folder Files and folders that are shared locally on a particular Windows XP professional machine by placing them in shared documents folder of Windows XP belong to access level 3 rights. These shared files and folder can be read, modified and deleted by local computer administrators. Other restricted users can only view and read the content of files and folder. If you want to permit these files and folders to be viewed by network user then you have change access level, that is access levels to 4 or 5 and share them over the network LAB: Set a access level 3 to files and folders To configure files and folder to access level 3 follow these steps: 1. Select and Copy the files and folders which you want to assign access level Open My Computer and Click Shared Documents folder, click Edit menu and select paste 13

14 CLIENT OPERATING SYSTEM Access Level 4: Shared folder on the Network (Read Only) Files and folders shared over the network for everybody has read permission unless you grant extra write permission belongs to access level 4. All local users, including Guest account can read the files but cannot modify the content over the network LAB: To configure a folder and all the files to access level 4 To configure a folder and its content to access level 4, follow these steps: 1. Right-click the folder you want to share and click Sharing and Security 2. Click to select the Share this folder on the network check box and click to clear the Allow network users to change my files check box, then click OK You can assign different shared name by typing in the space provided. This name will be viewed by all users over the network. 14

15 MANAGING SHARED FOLDER AND DATA STORAGE Access Level 5: Shared folder on the network (Read and Write) This access level is not secured access level so you should avoid as much as possible unless it is very much necessary. Access level 5 allows any user, either local or remote (network user) to read, write, change or delete a files in a folder shared at this level. Even the guest user account can read and modify the folders of access level LAB: To configure a folder and all the files to access level 5 To configure a folder with access level 5, follow these steps: 1. Right-click the folder and then click sharing and security, folder properties dialogue box will open. 2. Click to select the Share this folder on the network and Allow users to change my files check box. Click OK 15

16 CLIENT OPERATING SYSTEM All the levels you learn so far are mutually exclusive. Private folders (Level 1) cannot be shared unless they are no longer private. Shared folders (Level 4 and 5) cannot be made private until they are unshared. If you create a folder in the Shared Documents folder (Level 3), share it on the network, and then permit network users to change your files (Level 5), the permissions for Level 5 are effective for the folder, the files in that folder, and the child folders. The other files and folders in the Shared Documents folder remain configured at Level 3. The only exception to above access level rules, if you have a folder (SampleSubFolder) that is shared at Level 4 inside a folder (SampleFolder) that is shared at Level 5. Remote users have the correct access level to each of the shared folders. Locally logged-on users have writable (Level 5) permissions to the parent (SampleFolder) and child (SampleSubFolder) folders. 17 MANAGING SHARED FOLDER AND DATA STORAGE.2.2. File and folder sharing Guidelines It is always advisable to share only folders over the computer network that users on other computers must access. It is recommended that you do not share any system files and important Windows folder. Never share your main C: drive as whole where Windows XP has been installed. Always analyse the consequences of sharing such drive before you do it. Windows XP professional will give you following warning if you are going to share drive C: Figure -5 Warning message is Displayed While Sharing Drive C: Read only device like CD-ROM are shared at access level of 4 or 5 only. Any CD-ROM in shared CD-ROM drive can be accessed by all network users. While you move or copy and paste files and folder from one location to another location, access right of the folder chances according to your action. There are some common situations described below The access level of files and folder changes according to following situations: When you use the move command at a command prompt to move a files or folders from one location to another on the same drive that have different permissions. When you use a script to move the file into the folder from a folder on the same drive that has different permissions. When you change a file's permissions while Simple File Sharing is turn off on Windows XP Professional. NTFS permissions are not maintained on file move operations when you use Windows Explorer with Simple File Sharing turned on. If you turn on and turn off Simple File Sharing, the permissions on files are not changed. The NTFS and share permissions do not change until you change the permissions in the interface 17

18 CLIENT OPERATING SYSTEM Disk Mapping in Windows XP Professional You are familiar with reading and storing your files and folder on you local hard drives (C and D drives) or writable RW CD ROM drive. Network drive are similar to your local hard disk but only difference is that the files and folders network drive contains lies not on local machine but another computer which are connected together via network. Network drive can be also assigned and access by drive name & letters as local hard drives. There will be hundreds of hard disks available for sharing over the network once you have network of hundred computers. Having network of hundred computers in today s office environment is common thing. You can create a network drive and it to shared folders or drives on another computer so that it will appear as a drive icon and designated by a letter in your My Computer pane as shown in Figure -6. Mapped Network Drive Figure -6 Mapped Drive LAB: Disk Mapping in Windows XP Professional You can create network drive and map it to any folders or drives on another computer over the network. The mapped drive will appear on you local computer together with other local hard disk listing in your My Computer pane. 1

19 MANAGING SHARED FOLDER AND DATA STORAGE To map the network drives follow these steps: 1. Double-click My Computer to open it, Click Tools menu and select Map Network Drive. 2. Choose the Drive letter from list which you want to assign and specify the folder path. You can also click button to browse the shared folders. Click finish. 3. You have created Mapped Network drive and it will look like in Figure -6. Its content can be accessed by just clicking drive name same as other local drives. 19

20 CLIENT OPERATING SYSTEM Mounted Drives A mounted drive is a drive that is mapped to an empty folder on a volume that uses the NTFS file system. Function of mounted drive is same as any other drives, but they are assigned drive paths instead of drive letters. Therefore, when you view a mounted drive in Windows Explorer, it appears as a drive icon in the path in which it is mounted. A Mounted Drive C Volume as a Folder Figure -7 A Mounted Drive C as a Folder One advantage of mounted drives compared over mapped network drives is that, since mounted drives are not subjected to the 26-drive-letter limit for local drives and mapped network connections, therefore you are not subjected to limits of 26. For Example, you have a CD-ROM drive with the drive letter E, and a hard disk with NTFS volume assigned the drive letter F. You can mount the CD- ROM drive as F:\CD-ROM. Thus, you can then free the drive letter E, which can be then used for installation of new physical drive to your system. After mounting CD-ROM, you can gain access to it directly by using F:\CD-ROM as you access a normal computer folder. You can also use mounted drives when you need additional storage space on a volume. Suppose you run out of space on a hard disk volume, you can extend the storage space by mounting this volume together with another separate empty disk to a folder, thus creating a bigger space. System will treat both mounted drive volume as a single folder. 20

21 MANAGING SHARED FOLDER AND DATA STORAGE Mounted drives make your data more accessible and give you the flexibility to manage data storage based on your work environment and system usage. These are additional examples by which you can use mounted drives: To provide additional disk space for your temporary files, you can make the C:\Temp folder a mounted drive. When space starts to run low on drive C, you can move the My Documents folder to another drive with more available disk space, and then mount it as C:\My Documents. You can mount any basic or dynamic NTFS volume to a folder by using the Disk Management snap-in. The folder in which you mount the drive must be empty LAB: Create a mounted drive Follow these steps to create a mounted drive 1. Click Start, click Run, and then type compmgmt.msc in the Open box. 2. In the left pane, click Disk Management. 21

22 CLIENT OPERATING SYSTEM 3. Right-click the partition or volume that you want to mount, and then click Change Drive Letter and Paths. 4. Click Add button when Change Drive Letter and Paths dialog box appears. 22

Click Mount in the following empty NTFS folder (if it is not already selected), and then use one of the following steps: Type the path to an empty folder on an NTFS volume, and then click OK. Click Browse, locate the empty NTFS folder, click OK, and then click OK. If you have not yet created an empty folder, click Browse, click New Folder to create an empty folder on an NTFS volume, type a name for the new folder, click OK, and then click OK. 6. You have successfully mounted Drive C as a folder. Quit the Disk Management snap-in. 23

24 CLIENT OPERATING SYSTEM LAB: Remove a mounted volume 1. Click Start, click Run, and then type compmgmt.msc in the Open box. 2. In the left pane, click Disk Management. 3. Right-click the partition or volume that you want to unmount, and then click Change Drive Letter and Paths. 4. Click the mounted drive path that you want to remove, and then click Remove. 5. Click Yes when you are prompted to remove the drive path. 6. Quit the Disk Management snap-in. 24

25 MANAGING SHARED FOLDER AND DATA STORAGE.3 DATA BACKUP AND RESTORE Data backup is the process of creating a copy of programs or files for later retrieval on a disk to a separate location for safe keeping. Since hard drives are not reliable, it is recommended that you backup its contents regularly. The Backup utility helps you protect data from accidental loss if your system experiences hardware or storage media failure. You can use Backup to create a duplicate copy of the data on your hard disk to another storage device like tape drive, CD-ROM, Hard disk or ZIP drive. The backup storage medium can be a logical drive such as your hard drive, or an entire library of disks or tapes organized into a media pool and controlled by a robotic mechanism. If the original data on your hard disk is accidentally erased or overwritten, or becomes inaccessible because of a hard disk malfunction, you can easily restore the data from the archived copy. Using Backup you can do following: Archive selected files and folders on your hard disk. Restore the archived files and folders to your hard disk or any other disk Use Automated System Recovery to save and restore all the system files and configuration settings needed to recover from a complete system failure. Make a copy of any Remote Storage data and any data stored in mounted drives Make a copy of your computer's System State, which includes the system files, the registry, Component Services, the Active Directory database, and the Certificate Services database. Make a copy of your computer's system partition, boot partition, and the files needed to start up your system in case of computer or network failure. Schedule regular backups to keep your archived data up-to-date..3.1 Backup Modes You can launch the Windows XP Backup and Restore Utility; you can select one of two Backup modes: Wizard Mode Advanced Mode 25

26 CLIENT OPERATING SYSTEM.3.2 Types of Backup Operations Windows XP Backup or Restore utility provides five different types of backup to meet different backup need. Five backup types mentioned below: Normal Backup Copy Backup Incremental Backup Differential Backup Daily Backup Figure - Different Types of Backup 26

27 MANAGING SHARED FOLDER AND DATA STORAGE Normal Backup If you want to backup all the selected files and folders, then use normal type of backup. Normal backup copies all the files you have selected and marks each file as having been backed up. Normal backup is usually performed at the first time you create a backup set. With normal backups, you have the most recent copy of the backup file or tape to restore all of the files. Normal backup takes longer time and more disk space than incremental backup since all files and folders are copied Copy Backup As the name implies, copy backup create a copy of selected files and folder. Unlike normal backup, copy backup does not mark each file as having been backed up. Copying is useful if you want to back up files between normal and incremental backups because copying does not affect these other backup operations Incremental Backup Incremental backup is used to backup only files and folders which have been modified since the last backup. When running an incremental backup, users need to update the archive attribute while backing up only modified files. Often the incremental backups are appended to the full backup set. If you use a combination of normal and incremental backups, you will need to have the last normal backup set as well as all incremental backup sets to restore your data Differential Backup During a differential backup, only the selected files and folders that have a marker are backed up, but the backup does not clear markers. Because a differential backup does not clear markers, if you did two consecutive differential backups on a file and nothing changed in the file, the entire file would be backed up each time. This type of backup needs less time and disk space compared with normal backup or copy backup Daily backup Daily backup is performed on all the files that you select and have been modified on the daily basis. In daily backup operation the files are not marked as having been backed up, like copy backup. 27

Makes the job of restoring files difficult, as you have to reinstall the last full backup first, then all subsequent incremental backups in the correct order; also makes it hard to locate a particular file in the backup set. Differential Backup A backup of those files which have changes since the last full backup. Should be performed at regular intervals. Takes up less time and space than a full backup; provides for more efficient restoration than incremental backups. Redundant information stored, because each backup stores much of the same information plus the latest information added or created since the last full backup. Subsequent differential backups take longer and longer as more files are changed. Daily Backup Daily backup is like copy backup but perform daily. Files are not marked as backed up. Provide complete copy of files, restore is easy. Table -1 Summary of Different Types of Backup Operations Need more disk space and longer time compared with incremental backup. 2

29 MANAGING SHARED FOLDER AND DATA STORAGE LAB: Using Backup and Restore Utility Windows XP Backup or Restore utility provides a simple interface for backing up and restoring data. Follow these steps to start Backup process: 1. Click Start menu, point to All Programs, point to Accessories, point to System Tools, and then click Backup to start the wizard. 29

30 CLIENT OPERATING SYSTEM 2. System will search for any extra backup devices and launch the Backup and Restore Wizard. Uncheck this if you want next time Backup or Restore Wizard to start in Advanced Mode Click here to switch Backup or Restore Wizard to Advanced Mode now Advanced Mode At this point you can select one of the two modes of Backup: Wizard mode In Wizard mode, Backup steps you through the process of backing up or restoring your data. Advanced mode In Advanced mode, Backup presents a more traditional backup interface for selecting files and backup locations. 30

31 MANAGING SHARED FOLDER AND DATA STORAGE 2. Leave the normal setting to launch Backup or Restore Utility in Wizard mode, Click Next to next step. You have to make decision at this point what you want to do (Backup or Restore). Choose Backup files and settings then click Next. 3. The Backup or Restore Wizard displays the What to Back Up page, prompting you to select different files and document settings to be backed up. Select Let me choose what to back up and click Next 31

32 CLIENT OPERATING SYSTEM 3. From Item to Back Up page, select the drives, folders and files which you want to Back Up (click plus sign beside icon to expand) and click Next 4. The Backup or Restore Wizard displays the Backup Type, Destination, and Name page, select the appropriate fields and type the name of the Backup click Next. 32

At this point you can Select Advanced button for more option. or Finish to finish backup process. If click Advanced button, you have to follow these steps: 6. After clicking Advanced button you will get Type of Backup page where you select different backup which will fits your needs. 33

34 CLIENT OPERATING SYSTEM 7. On How to Back Up page, select what you want backup to do like verify data, compression and volume shadow copy.. On Backup Options page you can select one of two options, to append backup or replace existing backup. 34

Press Set Schedule button and select time and date from Schedule Job dialog box, click OK and click Next. 10. Verify final output and click Finish button to start backup process. 35

37 MANAGING SHARED FOLDER AND DATA STORAGE.3.3 Restoring Data The goal of all backup jobs is to restore corrupt or lost data is critical to all corporations. You should follow certain guidelines and backup document to ensure the success on your backup jobs and performing test restores on a regular basis LAB: Restoring Backup data To restore data, you must select the backup sets, files, and folders to restore. You can also specify additional settings based on your restore requirements. The Backup or Restore Wizard helps you restore data. Follow these steps to restore back data. 1. Click Start, point to All Programs, point to Accessories, point to System Tools, and then click Backup. 2. On the Welcome To The Backup or Restore Wizard page, click Next. 3. Computer networking is becoming an integral part of home as well as office; files and folders can be shared and accessed over these networks. 3. Windows XP has a file sharing user interface for enabling files and folders sharing over a network. 4. Windows XP provide simple file sharing with five different access levels. 5. Different access levels with examples Access Levels Level 1 Level 2 Level 3 Level 4 Level 5 Example Can be applied to My Documents folder to make it private, only allow particular user to access My Documents folder, not even system administrator.
